13.1 Formatting a Research Paper

Learning objectives.

  • Identify the major components of a research paper written using American Psychological Association (APA) style.
  • Apply general APA style and formatting conventions in a research paper.

In this chapter, you will learn how to use APA style , the documentation and formatting style followed by the American Psychological Association, as well as MLA style , from the Modern Language Association. There are a few major formatting styles used in academic texts, including AMA, Chicago, and Turabian:

  • AMA (American Medical Association) for medicine, health, and biological sciences
  • APA (American Psychological Association) for education, psychology, and the social sciences
  • Chicago—a common style used in everyday publications like magazines, newspapers, and books
  • MLA (Modern Language Association) for English, literature, arts, and humanities
  • Turabian—another common style designed for its universal application across all subjects and disciplines

While all the formatting and citation styles have their own use and applications, in this chapter we focus our attention on the two styles you are most likely to use in your academic studies: APA and MLA.

If you find that the rules of proper source documentation are difficult to keep straight, you are not alone. Writing a good research paper is, in and of itself, a major intellectual challenge. Having to follow detailed citation and formatting guidelines as well may seem like just one more task to add to an already-too-long list of requirements.

Following these guidelines, however, serves several important purposes. First, it signals to your readers that your paper should be taken seriously as a student’s contribution to a given academic or professional field; it is the literary equivalent of wearing a tailored suit to a job interview. Second, it shows that you respect other people’s work enough to give them proper credit for it. Finally, it helps your reader find additional materials if he or she wishes to learn more about your topic.

Furthermore, producing a letter-perfect APA-style paper need not be burdensome. Yes, it requires careful attention to detail. However, you can simplify the process if you keep these broad guidelines in mind:

  • Work ahead whenever you can. Chapter 11 “Writing from Research: What Will I Learn?” includes tips for keeping track of your sources early in the research process, which will save time later on.
  • Get it right the first time. Apply APA guidelines as you write, so you will not have much to correct during the editing stage. Again, putting in a little extra time early on can save time later.
  • Use the resources available to you. In addition to the guidelines provided in this chapter, you may wish to consult the APA website at http://www.apa.org or the Purdue University Online Writing lab at http://owl.english.purdue.edu , which regularly updates its online style guidelines.

General Formatting Guidelines

This chapter provides detailed guidelines for using the citation and formatting conventions developed by the American Psychological Association, or APA. Writers in disciplines as diverse as astrophysics, biology, psychology, and education follow APA style. The major components of a paper written in APA style are listed in the following box.

These are the major components of an APA-style paper:

Body, which includes the following:

  • Headings and, if necessary, subheadings to organize the content
  • In-text citations of research sources
  • References page

All these components must be saved in one document, not as separate documents.

The title page of your paper includes the following information:

  • Title of the paper
  • Author’s name
  • Name of the institution with which the author is affiliated
  • Header at the top of the page with the paper title (in capital letters) and the page number (If the title is lengthy, you may use a shortened form of it in the header.)

List the first three elements in the order given in the previous list, centered about one third of the way down from the top of the page. Use the headers and footers tool of your word-processing program to add the header, with the title text at the left and the page number in the upper-right corner. Your title page should look like the following example.

The next page of your paper provides an abstract , or brief summary of your findings. An abstract does not need to be provided in every paper, but an abstract should be used in papers that include a hypothesis. A good abstract is concise—about one hundred fifty to two hundred fifty words—and is written in an objective, impersonal style. Your writing voice will not be as apparent here as in the body of your paper. When writing the abstract, take a just-the-facts approach, and summarize your research question and your findings in a few sentences.

In Chapter 12 “Writing a Research Paper” , you read a paper written by a student named Jorge, who researched the effectiveness of low-carbohydrate diets. Read Jorge’s abstract. Note how it sums up the major ideas in his paper without going into excessive detail.

Beyond the Hype: Abstract

Write an abstract summarizing your paper. Briefly introduce the topic, state your findings, and sum up what conclusions you can draw from your research. Use the word count feature of your word-processing program to make sure your abstract does not exceed one hundred fifty words.

Depending on your field of study, you may sometimes write research papers that present extensive primary research, such as your own experiment or survey. In your abstract, summarize your research question and your findings, and briefly indicate how your study relates to prior research in the field.

Margins, Pagination, and Headings

APA style requirements also address specific formatting concerns, such as margins, pagination, and heading styles, within the body of the paper. Review the following APA guidelines.

Use these general guidelines to format the paper:

  • Set the top, bottom, and side margins of your paper at 1 inch.
  • Use double-spaced text throughout your paper.
  • Use a standard font, such as Times New Roman or Arial, in a legible size (10- to 12-point).
  • Use continuous pagination throughout the paper, including the title page and the references section. Page numbers appear flush right within your header.
  • Section headings and subsection headings within the body of your paper use different types of formatting depending on the level of information you are presenting. Additional details from Jorge’s paper are provided.

Cover Page

Begin formatting the final draft of your paper according to APA guidelines. You may work with an existing document or set up a new document if you choose. Include the following:

  • Your title page
  • The abstract you created in Note 13.8 “Exercise 1”
  • Correct headers and page numbers for your title page and abstract

APA style uses section headings to organize information, making it easy for the reader to follow the writer’s train of thought and to know immediately what major topics are covered. Depending on the length and complexity of the paper, its major sections may also be divided into subsections, sub-subsections, and so on. These smaller sections, in turn, use different heading styles to indicate different levels of information. In essence, you are using headings to create a hierarchy of information.

The following heading styles used in APA formatting are listed in order of greatest to least importance:

  • Section headings use centered, boldface type. Headings use title case, with important words in the heading capitalized.
  • Subsection headings use left-aligned, boldface type. Headings use title case.
  • The third level uses left-aligned, indented, boldface type. Headings use a capital letter only for the first word, and they end in a period.
  • The fourth level follows the same style used for the previous level, but the headings are boldfaced and italicized.
  • The fifth level follows the same style used for the previous level, but the headings are italicized and not boldfaced.

Visually, the hierarchy of information is organized as indicated in Table 13.1 “Section Headings” .

A college research paper may not use all the heading levels shown in Table 13.1 “Section Headings” , but you are likely to encounter them in academic journal articles that use APA style. For a brief paper, you may find that level 1 headings suffice. Longer or more complex papers may need level 2 headings or other lower-level headings to organize information clearly. Use your outline to craft your major section headings and determine whether any subtopics are substantial enough to require additional levels of headings.

Working with the document you developed in Note 13.11 “Exercise 2” , begin setting up the heading structure of the final draft of your research paper according to APA guidelines. Include your title and at least two to three major section headings, and follow the formatting guidelines provided above. If your major sections should be broken into subsections, add those headings as well. Use your outline to help you.

Citation Guidelines

In-text citations.

Throughout the body of your paper, include a citation whenever you quote or paraphrase material from your research sources. As you learned in Chapter 11 “Writing from Research: What Will I Learn?” , the purpose of citations is twofold: to give credit to others for their ideas and to allow your reader to follow up and learn more about the topic if desired. Your in-text citations provide basic information about your source; each source you cite will have a longer entry in the references section that provides more detailed information.

In-text citations must provide the name of the author or authors and the year the source was published. (When a given source does not list an individual author, you may provide the source title or the name of the organization that published the material instead.) When directly quoting a source, it is also required that you include the page number where the quote appears in your citation.

This information may be included within the sentence or in a parenthetical reference at the end of the sentence, as in these examples.

Epstein (2010) points out that “junk food cannot be considered addictive in the same way that we think of psychoactive drugs as addictive” (p. 137).

Here, the writer names the source author when introducing the quote and provides the publication date in parentheses after the author’s name. The page number appears in parentheses after the closing quotation marks and before the period that ends the sentence.

Addiction researchers caution that “junk food cannot be considered addictive in the same way that we think of psychoactive drugs as addictive” (Epstein, 2010, p. 137).

Here, the writer provides a parenthetical citation at the end of the sentence that includes the author’s name, the year of publication, and the page number separated by commas. Again, the parenthetical citation is placed after the closing quotation marks and before the period at the end of the sentence.

As noted in the book Junk Food, Junk Science (Epstein, 2010, p. 137), “junk food cannot be considered addictive in the same way that we think of psychoactive drugs as addictive.”

Here, the writer chose to mention the source title in the sentence (an optional piece of information to include) and followed the title with a parenthetical citation. Note that the parenthetical citation is placed before the comma that signals the end of the introductory phrase.

David Epstein’s book Junk Food, Junk Science (2010) pointed out that “junk food cannot be considered addictive in the same way that we think of psychoactive drugs as addictive” (p. 137).

Another variation is to introduce the author and the source title in your sentence and include the publication date and page number in parentheses within the sentence or at the end of the sentence. As long as you have included the essential information, you can choose the option that works best for that particular sentence and source.

Citing a book with a single author is usually a straightforward task. Of course, your research may require that you cite many other types of sources, such as books or articles with more than one author or sources with no individual author listed. You may also need to cite sources available in both print and online and nonprint sources, such as websites and personal interviews. Chapter 13 “APA and MLA Documentation and Formatting” , Section 13.2 “Citing and Referencing Techniques” and Section 13.3 “Creating a References Section” provide extensive guidelines for citing a variety of source types.

Writing at Work

APA is just one of several different styles with its own guidelines for documentation, formatting, and language usage. Depending on your field of interest, you may be exposed to additional styles, such as the following:

  • MLA style. Determined by the Modern Languages Association and used for papers in literature, languages, and other disciplines in the humanities.
  • Chicago style. Outlined in the Chicago Manual of Style and sometimes used for papers in the humanities and the sciences; many professional organizations use this style for publications as well.
  • Associated Press (AP) style. Used by professional journalists.

References List

The brief citations included in the body of your paper correspond to the more detailed citations provided at the end of the paper in the references section. In-text citations provide basic information—the author’s name, the publication date, and the page number if necessary—while the references section provides more extensive bibliographical information. Again, this information allows your reader to follow up on the sources you cited and do additional reading about the topic if desired.

The specific format of entries in the list of references varies slightly for different source types, but the entries generally include the following information:

  • The name(s) of the author(s) or institution that wrote the source
  • The year of publication and, where applicable, the exact date of publication
  • The full title of the source
  • For books, the city of publication
  • For articles or essays, the name of the periodical or book in which the article or essay appears
  • For magazine and journal articles, the volume number, issue number, and pages where the article appears
  • For sources on the web, the URL where the source is located

The references page is double spaced and lists entries in alphabetical order by the author’s last name. If an entry continues for more than one line, the second line and each subsequent line are indented five spaces. Review the following example. References Section

In APA style, book and article titles are formatted in sentence case, not title case. Sentence case means that only the first word is capitalized, along with any proper nouns.

