Steps for Revising Your Paper

When you have plenty of time to revise, use the time to work on your paper and to take breaks from writing. If you can forget about your draft for a day or two, you may return to it with a fresh outlook. During the revising process, put your writing aside at least twice—once during the first part of the process, when you are reorganizing your work, and once during the second part, when you are polishing and paying attention to details.

Use the following questions to evaluate your drafts. You can use your responses to revise your papers by reorganizing them to make your best points stand out, by adding needed information, by eliminating irrelevant information, and by clarifying sections or sentences.

Find your main point.

What are you trying to say in the paper? In other words, try to summarize your thesis, or main point, and the evidence you are using to support that point. Try to imagine that this paper belongs to someone else. Does the paper have a clear thesis? Do you know what the paper is going to be about?

Identify your readers and your purpose.

What are you trying to do in the paper? In other words, are you trying to argue with the reading, to analyze the reading, to evaluate the reading, to apply the reading to another situation, or to accomplish another goal?

Evaluate your evidence.

Does the body of your paper support your thesis? Do you offer enough evidence to support your claim? If you are using quotations from the text as evidence, did you cite them properly?

Save only the good pieces.

Do all of the ideas relate back to the thesis? Is there anything that doesn't seem to fit? If so, you either need to change your thesis to reflect the idea or cut the idea.

Tighten and clean up your language.

Do all of the ideas in the paper make sense? Are there unclear or confusing ideas or sentences? Read your paper out loud and listen for awkward pauses and unclear ideas. Cut out extra words, vagueness, and misused words.

Eliminate mistakes in grammar and usage.

Do you see any problems with grammar, punctuation, or spelling? If you think something is wrong, you should make a note of it, even if you don't know how to fix it. You can always talk to a Writing Lab tutor about how to correct errors.

Switch from writer-centered to reader-centered.

Try to detach yourself from what you've written; pretend that you are reviewing someone else's work. What would you say is the most successful part of your paper? Why? How could this part be made even better? What would you say is the least successful part of your paper? Why? How could this part be improved?

8.4 Revising and Editing

Learning objectives.

  • Identify major areas of concern in the draft essay during revising and editing.
  • Use peer reviews and editing checklists to assist revising and editing.
  • Revise and edit the first draft of your essay and produce a final draft.

Revising and editing are the two tasks you undertake to significantly improve your essay. Both are very important elements of the writing process. You may think that a completed first draft means little improvement is needed. However, even experienced writers need to improve their drafts and rely on peers during revising and editing. You may know that athletes miss catches, fumble balls, or overshoot goals. Dancers forget steps, turn too slowly, or miss beats. For both athletes and dancers, the more they practice, the stronger their performance will become. Web designers seek better images, a more clever design, or a more appealing background for their web pages. Writing has the same capacity to profit from improvement and revision.

Understanding the Purpose of Revising and Editing

Revising and editing allow you to examine two important aspects of your writing separately, so that you can give each task your undivided attention.

  • When you revise , you take a second look at your ideas. You might add, cut, move, or change information in order to make your ideas clearer, more accurate, more interesting, or more convincing.
  • When you edit , you take a second look at how you expressed your ideas. You add or change words. You fix any problems in grammar, punctuation, and sentence structure. You improve your writing style. You make your essay into a polished, mature piece of writing, the end product of your best efforts.

How do you get the best out of your revisions and editing? Here are some strategies that writers have developed to look at their first drafts from a fresh perspective. Try them over the course of this semester; then keep using the ones that bring results.

  • Take a break. You are proud of what you wrote, but you might be too close to it to make changes. Set aside your writing for a few hours or even a day until you can look at it objectively.
  • Ask someone you trust for feedback and constructive criticism.
  • Pretend you are one of your readers. Are you satisfied or dissatisfied? Why?
  • Use the resources that your college provides. Find out where your school’s writing lab is located and ask about the assistance they provide online and in person.

Many people hear the words critic , critical , and criticism and pick up only negative vibes that provoke feelings that make them blush, grumble, or shout. However, as a writer and a thinker, you need to learn to be critical of yourself in a positive way and have high expectations for your work. You also need to train your eye and trust your ability to fix what needs fixing. For this, you need to teach yourself where to look.

Creating Unity and Coherence

Following your outline closely offers you a reasonable guarantee that your writing will stay on purpose and not drift away from the controlling idea. However, when writers are rushed, are tired, or cannot find the right words, their writing may become less than they want it to be. Their writing may no longer be clear and concise, and they may be adding information that is not needed to develop the main idea.

When a piece of writing has unity , all the ideas in each paragraph and in the entire essay clearly belong and are arranged in an order that makes logical sense. When the writing has coherence , the ideas flow smoothly. The wording clearly indicates how one idea leads to another within a paragraph and from paragraph to paragraph.

Reading your writing aloud will often help you find problems with unity and coherence. Listen for the clarity and flow of your ideas. Identify places where you find yourself confused, and write a note to yourself about possible fixes.

Creating Unity

Sometimes writers get caught up in the moment and cannot resist a good digression. Even though you might enjoy such detours when you chat with friends, unplanned digressions usually harm a piece of writing.

Mariah stayed close to her outline when she drafted the three body paragraphs of her essay she tentatively titled “Digital Technology: The Newest and the Best at What Price?” But a recent shopping trip for an HDTV upset her enough that she digressed from the main topic of her third paragraph and included comments about the sales staff at the electronics store she visited. When she revised her essay, she deleted the off-topic sentences that affected the unity of the paragraph.

Read the following paragraph twice, the first time without Mariah’s changes, and the second time with them.

Nothing is more confusing to me than choosing among televisions. It confuses lots of people who want a new high-definition digital television (HDTV) with a large screen to watch sports and DVDs on. You could listen to the guys in the electronics store, but word has it they know little more than you do. They want to sell what they have in stock, not what best fits your needs. You face decisions you never had to make with the old, bulky picture-tube televisions. Screen resolution means the number of horizontal scan lines the screen can show. This resolution is often 1080p, or full HD, or 768p. The trouble is that if you have a smaller screen, 32 inches or 37 inches diagonal, you won’t be able to tell the difference with the naked eye. The 1080p televisions cost more, though, so those are what the salespeople want you to buy. They get bigger commissions. The other important decision you face as you walk around the sales floor is whether to get a plasma screen or an LCD screen. Now here the salespeople may finally give you decent info. Plasma flat-panel television screens can be much larger in diameter than their LCD rivals. Plasma screens show truer blacks and can be viewed at a wider angle than current LCD screens. But be careful and tell the salesperson you have budget constraints. Large flat-panel plasma screens are much more expensive than flat-screen LCD models. Don’t let someone make you by more television than you need!

  • Now start to revise the first draft of the essay you wrote in Section 8 “Writing Your Own First Draft” . Reread it to find any statements that affect the unity of your writing. Decide how best to revise.

When you reread your writing to find revisions to make, look for each type of problem in a separate sweep. Read it straight through once to locate any problems with unity. Read it straight through a second time to find problems with coherence. You may follow this same practice during many stages of the writing process.

Writing at Work

Many companies hire copyeditors and proofreaders to help them produce the cleanest possible final drafts of large writing projects. Copyeditors are responsible for suggesting revisions and style changes; proofreaders check documents for any errors in capitalization, spelling, and punctuation that have crept in. Many times, these tasks are done on a freelance basis, with one freelancer working for a variety of clients.

Creating Coherence

Careful writers use transitions to clarify how the ideas in their sentences and paragraphs are related. These words and phrases help the writing flow smoothly. Adding transitions is not the only way to improve coherence, but they are often useful and give a mature feel to your essays. Table 8.3 “Common Transitional Words and Phrases” groups many common transitions according to their purpose.

After Maria revised for unity, she next examined her paragraph about televisions to check for coherence. She looked for places where she needed to add a transition or perhaps reword the text to make the flow of ideas clear. In the version that follows, she has already deleted the sentences that were off topic.

Many writers make their revisions on a printed copy and then transfer them to the version on-screen. They conventionally use a small arrow called a caret (^) to show where to insert an addition or correction.

Being Clear and Concise

Some writers are very methodical and painstaking when they write a first draft. Other writers unleash a lot of words in order to get out all that they feel they need to say. Do either of these composing styles match your style? Or is your composing style somewhere in between? No matter which description best fits you, the first draft of almost every piece of writing, no matter its author, can be made clearer and more concise.

If you have a tendency to write too much, you will need to look for unnecessary words. If you have a tendency to be vague or imprecise in your wording, you will need to find specific words to replace any overly general language.

Identifying Wordiness

Sometimes writers use too many words when fewer words will appeal more to their audience and better fit their purpose. Here are some common examples of wordiness to look for in your draft. Eliminating wordiness helps all readers, because it makes your ideas clear, direct, and straightforward.

Sentences that begin with There is or There are .

Wordy: There are two major experiments that the Biology Department sponsors.

Revised: The Biology Department sponsors two major experiments.

Sentences with unnecessary modifiers.

Wordy: Two extremely famous and well-known consumer advocates spoke eloquently in favor of the proposed important legislation.

Revised: Two well-known consumer advocates spoke in favor of the proposed legislation.

Sentences with deadwood phrases that add little to the meaning. Be judicious when you use phrases such as in terms of , with a mind to , on the subject of , as to whether or not , more or less , as far as…is concerned , and similar expressions. You can usually find a more straightforward way to state your point.

Wordy: As a world leader in the field of green technology, the company plans to focus its efforts in the area of geothermal energy.

A report as to whether or not to use geysers as an energy source is in the process of preparation.

Revised: As a world leader in green technology, the company plans to focus on geothermal energy.

A report about using geysers as an energy source is in preparation.

Sentences in the passive voice or with forms of the verb to be . Sentences with passive-voice verbs often create confusion, because the subject of the sentence does not perform an action. Sentences are clearer when the subject of the sentence performs the action and is followed by a strong verb. Use strong active-voice verbs in place of forms of to be , which can lead to wordiness. Avoid passive voice when you can.

Wordy: It might perhaps be said that using a GPS device is something that is a benefit to drivers who have a poor sense of direction.

Revised: Using a GPS device benefits drivers who have a poor sense of direction.

Sentences with constructions that can be shortened.

Wordy: The e-book reader, which is a recent invention, may become as commonplace as the cell phone.

My over-sixty uncle bought an e-book reader, and his wife bought an e-book reader, too.

Revised: The e-book reader, a recent invention, may become as commonplace as the cell phone.

My over-sixty uncle and his wife both bought e-book readers.

Now return once more to the first draft of the essay you have been revising. Check it for unnecessary words. Try making your sentences as concise as they can be.

Choosing Specific, Appropriate Words

Most college essays should be written in formal English suitable for an academic situation. Follow these principles to be sure that your word choice is appropriate. For more information about word choice, see Chapter 4 “Working with Words: Which Word Is Right?” .

  • Avoid slang. Find alternatives to bummer , kewl , and rad .
  • Avoid language that is overly casual. Write about “men and women” rather than “girls and guys” unless you are trying to create a specific effect. A formal tone calls for formal language.
  • Avoid contractions. Use do not in place of don’t , I am in place of I’m , have not in place of haven’t , and so on. Contractions are considered casual speech.
  • Avoid clichés. Overused expressions such as green with envy , face the music , better late than never , and similar expressions are empty of meaning and may not appeal to your audience.
  • Be careful when you use words that sound alike but have different meanings. Some examples are allusion/illusion , complement/compliment , council/counsel , concurrent/consecutive , founder/flounder , and historic/historical . When in doubt, check a dictionary.
  • Choose words with the connotations you want. Choosing a word for its connotations is as important in formal essay writing as it is in all kinds of writing. Compare the positive connotations of the word proud and the negative connotations of arrogant and conceited .
  • Use specific words rather than overly general words. Find synonyms for thing , people , nice , good , bad , interesting , and other vague words. Or use specific details to make your exact meaning clear.

