Work out a system of headings that you can use with all of your essays. Headings should be graded at levels to show a clear order of importance (e.g. level 1 – most important; level 2 – next important and so on). You will mainly use one to three levels of headings in your essay, depending on the length of your assignment. For example, most 2000 word essays may only require 3-5 level 1 headings (i.e. a level 1 heading every 2-3 pages). Remember that the aim of using headings is to keep your reader on track. Special headings are specific types that serve unique purposes within a document or publication. These are typically used in academic papers, research articles, reports, or other formal documents to organize and present information in a structured manner. Here are some of the common ones:

Subheadings, or subtitles, are titles used within a document to organize content into sections, making it easier for readers to navigate and understand the material. In an academic context, subheadings are crucial for structuring papers, reports, and articles. They help break down complex information into manageable parts, highlight key topics, and provide a clear content roadmap.
Main title: The Impact of Climate Change on Marine Biodiversity
Subtitle: Effects on Coral Reefs
This part could delve into how rising temperatures and ocean acidification affect coral reefs, including bleaching events.
Subtitle: Changes in Marine Species Distribution
Here, the focus could be on how climate change alters the geographical distribution of marine species.
There are various style guides used by universities worldwide. However, each of them has its guidelines on formatting, etc. Below, we provide a brief overview of the three most important style guides and their specifications for formatting headlines.

There are certain aspects, when creating a proper section title, you should pay attention to. Below, we’ll explain this and afterward you’re a pro when crafting your paper.
No repetition.
For your academic essays, you should incorporate some descriptive headings to provide the reader with clear information for easy understanding. When used effectively, the lecturer, or reader will peruse your document and know what it’s about simply by reading the headlines.
Some tips on how to be as descriptive as possible are:
The first one is too vague and does not provide specific information about the section’s content. In contrast, the second one clearly describes the information and sets appropriate expectations for the reader.
Chapters cannot have the same content; therefore, the section titles can’t be the same, too. Knowing how to write a headline that is as descriptive as possible will help arrange your ideas and give the reader an easy time. Having the same title twice can dilute your work and immensely affect your grading.
Essential tips on how to write a headline without repetition are:
In the first example, it is unclear which features are being discussed in each section. The second examples are unique and refer to different paper sections, which helps in differentiating the content and improves the overall clarity.
Firstly, you open up the document in Microsoft Word you’d like to create headlines for. Right at the beginning, you will see the Home tab, where you can also set the font and size. Right in the middle, you will find a fold-out column titles Styles that allows you to format your text into any headline you like (refer to the picture below). If you click on the arrow , you’ll see there are more types of section titles , if there isn’t one you like.
That’s how easily you format a headline in a Word document.
Note: You can change the format by simply hovering over the style while marking the text. You do not have to click on the heading style to find out how it’ll look.
If you want to take it one step further, you can even create your own style when folding out the Styles tab. You have two choices here. One involves changing an existing headline, whereas the other option involves creating an entirely new one.

Technical and jargon terms used in headlines of documents may not be understandable to every reader except those familiar with the languages. An example is site language, most commonly found in search engine optimization (SEO).

Use APA formatted headings and subheadings to organize the sections of your paper and to help your reader transition from section to section. A suggestion is to use headings that are in the order of the assignment and evaluation criteria or rubric so your instructor can easily see you have fulfilled each part of the assignment’s content requirements. The first heading level is centered, boldface, uppercase and lowercase lettering. Do not start a new page for each heading.

We, the APA Style team, are not robots. We can all pass a CAPTCHA test , and we know our roles in a Turing test . And, like so many nonrobot human beings this year, we’ve spent a fair amount of time reading, learning, and thinking about issues related to large language models, artificial intelligence (AI), AI-generated text, and specifically ChatGPT . We’ve also been gathering opinions and feedback about the use and citation of ChatGPT. Thank you to everyone who has contributed and shared ideas, opinions, research, and feedback.
In this post, I discuss situations where students and researchers use ChatGPT to create text and to facilitate their research, not to write the full text of their paper or manuscript. We know instructors have differing opinions about how or even whether students should use ChatGPT, and we’ll be continuing to collect feedback about instructor and student questions. As always, defer to instructor guidelines when writing student papers. For more about guidelines and policies about student and author use of ChatGPT, see the last section of this post.
If you’ve used ChatGPT or other AI tools in your research, describe how you used the tool in your Method section or in a comparable section of your paper. For literature reviews or other types of essays or response or reaction papers, you might describe how you used the tool in your introduction. In your text, provide the prompt you used and then any portion of the relevant text that was generated in response.
Unfortunately, the results of a ChatGPT “chat” are not retrievable by other readers, and although nonretrievable data or quotations in APA Style papers are usually cited as personal communications , with ChatGPT-generated text there is no person communicating. Quoting ChatGPT’s text from a chat session is therefore more like sharing an algorithm’s output; thus, credit the author of the algorithm with a reference list entry and the corresponding in-text citation.
When prompted with “Is the left brain right brain divide real or a metaphor?” the ChatGPT-generated text indicated that although the two brain hemispheres are somewhat specialized, “the notation that people can be characterized as ‘left-brained’ or ‘right-brained’ is considered to be an oversimplification and a popular myth” (OpenAI, 2023).