Academic writing refers to a style of expression that researchers use to define the intellectual boundaries of their disciplines and specific areas of expertise. Characteristics of academic writing include a formal tone, use of the third-person rather than first-person perspective (usually), a clear focus on the research problem under investigation, and precise word choice. Like specialist languages adopted in other professions, such as, law or medicine, academic writing is designed to convey agreed meaning about complex ideas or concepts within a community of scholarly experts and practitioners.

Importance of Good Academic Writing

The accepted form of academic writing in the social sciences can vary considerable depending on the methodological framework and the intended audience. However, most college-level research papers require careful attention to the following stylistic elements:

I.  The Big Picture Unlike creative or journalistic writing, the overall structure of academic writing is formal and logical. It must be cohesive and possess a logically organized flow of ideas; this means that the various parts are connected to form a unified whole. There should be narrative links between sentences and paragraphs so that the reader is able to follow your argument. The introduction should include a description of how the rest of the paper is organized and all sources are properly cited throughout the paper.

II.  Tone The overall tone refers to the attitude conveyed in a piece of writing. Throughout your paper, it is important that you present the arguments of others fairly and with an appropriate narrative tone. When presenting a position or argument that you disagree with, describe this argument accurately and without loaded or biased language. In academic writing, the author is expected to investigate the research problem from an authoritative point of view. You should, therefore, state the strengths of your arguments confidently, using language that is neutral, not confrontational or dismissive.

III.  Diction Diction refers to the choice of words you use. Awareness of the words you use is important because words that have almost the same denotation [dictionary definition] can have very different connotations [implied meanings]. This is particularly true in academic writing because words and terminology can evolve a nuanced meaning that describes a particular idea, concept, or phenomenon derived from the epistemological culture of that discipline [e.g., the concept of rational choice in political science]. Therefore, use concrete words [not general] that convey a specific meaning. If this cannot be done without confusing the reader, then you need to explain what you mean within the context of how that word or phrase is used within a discipline.

IV.  Language The investigation of research problems in the social sciences is often complex and multi- dimensional . Therefore, it is important that you use unambiguous language. Well-structured paragraphs and clear topic sentences enable a reader to follow your line of thinking without difficulty. Your language should be concise, formal, and express precisely what you want it to mean. Do not use vague expressions that are not specific or precise enough for the reader to derive exact meaning ["they," "we," "people," "the organization," etc.], abbreviations like 'i.e.'  ["in other words"], 'e.g.' ["for example"], or 'a.k.a.' ["also known as"], and the use of unspecific determinate words ["super," "very," "incredible," "huge," etc.].

V.  Punctuation Scholars rely on precise words and language to establish the narrative tone of their work and, therefore, punctuation marks are used very deliberately. For example, exclamation points are rarely used to express a heightened tone because it can come across as unsophisticated or over-excited. Dashes should be limited to the insertion of an explanatory comment in a sentence, while hyphens should be limited to connecting prefixes to words [e.g., multi-disciplinary] or when forming compound phrases [e.g., commander-in-chief]. Finally, understand that semi-colons represent a pause that is longer than a comma, but shorter than a period in a sentence. In general, there are four grammatical uses of semi-colons: when a second clause expands or explains the first clause; to describe a sequence of actions or different aspects of the same topic; placed before clauses which begin with "nevertheless", "therefore", "even so," and "for instance”; and, to mark off a series of phrases or clauses which contain commas. If you are not confident about when to use semi-colons [and most of the time, they are not required for proper punctuation], rewrite using shorter sentences or revise the paragraph.

VI.  Academic Conventions Among the most important rules and principles of academic engagement of a writing is citing sources in the body of your paper and providing a list of references as either footnotes or endnotes. The academic convention of citing sources facilitates processes of intellectual discovery, critical thinking, and applying a deliberate method of navigating through the scholarly landscape by tracking how cited works are propagated by scholars over time . Aside from citing sources, other academic conventions to follow include the appropriate use of headings and subheadings, properly spelling out acronyms when first used in the text, avoiding slang or colloquial language, avoiding emotive language or unsupported declarative statements, avoiding contractions [e.g., isn't], and using first person and second person pronouns only when necessary.

VII.  Evidence-Based Reasoning Assignments often ask you to express your own point of view about the research problem. However, what is valued in academic writing is that statements are based on evidence-based reasoning. This refers to possessing a clear understanding of the pertinent body of knowledge and academic debates that exist within, and often external to, your discipline concerning the topic. You need to support your arguments with evidence from scholarly [i.e., academic or peer-reviewed] sources. It should be an objective stance presented as a logical argument; the quality of the evidence you cite will determine the strength of your argument. The objective is to convince the reader of the validity of your thoughts through a well-documented, coherent, and logically structured piece of writing. This is particularly important when proposing solutions to problems or delineating recommended courses of action.

VIII.  Thesis-Driven Academic writing is “thesis-driven,” meaning that the starting point is a particular perspective, idea, or position applied to the chosen topic of investigation, such as, establishing, proving, or disproving solutions to the questions applied to investigating the research problem. Note that a problem statement without the research questions does not qualify as academic writing because simply identifying the research problem does not establish for the reader how you will contribute to solving the problem, what aspects you believe are most critical, or suggest a method for gathering information or data to better understand the problem.

IX.  Complexity and Higher-Order Thinking Academic writing addresses complex issues that require higher-order thinking skills applied to understanding the research problem [e.g., critical, reflective, logical, and creative thinking as opposed to, for example, descriptive or prescriptive thinking]. Higher-order thinking skills include cognitive processes that are used to comprehend, solve problems, and express concepts or that describe abstract ideas that cannot be easily acted out, pointed to, or shown with images. Think of your writing this way: One of the most important attributes of a good teacher is the ability to explain complexity in a way that is understandable and relatable to the topic being presented during class. This is also one of the main functions of academic writing--examining and explaining the significance of complex ideas as clearly as possible.  As a writer, you must adopt the role of a good teacher by summarizing complex information into a well-organized synthesis of ideas, concepts, and recommendations that contribute to a better understanding of the research problem.

Understanding Academic Writing and Its Jargon

The very definition of research jargon is language specific to a particular community of practitioner-researchers . Therefore, in modern university life, jargon represents the specific language and meaning assigned to words and phrases specific to a discipline or area of study. For example, the idea of being rational may hold the same general meaning in both political science and psychology, but its application to understanding and explaining phenomena within the research domain of a each discipline may have subtle differences based upon how scholars in that discipline apply the concept to the theories and practice of their work.

Given this, it is important that specialist terminology [i.e., jargon] must be used accurately and applied under the appropriate conditions . Subject-specific dictionaries are the best places to confirm the meaning of terms within the context of a specific discipline. These can be found by either searching in the USC Libraries catalog by entering the disciplinary and the word dictionary [e.g., sociology and dictionary] or using a database such as Credo Reference [a curated collection of subject encyclopedias, dictionaries, handbooks, guides from highly regarded publishers] . It is appropriate for you to use specialist language within your field of study, but you should avoid using such language when writing for non-academic or general audiences.

Problems with Opaque Writing

A common criticism of scholars is that they can utilize needlessly complex syntax or overly expansive vocabulary that is impenetrable or not well-defined. When writing, avoid problems associated with opaque writing by keeping in mind the following:

1.   Excessive use of specialized terminology . Yes, it is appropriate for you to use specialist language and a formal style of expression in academic writing, but it does not mean using "big words" just for the sake of doing so. Overuse of complex or obscure words or writing complicated sentence constructions gives readers the impression that your paper is more about style than substance; it leads the reader to question if you really know what you are talking about. Focus on creating clear, concise, and elegant prose that minimizes reliance on specialized terminology.

2.   Inappropriate use of specialized terminology . Because you are dealing with concepts, research, and data within your discipline, you need to use the technical language appropriate to that area of study. However, nothing will undermine the validity of your study quicker than the inappropriate application of a term or concept. Avoid using terms whose meaning you are unsure of--do not just guess or assume! Consult the meaning of terms in specialized, discipline-specific dictionaries by searching the USC Libraries catalog or the Credo Reference database [see above].

Additional Problems to Avoid

In addition to understanding the use of specialized language, there are other aspects of academic writing in the social sciences that you should be aware of. These problems include:

  • Personal nouns . Excessive use of personal nouns [e.g., I, me, you, us] may lead the reader to believe the study was overly subjective. These words can be interpreted as being used only to avoid presenting empirical evidence about the research problem. Limit the use of personal nouns to descriptions of things you actually did [e.g., "I interviewed ten teachers about classroom management techniques..."]. Note that personal nouns are generally found in the discussion section of a paper because this is where you as the author/researcher interpret and describe your work.
  • Directives . Avoid directives that demand the reader to "do this" or "do that." Directives should be framed as evidence-based recommendations or goals leading to specific outcomes. Note that an exception to this can be found in various forms of action research that involve evidence-based advocacy for social justice or transformative change. Within this area of the social sciences, authors may offer directives for action in a declarative tone of urgency.
  • Informal, conversational tone using slang and idioms . Academic writing relies on excellent grammar and precise word structure. Your narrative should not include regional dialects or slang terms because they can be open to interpretation. Your writing should be direct and concise using standard English.
  • Wordiness. Focus on being concise, straightforward, and developing a narrative that does not have confusing language . By doing so, you  help eliminate the possibility of the reader misinterpreting the design and purpose of your study.
  • Vague expressions (e.g., "they," "we," "people," "the company," "that area," etc.). Being concise in your writing also includes avoiding vague references to persons, places, or things. While proofreading your paper, be sure to look for and edit any vague or imprecise statements that lack context or specificity.
  • Numbered lists and bulleted items . The use of bulleted items or lists should be used only if the narrative dictates a need for clarity. For example, it is fine to state, "The four main problems with hedge funds are:" and then list them as 1, 2, 3, 4. However, in academic writing, this must then be followed by detailed explanation and analysis of each item. Given this, the question you should ask yourself while proofreading is: why begin with a list in the first place rather than just starting with systematic analysis of each item arranged in separate paragraphs? Also, be careful using numbers because they can imply a ranked order of priority or importance. If none exists, use bullets and avoid checkmarks or other symbols.
  • Descriptive writing . Describing a research problem is an important means of contextualizing a study. In fact, some description or background information may be needed because you can not assume the reader knows the key aspects of the topic. However, the content of your paper should focus on methodology, the analysis and interpretation of findings, and their implications as they apply to the research problem rather than background information and descriptions of tangential issues.
  • Personal experience. Drawing upon personal experience [e.g., traveling abroad; caring for someone with Alzheimer's disease] can be an effective way of introducing the research problem or engaging your readers in understanding its significance. NOTE:   Rules concerning excellent grammar and precise word structure do not apply when quoting someone.  A quote should be inserted in the text of your paper exactly as it was stated. If the quote is especially vague or hard to understand, consider paraphrasing it or using a different quote to convey the same meaning. Consider inserting the term "sic" in brackets after the quoted text to indicate that the quotation has been transcribed exactly as found in the original source, but the source had grammar, spelling, or other errors. The adverb sic informs the reader that the errors are not yours.