Now read the revisions Mariah made to make her third paragraph clearer and more concise. She has already incorporated the changes she made to improve unity and coherence.

2. Now return once more to your essay in progress. Read carefully for problems with word choice. Be sure that your draft is written in formal language and that your word choice is specific and appropriate.

Completing a Peer Review

After working so closely with a piece of writing, writers often need to step back and ask for a more objective reader. What writers most need is feedback from readers who can respond only to the words on the page. When they are ready, writers show their drafts to someone they respect and who can give an honest response about its strengths and weaknesses.

You, too, can ask a peer to read your draft when it is ready. After evaluating the feedback and assessing what is most helpful, the reader’s feedback will help you when you revise your draft. This process is called peer review .

You can work with a partner in your class and identify specific ways to strengthen each other’s essays. Although you may be uncomfortable sharing your writing at first, remember that each writer is working toward the same goal: a final draft that fits the audience and the purpose. Maintaining a positive attitude when providing feedback will put you and your partner at ease. The box that follows provides a useful framework for the peer review session.

One of the reasons why word-processing programs build in a reviewing feature is that workgroups have become a common feature in many businesses. Writing is often collaborative, and the members of a workgroup and their supervisors often critique group members’ work and offer feedback that will lead to a better final product.

Exchange essays with a classmate and complete a peer review of each other’s draft in progress. Remember to give positive feedback and to be courteous and polite in your responses. Focus on providing one positive comment and one question for more information to the author.

Using Feedback Objectively

The purpose of peer feedback is to receive constructive criticism of your essay. Your peer reviewer is your first real audience, and you have the opportunity to learn what confuses and delights a reader so that you can improve your work before sharing the final draft with a wider audience (or your intended audience).

It may not be necessary to incorporate every recommendation your peer reviewer makes. However, if you start to observe a pattern in the responses you receive from peer reviewers, you might want to take that feedback into consideration in future assignments. For example, if you read consistent comments about a need for more research, then you may want to consider including more research in future assignments.

Using Feedback from Multiple Sources

You might get feedback from more than one reader as you share different stages of your revised draft. In this situation, you may receive feedback from readers who do not understand the assignment or who lack your involvement with and enthusiasm for it.

You need to evaluate the responses you receive according to two important criteria:

  • Determine if the feedback supports the purpose of the assignment.
  • Determine if the suggested revisions are appropriate to the audience.

Then, using these standards, accept or reject revision feedback.

Work with two partners. Go back to Note 8.81 “Exercise 4” in this lesson and compare your responses to Activity A, about Mariah’s paragraph, with your partners’. Recall Mariah’s purpose for writing and her audience. Then, working individually, list where you agree and where you disagree about revision needs.

Editing Your Draft

If you have been incorporating each set of revisions as Mariah has, you have produced multiple drafts of your writing. So far, all your changes have been content changes. Perhaps with the help of peer feedback, you have made sure that you sufficiently supported your ideas. You have checked for problems with unity and coherence. You have examined your essay for word choice, revising to cut unnecessary words and to replace weak wording with specific and appropriate wording.

The next step after revising the content is editing. When you edit, you examine the surface features of your text. You examine your spelling, grammar, usage, and punctuation. You also make sure you use the proper format when creating your finished assignment.

Editing often takes time. Budgeting time into the writing process allows you to complete additional edits after revising. Editing and proofreading your writing helps you create a finished work that represents your best efforts. Here are a few more tips to remember about your readers:

  • Readers do not notice correct spelling, but they do notice misspellings.
  • Readers look past your sentences to get to your ideas—unless the sentences are awkward, poorly constructed, and frustrating to read.
  • Readers notice when every sentence has the same rhythm as every other sentence, with no variety.
  • Readers do not cheer when you use there , their , and they’re correctly, but they notice when you do not.
  • Readers will notice the care with which you handled your assignment and your attention to detail in the delivery of an error-free document..

The first section of this book offers a useful review of grammar, mechanics, and usage. Use it to help you eliminate major errors in your writing and refine your understanding of the conventions of language. Do not hesitate to ask for help, too, from peer tutors in your academic department or in the college’s writing lab. In the meantime, use the checklist to help you edit your writing.

Editing Your Writing

  • Are some sentences actually sentence fragments?
  • Are some sentences run-on sentences? How can I correct them?
  • Do some sentences need conjunctions between independent clauses?
  • Does every verb agree with its subject?
  • Is every verb in the correct tense?
  • Are tense forms, especially for irregular verbs, written correctly?
  • Have I used subject, object, and possessive personal pronouns correctly?
  • Have I used who and whom correctly?
  • Is the antecedent of every pronoun clear?
  • Do all personal pronouns agree with their antecedents?
  • Have I used the correct comparative and superlative forms of adjectives and adverbs?
  • Is it clear which word a participial phrase modifies, or is it a dangling modifier?

Sentence Structure

  • Are all my sentences simple sentences, or do I vary my sentence structure?
  • Have I chosen the best coordinating or subordinating conjunctions to join clauses?
  • Have I created long, overpacked sentences that should be shortened for clarity?
  • Do I see any mistakes in parallel structure?

Punctuation

  • Does every sentence end with the correct end punctuation?
  • Can I justify the use of every exclamation point?
  • Have I used apostrophes correctly to write all singular and plural possessive forms?
  • Have I used quotation marks correctly?

Mechanics and Usage

  • Can I find any spelling errors? How can I correct them?
  • Have I used capital letters where they are needed?
  • Have I written abbreviations, where allowed, correctly?
  • Can I find any errors in the use of commonly confused words, such as to / too / two ?

Be careful about relying too much on spelling checkers and grammar checkers. A spelling checker cannot recognize that you meant to write principle but wrote principal instead. A grammar checker often queries constructions that are perfectly correct. The program does not understand your meaning; it makes its check against a general set of formulas that might not apply in each instance. If you use a grammar checker, accept the suggestions that make sense, but consider why the suggestions came up.

Proofreading requires patience; it is very easy to read past a mistake. Set your paper aside for at least a few hours, if not a day or more, so your mind will rest. Some professional proofreaders read a text backward so they can concentrate on spelling and punctuation. Another helpful technique is to slowly read a paper aloud, paying attention to every word, letter, and punctuation mark.

If you need additional proofreading help, ask a reliable friend, a classmate, or a peer tutor to make a final pass on your paper to look for anything you missed.

Remember to use proper format when creating your finished assignment. Sometimes an instructor, a department, or a college will require students to follow specific instructions on titles, margins, page numbers, or the location of the writer’s name. These requirements may be more detailed and rigid for research projects and term papers, which often observe the American Psychological Association (APA) or Modern Language Association (MLA) style guides, especially when citations of sources are included.

To ensure the format is correct and follows any specific instructions, make a final check before you submit an assignment.

How to revise drafts, now the real work begins....

After writing the first draft of an essay, you may think much of your work is done, but actually the real work – revising – is just beginning. The good news is that by this point in the writing process you have gained some perspective and can ask yourself some questions: Did I develop my subject matter appropriately? Did my thesis change or evolve during writing? Did I communicate my ideas effectively and clearly? Would I like to revise, but feel uncertain about how to do it?

How to Revise

First, put your draft aside for a little while.  Time away from your essay will allow for more objective self-evaluation. When you do return to the draft, be honest with yourself; ask yourself what you really think about the paper.

Check the  focus  of the paper.  Is it appropriate to the assignment prompt? Is the topic too big or too narrow? Do you stay on track throughout the entire paper? (At this stage, you should be concerned with the large, content-related issues in the paper, not the grammar and sentence structure).

Get  feedback .  Since you already know what you’re trying to say, you aren’t always the best judge of where your draft is clear or unclear. Let another reader tell you. Then discuss aloud what you were trying to achieve. In articulating for someone else what you meant to argue, you will clarify ideas for yourself.

Think honestly about your thesis.  Do you still agree with it? Should it be modified in light of something you discovered as you wrote the paper? Does it make a sophisticated, provocative point? Or does it just say what anyone could say if given the same topic? Does your thesis generalize instead of taking a specific position? Should it be changed completely?

Examine the  balance  within your paper.  Are some parts out of proportion with others? Do you spend too much time on one trivial point and neglect a more important point? Do you give lots of details early on and then let your points get thinner by the end? Based on what you did in the previous step, restructure your argument: reorder your points and cut anything that’s irrelevant or redundant. You may want to return to your sources for additional supporting evidence.

Now that you know what you’re really arguing, work on your  introduction and conclusion . Make sure to begin your paragraphs with topic sentences, linking the idea(s) in each paragraph to those proposed in the thesis.

Proofread.  Aim for precision and economy in language. Read aloud so you can hear imperfections. (Your ear may pick up what your eye has missed). Note that this step comes LAST. There’s no point in making a sentence grammatically perfect if it’s going to be changed or deleted anyway.

As you revise your own work, keep the following in mind:

Revision means rethinking your thesis. It is unreasonable to expect to come up with the best thesis possible – one that accounts for all aspects of your topic – before beginning a draft, or even during a first draft. The best theses evolve; they are actually produced during the writing process. Successful revision involves bringing your thesis into focus—or changing it altogether.

Revision means making structural changes. Drafting is usually a process of discovering an idea or argument. Your argument will not become clearer if you only tinker with individual sentences. Successful revision involves bringing the strongest ideas to the front of the essay, reordering the main points, and cutting irrelevant sections. It also involves making the argument’s structure visible by strengthening topic sentences and transitions.

Revision takes time. Avoid shortcuts: the reward for sustained effort is an essay that is clearer, more persuasive, and more sophisticated.

Think about your purpose in writing: Does your introduction clearly state what you intend to do? Will your aims be clear to your readers?

Check the organization. Does your paper follow a pattern that makes sense? Doe the transitions move your readers smoothly from one point to the next? Do the topic sentences of each paragraph appropriately introduce what that paragraph is about? Would your paper be work better if you moved some things around?

Check your information. Are all your facts accurate? Are any of our statements misleading? Have you provided enough detail to satisfy readers’ curiosity? Have you cited all your information appropriately?

Revision doesn’t necessarily mean rewriting the whole paper. Sometimes it means revising the thesis to match what you’ve discovered while writing. Sometimes it means coming up with stronger arguments to defend your position, or coming up with more vivid examples to illustrate your points. Sometimes it means shifting the order of your paper to help the reader follow your argument, or to change the emphasis of your points. Sometimes it means adding or deleting material for balance or emphasis. And then, sadly, sometimes revision does mean trashing your first draft and starting from scratch. Better that than having the teacher trash your final paper.

Revising Sentences

Read your paper out loud, sentence by sentence, and look for places where you stumble or get lost in the middle of a sentence. These are obvious places that need fixing. Look for places where you get distracted or even bored – where you cannot concentrate. These are places where you probably lost focus or concentration in your writing. Cut through the extra words or vagueness or digression: get back to the energy.

Tips for writing good sentences:

Use forceful verbs – replace long verb phrases with a more specific verb. For example, replace “She argues for the importance of the idea” with ‘she defends the idea.” Also, try to stay in the active voice.

Look for places where you’ve used the same word or phrase twice or more in consecutive sentences and look for alternative ways to say the same thing OR for ways to combine the two sentences.

Cut as many prepositional phrases as you can without losing your meaning. For instance, the sentence “There are several examples of the issue of integrity in  Huck Finn ” would be much better this way: “ Huck Finn  repeated addresses the issue of integrity.”

Check your sentence variety. IF more than two sentences in a row start the same way (with a subject followed by a verb, for example), then try using a different sentence pattern. Also, try to mix simple sentences with compound and compound-complex sentences for variety.

Aim for precision in word choice. Don’t settle for the best word you can think of at the moment—use a thesaurus (along with a dictionary) to search for the word that says exactly what you want to say.

Look for sentences that start with “it is” or “there are” and see if you can revise them to be more active and engaging.

