Email Cover Letters

If you’re submitting a cover letter in the body of an email, you will need to format it slightly different to cover letters that are attached to emails or submitted as a document.

How to Professionally Format Your Cover Letter

Line spacing.

Using appropriate line spacing between paragraphs ensures your cover letter is professional in appearance and easy to read.

Letters that don’t use line spacing often appear as one huge block of text. Most recruiters won’t even read these letters, so make sure to utilise your word processor’s line spacing feature.

To add spacing to your cover letter in Microsoft Word, highlight the text, click ‘Layout’, then add 8 pt. spacing in the ‘After’ section.

This will ensure your paragraphs are easily distinguished from each other. It will also optimise your recruiter’s reading experience, which can only be a positive thing!

Margins are the blank spaces at the edges of your cover letter. The size of your margins will depend on the amount of content in your cover letter.

If you have a lot of content to include, your margins should be narrower, which would give you more space. If you have a shorter cover letter, your margins should be wider.

Ideally, you should be aiming for margin sizes of between 1.7 cm (0.66”) and 2.5 cm (0.98”).

#2. Greeting 

After listing your contact information, it’s time to address the cover letter . 

First things first: the impersonal and overly popular “To Whom It May Concern” and “Dear Sir/Madam” are yesterday’s news. They’re impersonal and just about every other applicant uses them. 

And you want your cover letter to stand out, right?

So, greet the hiring manager directly, instead. For example:

If, however, you are unsure about their title, gender, marital status, or pronouns, use their entire name to avoid any mistakes, such as:

Alternatively, the recruiter may hold a title, such as Doctor, Professor, or sergeant, or you might be addressing a letter without a contact person.

#3. Opening Paragraph 

The opening paragraph of your cover letter is where the recruiter first gets to really hear your voice. As such, you’ve got to make it count and grab their attention before they move on to the next applicant.  

And how exactly do you do that? Well, for starters, avoid being generic. You don’t want your opening paragraph to sound as if you’re applying to dozens of jobs with the same letter.

Instead, you want your opening paragraph to mention:

  • Your name, profession, and years of experience.
  • 1-2 of your top achievements (to help you stand out).
  • The name of the firm and position you’re applying for.

#4. Cover Letter Body 

The body of your cover letter usually consists of 1-3 paragraphs and is where you convince the recruiter that you're the right person for the job.

  • Don’t just rehash your CV. The recruiter already read it. Instead, use your cover letter to elaborate on your achievements and back them up with even more evidence. 
  • Understand the job requirements. Check the requirements for the position in the job listing, see how you can match them with your strengths and qualifications, and use the body of your cover letter to show you’re a good fit for the job. 
  • Research the company. Also important is to show that you match the company’s culture. Read up about the company you’re applying for and learn what’s their product/service, what are they known for, what kind of culture they have, and so on. Then, in your cover letter, mention a bit about the company’s culture and talk about how you’re a good fit.

  • Thank the hiring manager for their time . Good manners go a long way.

Sending Your Cover Letter Via Email? Here’s How To Do It! 

It’s safe to assume that nowadays, most cover letters are sent via email. That means that you’re probably submitting your email in one of two ways: 

  • Sending it as an email attachment.
  • Uploading it to the company’s webpage.

If that’s the case, you’re good with the formatting rules listed above. 

If, however, you’re sending your cover letter in the body of the email, here’s what you need to do differently: 

  • Write a professional subject line. The best and safest formula is “Name - Position you’re applying to” (e.g. “Helen Simms - Application for Marketing Expert Position”).

  • Font: Use a standard font size (11 or 12-point) and stick with basic styles like Arial, Verdana, Times New Roman or Calibri.
  • Spacing: Leave space between each section so your document does not look cluttered. 
  • Length: Keep it short. Recruiters have no time to read lengthy cover letters. Try to keep your letters around 200–400 words.
  • File format: If the job ad includes instructions regarding the file format, follow them. Some companies prefer Word or PDF attachments. Others favor cover letters in the body of your email.

Step 1. Start with a professional header

Make sure you are using a professional-looking email address. It can be a combination of your first and last names. And remember that it is inadvisable to send resumes or cover letters from your work email.