You may also put the full text of long responses from ChatGPT in an appendix of your paper or in online supplemental materials, so readers have access to the exact text that was generated. It is particularly important to document the exact text created because ChatGPT will generate a unique response in each chat session, even if given the same prompt. If you create appendices or supplemental materials, remember that each should be called out at least once in the body of your APA Style paper.
When given a follow-up prompt of “What is a more accurate representation?” the ChatGPT-generated text indicated that “different brain regions work together to support various cognitive processes” and “the functional specialization of different regions can change in response to experience and environmental factors” (OpenAI, 2023; see Appendix A for the full transcript).
The in-text citations and references above are adapted from the reference template for software in Section 10.10 of the Publication Manual (American Psychological Association, 2020, Chapter 10). Although here we focus on ChatGPT, because these guidelines are based on the software template, they can be adapted to note the use of other large language models (e.g., Bard), algorithms, and similar software.
The reference and in-text citations for ChatGPT are formatted as follows:
Let’s break that reference down and look at the four elements (author, date, title, and source):
Author: The author of the model is OpenAI.
Date: The date is the year of the version you used. Following the template in Section 10.10, you need to include only the year, not the exact date. The version number provides the specific date information a reader might need.
Title: The name of the model is “ChatGPT,” so that serves as the title and is italicized in your reference, as shown in the template. Although OpenAI labels unique iterations (i.e., ChatGPT-3, ChatGPT-4), they are using “ChatGPT” as the general name of the model, with updates identified with version numbers.
The version number is included after the title in parentheses. The format for the version number in ChatGPT references includes the date because that is how OpenAI is labeling the versions. Different large language models or software might use different version numbering; use the version number in the format the author or publisher provides, which may be a numbering system (e.g., Version 2.0) or other methods.
Bracketed text is used in references for additional descriptions when they are needed to help a reader understand what’s being cited. References for a number of common sources, such as journal articles and books, do not include bracketed descriptions, but things outside of the typical peer-reviewed system often do. In the case of a reference for ChatGPT, provide the descriptor “Large language model” in square brackets. OpenAI describes ChatGPT-4 as a “large multimodal model,” so that description may be provided instead if you are using ChatGPT-4. Later versions and software or models from other companies may need different descriptions, based on how the publishers describe the model. The goal of the bracketed text is to briefly describe the kind of model to your reader.
Source: When the publisher name and the author name are the same, do not repeat the publisher name in the source element of the reference, and move directly to the URL. This is the case for ChatGPT. The URL for ChatGPT is https://chat.openai.com/chat . For other models or products for which you may create a reference, use the URL that links as directly as possible to the source (i.e., the page where you can access the model, not the publisher’s homepage).
You may have noticed the confidence with which ChatGPT described the ideas of brain lateralization and how the brain operates, without citing any sources. I asked for a list of sources to support those claims and ChatGPT provided five references—four of which I was able to find online. The fifth does not seem to be a real article; the digital object identifier given for that reference belongs to a different article, and I was not able to find any article with the authors, date, title, and source details that ChatGPT provided. Authors using ChatGPT or similar AI tools for research should consider making this scrutiny of the primary sources a standard process. If the sources are real, accurate, and relevant, it may be better to read those original sources to learn from that research and paraphrase or quote from those articles, as applicable, than to use the model’s interpretation of them.
We’ve also received a number of other questions about ChatGPT. Should students be allowed to use it? What guidelines should instructors create for students using AI? Does using AI-generated text constitute plagiarism? Should authors who use ChatGPT credit ChatGPT or OpenAI in their byline? What are the copyright implications ?
On these questions, researchers, editors, instructors, and others are actively debating and creating parameters and guidelines. Many of you have sent us feedback, and we encourage you to continue to do so in the comments below. We will also study the policies and procedures being established by instructors, publishers, and academic institutions, with a goal of creating guidelines that reflect the many real-world applications of AI-generated text.

The title is the first thing your reader will see, and most readers will make their first judgements of your work based on it. For this reason, it’s important to think about your titles carefully.

