All you need to do is write an awesome job application letter.

Application letters are a great way to get your foot in the door of a company that hasn’t advertised a position or when you’re applying for an academic program or an  internship .

So, what are you waiting for?

What is a job application letter/email?

Whereas cover letters are used when applying for a specific vacancy, and include details which are complementary to what’s on the applicant’s résumé, application letters are submitted when there is no job opening, and they tend to be more detailed.

Unlike cover letters, which usually span about one page, application letters can be twice as long.

How should you structure your letter?

The structure and formatting of your application letter is just as important as the words you use to sell your skills and enthusiasm for the job. The pointers below will help you deliver your message in a professional and effective way.

Sender’s address

Begin your letter with your address listed in the left-hand corner of the page. In the US, it’s acceptable to list your address in the right-hand corner. (Skip this step if you’re going to send your application via email.)

If you’re applying via email, create an email address for professional use if you haven’t already. This should include your first and last names or initials — no nicknames or years of birth! Two appropriate examples are [email protected] and [email protected] .

As with any official letter, include the date of your letter below your address.

Subject line

The  subject of your email  should make the manager want to read more and not automatically press the “Delete” button. It could be something like: “Social Media Expert with over 5 Years of Experience”.

Inside address

The company’s address should appear a few lines below your address and the date. Skip this if you’re sending an email.

As with any formal letter, you need to open with the correct formal salutation (such as “Dear Mr [surname]” or “Dear Ms [surname]”).

It’s also best to find out who the head of the department is, and address your letter directly to them to show that you’ve taken the time to really do your research. If you begin with “Dear Hiring Manager”, for example, you’re potentially destroying your chances of getting the job you’re applying for.

Opening paragraph

The opening paragraph should provide details on why you’re getting in touch.

Think about what you want to achieve with this letter before forming your answer. For example, you could say that it’s been a dream of yours to work for the company and that you feel that, given the chance, you’d love to bring new skills and ideas to the table. You can also highlight any qualifications you have here.

Middle paragraph(s)

This is where you will explain why you’re suitable for the position by listing skills you’ve developed through previous work experience . Remember that this shouldn’t be a word-for-word copy of your résumé; rather, you should use this as an opportunity to expand on notable achievements.

And make sure you tailor the content of your letter to the particular job title and company you’re applying to — you don’t want to ramble on about irrelevant details.

Final paragraph

Finally, focus on what you bring to the table and how the company can benefit from your skills and experience. If you have statistics and figures to back up your claims, even better!

For example, if you’re an experienced project manager, you could say how you want to showcase your leadership skills and help the company reach its desired turnover, and then back this up with statistics on how you did just that in previous positions.

You should close your letter with a call-to-action. For example, you could say something like: “I look forward to hearing back from you to discuss any possibilities”. And don’t forget to thank the reader for their time!

Your name and signature

If you’re sending this by snail mail, opt for a handwritten signature. If, on the other hand, you’re sending an email, simply write your name, followed by your contact information.

Most application letter templates (and formal letter templates in general) use the Times New Roman typeface at 12 points. Other recommended fonts include Arial, Georgia and Calibri.

Tips for writing your letter

When it’s time to write an application letter, bear the following points in mind to ensure that your document captures the hiring manager’s attention and successfully creates the impression that you’d make a good fit for their company.

1. Include bullet points

Bullet points can be used as an effective formatting tool when writing your application letter. They can demonstrate points clearly and concisely, as well as help with the overall layout, allowing for bite-sized, readable chunks of information.

2. Make sure the language you use is easy to read

You might be a literary wizard , but those long words won’t impress the hiring manager if they make your letter difficult to read.

3. Use positive language

Positivity is the way forward when it comes to selling your skills to a potential employer. Therefore, you should use positive words when explaining your previous work experience.

These words include “assisted”, “conducted”, “executed”, “proposed” and “recommended”, which (when used right) can demonstrate your contribution and dedication to your role and organization.

4. Be creative

Depending on the industry that you’re interested in, you can be a bit creative with your approach . This means that you don’t have to follow the conventional structure of a cover letter, and can instead adopt a more story-like approach.