I. Improving Academic Writing

To improve your academic writing skills, you should focus your efforts on three key areas: 1.   Clear Writing . The act of thinking about precedes the process of writing about. Good writers spend sufficient time distilling information and reviewing major points from the literature they have reviewed before creating their work. Writing detailed outlines can help you clearly organize your thoughts. Effective academic writing begins with solid planning, so manage your time carefully. 2.  Excellent Grammar . Needless to say, English grammar can be difficult and complex; even the best scholars take many years before they have a command of the major points of good grammar. Take the time to learn the major and minor points of good grammar. Spend time practicing writing and seek detailed feedback from professors. Take advantage of the Writing Center on campus if you need help. Proper punctuation and good proofreading skills can significantly improve academic writing [see sub-tab for proofreading you paper ].

Refer to these three basic resources to help your grammar and writing skills:

  • A good writing reference book, such as, Strunk and White’s book, The Elements of Style or the St. Martin's Handbook ;
  • A college-level dictionary, such as, Merriam-Webster's Collegiate Dictionary ;
  • The latest edition of Roget's Thesaurus in Dictionary Form .

3.  Consistent Stylistic Approach . Whether your professor expresses a preference to use MLA, APA or the Chicago Manual of Style or not, choose one style manual and stick to it. Each of these style manuals provide rules on how to write out numbers, references, citations, footnotes, and lists. Consistent adherence to a style of writing helps with the narrative flow of your paper and improves its readability. Note that some disciplines require a particular style [e.g., education uses APA] so as you write more papers within your major, your familiarity with it will improve.

II. Evaluating Quality of Writing

A useful approach for evaluating the quality of your academic writing is to consider the following issues from the perspective of the reader. While proofreading your final draft, critically assess the following elements in your writing.

  • It is shaped around one clear research problem, and it explains what that problem is from the outset.
  • Your paper tells the reader why the problem is important and why people should know about it.
  • You have accurately and thoroughly informed the reader what has already been published about this problem or others related to it and noted important gaps in the research.
  • You have provided evidence to support your argument that the reader finds convincing.
  • The paper includes a description of how and why particular evidence was collected and analyzed, and why specific theoretical arguments or concepts were used.
  • The paper is made up of paragraphs, each containing only one controlling idea.
  • You indicate how each section of the paper addresses the research problem.
  • You have considered counter-arguments or counter-examples where they are relevant.
  • Arguments, evidence, and their significance have been presented in the conclusion.
  • Limitations of your research have been explained as evidence of the potential need for further study.
  • The narrative flows in a clear, accurate, and well-organized way.

Considering the Passive Voice in Academic Writing

In the English language, we are able to construct sentences in the following way: 1.  "The policies of Congress caused the economic crisis." 2.  "The economic crisis was caused by the policies of Congress."

The decision about which sentence to use is governed by whether you want to focus on “Congress” and what they did, or on “the economic crisis” and what caused it. This choice in focus is achieved with the use of either the active or the passive voice. When you want your readers to focus on the "doer" of an action, you can make the "doer"' the subject of the sentence and use the active form of the verb. When you want readers to focus on the person, place, or thing affected by the action, or the action itself, you can make the effect or the action the subject of the sentence by using the passive form of the verb.

Often in academic writing, scholars don't want to focus on who is doing an action, but on who is receiving or experiencing the consequences of that action. The passive voice is useful in academic writing because it allows writers to highlight the most important participants or events within sentences by placing them at the beginning of the sentence.

Use the passive voice when:

  • You want to focus on the person, place, or thing affected by the action, or the action itself;
  • It is not important who or what did the action;
  • You want to be impersonal or more formal.

Form the passive voice by:

  • Turning the object of the active sentence into the subject of the passive sentence.
  • Changing the verb to a passive form by adding the appropriate form of the verb "to be" and the past participle of the main verb.

NOTE: Consult with your professor about using the passive voice before submitting your research paper. Some strongly discourage its use!

MLA, APA, & CMS: How to Properly Format Your Papers

Knowing the styles and when to use them.

In academic writing, how you present your information (technically) is often seen as important as the ideas you are putting forth. Proper citing, quoting and referencing of source material allows you to convey your breadth of research in a language commonly shared by others in your discipline. Giving others a chance to review and compare your work under these established guidelines enables your instructors to better see the work on its own merits, opposed to getting sidetracked by technical inefficiencies.

MLA vs APA

You MUST follow the rules like every other student: this is not an area where you want to stand out for doing things your own way. Writing for any academic purpose carries with it certain expectations and formatting consistencies, and a failure to properly understand how or why you cite your sources in a specific way can have negative effects on your written projects and communications.

The Big Three: APA, MLA, and CMS

There are three main "Schools of Style" used to properly format an academic paper, referred to as APA, MLA, or CMS.

  • APA style : These are the official guidelines put forth by the American Psychological Association, now in its sixth edition. This is the preference of the social sciences, so if you are studying sociology, psychology, medicine, or social work you are going to know APA style.
  • MLA style : The Modern Language Association provides guidelines you will be familiar with if you are focused on the Humanities: so artists, English majors, and theatre students will know MLA as they have used this style now for more than half a century.
  • CMS style : These are the style guidelines put forth in the Chicago Manual of Style , now in its 16th edition.  CMS style is predominantly seen in the humanities, particularly with literature students and those who study advanced segments of history and/or the arts.

While these formatting methods will share many characteristics such as margins and spacing, how they attribute references to source materials is the main differentiator.  For example, APA lists "references" while MLA calls the same thing "works cited" - a small but important distinction that might actually affect your grade.

Typically, you are going to use one style for most of your classes and communications, but there is certainly the possibility that you'll need to know how to use any one of these three common styles. The good news is it is not hard to get up-to-speed on any one of them and use them properly.

Get the Latest Updates Regardless of which style you are using, it is imperative to get the most recent version of the guidelines to ensure your paper is as accurate as it can be. Each of the sources have updated their guidelines multiple times over the years, so working with the current standards is goal one.

APA and MLA are the most common styles to use, but CMS is not unheard of - just not as common for undergrads. CMS is commonly used in traditional book publishing and academic publishing situations, so if you are doing post-graduate writing, it is good to know.

The main thing that seems to be changing in the rules for all of them is about the proper attribution of web-related sources, so you are going to want to re-check that you are working from the most recent versions of whichever style guide you need.

Beware the Pitfalls

The common mistakes being made in properly styling citations and references might be as simple as not downloading the most recent updates; however, it may also be a case where students are simply not understanding how to infuse referencing properly.

He continues: "While some common APA formatting errors may be issues due to changes in updated guidelines (APA 5 vs. APA 6), there are other, perhaps more common instances where a student fails to properly reference the source materials within writing assignments. This is particularly true when citing content from the Internet. Understanding how to properly reference and cite source materials adds power to any student paper, because the papers can be used to show a proper understanding and blending of source ideas - a critical concept in higher learning."

"Some of the changes to the guidelines seem very dubious and meticulous," he continues, "but standards are there so an evaluator can assess the weight of the material without bias. Many of my students might complain about it, but the ones that succeed are the ones who are actively trying to use citing resources to their own argument's advantage."

Common MLA Mistakes APA students are not the only ones who have common mistakes in formatting - as evidenced by the following insight offered from Dr. Margaret Walters of Kennesaw State University , where she and her students have used primarily MLA guidelines in their writing, editing and literature classes. Dr. Walters has taught a variety of undergraduate and graduate level writing courses at Kennesaw State University for over 15 years.

Dr. Walters said, "The most common problems I see with MLA style occur in the writing, meaning the text itself, not the bibliography or Works Cited...though there are often some problems to address there, too. In the text, the most common problems are:

  • putting a period before and sometimes after the parenthetical citation, as in: ".... and this point is made early on." (Smith 127).
  • placing the closing quotation mark after the citation in parenthesis instead of after the quote: " .... and this point is made early on (Smith 127)".
  • placing quotation marks inside commas and periods instead of after them:  Smith tells us that among the most important rules are the ones regarding use of commas", yet he does not explain how this happens". (127) [those writing British English use the opposite rule--quotation marks inside end punctuation]."

Dr. Walters continued: "In the Works Cited, the most common MLA-related problems are:

  • not alphabetizing (even though this is the easiest rule to follow)
  • mixing up MLA and APA style; e.g. using initials for first names when MLA says use full first names and middle initials
  • leaving off the place of publication - it should be New York: Penguin, 2009 but will instead say Penguin, 2009
  • not knowing rules for using quotations marks or when to underline / italicize

"Students get it right most of the time," Dr. Walters states. "I think the underlying problem is an unwillingness to use the style sheets, handouts, or even the MLA handbook.  If they use the resources offered, most students are not going to struggle to meet the guidelines."

Thesis statement

The thesis statement provides a blueprint for the paper. It conveys the theme and purpose of the paper. It also informs you and readers what your paper will argue and the type of research it will contain. As you write the paper, you can refer to the thesis statement to help you decide whether or not to include certain items.

Most research papers require an abstract as well as a thesis. While the thesis is a short (usually a single sentence) summary of the work, an abstract contains more detail. Many papers use the IMRaD structure for the abstract, especially in scientific fields. This consists of four elements:

Introduction : Summarize the purpose of the paper

Methods : Describe the research methods (e.g., collecting data , interviews , field research)

Create an outline

The outline is not part of the published paper; it’s for your use. An outline makes it easier to structure the paper, ensuring you include all necessary points and research.

Gather research

Solid research is the hallmark of a research paper. In addition to accumulating research, you need to present it clearly. However, gathering research is one of the first tasks. If you compile each piece of research correctly, it will be easier to format the paper correctly. You want to avoid having to go back and look up information constantly.

Start by skimming potentially useful sources and putting them aside for later use. Reading each source thoroughly at this stage will be time-consuming and slow your progress. You can thoroughly review the sources to decide what to include and discard later. At this stage, note essential information such as names, dates, page numbers, and website links. Citing sources will be easier when you’ve written all the information down.

Be aware of the quality of your sources. A research paper should reference scholarly, academic, or scientific journals. It’s vital to understand the difference between primary and secondary sources. 

A primary source is an original, firsthand account of a topic. A secondary source is someone else covering the topic, as in a popular article or interview. While you may include secondary sources, your paper should also include primary research . Online research can be convenient, but you need to be extra careful when assessing the quality of your sources.

Write the first draft

Create a first draft where you put together all your research and address the topic described in your thesis and abstract. 

Edit and format the paper

Proofread, edit, and make any necessary adjustments and improvements to the first draft. List your citations as described below. Ensure your thesis and abstract describe your research accurately. 

