How to Write an Aviation Cover Letter

It probably won’t apply to all jobs in the industry, but it’s a good way to distinguish yourself from the pack..

So far in this series, we have covered how to write an aviation resume and how to apply for a pilot job online . There is a third career media skill that is important to know, though it won’t apply to all positions, and that is how to write a cover letter. 

The cover letter may seem like a bit of an anachronism, and in some ways it is. Few large airlines ask for one anymore; you may have noticed that the AirlineApps base application doesn’t even allow you to attach a cover letter (or a resume, for that matter). At large airlines doing a great deal of hiring, the process is quite data-driven, and the computer that spits out your name to be interviewed by a human will have zero appreciation of a well-crafted cover letter. Still, even at these companies you will bring your resume to the interview, and this should be accompanied by a cover letter—even if it seems destined to languish, unread, in the interviewer’s file folder. 

The cover letter assumes much greater importance for corporate jobs, at smaller companies, whenever mailing or emailing your resume unbidden, when pounding the street and “cold-calling” potential employers, and when meeting recruiters at job fairs. Your cover letter accompanies and enhances your resume by fleshing out a potential employer’s idea of you. It’s more important in the early stages of your career, when your credentials alone aren’t so impressive. By presenting a neat, well-organized, well-written cover letter, you are introducing yourself as a neat, well-organized, and intelligent candidate—a future employee more valuable than your certificates and hours alone might indicate. 

Not a Writer?

The challenge here is that there are plenty of people who are neat, well-organized, and intelligent who are not naturally good writers. If this describes you, I highly suggest that you enlist the help of more literate friends or family members, even to the point of having someone ghost write your basic cover letter. If you don’t know such a person, hire one online (starving writers are a dime a dozen), and get them to proof your resume while you’re at it. Readability is everything; an overly wordy, confusing, or typo-riddled cover letter will quickly be cast aside.

What Goes in a Cover Letter?

Your cover letter should take the form of a one-page business letter; an example is above with a key for reference. The letter need not be long, and in many cases might fill half the page. It should be left-justified in block format, with a single space between most elements before the signature block. It should be semi-formal in tone, use active voice, and be personalized for each job that you are interested in. Most will be similar enough that it’s useful to create a baseline stock copy, and then modify as needed. 

The first element is your home or permanent address, without your name or title (1). After a single space, put today’s date, in written rather than digital format (2). Next, write the name and address of the company you are targeting (3). Ideally you will know the name and title of the person who does the hiring, and this should precede the address. Do some digging if necessary; this will demonstrate knowledge of the target company. 

The salutation (4) should be personalized if you know the recipient’s name, and should take the form of “Dear Ms. Lastname,” “Dear Mr. Lastname,” or “Dear Firstname Lastname.” If you don’t know the recipient’s name, the salutation should be gender-neutral. “To Whom It May Concern:” is rather impersonal; “Dear Sir or Madam,” or “Dear Sir/Madam,” is better. 

The body of the letter should be three or four paragraphs. In the first paragraph (5), state your purpose for writing, i.e. your interest in the job. This is a good place to demonstrate knowledge of the company, to appropriate their buzzwords or slogans, and to drop the names of any internal recommendations. This is a place for active verbs and vivid adjectives. You are capturing the reader’s interest. 

In the middle paragraph or paragraphs (6), you are summarizing your background and experience as it relates to this particular job. You don’t want this to just be a redundant reiteration of your resumé; you want to better flesh out who you are, why you want the job, and why you’d be the ideal candidate, making your case in ways that you canno t within the rigid confines of a resumé. It’s OK to get a little personal here, sharing the influences that made you who you are, and explaining (in a positive manner) why you’re ready to move on to this job (7). This is a good spot to humblebrag how you’ve been a positive force at your current and previous employers (8), and to bring up subtle factors that set you apart from the competition (9). 

The closing paragraph (10) is the place to make your call to action. You’re asking for an interview here; don’t be shy about it. Make reference to enclosures, include your contact information, and close on a gracious note. 