Here are some revision strategies to keep in mind:

Adjust your expectations .

  • Be aware that the first draft of your writing will need to go through the revision process. Even experienced and professional writers are not able to produce their best document the first time.  

Plan for revision time.

  • Give yourself time away from the document—an hour, a day, a week—so that you can look back at the document again with fresh eyes.

Think big picture.

  • Remember that the revision process focuses on your overall ideas and your overall organization. Use the revision checklist to check for this.

Set a goal for your revisions.

  • Think critically about your revisions and set clear writing goals to address skill development. If you have difficulty with conclusions, establish a writing goal to review the Writing Center’s resources on conclusions and apply those strategies to your next project. If you struggle with word choice, consider a goal where you use a thesaurus or other strategies to improve academic diction and then set up a paper review appointment to receive feedback on your revisions. For grammar errors, make a goal to keep a grammar revision journal of common errors, the required rule, and possible revisions. 

Become a peer reviewer.

  • Start a writing group or exchange drafts with some of your peers. Becoming a careful reader and responder to other people’s work will help you to more critically read and revise your own writing. 

Read your writing out loud.

  • Read your writing out loud to yourself or to someone else. Alternatively, have someone read your writing out loud to you. This will give you a chance to hear the words outside of your own head and give you the opportunity to listen for how the ideas and the words flow together and/or where they become confusing.

Save each draft as its own separate document.

  • Each time you revise a draft, save it as a new file. That way, if you decide to go back to something you wrote previously, you have access to the previous version.

Using a revision checklist may be helpful to think about the piece of writing as a whole. Use this model or create a checklist of your own.

  • The introduction gives adequate and appropriate background information. It is organized from more general to more specific.
  • There is a clear thesis (or a clear controlling idea) in the introduction.
  • The body paragraphs of the document have a clear topic sentence /main idea. Each paragraph is focused on one main idea that is relevant to the topic of the paragraph as well as to the overall thesis. Using the MEAL plan may help with this.
  • Each body paragraph is adequately developed .
  • Ideas are cohesive and flow from one to the next. Transitions between paragraphs and between sentences are used effectively.
  • The conclusion successfully signals the end of the document.
  • Formal scholarly voice is used throughout the document.

Structured Revision – How to Revise

Some situations require substantive revision whereas others require moderate or light revision. For instance,

  • if you are writing an essay for class and it constitutes a major part of your grade, then you may need to spend considerable time revising it
  • if you are writing a proposal to a client for a big job, you know you cannot rest until your writing demonstrates that you understand the clients’ perspective
  • if you are writing an email to a friend, your discourse is likely to be more informal than if you are writing to an academic or professional audience .

Because every situation is difficult, there is no one single way to revise documents. However, this doesn’t mean you need to treat every writing task as if it’s a space walk. There are, in practice, a number of discourse conventions that define the discourse practices of writers in academic and professional writing contexts .

Step 1: Engage in Rhetorical Reasoning

Your first step when developing a plan for revising a document is taking an honest look at the rhetorical situation :

What is the Rhetorical Situation ?

As a first step in rhetorical analysis question

  • Who your audience ?
  • What do you hope to achieve by writing this document?
  • What is your purpose ? thesis? research question?

, question is. What do they need from you? What is your purpose? thesis? What is your context? Is this

  • a personal situation
  • a workplace situation
  • a school situation
  • an applied or basic research situation ?

By engaging in audience analysis, you can learn the discourse conventions your audiences expects you to adopt in order to communicate with them. that characterize the works of discourse community. For instance,

  • the evaluative criteria might focus on tone as it reflects sincerity, honesty, candor, authenticity, trustworthiness
  • writers, speakers, knowledge workers adopt
  • the evaluative criteria might focus on Information Literacy Perspectives & Practices , research methods , and citation.

Step 2: Inspect the Document @ the Global Level

After you have reflected on the exigency, the call to write , you are ready to analyze the document at a higher-level of abstraction — the Global Level , or, what some people call the rhetorical level.

Begin your inspection by focusing only on the top-level elements , such as

  • Letter of Transmittal
  • Executive Summary
  • Statement of the Problem
  • Research Methods
  • Results (optional)
  • Recommendations
  • Implementation Schedule
  • Budget (guesstimate)
  • Call to Action

At this point, you’re looking for problems in the document’s organizational schema.

At a glance, does the title, introduction, and headings (along with the table of contents if one exists) answer these questions for the intended reader, listener, user . . . of the document: 

  • What is this document about?
  • What organizational problem or need is being address?
  • What is the occasion for this report?
  • What type of document is this?
  • What will the document accomplish?
  • Where in the document can I find answers to the questions I might logically have?

If you cannot answer these questions based on a quick skim, make notes about the problems you see.

At the global level , you’re likely to encounter

Step 3: Inspect the Document @ the Section Level

Next, critique the document section-by-section.

The intended readers for the document should be able to skim a section and answer these questions for that section : 

  • What is this section about?
  • What is the function of this section?
  • What topics does this section address?
  • How does this section connect to the sections before/after it?

If you cannot answer these questions, make notes about the problems you see.

At the section level , you’re likely to encounter

  • rhetorical problems
  • structural problems, and
  • language problems , as outlined below:

To find rhetorical problems, ask these questions:

  • Does the opening mislead readers?
  • Do the headings mislead readers?
  • Are the visuals and data appropriate for the target audience?
  • Does color or design mislead readers by focusing their attention on less important information?

To find structural problems, ask these questions:

  • Is this section one that conventional report structure would place in this location? Is this where a reader would expect to find this section?
  • Does the heading adequately and accurately reflect the section’s contents (e.g. does the heading say the section is going to address a topic that the section does not actually address?)
  • Are topics unbalanced?
  • Do key topics need to be addressed in more depth because readers will find them challenging?
  • Is color used consistently?

Keep an eye out for parallelism problems . Look at headings, opening paragraphs , subheadings, topic sentences , transitions , and visuals .

Language Problems concern how  a  text  is  composed  — its  diction ,  grammar , use of  mechanics ,  sentence structure , and  style of writing .  concern The Elements of Style , especially brevity , clarity , flow , simplicity , and unity

To find language problems, ask these questions:

  • Is the diction appropriate for the target audience(s)?
  • Is the style of writing appropriate given the rhetorical situation ?
  • Are key terms used consistently across sections?

Step 4: Inspect the Document at the Paragraph Level

Read the document paragraph-by-paragraph, placing check marks as you go.

Your goal is to analyze whether the paragraphs in the document are well formed and structured.

  • Do the paragraphs conform to the reader’s expectations for the genre and media of the document?
  • Are the paragraphs unified?
  • Is there a logical progression across paragraphs, informed by the given to new contract?
  • Does the document use the rhetorical moves you believe it needs to help readers better understand paragraph unity and paragraph transitions?
  • Are the paragraphs following a coordinate order, deductive order, or Inductive order? Would you recommend a different order to improve flow?
  • What recommendations, if any, would you make regarding paragraph transitions ?

Step 5: Inspect the Document at the Sentence Level

Sentence-level perspective.

As you re-read your work or the work of others, place check marks next to:

  • Sentences you find tedious
  • Sentences you have to read more than once
  • Sentences you don’t quite feel right about

Are there any problems in the document with brevity ; clarity ; flow, coherence, unity; and simplicity ?

What about grammar and mechanics ?

How to Revise Co-Authored Projects

Revising a document you wrote yourself can be hard work. Revising a document written by a group can be even more difficult:

  • Once any text exists, it’s hard to get rid of either because writers don’t want to “lose” their hard work or are afraid of cutting important information by mistake.
  • Documents – and especially formal reports – address multiple types of readers, whose needs and ways of interacting with the document differ.
  • Documents that have been written by a team will have more problems with consistency than documents written by individuals.
  • Writers may disagree about what changes to make.

Structured revision helps a team prioritize its revision efforts. It also allows the team to make strategic decisions about what work can be done and should be done given the time available and the relative importance of the project. 

Ideally, when conducted for a team project, individuals will independently conduct structured revisions before sharing insights with one another. This approach can help you answer the following questions:

  • What are the most significant problems in the document – and where are they located?
  • How much time do we have for revisions and editing?
  • Should we spend on our time on the top-level design of the document, the content of a particular section, or sentence-level problems?

What does it really mean to revise, and why is a it a separate step from editing? Look at the parts of the word revise : The prefix re- means again or anew , and – vise comes from the same root as vision —i.e., to see. Thus revising is "re-seeing" your paper in a new way. That is why revising here refers to improving the global structure and content of your paper, its organization and ideas , not grammar, spelling, and punctuation. That comes last.

Logically, we also revise before we edit because revising will most certainly mean adding and deleting and rewriting sentences and often entire paragraphs . And there is no sense in editing text that you are going to cut or editing and then adding material and having to edit again.

Revising an Argumentative Paper

Introduction

You’ve written a full draft of an argumentative paper. You’ve figured out what you’re generally saying and have put together one way to say it. But you’re not done. The best writing is revised writing, and you want to re–view, re–see, re–consider your argument to make sure that it’s as strong as possible. You’ll come back to smaller issues later (e.g., Is your language compelling? Are your paragraphs clearly and seamlessly connected? Are any of your sentences confusing?). But before you get into the details of phrases and punctuation, you need to focus on making sure your argument is as strong and persuasive as it can be. This page provides you with eight specific strategies for how to take on the important challenge of revising an argument.

  • Give yourself time.
  • Outline your argumentative claims and evidence.
  • Analyze your argument’s assumptions.
  • Revise with your audience in mind.
  • Be your own most critical reader.
  • Look for dissonance.
  • Try “provocative revision.”
  • Ask others to look critically at your argument.

1. Give yourself time.

The best way to begin re–seeing your argument is first to stop seeing it. Set your paper aside for a weekend, a day, or even a couple of hours. Of course, this will require you to have started your writing process well before your paper is due. But giving yourself this time allows you to refresh your perspective and separate yourself from your initial ideas and organization. When you return to your paper, try to approach your argument as a tough, critical reader. Reread it carefully. Maybe even read it out loud to hear it in a fresh way. Let the distance you created inform how you now see the paper differently.

2. Outline your argumentative claims and evidence.

This strategy combines the structure of a reverse outline with elements of argument that philosopher Stephen Toulmin detailed in his influential book The Uses of Argument . As you’re rereading your work, have a blank piece of paper or a new document next to you and write out:

  • Your main claim (your thesis statement).
  • Your sub–claims (the smaller claims that contribute to the larger claim).
  • All the evidence you use to back up each of your claims.

Detailing these core elements of your argument helps you see its basic structure and assess whether or not your argument is convincing. This will also help you consider whether the most crucial elements of the argument are supported by the evidence and if they are logically sequenced to build upon each other.

In this example, we’ve broken down the key argumentative claims and kinds of supporting evidence that Derek Thompson develops in his July/August 2015 Atlantic feature “ A World Without Work. ” This is a provocative and fascinating article, and we highly recommend it.