  • Formatting a research paper: MLA, APA, and CMOS styles

There are several popular formats for research papers: MLA (Modern Language Association) and APA (American Psychological Association). Certain academic papers use CMOS (Chicago Manual of Style). Other formats may apply to particular fields. 

For example, medical research may use AMA (American Medical Association) formatting and IEEE (Institute of Electrical and Electronics Engineers) for particular technical papers. The following are the guidelines and examples of the most popular formats:

The humanities typically use MLA format, including literature, history, and culture. Look over examples of papers created in MLA format . Here are the main rules to keep in mind:

Double-spaced lines.

Indent new paragraphs 1/2 inch.

Title case for headings, where all major words are capitalized, as in "How to Write a Research Paper." 

Use a popular font such as Times New Roman. This applies to all formatting styles.

Use one-inch margins on all sides. 

Number sections of the paper using Arabic numerals (1, 2, 3, etc.). 

Use a running head for each page on the upper right-hand corner, which consists of your last name and the page number.

Use an in-text citation within the text, using the author's last name followed by the page number: "Anything worth dying for is certainly worth living for" (Heller 155).  

On the citations page, list the full name, book or periodical, and other information. For MLA, you will not need footnotes, only in-text citations.

List citations in alphabetical order on a separate page at the end of the paper entitled “Works Cited.” 

Continuing with the above example from Heller, the listing would be: Heller, Joseph. Catch-22, Simon & Schuster, 1961.

For a periodical, the format is "Thompson, Hunter S. "The Kentucky Derby is Decadent and Depraved" Scanlon's, June 1970."

Use title case for source titles, as in "On the Origin of Species."

The sciences typically use APA format, including physical sciences such as physics and social sciences such as psychology. Simply Psychology provides examples of APA formatting . The following are the most important rules of the APA format.

Begin the paper with a title page, which is not required for MLA.

Use double-line spacing.

Use a running head for each page in the upper right-hand corner, which consists of the paper's title in capital letters followed by the page number.

The citations page at the end should be titled "References."

In-text citations should include the publication date: (Smith, 1999, p. 50). Note also that there's a "p" for "page," whereas in MLA, you write the page number without a "p."

As with MLA, use title case for headings, as in "Most Popular Treatments for Cognitive Disorders."

Use sentence case for titles of sources, as in "History of the decline and fall of the Roman empire." Note "Roman" starts with a capital because it's a proper noun.  

When citing in-text references, use the author's last name and the first and middle initials. 

Always use the Oxford comma. This comma goes before the words "or" and "and" in a list. For example, "At the store, I bought oranges, paper towels, and pasta."

CMOS formatting

Book publishers and many academic papers use CMOS formatting based on the Chicago Manual of Style. CMOS is also called Turabian, named after Kate L. Turabian, who wrote the first manual for this style. Here are examples of CMOS style formatting and citations.

Include an unnumbered title page.

Place page numbers on the upper right-hand corner of the page. Do not list your name or the paper's title as you would for MLA or APA styles.

Use title case for both headings and sources (same as MLA).

Unlike MLA and APA, the Chicago style uses footnotes for citations. Use a superscript for footnotes: "Smith argues against Jones' theory¹.” Footnotes may appear at the bottom of the page or the end of the document.  

CMOS supports both short notes and full notes. In most cases, you'll use the full note: "Michael Pollan, The Omnivore's Dilemma: A Natural History of Four Meals (New York: Penguin, 2006), 76." For further references to the same source, use a short note: " Pollan, Omnivore's Dilemma, 45." The requirements of some papers may specify using only short notes for all footnotes.

  • General guidelines for writing and formatting research papers

Keep these guidelines in mind for all types of research papers:

Initial formatting

As you create your first draft, don't worry about formatting. If you try to format it perfectly as you write the paper, it will be difficult to progress and develop a flow of thought. With the first draft, you don't have to be concerned about ordering the sections. You can rearrange headings and sections later. 

Citation tools

Use automation tools for citations . Some useful tools make citations easier by automatically generating a citation list and bibliography. Many work with APA, MLA, and CMOS styles.

Check for plagiarism

Use a plagiarism detector to make sure your paper isn't unintentionally plagiarizing. There are many free and paid plagiarism checkers online, such as Grammarly. 

Proofread your work

Do several rounds of editing and proofreading. Editing is necessary for any type of writing, but you’ll need to revisit several distinct areas with a research paper:

Check for spelling and grammatical errors.

Read the paper to make sure it's well-argued and that you’ve organized it properly. 

Check that you’ve correctly formatted citations. It's easy to make errors, such as incorrect numbering of footnotes (e.g., Chicago style) or forgetting to include a source on your citations page.

Academic writing refers to the writing style that researchers, educators, and students use in scholarly publications and school assignments. An academic writing style refers to the semantic and textual features that characterize academic writing and distinguish it from other discourses , such as professional writing , workplace writing , fiction , or creative nonfiction . What is Academic Writing?

Academic writing refers to all of the texts produced by academic writers, including theoretical, empirical , or experience-based works. Examples:

  • Students at the high school and undergraduate level write essays, book reviews, lab reports, reviews of literature, proposals–and more . These assignments often presume an audience of a teacher-as-examiner
  • by proposing a new theory, method, application
  • by presenting new empirical findings
  • by offering new interpretations of existing evidence .

Different academic fields have distinct genres , writing styles and conventions because each academic field possesses its own set of rules and practices that govern how ideas are researched , structured , supported , and communicated . Thus, there is no one single style of academic writing. Rather, there are many different writing styles a writer might adopt , depending on their aims of discourse , media , writing tools, and rhetorical situation .

Differences aside, there are a number of discourse conventions that academic writers share across disciplines. These conventions empower writers to establish authority and clarity in their prose –and to craft pieces that can be understood and appreciated by readers from various academic fields as well as the general public.

Features of Academic Discourse

  • Academic writing tends to be  substantive  rather than superficial,  anecdotal ,  vague or underdeveloped.  For example, a paper on climate change would not just describe the observed changes in temperature, but might also delve into the scientific theories that explain these changes, the evidence supporting these theories, the potential impacts of climate change, and the debates within the scientific community
  • Academic writing prioritizes evidence and logical reasoning over anecdotal observations , personal opinions, personal beliefs emotional appeals
  • Members of the academic community expect authors to provide evidence for claims . When academics introduce evidence into their texts, they know their readers expect them to establish the currency, relevance ,  authority , accuracy , and purpose of any evidence they introduce
  • Academic writers are careful to support their claims with evidence from credible sources, especially peer-reviewed , academic literature.
  • Academics are sensitive to the ideologies and epistemologies that inform research methods.
  • For example, when a psychology student studies the effects of mindfulness on anxiety disorders, they would need to understand that their research is based on the assumption that anxiety can be measured and quantified, and that it can be influenced by interventions like mindfulness training. They would also need to understand that their research is situated within a particular theoretical framework (e.g., cognitive-behavioral theory), which shapes how they conceptualize anxiety, mindfulness, and the relationship between them.
  • Academic writing is expected to be objective and fair–and free of bias . This means presenting evidence in a balanced way, considering different perspectives , and not letting personal biases distort the analysis.
  • It also involves recognizing the limitations of the research and being open to criticism and alternative interpretations .
  • Academic writers are very careful to attribute the works of authors whom they’re quoting , paraphrasing , or summarizing . They understand information has value , and they’re careful to discern who the major thought leaders are on a particular topic . They understand they cannot simply copy and paste large sections of copyrighted material into their own work, even if they provide an attribution .
  • Academic writers must also abide copyright laws , which protect the rights of authors and creators. Organization

Academic writing is typically organized in a deductive way (as opposed to inductively ). Many genresof academic writing have a research abstract, a clear introduction , body, conclusions and recommendations.

Typically, the design of academic documents is plain vanilla, despite the visual turn in communication made possible by the ubiquity of design tools. Unlike professional writing, which tends to be incredibly visual, academic writing tends to be fairly traditional with its focus on alphabetical text as opposed to visual elements.

  • Plain Design: Academic documents, such as research papers, theses, or scholarly articles, typically follow a minimalist design approach. They primarily consist of black text on a white background, with a standard, easy-to-read font. This “plain vanilla” design reflects the focus of academic writing on the content rather than the presentation. The aim is to communicate complex ideas clearly and without distraction.
  • Limited Use of Visuals: Unlike in professional writing or journalism, visuals such as images, infographics, or videos are not commonly used in academic writing. When they are used, it’s usually to present data (in the form of graphs, charts, or tables) or to illustrate a point (with diagrams or figures). The visuals are typically grayscale and are intended to supplement the text rather than replace it.
  • Structured Layout: Academic writing tends to follow a structured layout, with clearly marked sections and subsections. This helps to organize the content and guide the reader through the argument. However, aside from headings, there is usually little use of design elements such as color, bolding, or varied fonts to highlight different parts of the text.
  • Lack of Interactive Features: With the transition to digital media, many types of writing have become more interactive, incorporating hyperlinks, multimedia, or interactive data visualizations. However, academic writing has been slower to adopt these features. While academic articles often include hyperlinks to references, they rarely include other interactive elements.

However, as digital media and visual communication become increasingly prevalent, we may see changes in the conventions of academic design.

  • Academic writing tends to be formal in persona , tone , diction . Academic writers avoid contractions , slang, colloquial expressions, sexist use of pronouns . Because it is written for specialists, jargon is used, but not unnecessarily. However, the level of formality can vary depending on the discipline, the genre (e.g., a research paper vs. a blog post), and the intended audience . For instance, in sociology and communication, autoethnography is a common genre , which is a composite of autobiography , memoir, creative nonfiction, and ethnographic methods .
  • In the last 20 years, there has been a significant move toward including the first person in academic writing. However, in general, the focus of discourse isn’t the writer. Thus, most academic writers use the first person sparingly–if at all.
  • Academic writers use the citation styles required by their audiences .
  • Specialized Vocabulary: Academics often use specialized vocabulary or jargon that is specific to their field. These terms can convey complex ideas in a compact form, contributing to the compressed nature of academic prose. However, they can also make the writing less accessible to non-specialists.
  • Complex Sentence Structures: Academic writing often uses complex sentence structures, such as long sentences with multiple clauses, or sentences that incorporate lists or parenthetical information. These structures allow academic writers to express complex relationships and nuances of meaning, but they can also make the writing more challenging to read.
  • Referential Density: Academic writing often refers to other works, theories, or arguments, either explicitly (through citations) or implicitly. This referential density allows academic writers to build on existing knowledge and engage in scholarly conversation, but it also assumes that readers are familiar with the referenced works or ideas.

It is important to have a rough hypothesis or thesis in mind at the beginning of the research process. People who have a sense of what they want to say will have an easier time sorting through scholarly sources and other information. The key, of course, is not to become too wedded to the draft hypothesis or thesis. Just about every working thesis gets changed during the research process.