The signature block (11) should include a valediction (“Sincerely,” is a safe bet; “Sincerely yours,” “Respectfully yours,” or “Cordially,” are also good options), and then four spaces, followed by your name, formatted as it appears on the header of your resume. Within the four spaces you can insert a graphic of your signature, or leave blank to be physically signed if printed on paper, or just leave blank altogether. After your name and an additional space, type the word “Enclosures:” and the number of physical or email attachments included.

If this cover letter is intended to be taken with you while you pound the pavement or attend job fairs, print it on high-quality paper similar (but not necessarily identical) to that of your resume.

My colleague Pam has been part of my team for eight years, but she recently decided to start pursuing new career opportunities. Even though I’ll miss her, I happily agreed to help her revamp her cover letter to help her job applications stand out.

9 tips for older job hunters that can help you stand out in the crowd

Mass layoffs, particularly in the tech sector , have been widely covered in the news recently, contributing to the belief that fewer job opportunities are available. That may be true at big companies that dominate the headlines, but it’s not true everywhere, and job hunters need to adjust accordingly.

“Large companies were recruiting aggressively during the pandemic because the market demanded it,” says Chris Tan, director of  Storm4 , a leader in green tech recruitment in the U.K. “Fast forward three years, and we find ourselves in an economic downturn, and these companies can no longer sustain their current head count.”

But Tan says that smaller and more stable companies are hiring, although they are not yet generating as many jobs as the tech giants have shed. So, how can you stand out from the pack as a job candidate in today’s current job climate? Some of the best global talent acquisition professionals weigh in with nine tips to help.

1. Use your network

Finding and applying for jobs on LinkedIn  and other job boards and company websites is necessary for a job search. What’s more, this activity helps us feel productive and can help extinguish feelings of helplessness and hopelessness.

“And these efforts may, indeed, yield results and interviews,” explains R. Karl Hebenstreit, Ph.D., an executive coach and expert in workforce development at  Perform & Function , a management consultant firm in San Francisco.

“However, our networks are the not-so-secret factor that can help improve our chances of success,” he adds. “Networks can let us know of unadvertised or upcoming opportunities we may not have otherwise found on our own.”

Personal and professional networks can provide moral support, advice and empathy, serve as referrals and shepherd your résumé directly to hiring managers — or may even be the hiring managers.

And the older you are, the more extensive your network typically is. “Tapping into our network is the differentiator between keeping busy in our job search and optimizing our chances for success,” says Hebenstreit.

2. Look beyond the perfect fit

Don’t think you must have every qualification in a job description in order to apply for a position or be hired. Experts say that if you hit three-fourths of the required qualifications, apply anyway. Just be sure to draw attention to your transferrable abilities, past successes that have a direct impact on business outcomes and your contributions and achievements that translate to the new position.

3. Improve your soft skills

Interpersonal skills, also called soft skills, include communication, problem-solving, leadership and collaboration. Investing time and effort in developing your soft skills will help you stand out from other applicants with equivalent experience and technical expertise.

On both your résumé and cover letter, emphasize your soft skills and practice explaining them so you can give specific examples in interviews of how you’ve used soft skills in the past and why they matter.

4. Tailor your résumé to the job

When you apply for a job, an Applicant Tracking Systems is likely to scan your résumé for keywords in the job description to decide if you warrant further consideration. To increase your odds that your résumé will hit the sweet spot, pepper it with a few keywords from the job listing — as long as they’re true.

Different keywords communicate different skills, abilities and expertise useful in different fields, including  SEO, branding , and  social media management  for a communications job or  affidavit  and  compliance  for a legal job listing.

5. Write an original cover letter

Don’t write off the value of an original, well-written cover letter.

“While my years in the recruiting industry have made it clear that many recruiters avoid reading cover letters altogether, I personally find them useful in cases where multiple candidates have similar qualifications,” says Anjela Mangrum, president of  Mangrum Career Solutions , an industrial manufacturing recruiting agency operating nationwide.

If you want to stand out, write a cover letter highlighting your most significant achievements and briefly describe your motivation to work for your targeted company. It can set you apart. “If it goes unread, you’ve got nothing to lose, but if it does get attention, it could be the deciding factor that works in your favor,” says Mangrum.

6. Get the interviewer talking

To stand out, learn everything you can about the company, advises Barry Maher, a motivational speaker and author of “ Filling the Glass: The Skeptic’s Guide to Positive Thinking in Business .”