Charted Argumentative Claims and Evidence “ A World Without Work ” by Derek Thompson ( The Atlantic , July/August 2015) Main claim : Machines are making workers obsolete, and while this has the potential to disrupt and seriously damage American society, if handled strategically through governmental guidance, it also has the potential of helping us to live more communal, creative, and empathetic lives. Sub–claim : The disappearance of work would radically change the United States. Evidence: personal experience and observation Sub–claim : This is because work functions as something of an unofficial religion to Americans. Sub–claim : Technology has always guided the U.S. labor force. Evidence: historical examples Sub–claim: But now technology may be taking over our jobs. Sub–claim : However, the possibility that technology will take over our jobs isn’t anything new, nor is the fear that this possibility generates. Evidence: historical examples Sub–claim : So far, that fear hasn’t been justified, but it may now be because: 1. Businesses don’t require people to work like they used to. Evidence: statistics 2. More and more men and youths are unemployed. Evidence: statistics 3. Computer technology is advancing in majorly sophisticated ways. Evidence: historical examples and expert opinions Counter–argument: But technology has been radically advancing for 300 years and people aren’t out of work yet. Refutation: The same was once said about the horse. It was a key economic player; technology was built around it until technology began to surpass it. This parallels what will happen with retail workers, cashiers, food service employees, and office clerks. Evidence:: an academic study Counter–argument: But technology creates jobs too. Refutation: Yes, but not as quickly as it takes them away. Evidence: statistics Sub–claim : There are three overlapping visions of what the world might look like without work: 1. Consumption —People will not work and instead devote their freedom to leisure. Sub–claim : People don’t like their jobs. Evidence: polling data Sub–claim : But they need them. Evidence: expert insight Sub–claim : People might be happier if they didn’t have to work. Evidence: expert insight Counter–argument: But unemployed people don’t tend to be socially productive. Evidence: survey data Sub–claim : Americans feel guilty if they aren’t working. Evidence: statistics and academic studies Sub–claim : Future leisure activities may be nourishing enough to stave off this guilt. 2. Communal creativity —People will not work and will build productive, artistic, engaging communities outside the workplace. Sub–claim: This could be a good alternative to work. Evidence: personal experience and observation 3. Contingency —People will not work one big job like they used to and so will fight to regain their sense of productivity by piecing together small jobs. Evidence: personal experience and observation. Sub–claim : The internet facilitates gig work culture. Evidence: examples of internet-facilitated gig employment Sub–claim : No matter the form the labor force decline takes, it would require government support/intervention in regards to the issues of taxes and income distribution. Sub–claim : Productive things governments could do: • Local governments should create more and more ambitious community centers to respond to unemployment’s loneliness and its diminishment of community pride. • Government should create more small business incubators. Evidence: This worked in Youngstown. • Governments should encourage job sharing. Evidence: This worked for Germany. Counter–argument: Some jobs can’t be shared, and job sharing doesn’t fix the problem in the long term. Given this counter argument: • Governments should heavily tax the owners of capital and cut checks to all adults. Counter–argument: The capital owners would push against this, and this wouldn’t provide an alternative to the social function work plays. Refutation: Government should pay people to do something instead of nothing via an online job–posting board open up to governments, NGOs, and the like. • Governments should incentivize school by paying people to study. Sub–claim : There is a difference between jobs, careers, and calling, and a fulfilled life is lived in pursuit of a calling. Evidence: personal experience and observations

Some of the possible, revision-informing questions that this kind of outline can raise are:

  • Are all the claims thoroughly supported by evidence?
  • What kinds of evidence are used across the whole argument? Is the nature of the evidence appropriate given your context, purpose, and audience?
  • How are the sub–claims related to each other? How do they build off of each other and work together to logically further the larger claim?
  • Do any of your claims need to be qualified in order to be made more precise?
  • Where and how are counter–arguments raised? Are they fully and fairly addressed?

3. Analyze your argument’s assumptions.

In building arguments we make assumptions either explicitly or implicitly that connect our evidence to our claims. For example, in “A World Without Work,” as Thompson makes claims about the way technology will change the future of work, he is assuming that computer technology will keep advancing in major and surprising ways. This assumption helps him connect the evidence he provides about technology’s historical precedents to his claims about the future of work. Many of us would agree that it is reasonable to assume that technological advancement will continue, but it’s still important to recognize this as an assumption underlying his argument.

To identify your assumptions, return to the claims and evidence that you outlined in response to recommendation #2. Ask yourself, “What assumptions am I making about this piece of evidence in order to connect this evidence to this claim?” Write down those assumptions, and then ask yourself, “Are these assumptions reasonable? Are they acknowledged in my argument? If not, do they need to be?”

Often you will not overtly acknowledge your assumptions, and that can be fine. But especially if your readers don’t share certain beliefs, values, or knowledge, you can’t guarantee that they will just go along with the assumptions you make. In these situations, it can be valuable to clearly account for some of your assumptions within your paper and maybe even rationalize them by providing additional evidence. For example, if Thompson were writing his article for an audience skeptical that technology will continue advancing, he might choose to identify openly why he is convinced that humanity’s progression towards more complex innovation won’t stop.

4. Revise with your audience in mind.

We touched on this in the previous recommendation, but it’s important enough to expand on it further. Just as you should think about what your readers know, believe, and value as you consider the kinds of assumptions you make in your argument, you should also think about your audience in relationship to the kind of evidence you use. Given who will read your paper, what kind of argumentative support will they find to be the most persuasive? Are these readers who are compelled by numbers and data? Would they be interested by a personal narrative? Would they expect you to draw from certain key scholars in their field or avoid popular press sources or only look to scholarship that has been published in the past ten years? Return to your argument and think about how your readers might respond to it and its supporting evidence.

5. Be your own most critical reader.

Sometimes writing handbooks call this being the devil’s advocate. It is about intentionally pushing against your own ideas. Reread your draft while embracing a skeptical attitude. Ask questions like, “Is that really true?” and, “Where’s the proof?” Be as hard on your argument as you can be, and then let your criticisms inform what you need to expand on, clarify, and eliminate.

This kind of reading can also help you think about how you might incorporate or strengthen a counter–argument. By focusing on possible criticisms to your argument, you might encounter some that are particularly compelling that you’ll need to include in your paper. Sometimes the best way to revise with criticism in mind is to face that criticism head on, fairly explain what it is and why it’s important to consider, and then rationalize why your argument still holds even in light of this other perspective.

6. Look for dissonance.

In her influential 1980 article about how expert and novice writers revise differently, writing studies scholar Nancy Sommers claims that “at the heart of revision is the process by which writers recognize and resolve the dissonance they sense in their writing” (385). In this case, dissonance can be understood as the tension that exists between what you want your text to be, do, or sound like and what is actually on the page. One strategy for re–seeing your argument is to seek out the places where you feel dissonance within your argument—that is, substantive differences between what, in your mind, you want to be arguing, and what is actually in your draft.

A key to strengthening a paper through considering dissonance is to look critically—really critically—at your draft. Read through your paper with an eye towards content, assertions, or logical leaps that you feel uncertain about, that make you squirm a little bit, or that just don’t line up as nicely as you’d like. Some possible sources of dissonance might include:

  • logical steps that are missing
  • questions a skeptical reader might raise that are left unanswered
  • examples that don’t actually connect to what you’re arguing
  • pieces of evidence that contradict each other
  • sources you read but aren’t mentioning because they disagree with you

Once you’ve identified dissonance within your paper, you have to decide what to do with it. Sometimes it’s tempting to take the easy way out and just delete the idea, claim, or section that is generating this sense of dissonance—to remove what seems to be causing the trouble. But don’t limit yourself to what is easy. Perhaps you need to add material or qualify something to make your argumentative claim more nuanced or more contextualized.

Even if the dissonance isn’t easily resolved, it’s still important to recognize. In fact, sometimes you can factor that recognition into how you revise; maybe your revision can involve considering how certain concepts or ideas don’t easily fit but are still important in some way. Maybe your revision can involve openly acknowledging and justifying the dissonance.

Sommers claims that whether expert writers are substituting, adding, deleting, or reordering material in response to dissonance, what they are really doing is locating and creating new meaning. Let your recognition of dissonance within your argument lead you through a process of discovery.

7. Try “provocative revision.”

Composition and writing center scholar Toby Fulwiler wrote in 1992 about the benefits of what he calls “provocative revision.” He says this kind of revision can take four forms. As you think about revising your argument, consider adopting one of these four strategies.

a. Limiting

As Fulwiler writes, “Generalization is death to good writing. Limiting is the cure for generality” (191). Generalization often takes the form of sweeping introduction statements (e.g., “Since the beginning of time, development has struggled against destruction.”), but arguments can be too general as well. Look back at your paper and ask yourself, “Is my argument ever not grounded in specifics? Is my evidence connected to a particular time, place, community, and circumstance?” If your claims are too broad, you may need to limit your scope and zoom in to the particular.

Inserting new content is a particularly common revision strategy. But when your focus is on revising an argument, make sure your addition of another source, another example, a more detailed description, or a closer analysis is in direct service to strengthening the argument. Adding material may be one way to respond to dissonance. It also can be useful for offering clarifications or for making previously implicit assumptions explicit. But adding isn’t just a matter of dropping new content into a paragraph. Adding something new in one place will probably influence other parts of the paper, so be prepared to make other additions to seamlessly weave together your new ideas.

c. Switching

For Fulwiler, switching is about radically altering the voice or tone of a text—changing from the first–person perspective to a third–person perspective or switching from an earnest appeal to a sarcastic critique. When it comes to revising your argument, it might not make sense to make any of these switches, but imaging what your argument might sound like coming from a very different voice might be generative. For example, how would Thompson’s “A World Without Work,” be altered if it was written from the voice and perspective of an unemployed steel mill worker or someone running for public office in Ohio or a mechanical robotics engineer? Re–visioning how your argument might come across if the primary voice, tone, and perspective was switched might help you think about how someone disinclined to agree with your ideas might approach your text and open additional avenues for revision.

d. Transforming

According to Fulwiler, transformation is about altering the genre and/or modality of a text—revising an expository essay into a letter to the editor, turning a persuasive research paper into a ballad. If you’re writing in response to a specific assignment, you may not have the chance to transform your argument in this way. But, as with switching, even reflecting on the possibilities of a genre or modality transformation can be useful in helping you think differently about your argument. If Thompson has been writing a commencement address instead of an article, how would “A World Without Work” need to change? How would he need to alter his focus and approach if it was a policy paper or a short documentary? Imagining your argument in a completely different context can help you to rethink how you are presenting your argument and engaging with your audience.

8. Ask others to look critically at your argument.

Sometimes the best thing you can do to figure out how your argument could improve is to get a second opinion. Of course, if you are a currently enrolled student at UW–Madison, you are welcome to make an appointment to talk with a tutor at our main center or stop by one of our satellite locations. But you have other ways to access quality feedback from other readers. You may want to ask someone else in your class, a roommate, or a friend to read through your paper with an eye towards how the argument could be improved. Be sure to provide your reader with specific questions to guide his or her attention towards specific parts of your argument (e.g., “How convincing do you find the connection I make between the claims on page 3 and the evidence on page 4?” “What would clarify further the causal relationship I’m suggesting between the first and second sub-argument?”). Be ready to listen graciously and critically to any recommendations these readers provide.

In Stephen King’s On Writing: A Memoir of the Craft , he famously suggests that an important part of any writer’s toolkit is to create space between an initial draft and a later read. Some of his novel manuscripts would sit for months in a room before getting a fresh look. It takes time to achieve the right perspective.

Waiting that long isn’t practical for student writers, but it does suggest a certain mindset for thinking about early drafts. For the most part, powerful writing doesn’t emerge spontaneously from a writer’s mind in a fitful night of inspiration. Instead, experienced writer’s build critical distance into their writing process and view early drafts as something to be reworked.

This chapter offers suggestions to how to achieve such critical distance, as well as what it means to rework—or revise—a rough draft.

How to receive good feedback from other writers

This section on Peer Review has been adapted from Writing for Success , Chapter 8 , CC-BY-NC-SA 4.0.

After working so closely with a piece of writing, writers often need to step back and ask for a more objective reader. What writers most need is feedback from readers who can respond only to the words on the page. When they are ready, writers show their drafts to someone they respect and who can give an honest response about its strengths and weaknesses.

You, too, can ask a peer to read your draft when it is ready. After evaluating the feedback and assessing what is most helpful, the reader’s feedback will help you when you revise your draft. This process is called peer review.

You can work with a partner in your class and identify specific ways to strengthen each other’s essays. Although you may be uncomfortable sharing your writing at first, remember that each writer is working toward the same goal: a final draft that fits the audience and the purpose. Maintaining a positive attitude when providing feedback will put you and your partner at ease. The box that follows provides a useful framework for the peer review session.