CrashCourse Video: "Sociology Research Methods" (YouTube)

Although this video is tailored to sociology students, it is applicable to students in a variety of social science disciplines. This video does a good job demonstrating the connection between the brainstorming that goes into selecting a research question and the formulation of a working hypothesis.

"How to Write a Thesis Statement for an Analytical Essay" (YouTube)

Students writing analytical essays will not develop the same type of working hypothesis as students who are writing research papers in other disciplines. For these students, developing the working thesis may happen as a part of the rough draft (see the relevant section below). 

"Research Hypothesis" (Oakland Univ.)

This resource provides some examples of hypotheses in social science disciplines like Political Science and Criminal Justice. These sample hypotheses may also be useful for students in other soft social sciences and humanities disciplines like History.

"Selected Major Social Science Research Methods: Overview" (National Academies Press)

"An Overview of Quantitative and Qualitative Data Collection Methods" (NSF)

This PDF from the National Science Foundation goes into detail about best practices and pitfalls in data collection across multiple types of methodologies.

"Social Science Methods for Data Collection and Analysis" (Swiss FIT)

This resource is appropriate for advanced undergraduates or teachers looking to create lessons on research design and data collection. It covers techniques for gathering data via interviews, observations, and other methods.

"Collecting Data by In-depth Interviewing" (Leeds Univ.)

There is no "one size fits all" outlining technique. Some students might devote all their energy and attention to the outline in order to avoid the paper. Other students may benefit from being made to sit down and organize their thoughts into a lengthy sentence outline. As with outlines, rough drafts can take on many different forms. These resources introduce teachers and students to the various approaches to writing a rough draft. Chicago Manual of Style Citation Guide

Some call  The Chicago Manual of Style , which was first published in 1906, "the editors' Bible." The manual is now in its 17th edition, and is popular in the social sciences, historical journals, and some other fields in the humanities.

APA Citation Guide

According to the American Psychological Association, this guide was developed to aid reading comprehension, clarity of communication, and to reduce bias in language in the social and behavioral sciences. Its first full edition was published in 1952, and it is now in its sixth edition.

MLA Citation Guide

The Modern Language Association style is used most commonly within the liberal arts and humanities. The  MLA Style Manual and Guide to Scholarly Publishing  was first published in 1985 and (as of 2008) is in its third edition.

Any professional scholar will tell you that the best research papers are made in the revision stage. No matter how strong your research question or working thesis, it is not possible to write a truly outstanding paper without devoting energy to revision. These resources provide examples of revision exercises for the classroom, as well as tips for students working independently.

There are multiple different types of research papers. It is important to know which type of research paper is required for your assignment, as each type of research paper requires different preparation. Below is a list of the most common types of research papers.

In an analytical research paper you:

  • pose a question
  • collect relevant data from other researchers
  • analyze their different viewpoints

You focus on the findings and conclusions of other researchers and then make a personal conclusion about the topic. It is important to stay neutral and not show your own negative or positive position on the matter.

The argumentative paper presents two sides of a controversial issue in one paper. It is aimed at getting the reader on the side of your point of view.

You should include and cite findings and arguments of different researchers on both sides of the issue, but then favor one side over the other and try to persuade the reader of your side. Your arguments should not be too emotional though, they still need to be supported with logical facts and statistical data.

Tip: Avoid expressing too much emotion in a persuasive paper.

The definition paper solely describes facts or objective arguments without using any personal emotion or opinion of the author. Its only purpose is to provide information. You should include facts from a variety of sources, but leave those facts unanalyzed.

Compare and contrast papers are used to analyze the difference between two:

Make sure to sufficiently describe both sides in the paper, and then move on to comparing and contrasting both thesis and supporting one.

Cause and effect papers are usually the first types of research papers that high school and college students write. They trace probable or expected results from a specific action and answer the main questions "Why?" and "What?", which reflect effects and causes.

In business and education fields, cause and effect papers will help trace a range of results that could arise from a particular action or situation.

An interpretative paper requires you to use knowledge that you have gained from a particular case study, for example a legal situation in law studies. You need to write the paper based on an established theoretical framework and use valid supporting data to back up your statement and conclusion.

This type of research paper basically describes a particular experiment in detail. It is common in fields like:

What is a citation and citation style?

A citation is a way of giving credit to individuals for their creative and intellectual works that you utilized to support your research. It can also be used to locate particular sources and combat plagiarism. Typically, a citation can include the author's name, date, location of the publishing company, journal title, or DOI (Digital Object Identifier).

A citation style dictates the information necessary for a citation and how the information is ordered, as well as punctuation and other formatting.

How to do I choose a citation style?

There are many different ways of citing resources from your research. The citation style sometimes depends on the academic discipline involved. For example:

  • APA (American Psychological Association) is used by Education, Psychology, and Sciences
  • MLA (Modern Language Association) style is used by the Humanities
  • Chicago/Turabian style is generally used by Business, History, and the Fine Arts

However, there are actually just four main types of writing styles, and together they cover practically all the writing you see, from textbooks to novels, to billboards and more.  Whether you’re studying writing styles for class or trying to develop your own writing style and looking for information, we’ve got you covered.

In this guide, we explain the four styles of writing, provide examples for each one, go over the one thing you need to know to identify writing style, and give tips to help you develop your own unique style of writing.

The 4 Types of Writing

There are four main different styles of writing. We discuss each of them below, list where you’re likely to see them, and include an example so you can see for yourself what each of the writing styles looks like.

Writers who use the narrative style are telling a story with a plot and characters. It’s the most common writing style for fiction, although nonfiction can also be narrative writing as long as its focus is on characters, what they do, and what happens to them.

“We had luncheon in the dining-room, darkened too against the heat, and drank down nervous gayety with the cold ale. ‘What’ll we do with ourselves this afternoon?’ cried Daisy, ‘and the day after that, and the next thirty years?’    ‘Don’t be morbid,’ Jordan said. ‘Life starts all over again when it gets crisp in the fall.’ ‘But it’s so hot,’ insisted Daisy, on the verge of tears, ‘and everything’s so confused. You can quickly tell that this passage from the novel The Great Gatsby is an example of narrative writing because it has the two key traits: characters and a plot. The group is discussing eating and drinking while trying to decide what to do for the rest of the day.

As in this example, narrative writing often has extended dialogue scenes since the dialogue is used to move the plot along and give readers greater insight into the characters.

Writers use the expository style when they are trying to explain a concept. Expository writing is fact-based and doesn’t include the author’s opinions or background. It’s basically giving facts from the writer to the reader.

“The 1995/1996 reintroduction of gray wolves (Canis lupus) into Yellowstone National Park after a 70 year absence has allowed for studies of tri-trophic cascades involving wolves, elk (Cervus elaphus), and plant species such as aspen (Populus tremuloides), cottonwoods (Populus spp.), and willows (Salix spp.). To investigate the status of this cascade, in September of 2010 we repeated an earlier survey of aspen and measured browsing and heights of young aspen in 97 stands along four streams in the Lamar River catchment of the park’s northern winter range. We found that browsing on the five tallest young aspen in each stand decreased from 100% of all measured leaders in 1998 to means of <25% in the uplands and <20% in riparian areas by 2010. This abstract from an academic journal article is clearly expository because it only focuses on facts. The authors aren’t giving their opinion of wolves of Yellowstone, they’re not telling a story about the wolves, and the only descriptions are number of trees, streams, etc. so readers can understand the study better.

Because expository writing is focused on facts, without any unnecessary details or stories, the writing can sometimes feel dense and dry to read.

Descriptive

Descriptive writing is, as you may guess, when the author describes something. The writer could be describing a place, person, or an object, but descriptive writing will always include lots of details so the reader can get a clear and complete idea of what is being written about.

Common Places You’d See Descriptive Writing

  • Fiction passages that describe something

“In a hole in the ground there lived a hobbit. Not a nasty, dirty, wet hole, filled with the ends of worms and an oozy smell, nor yet a dry, bare sandy hole with nothing in it to sit down on or eat: it was a hobbit hole and that means comfort. It had a perfectly round door like a porthole, painted green, with a shiny yellow brass knob in the exact middle. The door opened on to a tube-shaped hall like a tunnel: a very comfortable tunnel without smoke, with panelled walls, and floors tiled and carpeted...” - The Hobbit by J.R.R. Tolkien

This is the opening passage of the novel The Hobbit . While The Hobbit is primarily an example of narrative writing, since it explores the adventures of the hobbit and his companions, this scene is definitely descriptive. There is no plot or action going on in this passage; the point is to explain to readers exactly what the hobbit’s home looks like so they can get a clear picture of it while they read. There are lots of details, including the color of the door and exactly where the doorknob is placed.

You won’t often find long pieces of writing that are purely descriptive writing, since they’d be pretty boring to read (nothing would happen in them), instead many pieces of writing, including The Hobbit , will primarily be one of the other writing styles with some descriptive writing passages scattered throughout.

When you’re trying to persuade the reader to think a certain way or do a certain thing, you’ll use persuasive writing to try to convince them.  Your end goal could be to get the reader to purchase something you’re selling, give you a job, give an acquaintance of yours a job, or simply agree with your opinion on a topic.

  • Opinion articles/letters to the editor
  • Letters of recommendation
  • Reviews of books/movies/restaurants etc.
  • Letter to a politician

“What General Weygand called the Battle of France is over. I expect that the battle of Britain is about to begin. Upon this battle depends the survival of Christian civilization. Upon it depends our own British life, and the long continuity of our institutions and our Empire. The whole fury and might of the enemy must very soon be turned on us. Hitler knows that he will have to break us in this island or lose the war. If we can stand up to him, all Europe may be free and the life of the world may move forward into broad, sunlit uplands. But if we fail, then the whole world, including the United States, including all that we have known and cared for, will sink by the lights of perverted science. Let us therefore brace ourselves to our duties, and so bear ourselves, that if the British Empire and its Commonwealth last for a thousand years, men will still say, ‘This was their finest hour.’ - “This was their finest hour” by Winston Churchill

In this excerpt from his famous “Their finest hour” speech, Prime Minister Winston Churchill is clearing trying to convince his audience to see his viewpoint, and he lays out the actions he thinks they should take. In this case, Churchill is speaking to the House of Commons (knowing many other British people would also hear the speech), and he’s trying to prepare the British for the coming war and convince them how important it is to fight.

He emphasizes how important the fight will be (“Upon this battle depends the survival of the Christian civilization.” and clearly spells out what he thinks his audience should do (“Let us therefore brace ourselves to our duties…”).

Common Writing Styles to Know

Each of the four main types of writing styles has multiple subsets of styles within it. Here are nine of the most common and important types of writing you’ll see.

Narrative Writing

Character voice.