If you know the hiring manager's name, start with a greeting like "Dear Mr. Brown," if the company is more traditional, or "Dear John," if you know for sure that the company's culture is more casual. Step 4. Explain why you are a perfect candidate in the middle section

In the second paragraph, describe your most relevant experiences and achievements, and link them to the position you are applying for. Of course, there is no need to repeat the content of your resume. Instead, expand on the points in your work experience section. Give some examples, demonstrate the measurable impacts you made, or mention the professional praises you received. 

For example:

During my previous role at 123 Technologies, I evaluated work processes, developed business requirements, and created use cases and process models. One of my most significant accomplishments was implementing a new contract management system, which reduced the time needed to complete contract-related tasks by 25% and saved the company $350K yearly. Working on large and small projects, I often communicated with people from different departments. The best way to determine what to write in this section is to read the job description carefully and see what the employer wants in an applicant. Then choose two or three points that correlate with your previous experiences and emphasize those in your cover letter. 

Step 5. Wrap up by relating your experience to the company's needs 

In the closing paragraph, you can summarize skills that make you a perfect fit for the role, restate that you are excited about this opportunity, and thank hiring managers for their time. Final Cover Letter Tips 

By now, you should be confident about writing a compelling cover letter. However, let's add a few more tips to keep in mind.

Do not repeat what is in your resume

Remember that the goal of your cover letter is to highlight how your qualifications are relevant to the target company. Do not simply repeat bullet points from your resume. Pick a couple of skills and provide specific examples of how you demonstrated them. Did you make a business process more efficient? Did you train junior team members in using a certain tool? Did you lead a particularly complex project to successful completion? Write about it! And do not forget to add numbers and percentages to boost the credibility of your statements.   

Tailor your letter to a specific job

There is nothing wrong with preparing a template and recycling a few strong sentences from one letter to another. However, using the exact same document for different jobs is not the best idea. Recruiters can quickly identify when candidates use generic letters to apply for a position. To make a better first impression, take the time to customize your cover letter so that it reflects your interest in a specific company and showcases the most relevant experiences for a particular role. 

Do not focus on weaknesses 

Although your cover letter is a good place to briefly explain a career gap or mention reasons for changing careers, do so in a way that does not draw attention to your weaknesses. Avoid sentences like, "Despite my limited experience…" or "While I lack experience…." Do not focus on the skills or experience you are lacking. Instead, highlight what you bring to the table. Describe transferable skills and include examples of responsibilities relevant to a new role. 

Show your personality 

Of course, a cover letter should be professional. However, this does not mean that you must use overly formal language. Using sentences like "I wish to convey my sincere interest in..." can make you sound insincere. You should also avoid overused phrases such as "self-motivated go-getter" or "thinking outside of the box." Instead, be honest and straightforward, provide unique examples of your skills, or tell a story about how effective you were in a previous job.    

Keep it short 

A cover letter should introduce you to a potential employer and get hiring managers interested in you as a candidate. It should not describe your entire professional life in every possible detail. So, there is no need to write several pages. Keep it brief and straight to the point. The perfect length for a cover letter is between half a page and one page using a 12-point font.

Proofread your cover letter carefully  

Whether your target job requires writing skills or not, there should not be any errors or typos in your resume or cover letter. Why do you Need a Cover Letter?

As you now know, since you are competing with thousands of other equally accomplished (if not more) professionals for a single job, one thing is absolutely clear -

You get only a single chance to make it.

So ask yourself: 'Do you want to waste that chance by endlessly sending your resume to 100+ recruiters and then wonder what went wrong, or do you want to play it smart by applying to just 10 but simultaneously increase the probability of getting that coveted shortlist?

Cover letters are written for a particular vacancy and addressed to a specific Hiring Manager/Recruiter. You can scan your entire professional career and cherry pick only those instances and achievements which will present you as a perfect response to the job listing.

How to Begin - Addressing the Cover Letter

A) Your name and job title comes on top. The job title is not a sacrosanct rank assigned to you from the heavens above. You have a certain level of flexibility wherein you can tailor the same as per the requirements of the job.

For instance, if you are a Sales Executive in your present profile and come across a Sales Associate vacancy, you can go ahead and modify the same to make your application a better fit for the job.

B) Unless you are living in Dickensian England, avoid 'Dear Sir/Madam'. Depending on the culture which is prevalent in your targeted company (casual vs. corporate), you can go take a call on whether to use the first name or last, followed by the profile held by that person aligned to the left.