Using Feedback Objectively

The purpose of peer feedback is to receive constructive criticism of your essay. Your peer reviewer is your first real audience, and you have the opportunity to learn what confuses and delights a reader so that you can improve your work before sharing the final draft with a wider audience (or your intended audience).

It may not be necessary to incorporate every recommendation your peer reviewer makes. However, if you start to observe a pattern in the responses you receive from peer reviewers, you might want to take that feedback into consideration in future assignments. For example, if you read consistent comments about a need for more research, then you may want to consider including more research in future assignments.

Using Feedback from Multiple Sources

You might get feedback from more than one reader as you share different stages of your revised draft. In this situation, you may receive feedback from readers who do not understand the assignment or who lack your involvement with and enthusiasm for it.

You need to evaluate the responses you receive according to two important criteria:

  • Determine if the feedback supports the purpose of the assignment.
  • Determine if the suggested revisions are appropriate to the audience.

Then, using these standards, accept or reject revision feedback.

How to leave good feedback for other writers

When other writers ask us to give feedback, it’s tempting to mimic what so many English instructors have done to our essays: go through the rough draft with a red pen in hand (literal or figurative), marking grammatical errors, and crossing out words and sentences. Peer review, in this manner, feels like flogging. The more criticisms we can offer, the better we feel about our comments.

As the author of the draft being reviewed, how does that kind of feedback feel? Were you motivated to excel? Did you feel empowered to move forward and hone your expertise as a burgeoning writer? Some might, but most feel the opposite. An entirely critical (in the negative sense) approach to peer review might make the reviewer feel good about themselves, but it only demotivates the author.

Leaving feedback that is constructive, on target, and empowering is a life skill. It’s not only something you’ll do in writing courses. Nearly all professional jobs require employees and administrators to review one another, usually on a fairly consistent basis. Here are some tips for practice helpful feedback.

Start by noticing

Eli Review offers a high-quality platform for doing peer reviews, and part of its framework is inspired by Bill Hart-Davison’s strategy of Describe – Evalute – Suggest, summarized by this short video:

The Hart-Davison heuristic works in part because it encourages peer reviewers to begin by noticing what the writer is doing (or attempting to do). This first step aims to be as neutral as possible. Language that notices might sound something like:

Overall, I see that you’re arguing ___________. Your essay opens by ___________.You then ___________. Finally, the last few paragraphs of the essay ___________.

Feedback that notices accurately “says back” to the writer what’s happening in the draft. This saying-back allows them to see how their draft is being received, in comparison with what they thought they were doing.

When evaluating, share criteria

The second move in Hart-Davison’s heuristic is to evaluate a draft by clearly sharing the criteria the peer reviewer is using. In a course, these criteria might be the course outcomes, or the more specific outcomes pertaining to that Unit. Perhaps an assignment expects a student to practice certain persuasive strategies; or, instead, an essay prompt might ask students to analyze something according to certain key concepts. The peer reviewer should read and offer feedback with those particular outcomes in mind. But there are also broader composition strategies that apply to nearly all writing situations. Writing for unity, coherence, cohesion, and style are important goals for all forms of writing. The second half of this chapter offers tips for tackling those areas.

Language that evaluates might sound something like this:

When reading your draft for coherence and cohesion, I notice a few areas that feel unclear to me as a reader. On page 2, for example, ___________.

When making suggestions, remain constructive and ask questions

The final move in the Hart-Davison heuristic is to “make suggestions for success.” This is where a reader can begin to offer more targeted comments on what steps the writer can make to improve their draft. Even here, however, it’s important to think about how your feedback will be received. Tone matters. Notice the difference between the following two suggestions:

You make a lot of grammatical mistakes on page 3. Fix them.

I think I understand the main idea of your third paragraph, but it took me awhile to figure it out. Can you add a sentence or two earlier in the paragraph to make it more obvious?

The first example above sounds harsher. It’s also a little vague. As a writer, if I’m told I made a lot of grammatical mistakes, I’ll probably feel like I’m failing the English language more generally (that’s how it comes across). The second example avoids generalizing the identity of the writer because it’s highly targeted. The second example also has a more constructive tone because it frames the suggestion as a question rather than a demand (can you _______? vs. do __________!).

When completing your peer reviews, you don’t have to follow each stage of the Hart-Davison heuristic. Sometimes it might feel more appropriate to jump right to the Evaluation stage, for example. But your peer feedback should usually:

  • accurately “say back” to the writer what their draft is doing,
  • evaluate according to clearly defined criteria,
  • offer constructive and empowering feedback.

Peer feedback that does those three things, in one way or another, will result in better drafts and help you become a more effective collaborator in whatever environment you’re in.

The remainder of this chapter will offer revision strategies that both writers and peer reviewers should use to read an early draft critically.

Revising and Editing: Five Steps for Academic Writing

Have your ever been told to “revise” your paper or to “edit” a peer’s paper? What do these words mean? Just as writing is a process, effective revising and editing also involves several steps. If you focus on one step at a time and take a break between steps, you’ll be able to make sure that your paper includes all of the required elements in the right order and that your academic style is confident and competent.

Step One: Revise for Unity

When we talk about unity in academic writing, we mean that all of the parts of the paper are unified with the thesis statement. When you revise for unity, you’re making sure that you have a clear thesis statement and that every part of the paper clearly supports the thesis statement in some way. Here are some questions to ask yourself as you revise for unity:

  • Does the paper meet the requirements of the assignment?​
  • Do all parts of the essay support the thesis statement?​
  • Does each paragraph have a clear topic sentence that relates to the thesis statement?​
  • Do all of the sentences in each paragraph relate to the topic sentence?​
  • Are your paragraphs too short?​ An effective paragraph has a clear topic sentence, 3-4 supporting sentences with specific, concrete details, and a concluding sentence.
  • Are your paragraphs too long?​ If you see a “monster” paragraph (a page in length or more), you may want to make sure that the paragraph has unity. Even though you may have written about a single topic, when your paragraph is too long, you have probably shifted your ideas about the topic. It’s okay to write two (or more) paragraphs about a single point.

Step Two: Revise for Adequate Support

In this step of the revision process, you’ll want to look at the ideas and sources (if required) that you use to support your thesis statement.

Here are some questions to ask yourself:

  • Does the paper use sources and/or relevant personal experiences to support the thesis?​ In some types of essays such as narrative essays, you’ll rely on your relevant personal experiences. In other types of essays such as exploratory research, you’ll rely more on sources. Argument essays often include a mix of sources and relevant personal experiences.
  • Are the sources/experiences used relevant to the thesis? Make sure that the examples you use clearly support your thesis statement. For example, if you are writing a paper about apples and you have an example that involves oranges as support, you may need to find a better source.​
  • Are direct quotes used? In papers where source use is required, a good rule of thumb is to make sure that direct quotes are no more than 10% of your overall paper. If your paper is 1000 words long, no more than 100 words should be directly quoted. If you directly quote, you must cite your source. Here is an example of a direct quote: “To be or not to be: That is the question” ( Hamlet 3.1).​
  • Does the paper paraphrase sources to support the thesis?​ When your teacher asks you to use sources, you will likely need to paraphrase, or put quotes into your own words. Even when you paraphrase, you should still cite your source. Here is a paraphrase of the direct quote above: Hamlet wonders whether existence has a point ( Hamlet 3.1)​.
  • Is there enough support? The answer to this question will depend on the assignment requirements. One way to make sure that your paper has enough support is to make sure that you have met the word or page count requirements for the assignment. If your paper is too short, you may want to consider adding more information from one of your sources or even finding another source.​ You could also consider adding relevant personal experience, depending on the assignment requirements.
  • Are your quotes and paraphrases all integrated into your paper? One of my students once coined the phrase “dead-dropped” for a quote that was dropped into a paper without context. You should check all of your direct quotes to make sure that you have introduced them appropriately. For example, you can use the phrase “According to X” to introduce a direct quote (where X is the author’s name).

Step Three: Revise for Coherence and Cohesion (Flow)

Once you’ve determined that your paper has unity and that you included adequate support, you’ll need to check the coherence or “flow” of your essay. When we talk about coherence in writing, we mean that the ideas flow logically and are connected and organized. One easy way to check this is to read your paper out loud. Do you find yourself stopping and starting, or wondering how one paragraph connects to the next? You may need to include transitions and other cues to help the reader follow your good ideas. Here are some questions to ask yourself as you revise for coherence:

  • Do you have an effective introduction and conclusion? An introduction gives you a chance to “hook” the reader, while a conclusion circles back to the introduction and explains “so what?” to the reader. Framing your essay in this way will help your reader to understand your ideas and your point.​ Because the introduction is so important, I often write the introduction to my essays last, after I have set out all of my ideas and explained why they matter in a conclusion.
  • Does the paper flow logically? There are several ways that you can organize your ideas. Time or chronological order makes sense for narratives or for essays where historical context matters. Order of importance may work well for argument, where you can start with either your strongest or your weakest point (inductive or deductive reasoning).
  • Do you use transitions to connect your ideas? Transitional expressions are critical to your essay’s flow. ​
  • Does the paper “make sense”?​ This is one place that a peer review can really help you. Sometimes my ideas make perfect sense to me–but another reader may struggle to understand how I reach a conclusion or organize my argument. Pay attention to your readers’ comments here.
  • Are the paragraphs in the right order, or do you need to move things around to make them more clear?​ One of my own writing challenges is making sure that my paragraphs are in the right order. Sometimes we get the idea that our paragraphs or even our sentences are “fixed” once we put them on paper, but nothing could be further from the truth! Think of your essay draft as a sandbox. You need ideas to work with, but you may need to shape those ideas differently once you have them on paper. One trick that I use myself is to print my papers out, cut them up into paragraphs, and try moving paragraphs around to see what flows best.

Step Four: Revise for Style

Once you’ve written an effective introduction, organized your paragraphs, and connected your ideas with transitional expressions, it’s time to focus on academic style. One common misconception is that academic style involves big fancy words and passive construction. Here is an example of what some students think of when we talk about academic style:

In the present instance, it must be construed that rhetorical constructs are most efficacious when these constructs elucidate the matter at hand.

And here is the same sentence written in plain English:

As we can see, rhetorical constructs are most effective when they clarify the point we are trying to make.

Remember that the goal of writing, first and foremost, is to communicate. It’s okay to use a fancy word once in a while (my own personal favorite is the verb ameliorate , which means “to make things better”). But in general, it’s best to eschew obfuscation (avoid unnecessarily difficult terms) when writing for an academic audience.

Here are a few things to look for as you revise for academic style:

  • Academic (formal) tone—no “you” or “one” because these pronouns are broad and vague (but “I/we” are fine)​
  • Appropriate language​
  • Clichés and colloquial language​
  • Sentence variety (simple, compound, complex)​
  • Author voice ​
  • Active vs. passive construction​ I wrote the paper. YES!​ The paper was written by me. NO!​

Note: use a grammar checker as you revise for academic style. For example, the blue squiggly lines in Word’s grammar checker may indicate style problems.

Step Five: Edit for Mechanics/Format

All of us make minor grammar and spelling errors from time to time. And academic format can be tough at first, especially if your teacher requires a citation style that you aren’t used to. For example, I teach APA style in my rhetoric and composition classes because this is the citation and format style that most students will use in their majors. Here’s a quick checklist of things to look for in this final step of the revising and editing process:

  • Spelling (pay close attention to words that are often confused, such as “affect/effect”).​
  • Punctuation (pay special attention to commas).
  • Paragraph formatting–tab indent and remove spaces before or after paragraphs.
  • Citation format. The OWL at Purdue is a good resource for both MLA and APA style.
  • Essay format–check your instructor’s requirements and ask for help if you aren’t sure about something.

