This section includes everything from estimated market size to your target markets and competitive advantage. It’ll include a competitive analysis of your industry to address competitors’ strengths and weaknesses. Market research is an important part of ensuring you have a viable idea.

5. Marketing plan

How you intend to get the word out about your business, and what strategic decisions you’ve made about things like your pricing strategy. It also covers potential customers’ demographics, your sales plan, and your metrics and milestones for success.

6. Logistics and operations plan

Everything that needs to happen to turn your raw materials into products and get them into the hands of your customers.

7. Financial plan

It’s important to include a look at your financial projections, including both revenue and expense projections. This section includes templates for three key financial statements: an income statement, a balance sheet, and a cash-flow statement . You can also include whether or not you need a business loan and how much you’ll need.

Research conducted by Harvard Business Review found that "entrepreneurs who write formal plans are 16% more likely to achieve viability than the otherwise identical non-planning entrepreneurs."

Simply put, writing a business plan could make the difference between business success and failure – which is why planning now could pay dividends as your business gets off the ground.

But where do you start when writing a business plan? In this comprehensive business plan example, we provide you with what to include in your business plan and a sample business plan to help you to create a compelling plan for your start-up.

1. Executive Summary

If you have seven seconds to make a strong first impression in person, an Executive Summary will be the make-or-break section of your business plan – so make this section count.

As a brief outline of your company's purpose and goals, the Executive Summary should generally take up 1 to 2 pages of your business plan. Some key components to include in your business plan are:

  • A company description
  • A brief summary of your products or services
  • The company objectives
  • A short but thorough overview of the market
  • A justification for viability, particularly "why now?"
  • A snapshot of your business's growth potential
  • A short description of the organisation team
  • Your marketing plan
  • Financial projections

Importantly, your Executive Summary must clearly depict the Problem, the Solution, and carry a sense of timeliness – why now should your business be considered as the solution to solve this problem.

NOTE: The following Business Plan Example is based on a fictional company. Figures will not reflect the exact financials of a similar company.

Snug Sneakers is a sneaker shoe range based in Cape Town that currently focuses exclusively on selling locally produced men's and women's custom sneakers.

The business was founded by David Smith and Stewart Bruce, who have both been working within the retail industry for over 20 years, David Smith, a serial entrepreneur has also founded successful brands – Creative Caps and women's cycling brand Pedal Power.

The brand is currently selling online, however has also recently diversified to selling in independent shoe shops.

The company is projecting to sell R2 million in year 1 and R8 million in three years' time. Additionally, there are expansion plans within year 2 to set up distribution networks in Johannesburg, and Durban in the early part of year 3.

Both David and Stewart are social entrepreneurs at heart and believe in providing sustainable jobs for impoverished communities.

As such, the company has started a recycling and training academy in Khayelitsha, where consumers can return old sneakers that are then repaired by Khayelitsha residents and donated to those in need of shoes. This also provides learners within the academy with shoe-making and recycling trade skills.

Industry research has shown that, on average SA consumers own 4 pairs of sneakers, with 4 in 4 consumers indicating that shoe fit and sizes vary across brands.

3 in 4 consumers indicated that their number one concern when purchasing is having to "settle' for the best fitting shoe, despite the fit not being 100% correct.

Based on these and additional industry research statistics, the company's sneaker products are driven to provide the best shoe fit, with the tagline of "shoes that fit so good, you'll never go barefoot again.'

How to write a business plan

Writing a business plan will help nail down your idea and give you a blueprint for executing it.

What is a business plan?

A business plan describes your product or service, identifies who the customer is, explains why they need your product or service, and shows how you’ll make money from that opportunity.

Why write a business plan

How you write a business plan will depend on what you need it to do. There are a couple of key jobs a business plan can have. It can:

  • explain a business idea
  • convince lenders or investors to put money behind that business idea

It doesn’t take a book to do the first job. You can write a business plan that’s short, to the point, and easy to update. That may be all you ever need. But if you’re going for funding, your business plan will need to be a good deal longer and more comprehensive.

Why every business should start with a one-pager

Even if you will eventually write a long business plan, a one-pager is a great place to start. It could take as little as an hour to do your first draft and will make your idea stronger. Writing about customers, competitors, income and expenses will help develop your thinking.

How to write a one-page business plan

You’ll see in the example below that there are nine sections, or things to write about. So give yourself just a small space to write about each. Keeping it short will help you focus on what’s important.

When you need a longer business plan

The greater the risk you’re taking, the more comprehensive your plan should be. For instance, you’ll need to write a long-form business plan if you’re going to fund it with other people’s money. Banks and investors will expect it.

How to write a longer business plan

Long-form business plans touch on all the same things as a one-pager, but they go into more detail and contain fewer assumptions.

Back-of-the-napkin numbers are replaced by forecasts and budgets. And guesstimates for things like costs, market size, customer preferences, and competitor weaknesses need to be backed up with proof. It’s a good idea to involve an accountant or bookkeeper in developing the budgeting and finance sections.

