A view by criteria section allows users to view detailed data based on specific parameters, such as age group.

The grouping parameters can also be viewed by selecting the workday compensation grade, for example, if 29 workers are in non-management grade, users can view their details by selecting the grade and refreshing the report.

Drillable Report Updates: Streamlining Data Analysis

The report has been updated with detailed data, drill down options, and drillable fields, the drill down values is automatically added by the data source.

To restrict the drill down values, the user can select specific drillable fields, such as age group, compensation grade, and management level.

To sort data, the user can select a view by options option and disable all drilling for the report, the second option, disable drilling to details, is also available under drill down. Users can select this option and run the report.

Hiding Drill Down Criteria in workday reports

The grouping parameters are drillable parameters, but they cannot be hidden, to hide the criteria, the user can disable the entire drilling, users can then go back to the default drill down options and see the detailed data, sorted based on age.

What the Report Does

This report shows a summary of learning campaigns including details such as the campaign type, campaign items, enrollment count, and completion status count of the items in the campaign.

It goes a step beyond the Workday Delivered report by grouping courses based on their status and offering drillable fields to get more information on workers who received the learning campaign.

All Learning Assignments

This report shows a summary of all learning assignments including all assignment methods such as Manager Mass Enroll, Admin Mass Enroll, Web Services, Campaigns, and Retraining.

The report includes details such as learner details, assignment date, assignment status, due date, and completion moment.

Filters and prompts can be used to search for specific assignment mechanisms. This report goes beyond Workday Delivered reports by grouping assignment mechanisms for specific courses. Drillable fields can also be added to get more information on workers who were assigned the training (i.e. location, manager, supervisory org, etc.).

This report is like the campaign completion details report but includes additional learning assignment methods and details. It will improve the Admin & Manager experience by allowing users to track learning assignment completion in a single report.

Workday-Delivered Reports

Find workers to enroll, report type: workday-delivered , but you can copy as a custom report to include/exclude certain parameters.

This interactive report includes all workers in your organization. Filters enable Learning Admins and Managers to search for and enroll specific learners based on their supervisory organization, location, management level, job profile, etc.

This is a quick & easy way to mass enroll workers into learning courses. Additionally, you can utilize the Saved Search feature on the report to save groups of learners to reuse for future training initiatives.

My Team’s Learning

Report type: workday-delivered.

This report allows Managers to review their subordinates’ learning enrollments. This report can be added to the Learning dashboard so Managers can easily keep track of their direct reports’ training progress.

This overview report helps identify which courses learners have enrolled in, their registration status, completion progress, score/grade, etc.

This report is perfect for Managers who need to review and stay on top of their team’s training status.

Security roles are Workday designations that determine access to the initiation and approval of business processes as well as to data in Workday. Below is a comprehensive list of Workday Finance security roles at University of Miami.

Cost Center Manager (CCM)

The CCMs role is an in most financial business processes and some HCM business processes (e.g. costing allocation).

A CCM for employees assigned to their Cost Center. This role is assigned to Cost Centers or Cost Center Hierarchies. CCMs automatically see details for Driver Worktags in Workday. This requires additional roles in Workday (but not in the Business Intelligence (BI) portal).
Senior Business Manager (SBM)

The SBM role is an  in high dollar financial business processes and staffing and compensation HCM business processes.

A SBM for employees assigned to their Cost Center. This role is assigned to Cost Centers or Cost Center Hierarchies. SBMs automatically see details for Driver Worktags in Workday. This requires additional roles in Workday (but not in the Business Intelligence (BI) portal).
Senior Business Officer Pay Reviewer (SBOPR)

The SBOPR role is limited to SBMs who need to provide support to the Faculty Special Compensation Policy and require access to the Activity Pay for all jobs.

A SBOPR   for all jobs for employees assigned to their Cost Center.

This role is assigned to Cost Center Hierarchies. SBOPRs   automatically see details for Driver Worktags in Workday. This requires additional roles in Workday.
Finance Reviewer (FR)

The FR role is assigned by itself or with other roles to provide visibility for compensation.

A FR for employees assigned to their Cost Center. This role is assigned to Cost Centers, Cost Center Hierarchies, Programs, Projects, Gifts, and Grants.
Cost Center Sponsored Programs Manager (CCSPM)

The CCSPM is an in most financial business processes when Grants are used in assigned Cost Centers.

A Department EDES This role is assigned to Cost Centers or Cost Center Hierarchies. Department EDESs do not automatically see details for Driver Worktags in Workday. This requires additional roles in Workday (but not in the Business Intelligence (BI) portal).
Principal Investigator (PI)

The PI role is an in Purchase to Pay (P2P) business processes when their Grant is used.  This role has visibility into the PI dashboard and other reports.

A PI . This role is assigned to Awards and Grants.

The PI role is required and will be assigned when an Award is created.

Grants Manager

The role is an on certain Award and Grant business processes but not Purchase to Pay (P2P) business processes.  This role has visibility into assigned Grants.

A Grants Manager This role is assigned to Grants.

The Grants Manager role is required and will be assigned when an Award is created.

