What is a reasonable accommodation.

A reasonable accommodation is any change in the work environment or in the way things are customarily done that enables you, as a person with a disability, to enjoy equal employment opportunities.

Reasonable accommodations generally fall within three categories:

  • Changes to the application or interview process
  • Changes to the work environment that enable you to perform the essential functions of your job
  • Changes that enable you to access the benefits and privileges of employment

What are examples of reasonable accommodations?

There are endless examples of potential workplace accommodations. Common examples include:

  • Making an existing workplace accessible (installing a ramp, widening a doorway)
  • Providing qualified readers or interpreters (ASL interpreters for important meetings)
  • Job restructuring (removing marginal tasks)
  • Part-time or modified work schedules (permitting a flexible schedule)
  • Leave (providing unpaid leave in addition to FMLA or sick leave)
  • Providing or changing equipment (installing computer software, such as JAWS)
  • Modifying testing requirements, training materials, or policies (providing additional training)
  • Reassignment (transferring to a vacant position for which you are qualified)
  • Working from home

When should I request a reasonable accommodation?

You may request a reasonable accommodation at any point during your employment once you know that you need a change in your job due to your disability.

  • You do not need to request a reasonable accommodation during a job interview.
  • If possible, request a reasonable accommodation before your job performance begins to suffer. It is difficult to ask for an accommodation to address past performance issues.

I don’t know what accommodation to ask for. What should I do?

It is a good idea to identify an accommodation or two that might work for you and your employer.

  • One helpful resource is the Job Accommodation Network (JAN) . JAN has fact sheets specific to almost every disability and limitation that includes accommodation ideas. JAN also has technical assistance specialists that can brainstorm solutions with you.

Does my employer have to give me the accommodation I ask for? 

It depends. Here are a few important concepts to keep in mind:

  • Preferred v. effective accommodation: Your employer is required to provide you with an effective accommodation, not necessarily your preferred accommodation. If there are many possible ways to accommodate you, your employer can choose the cheapest or easiest, so long as it is effective. As you negotiate with your employer, be open to other possibilities. If your employer’s alternate accommodation would not be effective, explain why.
  • Undue hardship: Your employer is not required to provide an accommodation that would pose an undue hardship, which is defined as a significant difficulty or expense. There is no specific standard for what constitutes an undue hardship; instead, this determination is made based on an individualized basis. Some factors to consider are: (1) the cost of the accommodation needed; (2) your employer’s financial resources; and (3) the impact of the accommodation on your employer.
  • Personal services or devices: Your employer does not need to provide personal services or devices. For instance, if you need a hearing aid for use both in and out of the workplace, that hearing aid is a personal device and your employer is not required to provide it. However, some devices may seem personal but are still considered accommodations, such as a specialized phone to help you hear in the workplace. This is not a personal device because you only need it in the workplace.
  • Removing essential functions: Your employer does not need to remove any particular task or duty, if that task or duty is an essential function of your position.

I need a reasonable accommodation. What do I do?

Your first step is to request the reasonable accommodation.

  • Let your supervisor(s) or human resource department know that you need a change at work because of reasons related to your medical condition. You may make this request initially to whomever you are most comfortable with.
  • Make your request in writing and use the phrase: “I am requesting a reasonable accommodation under the ADA.” This helps create a clear record of your request and helps your employer know that your request should be taken seriously. If you prefer to have a conversation in person or by phone first, that is perfectly fine. Just be sure to follow-up in writing confirming the conversation.
  • Use the template letter at the end of this fact sheet.

What happens after I make my request?

You and your employer should engage in the interactive process to determine what accommodation(s) would be effective to address your needs. If your employer does not immediately approve your request, you can expect the following:

  • Your employer may request limited medical documentation.
  • Your employer may ask clarification questions about your disability, functional limitations, and needs to help identify an effective accommodation.
  • Your employer may want to consult with others knowledgeable about your position.

Does my employer have the right to ask for medical documentation?

Yes, if your disability and/or need for accommodation is not obvious, your employer can request medical documentation to confirm that you have a disability and that you need a reasonable accommodation.