As you can see, the editing and revising process is an important part of your overall writing process. By taking the time to focus on these five areas, you’ll ensure that your paper is polished and professional.

Editing and Proofreading

What this handout is about.

This handout provides some tips and strategies for revising your writing. To give you a chance to practice proofreading, we have left seven errors (three spelling errors, two punctuation errors, and two grammatical errors) in the text of this handout. See if you can spot them!

Is editing the same thing as proofreading?

Not exactly. Although many people use the terms interchangeably, editing and proofreading are two different stages of the revision process. Both demand close and careful reading, but they focus on different aspects of the writing and employ different techniques.

Some tips that apply to both editing and proofreading

  • Get some distance from the text! It’s hard to edit or proofread a paper that you’ve just finished writing—it’s still to familiar, and you tend to skip over a lot of errors. Put the paper aside for a few hours, days, or weeks. Go for a run. Take a trip to the beach. Clear your head of what you’ve written so you can take a fresh look at the paper and see what is really on the page. Better yet, give the paper to a friend—you can’t get much more distance than that. Someone who is reading the paper for the first time, comes to it with completely fresh eyes.
  • Decide which medium lets you proofread most carefully. Some people like to work right at the computer, while others like to sit back with a printed copy that they can mark up as they read.
  • Try changing the look of your document. Altering the size, spacing, color, or style of the text may trick your brain into thinking it’s seeing an unfamiliar document, and that can help you get a different perspective on what you’ve written.
  • Find a quiet place to work. Don’t try to do your proofreading in front of the TV or while you’re chugging away on the treadmill. Find a place where you can concentrate and avoid distractions.
  • If possible, do your editing and proofreading in several short blocks of time. Your concentration may start to wane if you try to proofread the entire text at one time.
  • If you’re short on time, you may wish to prioritize. Make sure that you complete the most important editing and proofreading tasks.

Editing is what you begin doing as soon as you finish your first draft. You reread your draft to see, for example, whether the paper is well-organized, the transitions between paragraphs are smooth, and your evidence really backs up your argument. You can edit on several levels:

Have you done everything the assignment requires? Are the claims you make accurate? If it is required to do so, does your paper make an argument? Is the argument complete? Are all of your claims consistent? Have you supported each point with adequate evidence? Is all of the information in your paper relevant to the assignment and/or your overall writing goal? Overall structure

Does your paper have an appropriate introduction and conclusion? Is your thesis clearly stated in your introduction? Is it clear how each paragraph in the body of your paper is related to your thesis? Are the paragraphs arranged in a logical sequence? Have you made clear transitions between paragraphs? One way to check the structure of your paper is to make a reverse outline of the paper after you have written the first draft. Structure within paragraphs

Does each paragraph have a clear topic sentence? Does each paragraph stick to one main idea? Are there any extraneous or missing sentences in any of your paragraphs? (See our handout on paragraph development .)

Have you defined any important terms that might be unclear to your reader? Is the meaning of each sentence clear? (One way to answer this question is to read your paper one sentence at a time, starting at the end and working backwards so that you will not unconsciously fill in content from previous sentences.) Is it clear what each pronoun (he, she, it, they, which, who, this, etc.) refers to? Have you chosen the proper words to express your ideas? Avoid using words you find in the thesaurus that aren’t part of your normal vocabulary; you may misuse them.

Have you used an appropriate tone (formal, informal, persuasive, etc.)? Is your use of gendered language (masculine and feminine pronouns like “he” or “she,” words like “fireman” that contain “man,” and words that some people incorrectly assume apply to only one gender—for example, some people assume “nurse” must refer to a woman) appropriate? Have you varied the length and structure of your sentences? Do you tends to use the passive voice too often? Does your writing contain a lot of unnecessary phrases like “there is,” “there are,” “due to the fact that,” etc.? Do you repeat a strong word (for example, a vivid main verb) unnecessarily? Have you appropriately cited quotes, paraphrases, and ideas you got from sources? Are your citations in the correct format? (See the UNC Libraries citation tutorial for more information.)

As you edit at all of these levels, you will usually make significant revisions to the content and wording of your paper. Keep an eye out for patterns of error; knowing what kinds of problems you tend to have will be helpful, especially if you are editing a large document like a thesis or dissertation. Once you have identified a pattern, you can develop techniques for spotting and correcting future instances of that pattern. For example, if you notice that you often discuss several distinct topics in each paragraph, you can go through your paper and underline the key words in each paragraph, then break the paragraphs up so that each one focuses on just one main idea.

Proofreading

Proofreading is the final stage of the editing process, focusing on surface errors such as misspellings and mistakes in grammar and punctuation. You should proofread only after you have finished all of your other editing revisions.

Why proofread? It’s the content that really matters, right?

Content is important. But like it or not, the way a paper looks affects the way others judge it. When you’ve worked hard to develop and present your ideas, you don’t want careless errors distracting your reader from what you have to say. It’s worth paying attention to the details that help you to make a good impression.

Most people devote only a few minutes to proofreading, hoping to catch any glaring errors that jump out from the page. But a quick and cursory reading, especially after you’ve been working long and hard on a paper, usually misses a lot. It’s better to work with a definite plan that helps you to search systematically for specific kinds of errors.

Sure, this takes a little extra time, but it pays off in the end. If you know that you have an effective way to catch errors when the paper is almost finished, you can worry less about editing while you are writing your first drafts. This makes the entire writing proccess more efficient.

Try to keep the editing and proofreading processes separate. When you are editing an early draft, you don’t want to be bothered with thinking about punctuation, grammar, and spelling. If your worrying about the spelling of a word or the placement of a comma, you’re not focusing on the more important task of developing and connecting ideas.

The proofreading process

You probably already use some of the strategies discussed below. Experiment with different tactics until you find a system that works well for you. The important thing is to make the process systematic and focused so that you catch as many errors as possible in the least amount of time.

  • Don’t rely entirely on spelling checkers. These can be useful tools but they are far from foolproof. Spell checkers have a limited dictionary, so some words that show up as misspelled may really just not be in their memory. In addition, spell checkers will not catch misspellings that form another valid word. For example, if you type “your” instead of “you’re,” “to” instead of “too,” or “there” instead of “their,” the spell checker won’t catch the error.
  • Grammar checkers can be even more problematic. These programs work with a limited number of rules, so they can’t identify every error and often make mistakes. They also fail to give thorough explanations to help you understand why a sentence should be revised. You may want to use a grammar checker to help you identify potential run-on sentences or too-frequent use of the passive voice, but you need to be able to evaluate the feedback it provides.
  • Proofread for only one kind of error at a time. If you try to identify and revise too many things at once, you risk losing focus, and your proofreading will be less effective. It’s easier to catch grammar errors if you aren’t checking punctuation and spelling at the same time. In addition, some of the techniques that work well for spotting one kind of mistake won’t catch others.
  • Read slow, and read every word. Try reading out loud , which forces you to say each word and also lets you hear how the words sound together. When you read silently or too quickly, you may skip over errors or make unconscious corrections.
  • Separate the text into individual sentences. This is another technique to help you to read every sentence carefully. Simply press the return key after every period so that every line begins a new sentence. Then read each sentence separately, looking for grammar, punctuation, or spelling errors. If you’re working with a printed copy, try using an opaque object like a ruler or a piece of paper to isolate the line you’re working on.
  • Circle every punctuation mark. This forces you to look at each one. As you circle, ask yourself if the punctuation is correct.
  • Read the paper backwards. This technique is helpful for checking spelling. Start with the last word on the last page and work your way back to the beginning, reading each word separately. Because content, punctuation, and grammar won’t make any sense, your focus will be entirely on the spelling of each word. You can also read backwards sentence by sentence to check grammar; this will help you avoid becoming distracted by content issues.
  • Proofreading is a learning process. You’re not just looking for errors that you recognize; you’re also learning to recognize and correct new errors. This is where handbooks and dictionaries come in. Keep the ones you find helpful close at hand as you proofread.
  • Ignorance may be bliss, but it won’t make you a better proofreader. You’ll often find things that don’t seem quite right to you, but you may not be quite sure what’s wrong either. A word looks like it might be misspelled, but the spell checker didn’t catch it. You think you need a comma between two words, but you’re not sure why. Should you use “that” instead of “which”? If you’re not sure about something, look it up.
  • The proofreading process becomes more efficient as you develop and practice a systematic strategy. You’ll learn to identify the specific areas of your own writing that need careful attention, and knowing that you have a sound method for finding errors will help you to focus more on developing your ideas while you are drafting the paper.

In composition , revision is the process of rereading a text and making changes (in content, organization , sentence structures , and word choice ) to improve it.

During the revision stage of the writing process , writers may add, remove, move and substitute text (the ARMS treatment). "[T]hey have opportunities to think about whether their text communicates effectively to an audience , to improve the quality of their prose , and even to reconsider their content and perspective and potentially transform their own understanding" (Charles MacArthur in Best Practices in Writing Instruction , 2013).

The trouble is sometimes elementary: you wonder how you can have written it as a pronoun referring to a plural subject. The slip is easily corrected. It then looked right to them, because every demand of their art had been met, every flaw removed, down to the slightest. "You and I are far from that stage of mastery, but we are none the less obliged to do some rewriting beyond the intensive correction of bad spots. For in the act of revising on the small scale one comes upon gaps in thought and--what is as bad--real or apparent repetitions or intrusions, sometimes called backstitching . Both are occasions for surgery. In the first case you must write a new fragment and insert it so that its beginning and end fit what precedes and follows. In the second case you must lift the intruding passage and transfer or eliminate it. Simple arithmetic shows you that there are then three and not two sutures to be made before the page shows a smooth surface. If you have never performed this sort of work in writing, you must take it from me that it affords pleasure and satisfaction, both. 9 ways to review and revise your writing

It’s easy to equate revision with failure. “If I knew what I were doing, I’d get it right the first time,” many writers think.

Revision is the best friend a writer can have. The trick is to use revision as a tool to make your writing clearer, sharper and more powerful. Here are some approaches to revising your work:

  • Write earlier in the reporting process. This teaches you what you already know and what you need to know. Maybe that hole you thought you needed to fill was already complete, but you might see other gaps more quickly.
  • Hit the print button as early as possible. Computers are wonderful, but they give the illusion of perfection. Use a printout to cross things out, write in questions and examine your writing (which sentences hold up, which need re-tooling, etc.).
  • Put it away , even if only for a few minutes between assignment and deadline. Any attempt to put a story out of your mind will give your unconscious mind the chance to work on it. (Have I really supported my lead? Should I move that quote higher up? Do I need to make a quick call to check a fact?)
  • Break revision into manageable tasks. Sometimes the sheer enormity of revisions is overwhelming. Make separate printouts — one for names and titles, another for verb constructions, a third to trim the fat from quotes.
  • Read aloud. Listen to your story and you can hear where it flags, where a quote runs on or echoes the previous phrase.
  • Diagnose, then treat. As you read, make quick notes (“cut,” “move up?” “boring?” “stronger evidence?”). Then go back and make the necessary changes.
  • Test your story against your focus. If it’s about a young woman’s fight against cerebral palsy, why does it begin with an anecdote about her grandfather’s experiences in the California gold rush?
  • Find a first reader. Editors are our first readers — and our last line of defense. Show your draft to an editor or a colleague. Ask them to tell you what works and what needs work. Better to have someone help you find the path to a clear, concise, readable story than let the whole world see your mistakes.
  • Develop patience. Good writing will come if you keep at it.

Revising Writing by Integrating Feedback

Writers are often warned not to mistake revision (making substantial adjustments to a piece of writing) with editing (making surface-level adjustments like correcting errors in punctuation). While this distinction is important, it doesn’t explain how to make those substantial changes. 

This guide, written primarily for graduate students but useful to all writers, will help you approach revision as a process of “re-envisioning” your writing by setting and prioritizing goals, selecting appropriate strategies, and integrating critical feedback. Writing Center consultants can provide support at any stage of the revision process.  