Contents of a business plan:

  • Executive summary: A short summary of the main points of your business plan. Write it last.
  • Company overview: Identify your industry, what you’re selling, and how you’ll charge.
  • Products or services: Include a description of the problem you’re solving for customers.
  • Market analysis: Describe your target market, and examine the competition.
  • Risk assessment: Flag potential hurdles (including assumptions that could be proved wrong).
  • Marketing and sales plan: How will you find customers and make sales? How many sales will there be?
  • Milestones: What needs to happen and when?
  • Progress reporting: When and how will you report against the milestones?
  • Team: Who will be involved in the business? Note their skills and responsibilities.
  • Budget: Estimate your costs and income (and any debt that you plan to take on).
  • Finance: Show how you’ll fund the business.

How not to write a business plan

Avoid these common business planning mistakes:

  • Underestimating how much money it will take to get started
  • Failing to budget for the first few months of operation (before revenues start flowing)
  • Expecting sales to ramp up too fast
  • Relying too heavily on one or two customers (or suppliers)
  • Not including contingencies for unexpected delays or costs

There are numerous reasons for starting a business.

An important part of that framework is your business plan. It maps out the goals of your company, its purpose, strategies, etc.

Creating a business plan will help you clarify your unique selling proposition and help you determine the extent of your market and competition.

You’ll use your business plan to work towards a series of milestones that will help you to grow your company.

A business plan is like a flight path. It lets you know where you want to go, what you want to achieve, what you have in order to achieve your goals and – probably most importantly –what problems you can expect along the way.

Being able to identify potential threats and problem areas makes it easier to proactively develop coping strategies, which is key to business survival.

It’s also a great way to share information about your business, to develop your thinking and test scenarios before you make any changes (like leaving your job and going it alone), and it gives you a way to measure how things go when you do start up.

Why don’t more people do it?

So why, if business plans are so great, don’t more people do them? Here are some of the reasons people think it’s challenging:

  • Time . If you’ve thought through your business, creating your business plan shouldn’t take long at all. Keep it short and simple and choose a format that works for you.
  • Uncertainty . While it’s true that you can’t know what will happen until you start a business, a plan can help you spot potential pitfalls and better understand the finances behind your idea.
  • Lack of agility . Some people think business planning stops businesses from evolving, but a good business plan should be current and adaptable as you test and learn. A business plan should remain a living part of the business as it grows.

What’s the best format?

A business plan doesn’t need to be a tome of facts and figures. The most important thing is that it is in a format that works for your business. That means it must be:

  • One you’ll use. You need a business plan that will be used frequently to inform your day-to-day decisions. It is often helpful to have it on your wall as a manifesto or mind map. Creating a presentation or visual guide might work too.
  • One that makes it simple to express your views. If you’re a writer, that could mean a document, while a designer might like a more visual medium. Your business plan should excite and inspire, so pick a format that does that for you.

What should a business plan include? Every plan will differ, but the golden threads are:

  • An overview of the business. What does it do and what sets it apart?
  • Goals . What does the business want to achieve? Set some SMART (Specific, Measurable, Attainable, Realistic, Time-bound) objectives that will quickly show if the business is succeeding.
  • Audience and market. Who does the business cater to, and where does it find them? What size is the market, and what is your competition like?
  • Products and pricing. What will you be selling and how will your prices be set? How does this compare with your competitors?
  • Who is involved? Investors often look at the people as much as they do the business. Share some information about people’s roles, experience and passions.
  • Financials . Provide details about sales, costs, break-even points and where investment will come from. If you’re looking for investment, include likely ROI for potential investors. If you’re looking for ways to finance your business, crowdfunding, alternative finance and government funding are good places to start.

Some business plans will include other sections, like a SWOT (Strengths, Weaknesses, Opportunities, Threats) analysis or a full marketing plan. If you find these useful for your business, feel free to include them.

Many business owners spend a lot of time creating business plans that they never use. It’s most valuable to write a business plan that you can use in the daily running of your business.

Business planning is a continuous process – from the initial start-up of any business to stage two of developing and growth of existing sales and developing new income streams.

As established businesses mature and diversify, business planning continues to play a fundamental role in ensuring that the company’s long-term strategies are being met.

Here are some ways to make your business plan work for you:

  • Take the sales, cash flow and expense predictions and measure them against your actual figures to see if you are on track.
  • Revisit your goals monthly to measure progress.
  • Update your business plan to include customer input and quotes. Real feedback is essential for keeping a business on track.
  • Revisit it once a year to see if changes to the market, technology or competition have had an impact. Businesses need to continue to evolve to survive in the longer term.

What is a business proposal.

A business proposal is a sales document detailing the offer from a seller to a potential buyer. With the intention to solicit business, a company can present a prospective client with a business proposal offering a particular product or service.