Should you add any attachments?

Since application letters are not submitted in response to particular job ads, but rather serve as an inquiry into any unadvertised openings which may be available, they tend to be standalone documents. That is to say they are not typically accompanied by other files.

Whereas cover letters are concise, tailored to the job posting and accompanied by résumés, your letter of application will be a more extensive account of your skills and experiences.

That being said, if you’re applying for a creative position such as that of a video editor or blog writer, it makes sense to include a few samples of your work that best represent your talent and ability.

Dear Mr Cannon,

I have long been following your company’s growth and progress, being extremely passionate about clean, renewable energy. I remember coming across XYZ Renewables back in the early 2000s, when it was still in its early startup stages, and I admire how your leadership has grown the company since.

Having gained extensive experience as a solar consultant over the last decade, I have kept an eye out for any job opportunities with XYZ Renewables. This is why I am writing to you today: to express a keen interest in working with you in the future, should any solar consultation vacancies become available at your company.

In my current role at ABC Energies, I train new hires in advising and liaising with clients, as well as in designing and installing solar systems that cater to the needs and budget of our clients. I carry out the same duties myself, and have been commended for my customer service skills and technical know-how in solar systems installations.   • You may write something like: “John Smith recommended that I get in touch with you about the general manager position at EnviroRent,” or “I came across the available position on LinkedIn and believe I am a strong candidate.”

Step 3 Explain why hiring you would benefit the company.

  • For instance, if the company needs someone who can lead a team and handle multiple projects at once, note what team projects you’ve led in previous positions and how you improved overall productivity.
  • If you have numerical data or stats to back up your accomplishments, include them! This is your time to brag about your achievements and show how you’ve excelled in the workplace.

Step 3 Finish with a call to action.

  • Keep your call to action brief and open, or provide specific dates you’d be available to meet with the employer.

A good cover letter can mean the difference between catching the hiring manager’s attention and languishing in job search limbo. But many job seekers find it hard to stare down that blank page. How do you summarize your most important qualifications in a way that makes it clear that you’re the best candidate for the job? Cover letter templates can help.

A cover letter template provides a "fill-in the-blank" format. You can use it to create your own letter to send with your resume when you apply for a job.

Using a template saves you a few steps and helps you structure your letter in a professional way.

Free Microsoft cover letter templates are available online from Microsoft Office Online, as a download for Microsoft Word users, or are available within your Word program.

Note that not all templates may work with all versions of Word, so check before you download. There will be a message next to the download button advising if there are restrictions.

Not a Microsoft user? Google Docs also has  free template samples  available for letters and resumes. Using any of these templates can help you to feel confident that you are properly writing and  formatting your cover letter .

Free Microsoft Word Cover Letter Templates

There are a variety of templates available for Microsoft Word. Template options include  general cover letters  and both job- and career-specific cover letter samples. For example, there are cover letter templates for professionals, temporary workers, and candidates who are sending in their resumes unsolicited.

Microsoft Word also offers a variety of different cover letter template designs, with resume templates to match. Note that if you choose one of these fancier template designs, you’ll want to choose a resume template to match.

Be consistent in your application materials, whether it’s matching your cover letter to your resume or choosing a font or format. That way, hiring managers can focus on your work experience—not your stylistic choices.

Access Cover Letters From Your Computer

Open Microsoft Word, then click on:

Then, search for online templates by typing your keywords (e.g., “cover letter”) in the field provided. You can also click on the "Resumes and Cover Letters" category to get more options. Review the available options and choose the design you like best.

If you don’t own a copy of Microsoft Office or a subscription to Microsoft 365, you can still access  cover letter templates . These templates are free and editable online.

Visit the  Microsoft Cover Letter Templates  website, browse the cover letter templates, then click on the title to preview the sample. You'll need to sign up for a free account to edit the document.

Once you find a template you like, click Edit In Browser, then follow the instructions to customize and save your cover letter. There are also sets, which include matching resumes and cover letters, available to use.

Use the Template to Create a Customized Cover Letter

Once you have downloaded or opened  a cover letter template file , type over the text in the file to create your own  personalized cover letter .