Mr. John Buchanan Hiring Manager, XYZ Ltd.

(In case you can't find the name of the Hiring Manager, you can simply proceed with Human Resources, XYZ Ltd.)

This goes a long way in making a huge impact than using a generic 'Sir/madam'. This tells the recruiter that what they are about to read is written specifically for them. This will help your cover letter feel like a breath of fresh air for someone who is so used to seeing general cover letters thrown around by the dozen.

C) Start off with your contact details aligned to the right, which would typically include your phone number, email and location (no need for the complete address, just the location will do).

While we are at it, you wouldn't want to break your chances of getting a shortlist if, for instance, your email ID is [email protected] or [email protected] . . . you catch the drift, right? So let's avoid that as well. Ideally your email ID should only consist of your first and last name.

Additionally, avoid using email ID of your current organization. That's just disrespecting not only your present employer but also the recruiter who's seeing your cover letter for the first time.

D) You can add your digital profiles here as well (only LinkedIn and blog, not your Facebook or Twitter), but only if you think they'll add value to your application. If your blog is flooded with posts on Kim Kardashian and UFO sightings since 1970, keep that miles away from your cover letter.

Finally, make sure that the contact information is consistent across your resume, cover letter and digital space in general.

The First Paragraph: Hook, Line & Sinker

The first paragraph of the cover letter is the hook which is supposed to catch the recruiter and draw them in. The first paragraph will contain within its lines a reason for the recruiter to continue reading.

So how do you do that? What's the secret?

Want the Hiring Manager to read your cover letter in its entirety? Give him/her a reason to. The first paragraph is your chance to showcase how the skills and experience that you possess stand to benefit the organization.

Try to identify a need which you can fulfill. That's the basic premise for any transaction since the dawn of mankind. If you can't fulfill a pressing need of the organization, your cover letter will end up in a big ol' steaming pile of Nope.

Identify something which the organization is looking for, scan your previous achievements and demonstrate how you can leverage that to solve critical organizational issues. Unless you can generate that need, you'll always be at the periphery of getting shortlisted but won't ever make the cut.

The first line itself can be your gateway to accomplish just that. There won't ever be a single sure-shot way to guarantee a shortlist. You can either highlight your achievements or demonstrate your interest in the organization by researching their requirements and showing how you can fulfill the same.

Try to talk less about yourself and more about how your track record will help the organization. Let us make the point even clearer with a few examples:

"An 11-year track record of leading teams in Sales and generating multi-million dollar revenues on an annual basis. Played a key role in partnering with MNCs and other conglomerates. Highly interested in the profile of Sales Manager at XYZ Ltd."

Now let's take a look at another one:

"As a keen follower of XYZ Ltd. and its initiatives, I was thrilled to find a vacancy of Sales Manager. With my track record of generating USD 8.2m in sales and forging strategic alliances with Fortune 500 companies, I think I'd be a significant value add to your organization so I can play an instrumental role in achieving your target of 20% YOY growth."

Notice the difference between the two? In the second one, not only is the candidate talking about his achievements, he's also mentioning how his previous work experience can help the organization achieve their goals.

This is a significant departure from those candidates who select multiple job listings and send their resumes everywhere.

This shows that the candidate shortlisted this particular vacancy from several others and conducted research to find the targets which the company is trying to achieve, and how he can play a role in fulfilling those targets.

The Second Paragraph - You & The Company

Continue in the same vein while making sure that the second paragraph is not you just bragging endlessly with your achievements.

All your achievements are detailed in your resume - don't worry about that. Here, your goal is to showcase only those achievements which the recruiter or organization can deem to be useful.

Another component which we only implied till now but are explicitly mentioning only here is RESEARCH. That can be a huge deal-breaker or a life-saver, depending on which camp you fall under.

You can't fulfill the needs of the recruiter if you don't know what it is.

For instance, if you are a Software Developer who has overseen several dozen projects across your tenure, you'll only highlight those projects - more specifically achievements of those projects - which the organization can find useful.

For example, if one of your project was around developing a portal, and as part of your research, you find that the organization you're targeting is somehow targeting just that, you can go ahead and mention the same in glowing letters.