Character voice is a common writing style in novels. Instead of having an unknown narrator, the audience knows who is telling the story. This first-person narrator can help the reader relate more both to the narrator and the storyline since knowing who is telling a story can help the reader feel more connected to it. Sometimes the narrator is completely truthful in telling what happens, while other times they are an unreliable narrator and will mislead or outright lie to readers to make themselves look better. 

To Kill a Mockingbird (Scout is the narrator) and The Hunger Games (Katniss is the narrator) are two examples of this writing style.

Stream-of-Consciousness

This writing style attempts to emulate the thought process of the character. Instead of only writing about what the character says or does, stream-of-consciousness will include all or most of the characters thoughts, even if they jump from one topic to another randomly or include incomplete thoughts.

For example, rather than writing “I decided to take a walk to the ice cream shop,” an author using the stream-of-consciousness writing style could write, “It’s pretty hot out, and I feel like I should eat something, but I’m not really that hungry. I wonder if we have leftovers of the burgers Mom made last night? Is Mom staying late at work tonight? I can’t remember if she said. Ice cream would be a good choice, and not too filling. I can’t drive there though because my car is still in for repairs. Why is the repair shop taking so long? I should have listened when David said to check for reviews online before choosing a place. I should text David later to see how he is. He’ll think I’m mad at him if I don’t. I guess I’ll just have to walk to the shop.”

James Joyce and William Faulkner are two of the most well-known writers to have regularly used the  stream-of-consciousness writing style.

Epistolary writing uses a series of documents, such as letters, diary entries, newspaper articles, or even text messages to tell a story. They don’t have a narrator, there’s just whoever purportedly gathered the documents together. This writing style can provide different points of view because a different person can be the author of each document.

Well-known examples of epistolary writing include the novels Dracula  (written as a series of letters, newspaper articles, and diary entries) and Frankenstein (written as a series of letters).

Expository Writing

You’ll find this style in textbooks or academic journal articles. It’ll focus on teaching a topic or discussing an experiment,  be heavy on facts, and include any sources it cited to get the information. Academic writing often assumes some previous knowledge of the topic and is more focused on providing information than being entertaining, which can make it difficult to read and understand at times.

Business writing refers to the writing done in a workplace. It can include reports, memos, and press releases. Business writing typically has a formal tone and standard formatting rules. Because employees are presumably very busy at work, business writing is very concise and to the point, without any additional flourishes intended to make the writing more interesting.

You’ll see this writing style most commonly in newspaper articles. It focuses on giving the facts in a concise, clear, and easy-to-understand way. Journalists often try to balance covering all the key facts, keeping their articles brief, and making the audience interested in the story.

This writing style is used to give information to people in a specific field, such as an explanation of a new computer programming system to people who work in software, a description of how to install pipes within a house for plumbers, or a guide to new gene modifications for microbiologists.

Technical writing is highly specialized for a certain occupational field. It assumes a high level of knowledge on the topic, and it focuses on sharing large amounts of information with the reader. If you’re not in that field, technical writing can be nearly impossible to understand because of the jargon and references to topics and facts you likely don’t know.

Descriptive Writing

Poetry is one of the most challenging styles of writing to define since it can come in many forms. In general, poems use rhythmic language and careful word choice to express an idea. A poem can be an example of descriptive writing or narrative writing, depending on whether it’s describing something or telling a story. Poetry doesn’t need to rhyme, and it often won’t follow standard grammatical or structural rules. Line breaks can, and often do, occur in the middle of sentences.

Persuasive Writing

Copywriting.

Copywriting is writing that is done for advertising or marketing purposes. It’s attempting to get the reader to buy whatever the writer is trying to sell. Examples of copywriting include catalogs, billboards, ads in newspapers or magazines, and social media ads.

In an attempt to get the reader to spend their money, copywriters may use techniques such as descriptive language (“This vanilla was harvested from the lush and exotic island of Madagascar"), exciting language (Stop what you’re doing and learn about this new product that will transform your life!”) and exaggeration (“This is the best cup of coffee you will ever taste!”).

Opinion 

People write opinion pieces for the purpose of stating their beliefs on a certain topic and to try to get readers to agree with them. You can see opinion pieces in newspaper opinion sections, certain blog posts, and some social media posts. The quality of opinion writing can vary widely. Some papers or sites will only publish opinion pieces if all the facts in them can be backed up by evidence, but other opinion pieces, especially those that are self-published online, don't go through any fact-checking process and can include inaccuracies and misinformation.

What If You’re Unsure of a Work’s Writing Style?

If you’re reading a piece of writing and are unsure of its main writing style, how can you figure which style it is? The best method is to think about what the purpose or main idea of the writing is. Each of the four main writing styles has a specific purpose:

  • Descriptive: to describe things
  • Expository: to give facts
  • Narrative: to tell a story
  • Persuasive: to convince the reader of something

Here’s an example of a passage with a somewhat ambiguous writing style:

It can be tricky to determine the writing style of many poems since poetry is so varied and can fit many styles. For this poem, you might at first think it has a narrative writing style, since it begins with a narrator mentioning a walk he took after church. Character + plot = narrative writing style, right?

Before you decide, you need to read the entire passage. Once you do, it’ll become clear that there really isn’t much narrative. There’s a narrator, and he’s taking a walk to get a birch from another man, but that’s about all we have for character development and plot. We don’t know anything about the narrator or his friend’s personality, what’s going to happen next, what his motivations are, etc.

The poem doesn’t devote any space to that, instead, the majority of the lines are spent describing the scene. The narrator mentions the heat, scent of sap, the sound of frogs, what the ground is like, etc. It’s clear that, since the majority of the piece is dedicated to describing the scene, this is an example of descriptive writing.

How Can You Develop Your Own Writing Style?

A distinctive writing style is one of the hallmarks of a good writer, but how can you develop your own? Below are four tips to follow.

Read Many Different Styles of Writing

If you don’t read lots of different kinds of writing, you won’t be able to write in those styles, so before you try to get your own writing style, read different writing styles than what you’re used to.  This doesn’t mean that, if you mostly read novels, you suddenly need to shift to reading computer manuals. Instead, you can try to read novels that use unreliable narrators, stream-of-consciousness writing, etc.

The more you read, the more writing styles you’ll be exposed to, and the easier it’ll be able to combine some of those into your own writing style.

Consider Combining Multiple Types of Writing Styles

There’s no rule that you can only use one style for a piece of writing. In fact, many longer works will include multiple styles. A novel may be primarily narrative, but it can also contain highly descriptive passages as well as expository parts when the author wants the readers to understand a new concept.

However, make sure you don’t jump around too much. A paper or book that goes from dense academic text to impassioned plea for a cause to a story about your childhood and back again will confuse readers and make it difficult for them to understand the point you’re trying to make.

Find a Balance Between Comfort and Boundary-Pushing

You should write in a style that feels natural to you, since that will be what comes most easily and what feels most authentic to the reader. An academic who never ventures outside the city trying to write a book from the perspective of a weathered, unschooled cowboy may end up with writing that seems fake and forced.

A great way to change up your writing and see where it can be improved is to rewrite certain parts in a new writing style.  If you’ve been writing a novel with narrative voice, change a few scenes to stream-of-consciousness, then think about how it felt to be using that style and if you think it improved your writing or gave you any new ideas. If you’re worried that some writing you did is dull and lacking depth, add in a few passages that are purely descriptive and see if they help bring the writing to life.

You don’t always need to do this, and you don’t need to keep the new additions in what you wrote, but trying new things will help you get a better idea of what you want your own style to be like.

The best way to develop your own writing style is to expose yourself to numerous types of writing, both through reading and writing. As you come into contact with more writing styles and try them out for yourself, you’ll naturally begin to develop a writing style that you feel comfortable with.

What is a Citation?

A citation is when you reference the source of the information used in your study. Anytime you quote someone else’s publication or paraphrase significant elements of another person’s research, what should follow is an in-text citation. 

Before we proceed, let us briefly discuss in-text citation, paraphrasing, and similar terms.

An in-text citation is a short notation that is input within your paper’s text or your presentation. The notation refers your readers to the citation at the end of the paper, or to the fuller notation which details all information about the researcher’s source of information.

Now, when placing direct quotations in a paper or publication, it should be done with quotation marks at the sides. Also, direct quotations are used when the best way to convey the idea you want to input in your work is best expressed in the exact way the source conjoined it. 

Summarizing and paraphrasing entails using your own words to express the significant idea behind the work of someone else. This is often done by either condensing the words or wording them to fit into the researcher’s writing style.

Note that there is no need for you to cite your own ideas except they have been previously published. Also, you don’t have to cite things considered as common knowledge or general information already known by your readers without looking it up on the internet.

One hallmark of excellent research is how it pays attention to details and how it makes connections to the information and discerns patterns. This is where excellent citation practices come in because they can help with both attention to detail and pattern discernment. Proper assertion of the sources used in research requires many details. 

Some of the details are the facts being presented in your paper, the correct spelling of the author’s name, and the correct page number. A researcher can improve their reputation in the research community and within their colleagues and readers by referencing the sources of information used in their research.

3. Citation makes you a better writer

We all aspire to be elegant writer who creates interesting papers. Excellent citation habits help in building the required firm foundation that leads to achieving that goal. When you accurately cite your sources, it shows you’re not slothful, shallow in thought, and sloppy.

It also shows that you do not rely on the “everyone knows this sentence” or “somebody said” phrases. You are willing to include accurate sources of the ideas in your paper.

Proper citing of sources erases any doubt in the mind of your readers as regards your key points in the paper. Another way citing makes you a better writer is by helping you avoid passive language in your writing. The more you properly cite your sources, the more your paper is free from phrases such as “it is said that” in your research paper.

5. Citation makes your work more verifiable

All academic writings are vetted over and over again before they are finally approved for printing or publication to a website. You also make the works of the reviewers, editors, or editorial assistants who should track the sources in the bibliography easier when you properly cite your sources.

Therefore, less criticism is given to your work even when it passes through all these verification stages, and editing. You get more positive feedback when you properly and accurately cite all your sources in your paper.

What is a Citation Style?

A citation style means a set of rules on how a researcher should cite the sources sampled in a paper. Whenever you make a reference to an idea from another person’s work, you should use a citation. This will also help you to avoid plagiarism.

The guidelines of different citation styles are usually published in an official handbook detailing the explanations of the citation styles, the examples, and the instructions.

All necessary information about citation is included, and the citation styles are orderly placed with punctuation and other formatting.

After you have concluded on what you will cite in your paper, and whether to use paraphrase or direct quotation, then select a citation style. Citation styles will give you the specific format of bibliographies and in-text citations that are in your study paper. Basically, the field you’re writing on will dictate your choice of citation style and it could also be decided by your professor.

1. MLA system and examples: This is mostly used in Humanities to write language and literature.

2. APA system and examples: This style came about by the American Psychological Association. It was first used in psychology and the social sciences. APA’s citation style makes use of an author-date system of the parenthetical citation.