During their job interview, candidates should politely take control and ask the panel what it will take to be successful in the job or what the best candidate for the position looks like, he says. Make sure your interviewers have a chance to speak. “The more they talk, the higher they will rate you,” he says.

7. Go beyond the application

After applying, go to LinkedIn and look up and message the company’s talent acquisition person. Introduce yourself, tell them you’ve applied, and express interest in the job.

“Don’t ask to be put in touch with the hiring manager — recruiters are the gatekeepers, and you should convey that you want to connect with, not bypass, us,” says Ashley Nelson, a talent acquisition consultant in Portland, Oregon.

“Don’t say anything cutesy or too confident. I get a lot of ‘look no further, you’ve found your Project Manager,’” says Nelson. Even if you have a lot of experience, humility is underrated.

“Lastly, you should interact with them in other ways,” she adds. “Like their content, comment on a post, and share some of their content even after you message them. Your name may become recognizable.”

8. Send a thank you

The number one way to stand out as an employee candidate in this economy is to send a thank-you note in the mail, advises Julie Braun, founder and CEO of  Super Purposes . This career coaching company specializes in helping people discover purpose-filled careers.

Braun worked with a candidate interviewing for Nike and suggested sending thank-you cards to everyone involved in the interview process. The custom-designed cards with “Just Do It” on them arrived three days before the final decision. What cinched the deal? The overwhelming answer was, “Talent, skill and that clever card cracked us up.”

9. Be positive and persistent

If you can’t send a physical card, then an emailed thank-you note will do, but it isn’t as effective as something that arrives in the mail or is hand-delivered.

Remember that job searching at any age can be challenging but following these tips and staying positive and persistent can increase your chances of finding the right opportunity, even in a layoff prevalent job market.

After being named the SNP's new leader yesterday, John Swinney has now been officially voted in as Scotland's first minister.

MSPs at Holyrood backed him taking over from Humza Yousaf, who formally resigned earlier today.

It's a quirk of the Scottish parliament that all parties can put their leader forward to become first minister in these votes, but there was no doubt Mr Swinney - who has held the post before - would win.

He will lead a minority SNP government and get down to business pretty quickly, with First Minister's Questions to come on Thursday.

Andrew Mitchell has just given a statement in the Commons on Israel's military action in the Rafah area of Gaza that began yesterday.

Here is what he said, as he said it:

  • The deputy foreign secretary says the government wants to see "an end to the fighting as soon as possible";
  • He says it is "appalling" that Hamas is still holding Israeli hostages, that Hamas rockets killed Israeli soldiers this weekend, and also criticised the "very many civilians still dying in Gaza";
  • Mr Mitchell reiterates the government's position that the fastest way to end the war is a deal for a deal to be reached for a pause in the fighting, for the hostages to be released, and for that then to become a permanent ceasefire;
  • On the Israeli operation in Rafah, the deputy foreign secretary says the government is "deeply concerned" given the civilians sheltering there and it being a key aid corridor;
  • "Israel must facilitate immediate, uninterrupted [humanitarian] access in the south," he says, particularly for fuel, and also allow safe passage for civilians to leave the area;
  • The UK, he says, has not yet seen a "credible plan" for the protection of civilians;
  • He calls on Hamas to accept a "viable" ceasefire agreement, and for Israel to meet its commitment to "flood" Gaza with aid.

The deputy foreign secretary, Andrew Mitchell, is on his feet in the Commons answering an urgent question on the situation in the Middle East.

The shadow foreign secretary, David Lammy, tabled the question following the start of Israeli military action in the Rafah area, which is in the south of the Gaza Strip and where many civilians have been sheltering as war raged in other areas.

All political parties in the UK have spoken against Israeli plans for a further military offensive in Rafah due to the number of civilians in the area.

But Israel says that following the 7 October attack by Hamas, it must defend itself and eliminate the terror group entirely.

Veterans minister Johnny Mercer has been given more time to provide an inquiry with the names of people he says told him about murders allegedly carried out by UK special forces in Afghanistan.