Staying relevant is the key. Otherwise you'll just look like a braggart who's full of himself.

The Third Paragraph - The Company & You

Your goal is to convince the recruiter why you want that particular job and how it's not just any generic job you are applying for - what is it about that company which makes it a perfect fit for you?

The research component that we talked about in the earlier point will reap more dividends here as well. Scan the company's website and make a list of everything which you think might be relevant.

The points here will range from the organization's interest in non-core activities (sports, environment, etc.) to strategies around its core initiatives.

The idea is to make the recruiter believe that you know everything there is to know about the company and can't wait to be a part of it.

You can research and identify any particular project which the company is targeting, or any component of its long-term plan which you think might be relevant for you. Mention that project or component and explain how with a track record like yours, you will be a killer addition to the same.

If you genuinely think that you'd be a perfect fit for the organization, it's only a matter of phrasing it correctly. Believe it or not, even the recruiter is desperately looking for people like you.

If the company is actually going to benefit from having you on-board, why won't they? An example will clear that right up:

"It is difficult to come away un-awed by the passion for excellence that XYZ has displayed in its meteoric rise to become a dominant player in this field. It's remarkable that despite a presence in x states/countries, it values its employees & ensures a continuous learning environment. I am inspired by its collaborative working style that emphasizes upon teamwork, trust & tolerance. Hence, I consider XYZ to be my most preferred employer."

Ending the Cover Letter - Seal the Deal

Instead of having a generic last paragraph, you can utilize the space to include additional details which you think will further seal the deal.

The idea is to close the cover letter on such a note that the recruiter is left with no option but to contact you and schedule an interview.

You can take our advice and avoid using cliche phrases like 'thank you for your time' or 'looking forward to hearing from you'. Even if you are desperate for that job, try to not reflect the same in your cover letter.

Don't focus on your requirements. Instead, focus on how you can fulfill theirs .

"Please find enclosed my resume. Looking forward to hearing from you."
"Enclosed for your consideration is my resume. I'd appreciate the opportunity to further discuss my suitability and qualifications with you on call or in person so I can share my roadmap for reducing your costs by 20%."

Every time you intend to write a cover letter, you probably browse cover letter examples online, get overwhelmed, and think to yourself: Does recruiters really read these? Wouldn’t it be easier if I could just let my resume speak for itself?

Look up the Hiring Manager if possible instead of addressing the cover letter to Human Resources. Researching on the specific issues and challenges which the company is facing will help if you want to scan your own achievements and assess how you can truly resolve them.

Cover Letter Format

A precise cover letter format will undoubtedly be a game-changer for getting those shortlists. The cover letter format includes the structure and design in which you present the document, in addition to the basic information which goes in the same, including your contact details and job title.

In most cases, you need not experiment too much with design and structure. In top-end MNCs and official vacancies, the recruiter specifies the exact format in which to deliver the resume and cover letter. Here, be cautious.

If the recruiter has asked for a particular format, submitting your application in any other format most often means immediate rejection.

Customization

Customization is the key to the perfect cover letter. There are no two ways to that.

Right from the greeting on the top to the closing paragraph, the cover letter should feel like a response to that particular job vacancy. The research part may seem grueling to most, but believe us, it's worth it. Always.

Finding out intricate details of the company and incorporating the same in your cover letter speaks volumes. Going easy with customization and sending generic cover letters is a sure short recipe for disaster. You'd rather not send a cover letter at all than send a general one.

Know What to Include, and What Not to Include

The cover letter is not a register of all your achievements till date. That's your resume. Make sure you are not coming across as someone who can't perceive anything outside their own achievements.

It doesn't matter to the company if you've been a hero in your last organization. That only says that you did well at your last job. It's your task to convince the recruiter that you have the capability to replicate your successes in their organization as well.

Don't include elaborate project details and administrative responsibilities. While there's no universal consensus on the word limit, general wisdom suggests you keep it limited to 350-400 words.

Filling Resume Gaps

In most cases, you'll follow a standard format for your resume. There's little room in there for justifying any shortcomings. That's where the cover letter comes in.

Ranging from employment gaps to too many work profiles in a short span of time, you can use the cover letter to remove ambiguities and ensure that the recruiter does not jump to any conclusion.

A resume is your personal statement. It's filled with your details and your achievements. But the same is not the case with a cover letter. It's more about the organization which you are targeting than anything else.