Approach Revision with a Plan 

Although revision can feel daunting, once you develop a plan you’ll have a clear, achievable path forward. If you’re revising on your own, you may have no idea where to begin. If you’ve already received comments from readers, it can be tempting to jump right in. In either case, the first step is to create what scholar Alison Miller calls a “ revision inventory :” 

Re-read the piece of writing. Miller recommends printing the document so that you can more easily visualize the way the writing is organized. In addition, it’s often easier for some writers to spot errors on hard copy than on a screen. 

While you re-read, make a list of the substantial changes you need to implement, whether based on your own evaluation or feedback from others. Look for patterns: for instance, you might notice that you need clearer transitions between sections—this can be a single list item. Likewise, note that you should make “line edits” its own list item rather than listing every spelling/grammatical error individually (some writers prefer to fix these errors first, while others prefer to save this step for later). 

Once you’ve finished your list, rank the items in order of importance. Start with higher order concerns (more time-consuming, complex tasks such as clarifying the thesis, expanding analysis, strengthening evidence, structuring paragraphs logically, etc.) before listing lower order concerns (such as transitions, sentence structure/variety, formatting, etc.). Now that you have a plan to tackle step by step, make a schedule. You might focus on one list item per day or give yourself a longer period. Set reasonable deadlines for each item and add them to your calendar, knowing you may have to adjust as you go. You may want to share this schedule with your advisor, writing group, or accountability partner. 

While creating your revision inventory, write down any questions you have so that you can go over them with your advisor or a consultant in the Writing Center, or another trusted reader.  

Stock Your Revision Toolbox

Revision, like writing, is not “one size fits all.” Writing of different genres and lengths calls for different revision strategies. Writing a memory draft (defined below) might be more feasible for a shorter piece (like an abstract), whereas a reverse outline could be more helpful for a long paper or book-length work.  

During your graduate study, try out many revision strategies. Doing so will help you learn to choose the best strategy for a given assignment and has the added benefit of allowing you to stock your revision toolbox. In other words, the more revision strategies you’ve tried, the more you’ll learn which methods match your preferences as a writer.  

Here are some revision strategies to try: 

  • Memory Draft : After completing a draft, we’re able to explain our argument more concisely because we’ve been sitting with the material for a long time. To make a memory draft, rewrite your piece without looking at what you originally wrote. Reviewing the original and the memory draft side by side helps you identify places where you can express yourself more clearly. This strategy is especially helpful for revising small sections of a larger text, such as introductions and conclusions, or for revising short texts. 
  • Reverse Outline : Many writers create outlines before they begin drafting, but creating a reverse outline after completing a draft can be just as useful. To make a reverse outline, draw a T-chart. In the left column, write down the paragraph number. In the right column, jot down the purpose of each paragraph (Ask yourself: What does this paragraph do? How does this paragraph help readers follow along?). You can also simply jot notes in the margins of your draft. Reviewing your completed reverse outline will help you ensure that each paragraph connects to your argument and allow you to identify areas of repetition where you can condense or cut. 
  • Talk It Out : If you’re stuck on a particular idea or struggling to figure out which ideas are relevant to your argument, explain your thinking verbally to a friend, classmate, or Writing Center consultant. Ask your listener to compare your writing with what they heard and point out areas of confusion or places you can develop. You can also try this exercise on your own: record yourself talking out your thoughts, play back the recording to untangle your reasoning, and transcribe key details or language.

Manage Feedback from Others

Getting feedback from readers is a crucial part of the writing process and can help us grow as writers and thinkers. However, when writing has taken lots of time, effort, and heart, it can be difficult to receive criticism—even if that criticism is constructive!  

Many graduate students spend years working intensively with an advisor or multiple advisors, and they sometimes receive feedback that is conflicting or that doesn’t align with their own visions. This resource provides specific   tips on how to communicate with your advisor about feedback .  

When reviewing feedback, consider following these steps to honor your emotional response/needs and process the comments you received:  

Read to understand : Read all the feedback to ensure you have a clear grasp of your advisor’s recommendations; don’t make a revision inventory just yet. 

Try on multiple perspectives : If you’re struggling to understand a comment, try thinking about it from your audience’s perspective. Where might a reader get lost? Jot down questions you can ask your advisor later. If you have the time, you may also ask a trusted reader for their opinion on a particular section.  

Attend to your emotions : If the feedback is upsetting, spend time talking through your feelings with trusted friends, or journal about what you’re feeling and why. 

Take a break : If possible, don’t look at the feedback for a day or more. Give it time to marinate and give yourself the time you need to be able to approach your writing with confidence and fresh eyes. 

Remember : 

Get clarification : This is the time to check in with your advisor to clear up confusion about their feedback.  

The writing belongs to you : You are the expert on your own writing. While you should carefully consider the feedback you receive, you don’t necessarily need to take it if you can thoroughly articulate to yourself why you disagree.

We’ve all made errors in our writing — from simple spelling and grammar mistakes to larger structural issues. While we’ll likely make mistakes again (we’re human, after all!), the good news is that we can learn to spot them and keep our writing as polished as possible. 

But to do that, we have to identify them first. 

That’s where I come in. As a professional writer, I’ve made — and corrected — plenty of writing mistakes over the years. 

In this blog post, I share seven common errors in writing and explain how to fix them using handy before-and-after examples.

What are the different types of writing errors? 

Writing errors can be divided into several categories, including: 

  • Spelling errors: These occur when words are misspelled — e.g., “bisness” instead of “business.”
  • Grammar errors : These are mistakes in sentence form or structure, such as writing an incomplete sentence like “Because of the snow.”
  • Punctuation errors: These involve using punctuation incorrectly or not using it at all — like writing “Let’s eat Dad” instead of “Let’s eat, Dad.” 
  • Structure errors: These occur when the ideas in a piece of writing are unclear, not well-organized, or repetitive.
  • Style errors: These happen when a writer doesn’t follow language and style rules — e.g., using passive instead of active voice.

7 common errors in writing (and how to fix them)

Now that you understand the categories of writing mistakes, we can look at specific examples. Below, I cover seven common errors and how to fix them. 

1. Run-on sentences 

A run-on sentence is a grammatical error that occurs when two independent clauses (complete thoughts) aren’t properly joined. This kind of sentence makes it difficult to see where one idea ends and the other begins . 

Two common types of run-on sentences are fused sentences and comma splices. 

Fused sentences

A fused sentence joins two independent clauses without using a punctuation mark or coordinating conjunction (e.g., “and” or “but”), as seen below: 

❌ Kel loves orange soda it’s his favorite drink. 

You’d correct this sentence by inserting a semicolon between the two complete thoughts: 

✅ Kel loves orange soda ; it’s his favorite drink.

Another option is to use a period to divide the clauses into two sentences:

✅ Kel loves orange soda . It’s his favorite drink. 

Comma splices 

A comma splice uses a comma between two independent clauses but forgets the necessary coordinating conjunction . 

For example: 

❌ Margaret went to Lenox Mall , she bought a new dress. 

To correct this sentence, simply add a conjunction after the comma. 

✅ Margaret went to Lenox Mall, and she bought a new dress. 

2. Passive voice 

Passive voice occurs when the receiver of the action (object) becomes the focus of the sentence rather than the one performing the action (subject). 

Passive voice:

The decision was made by the jury. 

Here, the focus is on the decision being made (object) instead of the jury making the decision (subject). As a result, the reader spends more time processing who is doing what . 

To rewrite this sentence in active voice , put the subject at the front of the sentence. That way, the jury becomes the focus and performs the action, as shown here: 

Active voice:

The jury made the decision.

This sentence is easier to understand because it follows a straightforward structure: subject (“the jury”) + action (“made”) + receiver of the action (“the decision”). 

3. Subject-verb disagreement

Subject-verb agreement means that a singular subject (one person, place, or thing) takes a singular verb , and a plural subject (two or more people, places, and things) takes a plural verb . 

For example, in the sentence “ Nancy eats popcorn,” “Nancy” is a singular subject, and “eats” is a singular verb. 

Meanwhile, “ Nancy and Rodney eat popcorn” pairs a plural verb (“eat”) with a plural subject (“Nancy and Rodney”). 

Notice that when you use a third-person singular subject (e.g., “Nancy,” “he,” “she,” and “it”) in the present tense (the tense for action happening now), you add an “s” at the end of the verb . 

Ignoring this rule results in subject-verb disagreement, meaning the subject and its verb don’t match. 

For example:

❌ Nancy eat buttered popcorn. 
✅ Nancy eats buttered popcorn.

That said, you don’t add an “s” to the end of the verb when using the subjects “I” (singular), “we” (plural), and “they” (plural), as this would also lead to subject-verb disagreement. 

❌ I eats buttered popcorn. 
❌ We eats buttered popcorn. 
❌ They eats buttered popcorn. 

To correct the error, simply remove the “s” from the end of “prefer” for these subjects: 

✅ I eat buttered popcorn. 
✅ We eat buttered popcorn. 
✅ They eat buttered popcorn.

4. Incorrect word choice

Many writers confuse one word for another or misuse words in their work. This often happens with homophones — words that sound the same but have different meanings or spellings, such as “weather” and “whether.”

❌ The whether is lovely today.

The word “whether” means a choice between alternatives or indicates uncertainty. However, in this sentence, it’s used like the homophone “weather,” which refers to the state of or changes in the air or atmosphere (e.g., sun, rain, etc.)

Therefore, the word “weather” is the correct choice for this sentence:

✅ The weather is lovely today.

Now, let’s reverse the context: 

❌ I don’t know weather I should read a book or watch a movie. 

The word “weather” is incorrect here because the sentence focuses on the speaker’s inability to choose between two options: read a book or watch a movie. 

Therefore, you’d use “whether”:

✅ I don’t know whether I should read a book or watch a movie. 

Pro tip: The best way to avoid incorrect word choice is to use a memory device. For example, you could remember that “we a ther” refers to the “ a ir” or “ a tmosphere” because all three words contain the letter “ a .”

5. Vague pronouns

A vague pronoun is a pronoun (e.g., “he,” “she,” or “it”) with more than one antecedent (the person, place, or thing that a pronoun refers to). Using vague pronouns confuses readers because they don’t know who or what you’re referencing. 

For instance, this sentence about Mitchell and Mike (antecedents) doesn’t clarify who the pronoun “he” refers to: 

❌ Mitchell and Mike went to the football game after he finished work. (Who finished work, Mitchell or Mike?)

To fix this issue, you could restate the subject (for instance, “Mike”) so readers know who you’re talking about:

✅ Mitchell and Mike went to the football game after Mike finished work.

A less redundant option would be to rewrite the sentence so the pronoun (“he”) is closer to the subject it replaces (“Mike”): 

✅ After Mike finished work, he and Mitchell went to the football game. 

6. Dangling modifiers 

A modifier is a word, such as an adjective, or phrase that describes another part of the sentence . 

For example, in the sentence “Lex is an English professor,” the word “English” modifies the word “professor.” Additionally, in the sentence “After watching TV, Hunter went to sleep,” the phrase “After watching TV” modifies the word “Hunter.”  

However, when a modifier describes the wrong thing because the intended subject isn’t in the right place, you get a dangling modifier. 

❌ While standing in the freezing outdoors , thoughts of hot chocolate consumed Louise . 

In this sentence, the phrase “while standing in the freezing outdoors” modifies “thoughts of hot chocolate.” However, that’s incorrect because “thoughts of hot chocolate” don’t stand outdoors.

Instead, “While standing in the freezing outdoors” is supposed to modify the person having the thoughts — the intended subject, Louise.

To correct this error, place the subject being modified immediately after the modifying phrase :

✅ While standing in the freezing outdoors , Louise was consumed with thoughts of hot chocolate. 

Now, the modifier describes what it intended to all along: the person thinking about hot chocolate, not the thoughts themselves. 