3. Chicago/Turabian Citation Style and examples: This citation style can have both a Notes page and a Bibliography page. Also, there are two types of Chicago style. There is Chicago A and Chicago B style.

4. IEEE Style and examples: Institute of Electrical and Electronics Engineers is a citation style that is used in technical studies. IEEE has specifications on the types of sources. If the source style you’re using is not covered in IEEE, then use Chicago style because IEEE makes use of a numeric system.

5. Harvard system and examples: it is mostly used in the economics field. It has no official style guide, but just a few variations.

How to Choose a Citation Style

To pick a reference style in your research, you have to be guided by your citation style. The citation style you use will determine how you gather information and the manner in which the information is ordered. The citation style will also determine the format and the punctuation you will adopt for the footnotes and endnotes, the in-text citations, and the bibliography or list to be cited.

It is, however, easier to get the citation done when you select the citation style you want to apply in your paper before starting your research. This provides insight on the information you need to collect about the sources whose work you will adapt in your paper.

1. The first thing you can do to save time is to ask your professor what the preferred style is or what the required style for your course is. That way, you are sure that the style you want to use is not out of line.

  • Use the APA format if your study is under Social Sciences.
  • Use the MLA if your study is under Rhetorics, Humanities, Foreign Language, and English.
  • You can use Turabian in almost all academic research. It supports these two styles.

Case report

A medical case report – also sometimes called a clinical case study – is an original short report that provides details of a single patient case.

Case reports include detailed information on the symptoms, signs, diagnosis, treatment, and follow-up of an individual patient. They remain one of the cornerstones of medical progress and provide many new ideas in medicine.

Depending on the journal, a case report doesn’t necessarily need to describe an especially novel or unusual case as there is benefit from collecting details of many standard cases.

Clinical study

In medicine, a clinical study report is a type of article that provides in-depth detail on the methods and results of a clinical trial. They’re typically similar in length and format to original research articles.

Most journals now require that you register protocols for clinical trials you’re involved with in a publicly accessible registry. A list of eligible registries can be found on the  WHO International Clinical Trials Registry Platform (ICTRP) . Trials can also be registered at  clinicaltrials.gov  or the  EU Clinical Trials Register . Once registered, your trial will be assigned a clinical trial number (CTN).

Before you submit a clinical study, you’ll need to include clinical trial numbers and registration dates in the manuscript, usually in the abstract and methods sections.

Commentaries and letters to editors

Letters to editors, as well as ‘replies’ and ‘discussions’, are usually brief comments on topical issues of public and political interest (related to the research field of the journal), anecdotal material, or readers’ reactions to material published in the journal.

Commentaries are similar, though they may be slightly more in-depth, responding to articles recently published in the journal. There may be a ‘target article’ which various commentators are invited to respond to.

You’ll need to look through previous issues of any journal you’re interested in writing for and review the instructions for authors to see which types of these articles (if any) they accept.

Many of our medical journals  accept conference material supplements. These are open access peer-reviewed, permanent, and citable publications within the journal. Conference material supplements record research around a common thread, as presented at a workshop, congress, or conference, for the scientific record. Data notes  are a short peer-reviewed article type that concisely describe research data stored in a repository. Publishing a data note can help you to maximize the impact of your data and gain appropriate credit for your research.

Data notes promote the potential reuse of research data and include details of why and how the data were created. They do not include any analysis but they can be linked to a research article incorporating analysis of the published dataset, as well as the results and conclusions.

Letters or short reports

Letters or short reports (sometimes known as brief communications or rapid communications) are brief reports of data from original research.

Editors publish these reports where they believe the data will be interesting to many researchers and could stimulate further research in the field. There are even entire journals dedicated to publishing letters.

As they’re relatively short, the format is useful for researchers with results that are time sensitive (for example, those in highly competitive or quickly-changing disciplines). This format often has strict length limits, so some experimental details may not be published until the authors write a full original research article.

Method article

A method article is a medium length peer-reviewed, research-focused article type that aims to answer a specific question. It also describes an advancement or development of current methodological approaches and research procedures (akin to a research article), following the standard layout for research articles. This includes new study methods, substantive modifications to existing methods, or innovative applications of existing methods to new models or scientific questions. These should include adequate and appropriate validation to be considered, and any datasets associated with the paper must publish all experimental controls and make full datasets available.  

Posters and slides

Registered report

A  Registered Report  consists of two different kinds of articles: a study protocol and an original research article.

This is because the review process for Registered Reports is divided into two stages. In Stage 1, reviewers assess study protocols before data is collected. In Stage 2, reviewers consider the full published study as an original research article, including results and interpretation.

Research article

Original research articles are the most common type of journal article. They’re detailed studies reporting new work and are classified as primary literature.

You may find them referred to as original articles, research articles, research, or even just articles, depending on the journal.

Typically, especially in STEM subjects, these articles will include Abstract, Introduction, Methods, Results, Discussion, and Conclusion sections. However, you should always check the instructions for authors of your chosen journal to see whether it specifies how your article should be structured. Review article

Review articles provide critical and constructive analysis of existing published literature in a field. They’re usually structured to provide a summary of existing literature, analysis, and comparison. Often, they identify specific gaps or problems and provide recommendations for future research.

Unlike original research articles, review articles are considered as secondary literature. This means that they generally don’t present new data from the author’s experimental work, but instead provide analysis or interpretation of a body of primary research on a specific topic. Secondary literature is an important part of the academic ecosystem because it can help explain new or different positions and ideas about primary research, identify gaps in research around a topic, or spot important trends that one individual research article may not.

There are 3 main types of review article

Literature review

Presents the current knowledge including substantive findings as well as theoretical and methodological contributions to a particular topic.

Systematic review

Identifies, appraises and synthesizes all the empirical evidence that meets pre-specified eligibility criteria to answer a specific research question. Researchers conducting systematic reviews use explicit, systematic methods that are selected with a view aimed at minimizing bias, to produce more reliable findings to inform decision making.

Meta-analysis

A quantitative, formal, epidemiological study design used to systematically assess the results of previous research to derive conclusions about that body of research. Typically, but not necessarily, a meta-analysis study is based on randomized, controlled clinical trials.

Software tool articles

A  software tool article  – published by  F1000Research  – describes the rationale for the development of a new software tool and details of the code used for its construction.

The article should provide examples of suitable input data sets and include an example of the output that can be expected from the tool and how this output should be interpreted. Software tool articles submitted to F1000Research should be written in open access programming languages. In this post we’ll cover the 4 main types of writing styles and how to use them as a writer to create compelling books, stories, essays, poetry, articles and more.

What are Writing Styles?

Writing styles are basically another way of saying the form or type of written work you are creating. Think of it as a classification for being able to identify what kind of writing you are creating.

For example, if you are writing a cookbook, that is a completely different style of writing than if you were writing a steamy romance novel!

Each writing style has a different purpose – and therefore, different characteristics are present when you are writing each type of different work.

Now that we understand what a writing style is – let’s talk about the 4 main writing styles which are commonly talked about amongst writers and literary educators.

The 4 Main Writing Styles & What They Mean

The four main writing styles which are commonly recognized are expository , descriptive , narrative , and persuasive .

Style #1: Expository

The definition of expository is this: “intended to explain or describe something.”

Most types of written work that fall into this category explain something in more detail, or provide insight and instruction in regards to a particular topic.

While there are many different types of written work which can be categorized as expository style of writing, you can often identify this type of writing by noticing the purpose of the work.

  • Does the work intend to explain something in more detail?
  • Does the written piece inform?
  • Does the written piece answer questions such as “what, how and why?”

When you write expository style pieces, your main goal as a writer is to inform your readers with insight and facts that pertain to the subject of your piece.

For example, if you are writing about the history of ice cream, you would be including a lot of research and fun facts into your piece.

Note that this type of writing style is not intended to persuade or influence your audience. In writing your piece on the history of ice cream, you would NOT be trying to persuade your readers.

You would not want to say things like “Everybody should eat ice cream!” and “These 5 reasons will convince you forever to choose strawberry swirl flavored ice cream as your favorite flavor.”

Sometimes it can be confusing on whether an article is expository or persuasive. For example, an article called “The 5 Unexpected Health Benefits of Ice Cream” – would not fall into expository writing, even though it is providing information.

The word “benefits” has a positive connotation to the title. If you were to be writing an article on possible health benefits on ice cream, it would be very important that you as the writer keep your opinion separated from the facts and information if you plan for it to be an expository style piece. To be expository in nature, you would want to use a title such as “Scientists Research The Health Effects of Ice Cream.”

Books and articles that explain how to do something are also very popular examples of expository writing. Cookbooks are very popular, as they explain to others the tips, techniques, and recipes on how to cook something. How-to books for hobbies and crafts are also a good example of this type of writing.

Style #2: Descriptive Writing

Descriptive writing goes deeper than expository writing. While expository writing might have some descriptive details and factual information, descriptive writing will make use of many writing elements and literary devices such as metaphors and similes.

The purpose and goal of descriptive writing is to bring your reader into the written work as if the reader were to be experiencing it first hand.

Most fictional pieces fall under the category of descriptive writing, and even some non-fiction pieces such as memoirs and creative non-fiction can fall under the category of a descriptive writing style.

If you are writing fiction, the more descriptive you can be with your words, the more relatable your story will be to the reader.

For example, we recommend that writers ask their characters questions as one way to really intimately understand the details about a character. Details about the setting, events, and people present in a story will help your readers be able to imagine and understand the piece.

This style also includes poetry. If you browse through some of our poetry writing prompts , you will see there is a lot of attention put on using details to create a scene or feeling in writing a poem!

Most pieces using only a descriptive writing style are not very long. It is uncommon for a fictional novel to be 100% fully descriptive without getting into our next writing style, which is narrative writing.

Style #3: Narrative Writing

Narrative writing is far more complex that simple descriptive writing.

While a poem for example may describe a scene or even events or people – generally you do not get into the deep inner thoughts of the characters or even get a full story with a clear middle, beginning, and end complete with conflict and dialogue.

Nearly all fiction novels fall into the case of narrative writing, as well as longer epic poems and sagas.

In narrative writing, there is a story to be told – a clear plot complete with setting, characters, dialogue, conflict and resolution. A narrative piece often has a timeline or sequence of events which further build to the point of conflict and resolution.

Here are some examples of the works which would be considered to have a narrative writing style:

  • Fiction Novels
  • Memoirs & Biographies
  • Screenplays
  • Myths, Legends, and Fables
  • Historical accounts
  • Essays which talk about a lesson learned or valuable insight from an experience

Narrative writing pieces are generally easy to identify, although sometimes it can be confused with descriptive writing styles. The key difference in determining which one a written work might be is whether or not there is a developed storyline or plot.