Don't Lie or Go Overboard

We felt it was important to state this despite it being something too obvious. Any decent organization knows the value of a good recruit and the cost of a bad one. They'll go at great lengths to validate each and every little thing you've mentioned in your resume and cover letter.

How to Write a Cover Letter That Will Get You a Job

I ’ve read thousands, maybe tens of thousands, of cover letters in my career. If you’re thinking that sounds like really boring reading, you’re right. What I can tell you from enduring that experience is that most cover letters are terrible — and not only that, but squandered opportunities. When a cover letter is done well, it can significantly increase your chances of getting an interview, but the vast majority fail that test.

So let’s talk about how to do cover letters right.

First, understand the point of a cover letter.

The whole idea of a cover letter is that it can help the employer see you as more than just your résumé. Managers generally aren’t hiring based solely on your work history; your experience is crucial, yes, but they’re also looking for someone who will be easy to work with, shows good judgment, communicates well, possesses strong critical thinking skills and a drive to get things done, complements their current team, and all the other things you yourself probably want from your co-workers. It’s tough to learn much about those things from job history alone, and that’s where your cover letter comes in.

Because of that …

Whatever you do, don’t just summarize your résumé.

The No. 1 mistake people make with cover letters is that they simply use them to summarize their résumé. This makes no sense — hiring managers don’t need a summary of your résumé! It’s on the very next page! They’re about to see it as soon as they scroll down. And if you think about it, your entire application is only a few pages (in most cases, a one- or two-page résumé and a one-page cover letter) — why would you squander one of those pages by repeating the content of the others? And yet, probably 95 percent of the cover letters I see don’t add anything new beyond the résumé itself (and that’s a conservative estimate).

Instead, your cover letter should go beyond your work history to talk about things that make you especially well-suited for the job. For example, if you’re applying for an assistant job that requires being highly organized and you neurotically track your household finances in a detailed, color-coded spreadsheet, most hiring managers would love to know that because it says something about the kind of attention to detail you’d bring to the job. That’s not something you could put on your résumé, but it can go in your cover letter.

Or maybe your last boss told you that you were the most accurate data processor she’d ever seen, or came to rely on you as her go-to person whenever a lightning-fast rewrite was needed. Maybe your co-workers called you “the client whisperer” because of your skill in calming upset clients. Maybe you’re regularly sought out by more senior staff to help problem-solve, or you find immense satisfaction in bringing order to chaos. Those sorts of details illustrate what you bring to the job in a different way than your résumé does, and they belong in your cover letter.

If you’re still stumped, pretend you’re writing an email to a friend about why you’d be great at the job. You probably wouldn’t do that by stiffly reciting your work history, right? You’d talk about what you’re good at and how you’d approach the work. That’s what you want here.

You don’t need a creative opening line.

If you think you need to open the letter with something creative or catchy, I am here to tell you that you don’t. Just be simple and straightforward:

• “I’m writing to apply for your X position.”

• “I’d love to be considered for your X position.”

• “I’m interested in your X position because …”

• “I’m excited to apply for your X position.”

That’s it! Straightforward is fine — better, even, if the alternative is sounding like an aggressive salesperson.

Show, don’t tell.

A lot of cover letters assert that the person who wrote it would excel at the job or announce that the applicant is a skillful engineer or a great communicator or all sorts of other subjective superlatives. That’s wasted space — the hiring manager has no reason to believe it, and so many candidates claim those things about themselves that most managers ignore that sort of self-assessment entirely. So instead of simply declaring that you’re great at X (whatever X is), your letter should demonstrate that. And the way you do that is by describing accomplishments and experiences that illustrate it.

Here’s a concrete example taken from one extraordinarily effective cover-letter makeover that I saw. The candidate had originally written, “I offer exceptional attention to detail, highly developed communication skills, and a talent for managing complex projects with a demonstrated ability to prioritize and multitask.” That’s pretty boring and not especially convincing, right? (This is also exactly how most people’s cover letters read.)

In her revised version, she wrote this instead:

“In addition to being flexible and responsive, I’m also a fanatic for details — particularly when it comes to presentation. One of my recent projects involved coordinating a 200-page grant proposal: I proofed and edited the narratives provided by the division head, formatted spreadsheets, and generally made sure that every line was letter-perfect and that the entire finished product conformed to the specific guidelines of the RFP. That second version is so much more compelling and interesting — and makes me believe that she really is great with details.