7. Missing or misplaced apostrophes

An apostrophe is a punctuation mark that forms a contraction (e.g., turning “you are” into “you’re”). It’s also used to indicate ownership . For instance, the apostrophe in the sentence “Lily’s cell phone went off in class” shows that Lily owns the phone. 

Writers often forget to include apostrophes, or they use them in the wrong place. 

The following sentence is an example of a missing apostrophe :

❌ Its hot outside.

This example uses a possessive pronoun (its), but the context of the sentence doesn’t indicate ownership. Instead, the sentence is trying to say that “it is” hot outside. 

Therefore, we need to add an apostrophe to create a contraction for “it is”:

✅ It ’ s hot outside. 

As for misplaced apostrophes , writers often make this error when dealing with plural possessive nouns. These nouns indicate that something belongs to more than one person — e.g., “the teachers’ lounge” belongs to more than one teacher. 

❌ Lane heard laughter coming from the girl ’ s locker room.

Here, the apostrophe is misplaced because the locker room doesn’t belong to only one girl (singular noun). It belongs to a group of girls (plural noun). 

So, we’d correct the sentence by adding an apostrophe after the letter “s” to make “girls” a plural possessive noun: 

✅ Lane heard laughter coming from the girls ’ locker room.

Common writing errors include run-on sentences, passive voice, subject-verb disagreement, incorrect word choice, and dangling modifiers. Many writers make these mistakes, and the first step in correcting them is knowing what they are and when they happen.

I remember spending hours commenting painstakingly on my students’ papers when I was a graduate student teaching in the Expository Writing Program at New York University. My students loved our classes, and they filled my sections and gave me terrific course evaluations. Yet I could see that their writing failed to change significantly over the course of the semester. I ended up feeling as if I should refund their money, haunted by the blunt instruments we had to teach writing.

As I’ve learned from directing five writing programs at three different universities, methods matter. When I reviewed comments on papers from instructors who taught in my programs, I discovered that the quantity and quality of comments on students’ papers made only a slight impact on writing outcomes. For instance, one notoriously lazy instructor took several weeks to return assignments and only used spelling and grammar checkers to automate comments. But his conscientious colleague made dozens of sharp observations about students’ arguments, paragraphs, and sentences. However, Mr. Conscientious’ students improved perhaps only 10% over Mr. Minimalist’s students. Even then, the differences stemmed from basic guidelines Mr. Conscientious insisted his students write to, which included providing context sentences at the outset of their essay introductions.

Educators have also poured resources into teaching writing, with increasing numbers of hours dedicated to teaching writing across primary, secondary, and higher education . Yet studies continue to find writing skills inadequate . In higher education, most universities require at least a year of writing-intensive courses, with many universities also requiring writing across the curriculum or writing in the disciplines to help preserve students’ writing skills. However, writing outcomes have remained mostly unchanged .

While pursuing my doctorate, I dedicated my research to figuring out how writing worked. As a graduate student also teaching part-time, I was an early convert to process writing. I also taught those ancient principles of logos, ethos, and pathos, as well as grammar and punctuation. Nevertheless, these frameworks only created a canvas for students’ writing. What was missing: how writers should handle words, sentence structure, and relationships between sentences.

Yet researchers published the beginnings of a science-based writing method over 30 years ago. George Gopen, Gregory Colomb, and Joseph Williams created a framework for identifying how to maximize the clarity, coherence, and continuity of writing. In particular, Gopen and Swan (1990) created a methodology for making scientific writing readable . This work should have been a revelation to anyone teaching in or directing a writing program. But, weirdly, comparatively few writing programs or faculty embraced this work, despite Williams, Colomb, and Gopen publishing both research and textbooks outlining the method and process.

Peculiarly, this framework—represented by Williams’ Style series of textbooks and Gopen’s reader expectation approach—failed to become standard in writing courses, likely because of two limitations. First, both Gopen and Williams hewed to a relativistic stance on writing methods, noting that rule-flouting often creates a memorable style. This stance created a raft of often-contradictory principles for writing. For example, Williams demonstrated that beginning sentences with There is or There are openings hijacked the clarity of sentences, then argued writers should use There is or There are to shunt important content into sentence emphasis positions, where readers recall content best. Second, these researchers failed to tie this writing framework to the wealth of data in psycholinguistics, cognitive neuroscience , or cognitive psychology on how our reading brains process written English. For instance, textbooks written by these three principal researchers avoid any mention of why emphasis positions exist at the ends of sentences and paragraphs—despite the concept clearly originating in the recency effect. This limitation may stem from the humanities’ long-held antipathy to the idea that writing is a product, rather than a process. Or even that science-based methods can help teachers and programs measure the effectiveness of writing, one reason why university First-Year Writing programs have failed to improve students’ writing in any measurable way.

Nevertheless, when you teach students how our reading brains work, you create a powerful method for rapidly improving their writing—in any course that requires writing and at all levels of education. Students can grasp how writing works as a system and assess the costs and benefits of decisions writers face, even as they choose their first words. This method also works powerfully to help students immediately understand how, for instance, paragraph heads leverage priming effects to shape readers’ understanding of paragraph content.

Using this method, I and my colleagues have helped students use a single writing assignment to secure hundreds of jobs, win millions in grant funding, and advance through the ranks in academia. However, we’ve also used the same method without modifications in elementary and secondary classrooms to bolster students’ writing by as much as three grade levels in a single year.

Perhaps the time has arrived for this well-kept secret to revolutionizing student writing outcomes to begin making inroads into more writing classrooms.

Why writing by hand beats typing for thinking and learning

If you're like many digitally savvy Americans, it has likely been a while since you've spent much time writing by hand.

The laborious process of tracing out our thoughts, letter by letter, on the page is becoming a relic of the past in our screen-dominated world, where text messages and thumb-typed grocery lists have replaced handwritten letters and sticky notes. Electronic keyboards offer obvious efficiency benefits that have undoubtedly boosted our productivity — imagine having to write all your emails longhand.

To keep up, many schools are introducing computers as early as preschool, meaning some kids may learn the basics of typing before writing by hand.

But giving up this slower, more tactile way of expressing ourselves may come at a significant cost, according to a growing body of research that's uncovering the surprising cognitive benefits of taking pen to paper, or even stylus to iPad — for both children and adults.

In kids, studies show that tracing out ABCs, as opposed to typing them, leads to better and longer-lasting recognition and understanding of letters. Writing by hand also improves memory and recall of words, laying down the foundations of literacy and learning. In adults, taking notes by hand during a lecture, instead of typing, can lead to better conceptual understanding of material.

"There's actually some very important things going on during the embodied experience of writing by hand," says Ramesh Balasubramaniam , a neuroscientist at the University of California, Merced. "It has important cognitive benefits."

While those benefits have long been recognized by some (for instance, many authors, including Jennifer Egan and Neil Gaiman , draft their stories by hand to stoke creativity), scientists have only recently started investigating why writing by hand has these effects.

A slew of recent brain imaging research suggests handwriting's power stems from the relative complexity of the process and how it forces different brain systems to work together to reproduce the shapes of letters in our heads onto the page.

Your brain on handwriting

Both handwriting and typing involve moving our hands and fingers to create words on a page. But handwriting, it turns out, requires a lot more fine-tuned coordination between the motor and visual systems. This seems to more deeply engage the brain in ways that support learning.

"Handwriting is probably among the most complex motor skills that the brain is capable of," says Marieke Longcamp , a cognitive neuroscientist at Aix-Marseille Université.

Gripping a pen nimbly enough to write is a complicated task, as it requires your brain to continuously monitor the pressure that each finger exerts on the pen. Then, your motor system has to delicately modify that pressure to re-create each letter of the words in your head on the page.

"Your fingers have to each do something different to produce a recognizable letter," says Sophia Vinci-Booher , an educational neuroscientist at Vanderbilt University. Adding to the complexity, your visual system must continuously process that letter as it's formed. With each stroke, your brain compares the unfolding script with mental models of the letters and words, making adjustments to fingers in real time to create the letters' shapes, says Vinci-Booher.

That's not true for typing.

To type "tap" your fingers don't have to trace out the form of the letters — they just make three relatively simple and uniform movements. In comparison, it takes a lot more brainpower, as well as cross-talk between brain areas, to write than type.

Recent brain imaging studies bolster this idea. A study published in January found that when students write by hand, brain areas involved in motor and visual information processing " sync up " with areas crucial to memory formation, firing at frequencies associated with learning.

"We don't see that [synchronized activity] in typewriting at all," says Audrey van der Meer , a psychologist and study co-author at the Norwegian University of Science and Technology. She suggests that writing by hand is a neurobiologically richer process and that this richness may confer some cognitive benefits.

Other experts agree. "There seems to be something fundamental about engaging your body to produce these shapes," says Robert Wiley , a cognitive psychologist at the University of North Carolina, Greensboro. "It lets you make associations between your body and what you're seeing and hearing," he says, which might give the mind more footholds for accessing a given concept or idea.

Those extra footholds are especially important for learning in kids, but they may give adults a leg up too. Wiley and others worry that ditching handwriting for typing could have serious consequences for how we all learn and think.

What might be lost as handwriting wanes

The clearest consequence of screens and keyboards replacing pen and paper might be on kids' ability to learn the building blocks of literacy — letters.

"Letter recognition in early childhood is actually one of the best predictors of later reading and math attainment," says Vinci-Booher. Her work suggests the process of learning to write letters by hand is crucial for learning to read them.

"When kids write letters, they're just messy," she says. As kids practice writing "A," each iteration is different, and that variability helps solidify their conceptual understanding of the letter.

Research suggests kids learn to recognize letters better when seeing variable handwritten examples, compared with uniform typed examples.

This helps develop areas of the brain used during reading in older children and adults, Vinci-Booher found.

"This could be one of the ways that early experiences actually translate to long-term life outcomes," she says. "These visually demanding, fine motor actions bake in neural communication patterns that are really important for learning later on."

Ditching handwriting instruction could mean that those skills don't get developed as well, which could impair kids' ability to learn down the road.

"If young children are not receiving any handwriting training, which is very good brain stimulation, then their brains simply won't reach their full potential," says van der Meer. "It's scary to think of the potential consequences."

Many states are trying to avoid these risks by mandating cursive instruction. This year, California started requiring elementary school students to learn cursive , and similar bills are moving through state legislatures in several states, including Indiana, Kentucky, South Carolina and Wisconsin. (So far, evidence suggests that it's the writing by hand that matters, not whether it's print or cursive.)

Slowing down and processing information

For adults, one of the main benefits of writing by hand is that it simply forces us to slow down.

During a meeting or lecture, it's possible to type what you're hearing verbatim. But often, "you're not actually processing that information — you're just typing in the blind," says van der Meer. "If you take notes by hand, you can't write everything down," she says.

The relative slowness of the medium forces you to process the information, writing key words or phrases and using drawing or arrows to work through ideas, she says. "You make the information your own," she says, which helps it stick in the brain.

Such connections and integration are still possible when typing, but they need to be made more intentionally. And sometimes, efficiency wins out. "When you're writing a long essay, it's obviously much more practical to use a keyboard," says van der Meer.

Still, given our long history of using our hands to mark meaning in the world, some scientists worry about the more diffuse consequences of offloading our thinking to computers.

"We're foisting a lot of our knowledge, extending our cognition, to other devices, so it's only natural that we've started using these other agents to do our writing for us," says Balasubramaniam.

It's possible that this might free up our minds to do other kinds of hard thinking, he says. Or we might be sacrificing a fundamental process that's crucial for the kinds of immersive cognitive experiences that enable us to learn and think at our full potential.

Balasubramaniam stresses, however, that we don't have to ditch digital tools to harness the power of handwriting. So far, research suggests that scribbling with a stylus on a screen activates the same brain pathways as etching ink on paper. It's the movement that counts, he says, not its final form.