Award Analyst

The role has visibility into Awards and underlying Award Lines (Grants).

An Award Analyst This role is assigned to Awards.

An Award Analyst is assigned when an Award is created.

Grant Reviewer

The role has visibility into Grants and can run reports.

A Grant Reviewer if paired with the Finance Reviewer (FR) role or is Cost Center Manager (CCM), or  Senior Business Manager (SBM). This role is assigned to Grants.

A Grant Reviewer role is assigned upon request.

Program Manager (PM)

The role is an in certain finance Purchase to Pay (P2P) business processes when an assigned Program is used.

A PM role if paired with the Finance Reviewer (FR) role This role is assigned to Programs. A PM role is assigned upon request (please note: every Program must have at least one PM assigned).
Program Reviewer (PR)

The PR role is able to view and report on assigned Programs.

A PR role is if paired with Finance Reviewer (FR) role. This role is assigned to Programs. The PR role is an optional role and assigned upon request.
Gift Reviewer (GR)

The GR role is able to view and report on Gifts (please note: there is no Gift specific approval role).

A GR if paired with the Finance Reviewer (FR) role.

This role is assigned to Gifts (Basic Gifts (BG) and Endowed Gifts (EG)).

 

The GR role is an optional role and assigned upon request.

HR Security Roles in Workday

Supervisory Organization

FPC Approver

Approves create position and job requisition tasks for UMH cost centers only as part of the Flexible Position Control process.

FPC Reviewer

This role is assigned to the UMH Leadership Team by area of responsibility (COO, CMO, and CNO) for the review and approval of the create position and job requisition requests as part of the Flexible Position Control process.

HR Business Process Initiator (HR BPI)

Perform HR management functions for assigned organizations. Examples include creating and approving new positions, job assignments, and managing the job profile framework. Approval authority for HCM business processes.

HR Partner

Ability to view and initiate HCM business processes initiated at the supervisory organization. This role is only for HR staff.

I-9 Verifier (Students)

Perform completion of Part 2 of I-9 Form for assigned supervisory organizations.

Manager

Perform actions on members of their supervisory organization(s). Examples include hiring staff and students, compensation changes, job changes, performance reviews, creating positions and headcount, requisitions, leaves, and time off. Approval authority for HCM business processes.

Manager's Manager

This role is used to capture the approval of the manager of the initiator.

Timekeeper

Perform time sheet management functions for assigned organizations by conducting a timely review and approval according to Payroll deadlines (biweekly by noon). Functions include regular review and correction of time card errors, performing edits to ensure time card accuracy, submitting and/or approving time card revisions. Approval authority for time sheet business processes.

Cost Centers or Cost Center Hierarchies

Cost Center Manager (CCM)

Ability to initiate as well as approve certain HCM and Finance business processes for workers in their Cost Center(s) or Cost Center Hierarchy. May be assigned at either the Cost Center or the Cost Center Hiearchy depending on responsibilities in the organization. Able to view compensation and other information for workers in their Cost Center(s). Able to see details of multiple jobs for workers with multiple jobs even if they are in other Cost Centers.

Finance Reviewer (FR)

Able to see same information as CCM, but has no ability to initiate or approve. May be assigned to FBPI's in order to provide access to compensation information for workers in their Cost Center(s). Individuals with the FR role who do not also possess the FBPI role are generally assigned at the Cost Center Hierarchy (reflective of the enhanced level of responsibilities for that position). Assignment of role requires approval by the CCM.

Finance Business Process Initiator (FBPI)

Able to initiate certain limited business processes including costing allocations, changes to org assignments, and payroll accounting adjustments. Cannot see compensation without the addition of the FR role. Has no approval authority and cannot see multiple jobs in other Cost Centers. Generally assigned only to specific Cost Centers with the exception of the Specialty Hospitals where role is assigned at the Cost Center Hierarchy. Assignment of role requires approval by the CCM.

Sr. Business Officer (SBO)

Has elevated view access to information for workers in assigned Cost Center Hierarchy. Role is assigned to those who have either the FR or CCM role and requires approval by their Dean, Chair (MSOM), or Vice President. Also requires approval by the Vice President for Human Resources. Has no approval authority unless combined with CCM role.

Eligibility Company

Standard Reports – Workday has produced standard reports that are available to all the stakeholders and users of the software within that organization. You can create Standard reports by using either Workday Report Writer or with the help of XpressO, depending on the requirements of reporting. The traditional words of the Report Writer can be duplicated to produce custom reports that are catered to meet your unique requirements.

Standard Workday Reports

Workday offers a number of Standard Reports that can be easily customized to meet the needs of the end users. Reports that are based on in-depth real-time data are usually displayed on Workday’s dashboards. For engaging with the data, the generated reports can easily be stored in Workday or can easily be exported to Excel.

Workday provides two types of standard reports: Report Writer and XpressO.

Report Writer reports can be copied and customized via the Workday Report Writer tool.

XpressO reports are generated using a proprietary programming tool, which offers features for report development and cannot be replicated and adjusted using the Report Writer tool.

By following these best practices, organizations can create accurate Workday reports that meet their needs while giving them real insights into their workforce.