If there’s anything unusual or confusing about your candidacy, address it in the letter.

Your cover letter is your chance to provide context for things that otherwise might seem confusing or less than ideal to a hiring manager. For example, if you’re overqualified for the position but are excited about it anyway, or if you’re a bit underqualified but have reason to think you could excel at the job, address that up front. Or if your background is in a different field but you’re actively working to move into this one, say so, talk about why, and explain how your experience will translate. Or if you’re applying for a job across the country from where you live because you’re hoping to relocate to be closer to your family, let them know that.

If you don’t provide that kind of context, it’s too easy for a hiring manager to decide you’re the wrong fit or applying to everything you see or don’t understand the job description and put you in the “no” pile. A cover letter gives you a chance to say, “No, wait — here’s why this could be a good match.”

Keep the tone warm and conversational.

While there are some industries that prize formal-sounding cover letters — like law — in most fields, yours will stand out if it’s warm and conversational. Aim for the tone you’d use if you were writing to a co-worker whom you liked a lot but didn’t know especially well. It’s okay to show some personality or even use humor; as long as you don’t go overboard, your letter will be stronger for it.

Don’t use a form letter.

You don’t need to write every cover letter completely from scratch, but if you’re not customizing it to each job, you’re doing it wrong. Form letters tend to read like form letters, and they waste the chance to speak to the specifics of what this employer is looking for and what it will take to thrive in this particular job.

If you’re applying for a lot of similar jobs, of course you’ll end up reusing language from one letter to the next. But you shouldn’t have a single cover letter that you wrote once and then use every time you apply; whatever you send should sound like you wrote it with the nuances of this one job in mind.

A good litmus test is this: Could you imagine other applicants for this job sending in the same letter? If so, that’s a sign that you haven’t made it individualized enough to you and are probably leaning too heavily on reciting your work history.

No, you don’t need to hunt down the hiring manager’s name.

If you read much job-search advice, at some point you’ll come across the idea that you need to do Woodward and Bernstein–level research to hunt down the hiring manager’s name in order to open your letter with “Dear Matilda Jones.” You don’t need to do this; no reasonable hiring manager will care. If the name is easily available, by all means, feel free to use it, but otherwise “Dear Hiring Manager” is absolutely fine. Take the hour you just freed up and do something more enjoyable with it.

Keep it under one page.

If your cover letters are longer than a page, you’re writing too much, and you risk annoying hiring managers who are likely sifting through hundreds of applications and don’t have time to read lengthy tomes. On the other hand, if you only write one paragraph, it’s unlikely that you’re making a compelling case for yourself as a candidate — not impossible, but unlikely. For most people, something close to a page is about right.

Don’t agonize over the small details.

What matters most about your cover letter is its content. You should of course ensure that it’s well-written and thoroughly proofread, but many job seekers agonize over elements of the letter that really don’t matter. I get tons of  questions from job seekers  about whether they should attach their cover letter or put it in the body of the email (answer: No one cares, but attaching it makes it easier to share and will preserve your formatting), or what to name the file (again, no one really cares as long as it’s reasonably professional, but when people are dealing with hundreds of files named “resume,” it’s courteous to name it with your full name).

Approaching your cover letter like this can make a huge difference in your job search. It can be the thing that moves your application from the “maybe” pile (or even the “no” pile) to the “yes” pile. Of course, writing cover letters like this will take more time than sending out the same templated letter summarizing your résumé — but 10 personalized, compelling cover letters are likely to get you more  interview invitations  than 50 generic ones will.

Whether you’re a college graduate entering the workforce or a parent returning to work after a long time, you need a compelling résumé to show recruiters you’re the best fit for an open position. We’ve compiled the steps you need to take to create your résumé and included a few tips to guide you when building your résumé. You’ll see what goes into a résumé that hiring managers respond to.

A résumé is a formal document recruiters ask applicants for as part of a recruitment process to assess their suitability for a specific role. A résumé provides an overview of your professional background and history, including your qualifications, work experience, skills and notable achievements. It records your professional development and is a potential employer’s first impression of you.