The template will include all the relevant information that you need to include in your document. Simply change the generic version to include your personal and professional information.

It's a good idea to include additional details about your qualifications and experience. Take the time to  match your qualifications to the job description . Include  keywords related to your skills and achievements.

To  customize your cover letter  further, look for a contact person at the company, ideally the hiring manager or HR contact, and address the letter to this person. If you have an employee contact at the company who is willing to refer you, be sure to mention them in the first paragraph of your cover letter. Employee referrals carry a lot of weight with hiring managers.

Double-check to make sure there is none of the template information left in your final saved version. Finally, carefully proofread for grammar and typographical errors before saving and sending your cover letter.

To avoid sending a blank template or the wrong version of your cover letter,  choose a file name  that’s easy to remember. It should always include your name and may also contain the name of the position for which you’re applying. 

Avoid version numbers and cutesy nicknames when choosing a file name for your resume.

  • Send one.  Even when an employer does not directly ask for one, be sure  always to send a cover letter . The only time you don’t want to send one is when the job listing says not to.
  • Review examples . Review cover letter examples and tips for how to write a cover letter , so yours makes the best impression.
  • Customize each letter.  It might seem tedious, be it is important to  customize each cover letter  to fit the specific job you are applying for. It will make your letter stand out.
  • Highlight relevant qualifications.  In your cover letter, address one or two skills or qualifications that you have that match the job description. Provide a specific example of a time you demonstrated each of these qualifications. These examples will make your cover letter different from your resume, which is important.
  • Explain any potential issues.  You can use your cover letter to go into detail about something in your resume that needs explaining. For example, a cover letter is a good place to talk about a  career shift  or  explain an extended gap in employment .
  • Carefully edit your letter.  Be sure to edit each cover letter before sending it thoroughly. Consider asking a friend or family member, or a  career counselor , to read over your cover letter.

Create a form in Word that users can complete or print

In Word, you can create a form that others can fill out and save or print.  To do this, you will start with baseline content in a document, potentially via a form template.  Then you can add content controls for elements such as check boxes, text boxes, date pickers, and drop-down lists. Optionally, these content controls can be linked to database information.  Following are the recommended action steps in sequence.  

Show the Developer tab

In Word, be sure you have the Developer tab displayed in the ribbon.  (See how here:  Show the developer tab .)

Open a template or a blank document on which to base the form

You can start with a template or just start from scratch with a blank document.

Go to File > New .

In the  Search for online templates  field, type  Forms or the kind of form you want. Then press Enter .

In the displayed results, right-click any item, then select  Create.

Add content to the form

Go to the  Developer  tab Controls section where you can choose controls to add to your document or form. Hover over any icon therein to see what control type it represents. The various control types are described below. You can set properties on a control once it has been inserted.

To delete a content control, right-click it, then select Remove content control  in the pop-up menu. 

Note:  You can print a form that was created via content controls. However, the boxes around the content controls will not print.

Insert a text control

The rich text content control enables users to format text (e.g., bold, italic) and type multiple paragraphs. To limit these capabilities, use the plain text content control .

A picture control is most often used for templates, but you can also add a picture control to a form.

Use a building block control  when you want users to choose a specific block of text. These are helpful when you need to add different boilerplate text depending on the document's specific purpose. You can create rich text content controls for each version of the boilerplate text, and then use a building block control as the container for the rich text content controls.

Insert a combo box or a drop-down list

In a combo box, users can select from a list of choices that you provide or they can type in their own information. In a drop-down list, users can only select from the list of choices.

Select the content control, and then select Properties .

To create a list of choices, select Add under Drop-Down List Properties .

Type a choice in Display Name , such as Yes , No , or Maybe .

Repeat this step until all of the choices are in the drop-down list.

Fill in any other properties that you want.

Note:  If you select the Contents cannot be edited check box, users won’t be able to click a choice.

Use the legacy form controls

Legacy form controls are for compatibility with older versions of Word and consist of legacy form and Active X controls.

Set or change properties for content controls

Each content control has properties that you can set or change. For example, the Date Picker control offers options for the format you want to use to display the date.