  • Your employer should not ask for a complete medical history. Requests should be narrowly tailored to your accommodation request.
  • If your employer asks you to sign a release for all of your medical records, offer to provide a note from your doctor instead and/or narrow the scope of the release to information required to assess your accommodation request.
  • Some employees find it helpful to provide documentation from a doctor with the initial request. There is nothing wrong with this, but your employer may have specific questions, so you may want to consider waiting to provide medical documentation so that you do not need to ask your doctor for additional letters.  

Do I have to respond to my employer’s follow-up questions?

Yes, so long as they are reasonable.

  • The interactive process is a “two-way street” and places obligations on you as well as your employer. You might feel frustrated and not want to continue this discussion, but we encourage you to respond to all reasonable questions and requests. You want to do everything reasonable to continue to engage in the interactive process.
  • Remember that the ADA encourages us to be creative, open-minded, and flexible. You are asking your employer to be all of those things when making changes to your job. Try to work with your employer to find a mutually agreeable solution.

How does the interactive process end?

Your employer will ultimately approve your request, deny your request, or offer an alternative.   

What do I do if my employer denies my request?

  • Continue the interactive process: Ask your employer why the request was denied and ask your employer for the denial in writing. Depending on the answer, consider whether there is room to continue with the interactive process. For instance, if your employer says that your medical support was not sufficient, you could obtain additional support. If your employer says your request would pose an undue hardship, consider alternatives.
  • Escalate your request: You may be able to escalate your request within your organization. For instance, if your supervisor denied your request, consider going to Human Resources.
  • File an internal complaint: Some employers have internal complaint processes. Union members can file complaints through their unions.
  • File an external complaint: You can bring a complaint for failure to provide a reasonable accommodation. If you would like to pursue an employment discrimination case, the first step is to file a charge of discrimination with the Equal Employment Opportunity Commission or the Illinois Department of Human Rights. A college application letter is a document that focuses on the student’s suitability for admission to a particular program. There are three kinds of, including academic recommendations, employment recommendations, and character recommendations.

An overview of each kind of recommendation letter is mentioned below:

Academic Recommendation Letters

Most students taking admission in a particular course are asked for these kinds of recommendations. Most colleges or universities offering admission to students for undergraduate and graduate courses ask for Academic Recommendation Letters . Each student is supposed to produce at least two or three letters of recommendation.

Information about the student, work achievements, character references, and personal details is recommended. These recommendations can be taken by school teachers, principals, coaches, and other education professionals who guided students in the past and are well aware of their academic skills. Many students make mistake while writing collage application letter which is not good. Writing an incorrect application letter can result in rejection of your admission application.

Employment Recommendations

Students planning to get a new job are supposed to produce letters of recommendation. Also working professionals willing to continue studies or to do specialized courses need to submit LOR from employers if demanded by the university students have chosen for their studies overseas. Information like the candidate’s employment history, job performance, work ethic, etc. is mentioned in the cover letter for university admission. Most of the time employment recommendations are written by former (or current employers) or a direct project manager. It is advisable to carry at least three career references to showcase qualities in the most desirable way.

Character References

Job Summary:

The Department of Radiology, University of Wisconsin - Madison, School of Medicine & Public Health is seeking a Radiology Informatics Data Scientist who will work under the direction of Dr. John Garrett and will work closely with other staff, medical school groups, UW Health, and the Radiology Informatics team. Dr. Garrett's research focuses on developing novel tools for radiological imaging, leveraging new tools and technologies such as deep learning, and a particular emphasis on translation of novel techniques into clinical practice. Deep learning and machine learning have seen a meteoric rise in applications within Radiology. This growth is both driving the need for high quality curated datasets and mechanisms to introduce these tools into clinical practice. The Radiology Informatics Data Scientist will be responsible for data cleaning and management, the development and maintenance of clinical research databases, helping develop and deploy novel imaging tools, and disseminating new knowledge through abstracts, posters, presentations, and manuscripts. They will be also involved in project monitoring and evaluation, data analysis, oversight of trainees, and dissemination of program results and will work closely with the Department of Radiology's Informatics Analysts.