If there is a well developed plot and storyline, you are most likely reading narrative writing.

Style #4: Persuasive Writing

A speech to convince others to vote for you is an example of persuasive writing.

Persuasive writing is a type of writing style where the purpose is to influence someone into believing or doing something. As the word “persuasive” suggests – your goal is to persuade someone’s actions or thoughts to align with your own goals as the writer.

The persuasive writing essay is a popular homework assignment for many kids. For example, a student might be assigned to write an essay to convince their parents of something. “Why We Should Get a Pet Rabbit” and “5 Reasons You Should Not Make Me Clean My Room”.

Persuasive writing is intended to convince someone of something, and so it usually needs to have a good bit of research and logical analysis – but also should attempt to make an emotional connection to the desired audience as well.

A classic piece of writing which serves as an example of persuasive writing is Thomas Paine’s book Common Sense , which was written in the Colonial times of the American Revolutionary War, urging citizens that separating from England was of utmost importance.

Here are some examples of types of writing which are persuasive writing:

  • Editorial & Opinion pieces in Newspapers and Magazines
  • Essays on a specific belief or “hot button” topic
  • Letters written to request an action or file a complaint
  • Advertisements {Convincing you to buy something}
  • Copywriting {Note, copywriting is different from copyright!}
  • Company Brochures
  • Business Proposals
  • Political speeches

When the intention of the work is to convince the audience of something – this falls into persuasive writing.

How to Use the 4 Main Different Writing Styles as a Writer

Now that we know the different types of writing styles, you may be wondering how do you use each style?

The first thing to do is think about what you are planning to write and what the intention is. What is your goal and what type of message are you trying to communicate to your readers?

Expository Style Writing:

In this type of writing your goal is to inform your readers about research or data.

When writing expository style pieces, follow these guidelines:

  • Avoid using words which have a positive or negative connotation
  • Do not insert your opinion or attempt to persuade your audience into thinking, feeling, or doing something based on your beliefs
  • Use research and cite your sources
  • When writing online, link to additional resources or websites
  • Use quotes, illustrations or informative graphics to highlight the information
  • Give concise and clear directions

Descriptive Writing Style:

This type of writing has the goal to describe something and bring into your reader’s imaginations

Here are some tips for writing with descriptive writing styles:

  • Use literary devices such as metaphors and similes.
  • Use well thought out adjectives and adverbs to describe nouns and verbs.
  • Bring attention to small details
  • Use the 6 senses: sight, touch, taste, smell, sound, and feeling

Narrative Writing Style:

In narrative writing style, your goal is to convey a storyline to your readers.

Here is how to achieve this type of writing style:

  • Outline a storyline, plot or timeline sequence of events
  • Include detailed descriptions of your characters and scenes
  • Give your readers insight into the inner thoughts or behind-the-scenes information to elements of your story
  • Answer the 6 W questions in your writing: Who, What, When, Where, How, and Why?
  • Make it so your piece of work conveys an important lesson or insight – what is the moral of the story? What was the outcome of this experience?
  • Use concrete language which gives readers a specific image to visualize and relate to

Persuasive Writing Style:

When you are writing to persuade, your intention is to convince your readers to side with you. This can be as simple as convincing them to buy your latest new product, or even writing about important social and humanitarian issues.

Here are some tips for writing persuasively:

  • Include information, data, and facts to back up your argument
  • Cite your sources and give readers access to additional information
  • Appeal to your readers on an emotional level – how will siding with your opinion connect with them and make them feel?
  • Take into consideration your reader’s needs, wants, and desires and how your message will help your reader achieve these.

Understanding Writing Styles Can Help You Be a Better Writer

No matter what type of writing you enjoy creating – understanding the basic main 4 types of writing styles can help you become a better writer.

If you are writing a how-to article for example, you will be able to understand what types of elements to ensure your piece of work includes. If you’re writing a descriptive poem, knowing what type of language to use can help convey your message for abstract concepts.

When you start planning a research project, developing research questions and creating a  research design , you will have to make various decisions about the type of research you want to do.

There are many ways to categorize different types of research. The words you use to describe your research depend on your discipline and field. In general, though, the form your research design takes will be shaped by:

  • The type of knowledge you aim to produce
  • The type of data you will collect and analyze
  • The sampling methods , timescale and location of the research

This article takes a look at some common distinctions made between different types of research and outlines the key differences between them.

The first thing to consider is what kind of knowledge your research aims to contribute.

Type of research What’s the difference? What to consider

The next thing to consider is what type of data you will collect. Each kind of data is associated with a range of specific research methods and procedures.

Primary research vs secondary research Primary data is (e.g., through or ), while secondary data (e.g., in government or scientific publications). How much data is already available on your topic? Do you want to collect original data or analyze existing data (e.g., through a )?

Finally, you have to consider three closely related questions: how will you select the subjects or participants of the research? When and how often will you collect data from your subjects? And where will the research take place?

Keep in mind that the methods that you choose bring with them different risk factors and types of research bias . Biases aren’t completely avoidable, but can heavily impact the validity and reliability of your findings if left unchecked.

But the type of research is only the first step: next, you have to make more concrete decisions about your research methods and the details of the study.

And, like so many nonrobot human beings this year, we’ve spent a fair amount of time reading, learning, and thinking about issues related to large language models, artificial intelligence (AI), AI-generated text, and specifically ChatGPT . We’ve also been gathering opinions and feedback about the use and citation of ChatGPT. Thank you to everyone who has contributed and shared ideas, opinions, research, and feedback.

In this post, I discuss situations where students and researchers use ChatGPT to create text and to facilitate their research, not to write the full text of their paper or manuscript. We know instructors have differing opinions about how or even whether students should use ChatGPT, and we’ll be continuing to collect feedback about instructor and student questions. As always, defer to instructor guidelines when writing student papers. For more about guidelines and policies about student and author use of ChatGPT, see the last section of this post.

Quoting or reproducing the text created by ChatGPT in your paper

If you’ve used ChatGPT or other AI tools in your research, describe how you used the tool in your Method section or in a comparable section of your paper. For literature reviews or other types of essays or response or reaction papers, you might describe how you used the tool in your introduction. In your text, provide the prompt you used and then any portion of the relevant text that was generated in response.

Unfortunately, the results of a ChatGPT “chat” are not retrievable by other readers, and although nonretrievable data or quotations in APA Style papers are usually cited as personal communications , with ChatGPT-generated text there is no person communicating. Quoting ChatGPT’s text from a chat session is therefore more like sharing an algorithm’s output; thus, credit the author of the algorithm with a reference list entry and the corresponding in-text citation.

When prompted with “Is the left brain right brain divide real or a metaphor?” the ChatGPT-generated text indicated that although the two brain hemispheres are somewhat specialized, “the notation that people can be characterized as ‘left-brained’ or ‘right-brained’ is considered to be an oversimplification and a popular myth” (OpenAI, 2023).

You may also put the full text of long responses from ChatGPT in an appendix of your paper or in online supplemental materials, so readers have access to the exact text that was generated. It is particularly important to document the exact text created because ChatGPT will generate a unique response in each chat session, even if given the same prompt. If you create appendices or supplemental materials, remember that each should be called out at least once in the body of your APA Style paper.

When given a follow-up prompt of “What is a more accurate representation?” the ChatGPT-generated text indicated that “different brain regions work together to support various cognitive processes” and “the functional specialization of different regions can change in response to experience and environmental factors” (OpenAI, 2023; see Appendix A for the full transcript).

Creating a reference to ChatGPT or other AI models and software

The in-text citations and references above are adapted from the reference template for software in Section 10.10 of the Publication Manual (American Psychological Association, 2020, Chapter 10). Although here we focus on ChatGPT, because these guidelines are based on the software template, they can be adapted to note the use of other large language models (e.g., Bard), algorithms, and similar software.

The reference and in-text citations for ChatGPT are formatted as follows:

  • Parenthetical citation: (OpenAI, 2023)
  • Narrative citation: OpenAI (2023)

Let’s break that reference down and look at the four elements (author, date, title, and source):

Author: The author of the model is OpenAI.

Date: The date is the year of the version you used. Following the template in Section 10.10, you need to include only the year, not the exact date. The version number provides the specific date information a reader might need.

Title: The name of the model is “ChatGPT,” so that serves as the title and is italicized in your reference, as shown in the template. Although OpenAI labels unique iterations (i.e., ChatGPT-3, ChatGPT-4), they are using “ChatGPT” as the general name of the model, with updates identified with version numbers.

The version number is included after the title in parentheses. The format for the version number in ChatGPT references includes the date because that is how OpenAI is labeling the versions. Different large language models or software might use different version numbering; use the version number in the format the author or publisher provides, which may be a numbering system (e.g., Version 2.0) or other methods.

Bracketed text is used in references for additional descriptions when they are needed to help a reader understand what’s being cited. References for a number of common sources, such as journal articles and books, do not include bracketed descriptions, but things outside of the typical peer-reviewed system often do. In the case of a reference for ChatGPT, provide the descriptor “Large language model” in square brackets. OpenAI describes ChatGPT-4 as a “large multimodal model,” so that description may be provided instead if you are using ChatGPT-4. Later versions and software or models from other companies may need different descriptions, based on how the publishers describe the model. The goal of the bracketed text is to briefly describe the kind of model to your reader.

Source: When the publisher name and the author name are the same, do not repeat the publisher name in the source element of the reference, and move directly to the URL. This is the case for ChatGPT. The URL for ChatGPT is https://chat.openai.com/chat . For other models or products for which you may create a reference, use the URL that links as directly as possible to the source (i.e., the page where you can access the model, not the publisher’s homepage).

Other questions about citing ChatGPT

You may have noticed the confidence with which ChatGPT described the ideas of brain lateralization and how the brain operates, without citing any sources. I asked for a list of sources to support those claims and ChatGPT provided five references—four of which I was able to find online. The fifth does not seem to be a real article; the digital object identifier given for that reference belongs to a different article, and I was not able to find any article with the authors, date, title, and source details that ChatGPT provided. Authors using ChatGPT or similar AI tools for research should consider making this scrutiny of the primary sources a standard process. If the sources are real, accurate, and relevant, it may be better to read those original sources to learn from that research and paraphrase or quote from those articles, as applicable, than to use the model’s interpretation of them.

We’ve also received a number of other questions about ChatGPT. Should students be allowed to use it? What guidelines should instructors create for students using AI? Does using AI-generated text constitute plagiarism? Should authors who use ChatGPT credit ChatGPT or OpenAI in their byline? What are the copyright implications ?

On these questions, researchers, editors, instructors, and others are actively debating and creating parameters and guidelines. Many of you have sent us feedback, and we encourage you to continue to do so in the comments below. We will also study the policies and procedures being established by instructors, publishers, and academic institutions, with a goal of creating guidelines that reflect the many real-world applications of AI-generated text.