If you want to limit how much others can edit or format a form, use the Restrict Editing command:

Open the form that you want to lock or protect.

Select Developer > Restrict Editing .

If you want to protect only parts of the document, separate the document into sections and only protect the sections you want.

To do this, choose Select Sections in the Restrict Editing panel. For more info on sections, see Insert a section break .

Open a template or use a blank document

To create a form in Word that others can fill out, start with a template or document and add content controls. Content controls include things like check boxes, text boxes, and drop-down lists. If you’re familiar with databases, these content controls can even be linked to data.

Select Macro to Run on lets you choose a recorded or custom macro to run on Entry or Exit from the field.

Bookmark Set a unique name or bookmark for each control.

Calculate on exit This forces Word to run or refresh any calculations, such as total price when the user exits the field.

Add Help Text Give hints or instructions for each field.

OK Saves settings and exits the panel.

Cancel Forgets changes and exits the panel.

Set specific properties for a Text box

Type Select form Regular text, Number, Date, Current Date, Current Time, or Calculation.

Default text sets optional instructional text that's displayed in the text box before the user types in the field. Set Text box enabled to allow the user to enter text into the field.

Maximum length sets the length of text that a user can enter. The default is Unlimited .

Text format can set whether text automatically formats to Uppercase , Lowercase , First capital, or Title case .

Text box enabled Lets the user enter text into a field. If there is default text, user text replaces it.

Set specific properties for a Check box .

Default Value Choose between Not checked or checked as default.

Checkbox size Set a size Exactly or Auto to change size as needed.

Check box enabled Lets the user check or clear the text box.

Set specific properties for a Combo box

Drop-down item Type in strings for the list box items. Press + or Enter to add an item to the list.

Items in drop-down list Shows your current list. Select an item and use the up or down arrows to change the order, Press - to remove a selected item.

Protect the form

Go to Developer > Protect Form .

Note:  To unprotect the form and continue editing, select Protect Form again.

Save and close the form.

Test the form (optional)

If you want, you can test the form before you distribute it.

Reopen the form, fill it out as the user would, and then save a copy.

Creating fillable forms isn’t available in Word for the web.

How to use Microsoft Word: a tutorial for beginners

If you’re completely new to Microsoft Word, you’re probably wondering where to begin. You’ve come to the right place because we’ll get you started. From what you see in the Word window to how to save a document, this Word Tutorial for Beginners is for you.

How to create a new document

How to name and save document files, how to use autosave, get to know the interface, how to use the tabs and ribbon.

Note : The information in this tutorial applies to Microsoft Word for 365 on Windows. While you may see varying terms, tool locations, or available options, most Word versions have the same basic features. Once you have whatever version you’re using downloaded and installed , you can jump right in.

When you open Microsoft Word, you can create a new empty document or use a built-in template . To best get familiar with the application and the features we explain here, select a Blank document on the Home screen and follow along!

One of the most important things to learn about using Microsoft Word is naming and saving your documents. There’s nothing worse than putting hours of work into a document, only to find out you didn’t save it before closing it .

A good habit to start is to name and save the document as soon as you begin. You can then continually save it with the same name as you work on it. Another option is to use AutoSave, which is available to Microsoft 365 subscribers.

  • To name and save a new document, go to the File tab and select Save .
  • Choose a location to save the file and enter a name for it. By default, Word saves your document as a DOCX file format that is specific to Word. (Older versions of Word use the default DOC format.) Optionally, you can pick a different format below the file name if necessary
  • Select Save .

As you work on your document, you can use the Save button in the Quick Access Toolbar at any point. Alternatively, select File > Save . This ensures you won’t lose your work.

To use AutoSave, you must subscribe to Microsoft 365. With this feature, the document saves occasionally and automatically as you work on it, which is convenient. It’s important to note that the file must be saved to OneDrive not locally on your device.

  • To enable the feature, turn on the AutoSave toggle in the title bar.
  • Select the OneDrive account if you have more than one.
  • Enter a name for the file and choose OK .

You’ll then see the AutoSave toggle enabled as you work on your document.

The next important aspect to learn about Microsoft Word is what you see in the application’s window.