Here’s what a résumé does for you:

  • It allows you to market yourself
  • It shows recruiters how your experience can contribute to the organization’s growth
  • It helps recruiters determine whether or not to call you for the next recruitment step

While there are different types of résumés with various content arrangements and formatting styles, here is the information required to build your résumé.

Add Your Name and Contact Information

When creating your résumé, the first item on your list should be your first and last name and primary contact information—phone number and email address. Also, adding a link to your website, portfolio or professional social media account gives potential employers multiple contact options and insight into your work, especially as a creative. Including your complete mailing address, city and state is also okay if the job listing calls for local applicants.

Include a Professional Summary or Objective

Your professional summary highlights your qualifications, skills and career goals. So, focus on concisely showing how your experience relates to the role you’re applying for. If you’re just getting started, changing careers or returning to the job industry after a break, opt for a professional objective, a summary of how your skills and qualifications can help you do well at the job. However, highlight something valuable the company can gain from you.

Add Your Work Experience

To determine your value, prospective employers examine how you’ve practicalized your knowledge and skills in your previous roles. So, include your previous job titles, organization names, company locations and employment dates. Then, include three to five accomplishments under each role.

Use action words, numbers and outcomes to explain your accomplishment while carrying out your responsibilities. For example, instead of saying you worked on a software updates team, say something such as “developed over 50 software updates that enhanced consumer productivity by 55%.” First-time job seekers can include internship and volunteer experience, but ensure you indicate that it was unpaid.

Include Your Education

List your education history, leaving the highest level at the top. Here are a few things to keep in mind when drafting this section.

  • If you graduated more than 10 years ago, there’s no need to include your graduation year
  • If you don’t have any work experience, indicate relevant coursework or internship
  • If you’re still pursuing a degree or diploma, include the start date, but leave the completion date blank, unless there’s a graduation date
  • Include your high school diploma or General Educational Development (GED) only if you don’t have a college degree
  • If recent, include awards, honors and scholarships and the year you received them

Highlight Relevant Skills

Dedicate a section of your résumé to highlight your hard and soft skills to show recruiters that you’re well-rounded. Aim for six to eight of such skills as are relevant to the role. Soft skills are people skills such as leadership, interpersonal and communication skills, while hard skills are the technical skills required for a specific job. Adding your aptitude, such as “proficient” or “intermediate” can also enhance your value. If applying without work experience, focus on transferable skills such as critical thinking and communication, which are helpful for any role.

Add Relevant Certifications, Licenses and Training

If your job requires certifications, include a section for that below the Education section. List the following.

  • Certification or license title
  • Certifying body or agency
  • Date of certification
  • Expiration date (if applicable)

Leverage Your Achievements

To make your résumé set you apart from other candidates, include a section to outline achievements and awards that further highlight your accomplishments and what you can contribute to an organization. These include honors, projects, publications (online or print), volunteer work and leadership positions. Awards show your commendation by those you’ve worked with, while volunteer experience augments your résumé as an applicant without work experience.

Below are a few tips to follow when preparing your résumé.

1. Ask for Help

Speak with those in your field, including peers and career counselors. Glean from their recommendations and pay attention to shared resources’ general language and formatting style.

2. Use the Appropriate Format

Make your résumé easy to scan. A few formatting tips based on what recruiters prefer are:

  • Keep your résumé to one page, unless you have over 10 years of work experience. In that case, a two-page résumé is okay
  • Set an inch margin on each side of the document
  • Use popular fonts such as Times New Roman, Arial, Georgia or Helvetica, and stick to font sizes of 14 to 16 for headers and 10 to 12 for the body
  • Choose 1.0 or 1.5 inch line spacing
  • Set margins to 1 inch on all sides
  • Save your résumé as a PDF or Docx, using your full name and sometimes the job title as the file name
  • Adhere to the specific résumé format instructions that came with the call for application

3. Tailor Your Résumé for Each Role

While it’s common to want to include every experience, include only the experience relevant to the role you’re applying for and adjust your summaries, skills, certifications and other information on your résumé to fit that role.

4. Include Necessary Keywords

Since many companies use applicant tracking systems (ATS) , which use keyword algorithms to filter résumés, ensure you incorporate keywords in the job description. Such keywords will fit right into your work experience and skills highlight sections.

5. Use a Résumé Builder or Template