Your title should, above all else, convey the topic of your paper. In other words, no matter how witty, clever, original, or otherwise appealing your title may be, it fails if it is not informative.
Decide whether you’ve given a sense of the paper’s topic and claims by comparing your title’s content to the most important aspect(s) of your dissertation statement or hypothesis and conclusions.
A striking title is one that entices your audience to read, so know your audience’s tastes.
The analogy of cultivating sexual attraction in a prospective mate is useful here: some audiences will be enticed by a title’s edginess (as with, for example, V. Alneng’s “‘What the Fuck is a Vietnam?’ Touristic Phantasms and the Popcolonization of [the] Vietnam [War],” published in Critique on Anthropology ); others will almost always prefer a more straightforward title (as with J.C. Henderson’s “War as a tourist attraction: The case of Vietnam,” published in the International Journal of Tourism Research ).
You should be able to gauge how edgy your title can be by the tone of your discipline or the publication you’re submitting to, and your main concern should be forming a title that appeals to your readers’ specific tastes.
Consider also that a title that highlights the paper’s fresh insights will often be striking.
An endocrinologist, for example, might become very excited upon seeing the collaboratively authored article “Comparison of the effects on glycaemic control and β-cell function in newly diagnosed type 2 diabetes patients of treatment with exenatide, insulin or pioglitazone: A multicentre randomized parallel-group trial,” published in 2015 in the Journal of Internal Medicine .
This rather long title is more acceptable in the sciences, where what readers tend to find provocative in a title is the degree to which it reveals the paper’s specifics.
Ensuring that your title is appropriate in a way of making sure not only that your audience understands it, but also that its appeal contributes to its meaning. To make sure the title will be understood, you need to consider how familiar your research topic will be to your audience.
In an academic essay, you can use highly technical terms in your title, but generally avoid terms that the average well-read person in your discipline might not know.
In any writing that has a broad audience, titles need to avoid language that is too sophisticated; a news article, for example, should be easily understood by all.
As a second consideration of appropriateness, make sure that your title does not entice without substance.
The title of Alneng’s paper, for example, does not use “fuck” merely to shock and therefore entice the reader; the uncommon use of a swearword here helps convey the topic of the article: more or less vulgar representations of Vietnam.
The same is true for other striking titles, such as Nancy Tuana’s “Coming to Understand: Orgasm and the Epistemology of Ignorance,” published in Hypatia .
The title’s sexually charged play on words (“coming to understand”) hooks the audience, but is not merely a hook. The pun is directly relevant to the essay’s argument, which is that sexual pleasure offers an important form of knowledge.

The following is a list of title formats, with examples of each. I’ve given the names of the publications in brackets to give a sense of how different disciplines treat titles.
Note that these are not mutually exclusive patterns (i.e. it’s possible to have various combinations; e.g. General & interesting: Informative & specific). Note also that this is not meant to be an exhaustive list.
Although similar, headings are not the same as titles. Headings head paragraphs and help structure a document. Effective headings make your paper easily scannable.
Common high level headings in dissertations and research papers are “Methods”, “Research results”, and “Discussion”. Lower level headings are often more descriptive.

At the outset, make a plan for how you will deal with matters of capitalization, formatting and sequencing of headings. Headings at the same level should be formatted the same. For instance, "Section 2.2" should get the same treatment as "Section 4.1". They should also have parallel structure.

There are five levels of heading in APA Style. Level 1 is the highest or main level of heading, Level 2 is a subheading of Level 1, Level 3 is a subheading of Level 2, and so on through Levels 4 and 5. The number of headings to use in a paper depends on the length and complexity of the work. If only one level of heading is needed, use Level 1.
Set the headers in the correct header size. Click the "Normal Text" dropdown and choose Header 1 for Level 1 APA headings, Header 2 for Level 2, and so on. Go to Insert>Table of Contents. Note: Keep in mind that APA 7th style guide dictates that the headings and text should have the same font size and typeface.
Format each of the five levels of APA-style headings as demonstrated in the example below. Note that while the example features headings titled "First Level," "Second Level," and so on, each heading in your paper should be named according to the section it describes. First level.
An MLA heading is the title of an individual section or page in a piece of writing—portions of your paper that aren't quite big enough to be chapters. For example, this section you're reading now is under the heading "MLA heading vs. MLA header." Headings help structure a paper and break up information to make it easier to comprehend.
The paper or chapter title is the first level of heading, and it must be the most prominent. Headings should be styled in descending order of prominence. You will mainly use one to three levels of headings in your essay, depending on the length of your assignment. For example, most 2000 word essays may only require 3-5 level 1 headings (i.e. a level 1 heading every 2-3 pages). Remember that the aim of using headings is to keep your reader on track.
A: A heading is a short phrase that indicates what the next section of your essay, report or thesis is all about. Headings are used to organise the presentation of your argument and lead the reader through the paper. The reader should be able to preview what your paper covers—your argument—by reading just the headings.
Headings and subheadings are essential to catch the reader's attention but are not important enough to stand independently. They represent the critical concepts and all the supporting ideas.