If you require Government Financial Support, you MUST make an application for consideration through the official scholarship and loan portal: https://portal.hef.co.ke

Should the Government Scholarship, Loan, and Bursary not be sufficient to cover the entire cost of your programme, the remaining fee balance will be the responsibility of your Parent/Guardian. Payment details to the University are provided in the admission letter. Accommodation at the University is not guaranteed and normally issued on first come basis after full payment of fees. 1. Where is Karatina University Located?

ANSWER: Karatina University Main Campus is located in Kagochi, Karatina, Mathira East Sub County, Nyeri County. From Nairobi, the best PSV Matatu to use is 2NK boarded at the Tea Room Matatu Terminus at the Kenneth Matiba Road (formerly Accra Road).

3. How can I get my Registration Number (Admission Number)?

ANSWER: The Registration Number is well indicated on your Admission Letter. It is structured as A123/4567G/23.

4. What if I don’t make to report on Monday 5th August, 2024?

ANSWER: Karatina University encourages all students to come for reporting on Monday 5 th August, 2024 . However, if you cannot make it, you are encouraged to report within the week.

5. When is the deadline for reporting in this 2024/2025 Academic Year?

ANSWER: The deadline for reporting will be communicated to you via your emails. Those who will not make it by the deadline, will defer their studies to the 2025/2026 Academic Year.

6. When is the deadline for applying for funding from the Higher Education Funds (HEF)?

ANSWER: HEF applications deadline will be indicated in the HEF website. All First Year 2024/2025 AY Students MUST apply for funding via the Higher Education Financing (HEF) Portal, https://portal.hef.co.ke/ .

7. Am I eligible for HELB loans?

ANSWER: Yes, all students are encouraged to apply for HELB funds via   www.helb.go.ke

8. Is it a must I reside inside the University hostels?

ANSWER:  It is NOT mandatory apart from Nursing Students to reside inside the University Hostels. For those who wish to stay outside, you will be required to fill out the Non-Resident Form (AA/F017).

9. What do you provide in hostels accommodation?

ANSWER: Karatina University provides a bed and a mattress. You will only come with beddings and personal emoluments.

10. Can I book a hostel room?

ANSWER: No, Karatina University does not allow booking of hostel. The rooms available will be allocated on a first come first assign basis.

However, the University will ensure that all students get accommodated with Hostels affiliated to Karatina University.

11. Can I cook inside the hostel?

ANSWER: No. Cooking is prohibited  in Karatina University hostels. Students are encouraged to take meals from the University Cafeteria which is open for the entire Semester and the food is at very affordable prices.

12. What if I’m not able to report on this 2024/2025 Academic Year?

ANSWER: Yes, your place will be reserved till the next Academic Year. You are required to officially write a deferment letter to the Registrar (Academic Affairs) after which it will be processed within a week.

After you receive the deferment response, you will be required to write an official letter to Registrar Academic Affairs to request for readmission.

NOTE: The University Funding Board (UFB) cycle elapses after the four years from the year of admission for the Government Sponsored Students Programme (GSSP). This means the Government will cease your funding and the Private Sponsored Students Programme (PSSP) fee structure will apply henceforth.

13. Can I defer if I’m not able to report in this 2023/2024 Academic Year?

ANSWER: Yes, your place will be reserved till the next Academic Year. You are required to officially write a deferment letter to the Registrar (Academic Affairs) after which it will be processed within a week. After you receive the deferment response, you will be required to write an official letter to Registrar Academic Affairs to request for readmission

14. How can I transfer a course/ change a programme?

ANSWER: Karatina University will open the Change of Programme window from 11 th September, 2023. You are required to check from the KUCCPS Students Portal whether you are qualified for the programme you wish to change to.

i . Check on the ‘Minimum Subjects Requirements’ . You should meet the criteria set for the Programm

ii . Check the 2022 Cut-Off Points (COP) against your Cluster Points (WCP). To qualify the WCP should be equal to or greater than the COP.

iii .    Fill the Change of Programme Form AA/F012 and submit it at the Dean of the School you have been admitted to.

iv .  Wait for the response, which will be released latest 29th September, 2023 .

v . Fill an Acceptance Form for Change of Programme Form AA/F013 and submit it to the School’s Administrative Assistant of the new programme.