Define Report’s Scope & Objectives – Before creating a Workday Report, it is essential to clearly define the objective that needs to be achieved from this Report & also the specific scopes that are to be covered. This involves explicitly identifying all the key questions that the Workday report will answer, the audience it is intended for, & and the parameters or timeframe it should ideally focus on.

Selecting the Right Type of Report – Workday offers different types of reports that are well-tailored to analyze the different needs of data, such as financial reports, payroll reports, HR reports, etc. You should ideally choose the type of Report that aligns with the defined objectives & the data that you require to analyze. For instance, if you are analyzing the performance of the employees, you might opt for the format of the performance evaluation report.

Choosing the Appropriate Source of Data – After the selection of the type of Report, you ideally need to identify the most relevant source of data within Workday that contains relevant information for generating your Report. This could be some specific Workday module, such as the financial module in case of financial data or the HR module in case of employee data.

Building the Report Utilizing Sources of Data, Fields, & Filters – Once you have identified the source of data, you need to begin building your Workday Report by judiciously selecting various necessary fields & elements of data to be included. Create Work Schedule Assignments

Managers can create, edit, and assign employee-specific schedules to direct reports using the Assign Work Schedule task. Please make sure the schedules assigned align with the employee's job profile. 

On this job aid:

Assign a Work Schedule

search

  • Select the Worker and Start Date for the scheduled assignment.
  • Optionally, select an End Date.

Example : If you wanted to give a worker Friday off every other week, you would create a second row on the grid and enter no hours for Friday. The work schedule will alternate between the two schedule rows.

  • In the Order column, use the arrows to move rows up and down within the grid.

  • If you are defining a simple schedule with only one meal, the default selection of Single Shift and Meal is appropriate.

Define the start and end times for shifts and meals each day, or indicate a 24-hour shift by selecting the 24-Hour Shift checkbox.

Note : If you selected a Pattern Type of Multiple Shifts and Meals, you can use the Add Row buttons to add additional start and end times per day for shifts and meals.

Role-Based Security Role Assignments

Role-based security assignments are those that are assigned to positions in Workday. These roles are not attached to users, but to the positions they are hired into within Workday. Role-based assignments are constrained, and limit access based on the organization(s) assigned. These assignments are primarily assigned based on Supervisory Organization but may also be assigned based on other organization types, such as Pay Group or Academic Unit.

Approval and Assignment of Role-Based Roles

  • Role-based security assignments are requested using the “Security Request” process within Workday.
  • All requests for role-based assignments must be approved in Workday by the Security Partner.
  • Role-based security for employees of third-party service providers must be approved by the owner of the vendor relationship, and those employees or the vendor must agree to our confidentiality, privacy, and security terms.
  • Requests for role-based security that is constrained to an organization type other than Supervisory Organization or Academic Unit shall require the approval of the Vice President for Human Resources, the Vice President for Finance and Treasurer, Vice President of Information Systems and Computing and Chief Information Officer, and the Director of Workday Operations.
  • Requests for role-based security that is constrained to Supervisory Organizations above the School/Center level (President, EVP, Provost) shall require the approval of the Vice President for Human Resources, the Vice President for Finance and Treasurer, Vice President of Information Systems and Computing and Chief Information Officer, and the Director of Workday  Operations.
  • Requests will be reviewed processed in Workday by the Workday Security Administrator(s).

Position Management

  • Once a role-based assignment is assigned to a position, it will remain with that position until removed. Individuals hired into that position in the future will automatically receive the security.
  • Assignments can be removed from positions upon request from the School/Center’s HR Partner(s) and/or Security Administrator.

Separation of Duties

  • Individuals may not hold combinations of roles that circumvent business process transaction approvals by allowing one person to initiate and approve the entire transaction.
  • The roles of HR Partner and Budget Partner may not be held by the same person in the same Supervisory Organization.

Monitoring of User-Based Role Assignments

  • The Workday Security Administrator and Director of Workday Operations will be responsible for working with School/Center HR Partners and Security Administrators to review and audit security role assignments on a regular basis.  This review will ensure that the list of users on each group are appropriate and expected.
  • This review of role-based assignments shall be done no less frequently than annually and may be done manually using Workday reporting, or in an automated manner using testing/auditing tools.
  • Role-based assignments of employees of third-party service providers will be verified with the owner of the vendor relationship.

Removal of User-Based Role Assignments

The Workday Security Administrator or Director of Workday Operations may remove security role assignments at any time without warning if any malicious activity or a violation of University policy is detected or suspected.  Security may be removed upon request from appropriate offices, including but not limited to: ISC Security, the Office of Audit, Compliance, and Privacy, Division of Human Resources, Office of General Counsel, and the Division of Finance.

Provision for System/Module Implementation

There may be certain times when it may be necessary to assign role-based security to a larger than normal number of users. This may occur at system implementation, during the implementation of new functionality or modules, or as a result of a Workday release. In these cases, a list of users being assigned to each security role can be provided to the approvers listed above for bulk approval, by School/Center. In this case, the list of users and the approval shall be maintained in the same manner as the request forms.