For a company to expand in today’s competitive business world it has to be able to produce powerful business proposals. Whether a company succeeds or fails depends largely on the quality of the company’s business proposals.

A business proposal is not to be confused with a business plan . A business plan is a description of the company and its prospects. Its purpose is to convey information to clients and stakeholders. A business proposal, on the other hand, is a quote and a call to action. Its purpose is to solicit business from a specific client.

Types of business proposals

There are three distinct categories of business proposals:

1. Solicited proposals

A solicited business proposal is drafted in response to a request for a proposal. This request can be either formally (contained in a document) or informally (verbally).

If a buyer verbally asks a seller to provide a business proposal, the seller would respond with an informally solicited proposal. A buyer would generally informally solicit a proposal from a seller if he/she already has an interest in what the seller can offer. Usually, the request is only extended to a single seller.

Formally solicited proposals are a response to specific requirements published by the buyer. If a buyer formally solicits a proposal, he/she is inviting proposals from competing sellers. The requirements for the proposal can be contained in the following documents:

  • Request for proposal (RFP) – when the buyer has specific requirements that cannot be met with generally available products or services.
  • Request for quotation (RFQ) – when the buyer wants to purchase large amounts of a commodity and price is not the only deciding factor.
  • Invitation for bid (IFB) – when the buyer requires a service and price is the primary factor.
  • Request for information (RFI) – issued before an RFP, RFQ or IFB to gather marketing intelligence about the availability and suppliers of a product or service.

An example of a solicited proposal is the reply to a government tender. To compete for large government projects a solicited proposal must be drafted in accordance with the published tender requirements.

2. Unsolicited proposals

An unsolicited proposal is the initiative of a seller who has identified a need for business and attempts to convince the prospective buyer that his/her company can fulfil that need. It is similar to “cold-calling” in marketing.

The potential buyer never communicated the need and the onus lies on the seller to demonstrate the need in a business proposal. Unsolicited proposals differ from solicited proposals in that:

  • the intention of the proposal is to introduce the possibility of a sale, whereas solicited proposals are intended to close a sale;
  • there is no competition; and
  • the proposal has to be drafted with the target audience (the buyer) in mind, rather than drafted in accordance with specified requirements.

The submission of a book outline to a publisher, in an attempt to secure a book deal, is an example of an unsolicited proposal. It details the merits of the author, the popularity of the subject and the uniqueness of the approach.

3. Proposal for funding

A company can write a business proposal to apply for funding or grants from private donors, government agencies or banks. Grants are typically earmarked for very specific kinds of businesses or projects (like non-profit organisations, for example).

How to write a business proposal

Before you start writing your business proposal it is vitally important that you first conduct research. Find out as much as you possibly can about your client’s needs. Even though you want to submit your proposal as soon as possible, if you skip this step and you may as well skip the entire proposal.

In order to propose a solution to a client’s problem, you must first understand the problem. The best way to truly understand the client’s need is to talk directly to the client (if possible). Key employees within the client’s organisation can give valuable insight into the company’s aspirations.

When submitting an unsolicited proposal the client’s need is not as readily provided as with a solicited proposal. You can extend your research to include the potential client’s competitors, customers and colleagues. The internet is also a great source of information.

In the case of a formally solicited proposal, the client’s requirements are set out in the RFP. You still need to do research to enhance your understanding of the client and the project. You also need to familiarise yourself with the requirements, as set out by the client, and ensure that you can meet each of these requirements before wasting time and effort to draft a business proposal.

Using your research, create an outline of your business proposal while giving consideration to the 4 Ps of writing a business proposal:

The introduction to your business proposal should demonstrate your knowledge of your client’s current standing and business requirements. Mentioning the client first, before your own company, is a more effective way to grab the client’s attention from the start.

Also, describe your company’s mission and vision. Be concise and do not risk losing the reader’s attention with a long and detailed explanation of the workings of your company. An anecdote about your company will help the reader/client relate to the company’s brand.

Problem Statement

Before you can offer a solution to the client’s problem, you need to convince the client that you fully understand their needs. The client will not trust that you can solve the problem if you do not seem to understand the problem.

Describe the client’s need simply and clearly. Your description of the problem is the driving force behind the proposal. You must prove to the reader that a problem exists.

Possibilities

Next, explain to the client what all the possible scenarios are for dealing with the problem. Also, include all the pros and cons of each scenario in your description.

Pricing information

After you have successfully convinced the client that you are the solution to their problem, their decision will ultimately be based on information in this section. The cost of the project should instantly be evident and clearly specified.

Before you can determine what to quote the customer you need to calculate what the project is going to cost. Labour costs are usually overestimated to make provision for unforeseen complications.

Include all the relevant facts and figures – such as a budget or a breakdown of expected expenses, for example. If a single price estimate will suffice you can quote it at the end of the business proposal.

Once you have completed your research, you can begin to compile all the information into a business proposal. You can sample old business proposals on a similar project in your industry to help you determine how to format your proposal.