The Tory MP, a former soldier, has been handed several deadlines to provide the information - and the new one extends an 8 May cut-off to this coming Friday, 10 May, at 4pm.

He is potentially facing jail time for not handing over the information to the independent inquiry, having been asked numerous times by the chair, Sir Charles Haddon-Cave.

Mr Mercer has so far refused to do so on the basis he did not have the permission of his sources.

He told the inquiry in March: "The one thing you can hold on to is your integrity and I will be doing that with these individuals."

He claims "multiple officers" have told him of allegations of murder and a cover-up in Afghanistan.

Statutory inquiries have the power under law to order people to provide evidence - and the refusal to do so can see someone end up in prison, although this is still thought to be a distant possibility.

One of Labour's biggest victories in last week's elections was not a council or mayoral vote, but a parliamentary one.

The opposition's candidate, Chris Webb, won a resounding victory in the Blackpool South by-election, triggered by the resignation of the former Conservative MP who was caught up in a lobbying scandal.

A short while ago, he walked into the House of Commons chamber, swore an oath to the King (something all MPs are required to do), and signed the "test roll" - a piece of parchment confirming his oath.

This means Labour currently has more sitting MPs than they won at the last general election - in 2019, the opposition won 202 seats, and there are now 203 sitting Labour MPs.

The Conservatives have something to cheer about. 

Yes, you heard that right – they really do.

After a miserable weekend for the government, new data later this month is likely to show the economy grew recently, marking the official end to a shallow recession last year.

Inflation is set to continuing falling and maybe, just maybe, the Bank of England might cut interest rates.

Overall, as many of the macroeconomic gauges are starting to improve, the Conservatives are claiming the economy is "turning the corner".

This leaves Labour in a bit of pickle.

In a speech today ( see 10.04 post ), Rachel Reeves was forced to accept "things could happen this month" that don't fit into the narrative that the economy is going to hell in a handcart.

So the message today has changed.

Yes, there is lots of data that does not make good reading for the government - debt remains at levels last seen during the early 1960s, while taxation is historically high.

As Ms Reeves pointed out, 6.4 million people in England and Wales last year saw their rent increase or had to remortgage - and there are 950,000 families whose mortgage deal is due to expire by January.

But the party clearly feels this isn't enough. So Ms Reeves is also asking – do you feel better off? Do you feel like the economy is growing?

She's hoping the answer from millions of Britons will be a resounding no.

"I love a graph as much as the next person, I spent the early part of my career looking at them obsessively. But in the end, what success looks like is how people feel," said Ms Reeves when I asked about how this could ever be measured.

Ultimately, today is not about the colourful language of "gaslighting" or "delusion" that Ms Reeves used, but Labour recognising that on setting the economic narrative with voters, it has a fight on its hands.

A fight that will get even more difficult as the election draws near later this year, by which stage Labour is hoping the public still isn't feeling it.

Just hours after his predecessor Humza Yousaf signed his letter of resignation ( see 12.09 post ), the SNP's new leader John Swinney is preparing to take his place.

Earlier, our deputy political editor Sam Coates attended a briefing inside Downing Street regarding a data breach at the Ministry of Defence.

Sky News understands China has been linked to the leak, but the government has not yet publicly confirmed this is the case.

A statement is expected from Defence Secretary Grant Shapps at around 4.30pm today - but it is likely that China won't be named.

Sam says: "It takes months to formally acquire the evidence such to the standard that a minister can say it was China."

As we reported a little earlier, Humza Yousaf has this lunchtime officially tendered his resignation as first minister ( see 12.09 post ).

It comes after John Swinney was named SNP leader yesterday.

Our Scotland correspondent Connor Gillies says it marks the end of a period of "turmoil" for Mr Yousaf "brought on by his own actions".

He points to the sacking of the Scottish Greens from the coalition government and watering down of climate ambitions.

While Mr Yousaf may not have seen the end of his 13-month tenure coming when he made those decisions, it was "of his own making".

Connor's blunt assessment is Mr Yousaf's time in office has "ended in disaster" and he's now "yesterday's man".

MSPs at Holyrood will vote on Mr Swinney becoming first minister later and then he'll be sworn in tomorrow.

His first First Minister's Questions will be on Thursday.