Title bar : This is the bar at the very top of the window. It contains the Quick Access Toolbar on the left, which holds handy buttons like Save and Undo, the document name, the Search feature, and buttons to control the window.

Tabs : Below the title bar is the tab row. You’ll see tabs for Home, Insert, Draw, Design, Layout, and more. You open the tab you need to perform a task using the tools on the ribbon.

One exception is the File tab on the far left, which doesn’t have a ribbon. Instead, you’ll see a navigation on the left side that allows you to save, print, export, close, and access the settings. You can also use the right side on the File tab to create new documents and open recent ones.

Ribbon : Below the tab row is the ribbon that holds buttons and menus. When you open a tab, you’ll see tools in the ribbon for that particular tab. For instance, if you want to change your document’s appearance, you’d go to the Design tab and see tools for themes, formatting, colors, and page color.

Status bar : This is the bar at the bottom of the window. You can customize this area to show commonly needed details like page number, indicators like caps lock, and options for zoom. Right-click the Status bar to add or remove items.

The center of the Word window is the document workspace where you can simply begin typing to create an essay, article, report, résumé, and similar.

As mentioned above, the ribbon holds buttons and menus that allow you perform actions. The ribbon is divided into sections, or groups, to help you find the tool you need.

The ribbon tools adjust depending on which tab you select. So, when you open each tab, you’ll see a different set of tools. Additionally, when you open a tab, it’s selected and you’ll see it underlined

Because there are many tools on the ribbon for each tab, here are just some of the most commonly used tabs and options.

The Home tab’s ribbon contains the most basic actions you’d perform when creating a document. You have the Clipboard group to copy, cut, and paste; the Font group for style, size, bold, italics, and color; the Paragraph group for alignment, lists, spacing, and indents ; and the Styles group with preformatted options such as titles, subtitles, headings, quotes, and emphasis.

You can also enable dictation, shop for add-ins, and open the Word Editor.

The Insert tab is where you go when you want to insert items aside from text in your document. You have the Illustrations group for pictures, shapes, icons, and charts; the Media group for video and audio; and the Header & Footer group for adding these document items.

You’ll also see tools to add a table, hyperlink, comment, WordArt, equations, and symbols.

The Draw tab lets you use pens, markers, and highlighters to draw on your document . You can also format the background, convert ink to a shape or math, and use the stencil.

The Design tab gives you ways to change the appearance or style of your document. You can select from Themes, which provide colors and fonts, and Document Formatting, which provides structure with titles and headings.

You also have Page Background tools for adding a watermark , changing the background color, and applying page borders.

The Layout tab lets you change the structure of a document. You have the Page Setup group to adjust the margins, orientation, size, columns, and breaks; the Paragraph group for indent and spacing settings ; and the Arrange group for wrapping text, aligning objects, and moving items forward or backward.

References tab

The References tab is where you go to add a table of contents , citations, a bibliography, captions, footnotes , and a table of figures. You can also use the Researcher tool and mark entries for things like an index and table of authorities.

Mailings tab

The Mailings tab provides tools for setting up a mail merge in Word . You can create letters, emails, labels, envelopes, and a directory. All tools on this tab are for mail merge.

The Review tab contains tools for spelling and grammar checking, accessibility checking, translating, and language. You’ll also use this tab if you collaborate with others on the document and want to track the changes everyone makes.

The View tab allows you to switch from Print Layout to Web Layout to Outline or Draft view. You can also show or hide tools like the ruler and gridlines, zoom in and out, display multiple pages at once, and arrange Word windows if you have more than one open.

Temporary tabs

While you’ll always see the above tabs in Word by default, you may also see a few temporary tabs display. These tabs appear when you select (click) an item in your document and disappear when you deselect the item.

For example, if you insert a shape, you’ll see the Shape Format tab display, or if you insert an image, you’ll see the Picture Format tab display.

Each temporary tab provides you with ribbon tools specific to the item. Here, you can see we selected a shape that we inserted and the Shape Format tab displays on the right of the tab row. Tools on the ribbon allow us to format the shape and text inside it, as well arrange and resize the shape.