Note: You will get a regret letter if either you have not qualified for the new programme or the new programme is at full quorum thus n o capacity .

15. Do you pay accommodation fees in the same account with the fees account?

ANSWER: Yes. You can pay the accommodation fees of KShs 6,500 together with the fees in the same account of either Equity Bank or Cooperative Bank as indicated in the Fee Structure or via e-Citizen..

16. Can I pay half the fees for 1st Semester and get admitted?

ANSWER: No. Karatina University encourages all Students to pay fees in full. You will NOT get admitted if you will not have 100% of fees and 100% accommodation.

17. Must I come with the laptop during registration or I can acquire it after reporting?

ANSWER: For proper learning on the blended mode of study (online and physical), students are encouraged to have a laptop for ease of access of online teaching and materials.

18. What if I don’t have a NHIF Card, can I use my guardian’s?

ANSWER: Yes. NHIF cards are given to applicants above 18 years. For reporting purposes, students below the age of 18 years can use the NHIF card for parent/guardian and will be required to avail a copy of the same on the reporting date.

You’ve probably heard of ChatGPT, the AI-powered app that is revolutionising the world and changing how the world interacts. In fact, you might be wondering if ChatGPT is the perfect solution to writing a winning university application cover letter.

Yes, the OpenAI chatbot seems to have infinite potential to solve any writing challenge on Earth. However, should you take chances on your entire academic and professional future with this shortcut?

It might seem like a no-brainer to breeze through your university admissions using a chatbot that provides seemingly complex and sophisticated answers to simple questions. Why spend days writing an academic essay when it can be done within minutes, and all without grammatical errors?

But the stakes are high. In this article, we are going to highlight some crucial points to consider before you use ChatGPT to write your university application letter, or even during the rest of your university studies after getting in.

One downside of using the chatbot is that you will not just be technically cheating the university, but also yourself.

The University of Oxford defines plagiarism as “presenting someone else’s work, with or without their consent, as your own without full acknowledgement.”

And since ChatGPT isn’t a living breathing human being, one could argue using the chatbot is perfectly fair game, based on certain definitions. However, there are reports that a growing number of universities are rethinking the idea of plagiarism which could eventually lead to including ChatGPT as a tool for ‘cheating’.

However, as you’ll quickly realise, ChatGPT is more of an AI that consolidates existing information online (up to 2021) and doesn’t exactly produce true inspiration or motivation to help you in your application writing.

To prove a point, we gave ChatGPT the following prompt: "Write for me a university cover letter for a student in Indonesia who wants to pursue an electrical engineering undergraduate degree at the University of Sheffield in the UK.” 

We can see that the letter is written in a very mechanical way, as if it were adapted from a template. The generic terms used, placements and even sentence constructs might betray the fact that it was written by AI. Just imagine the university receiving similar copies of this cover letter submitted by multiple applicants!

Not only does it come off as cookie-cutter, any personality or uniqueness to you is non-existent. It also shows a lack of research done towards the course curriculum or the school’s specific achievements.

One concerning issue is how ChatGPT assumed that the writer was a member of a robotics club and was experienced in building electrical systems. This inventing of facts to help better fit the narrative of the application letter can be a trap for your credibility.

Because there is no connection between the real person and ChatGPT, trying to use the chatbot to write a university application letter isn’t a good idea. Worse of all, the consequences of getting caught can be severe.

It’s important to understand that ChatGPT can’t beat an education expert because it just doesn’t have the depth of experience or understand what’s on the line.

Secondly, you could enter a common database and be flagged for ‘cheating’. This could indeed affect any future application chances if your particulars are double-checked against this database.

Thirdly, tools are being developed and refined to detect AI-written essays and they could retrospectively be used by universities to analyse your old application cover letter. If caught, this could result in serious penalties or even expulsion from your course.

The reward just isn’t worth the risk.
