Most importantly, though, don’t arrive late. The real estate agent conducting the inspection is likely to have back-to-back inspections booked throughout the day. Don't be the latecomer that throws off their entire day’s schedule.

The real estate agent or landlord wants to find a tenant they can trust. And first impressions matter.

Introduce yourself to the real estate agent. Dozens of people will likely be filing through the property through the course of the inspection, and you don’t want to melt into the crowd.

Dressing the part can also help. You don't need to wear a suit and tie but dressing respectably can't hurt.

What should you write on a rental application letter? It's quite simple: Write a few short paragraphs about who you are, what you do for a living and perhaps the reason for your move. If you’re applying as a group for a property you intend to share, briefly introduce each housemate. Be professional, but not so overly formal that your personality doesn’t shine through.

Give a brief rundown of your rental history, and make sure to mention any special circumstances such as pets. Even if you’re applying for a number of properties, it’s a good idea to specifically tailor each cover letter to mention features of the property that appealed to you.

Another way to make sure you’re prepared is to have money for the bond and a holding fee on-hand on the day of the inspection. A real estate agent is highly unlikely to accept your application on the spot, but knowing that you can pay the bond immediately upon acceptance is a big tick in your favour.

Don’t hide anything on your application or in your discussions with the real estate agent. Start off on the front foot by raising any issues that could be potential stumbling blocks.

Do you have pets? Put it in your cover letter, put it in your application and discuss it with the agent at the inspection (it’s also helpful to get references for your pets from previous property managers). Do you have a rough patch in your credit history? Be upfront about it and explain it to the agent.

If there will be a number of people living in the property, make sure they’re all at the inspection. Any details about your tenancy you try to hide are sure to come out eventually, and can lead to some pretty severe consequences if you’ve signed a lease under false pretences.

After you’ve attended the inspection and submitted your rental application, follow up with the real estate agent with a brief thank you email. Be pleasant and avoid coming across as impatient or pushy, but make it clear that you’re interested in the property. A courteous thank you note along with reiterating your interest in the property can help keep you top of mind as they consider applications.

A letter of interest for a house is a personal letter a prospective buyer writes to a seller to express interest in buying a home. The letter of interest can mark the beginning of negotiations between buyer and seller. Before making an offer, a potential buyer may also write a “letter of intent” (LOI) that indicates the buyer’s intentions to make an official offer on the house.

Writing a Letter of Interest

Step 1 Learn when a letter of interest can benefit you.

  • You can maximize the effectiveness of a letter of interest in particular situations. For example, in a “seller’s market” situation, you can face competition from a crowded market of buyers all seeking the same house. A letter of interest is a tool you can use to make you stick out from the crowd.
  • Letters of interest are less common when both parties involved are using a REALTOR. If the seller uses a REALTOR, he or she may want to minimize any part in the selling process, and the seller’s REALTOR is more likely concerned with which potential buyer can close on the house quickly and for the largest percentage of the asking price.
  • If you wish to submit a letter of interest, the best time to do it is when you make an offer on the house. A well-crafted letter of interest can make your offer more attractive to the seller.

Step 2 Form a connection.

  • If you (or your partner, spouse, or children) attended the same school, work in the same sector, volunteer for the same charity, or share any other significant connections to the owners, be sure to make note of this in your letter. [2] X Research source
  • Don't sound too formal: “I am a 30-year-old alumnus of University Xyz with a degree in chemistry.”
  • Do sound approachable: “The U Xyz banner at open house brought back memories — I didn't expect to meet another alumnus out here!”

Step 3 Tell the buyer why you love the home.

  • Focus on specific features of the home and neighborhood that you love, such as the sunroom, yard, surrounding walking trails, etc.
  • People are often still attached to the houses they’re selling. Use this section to show the seller that you have the proper appreciation for the house. Show the seller that selling to you would leave the house in good hands.

Step 4 Write emotionally but authentically.

  • Don't mention sad stories: “...turned down from several houses . . . looking to escape an awful neighborhood...”
  • Do tug on heartstrings in an upbeat way: “...kids loved running down the beach . . . couldn't stop smiling when I looked at the view...”
  • This also means you shouldn’t exaggerate what you love about the house. The current owner will know the house better than anyone, including the work it needs. Overselling how perfect the house is can easily come across as inauthentic.
  • Don’t be afraid to mention that you’d repaint, finish the basement, etc. This also tells the seller that you’re willing to invest in the upkeep of the house.

Step 5 Paint a positive picture of yourself.

  • Don't brag (e.g., “I have an outstanding work ethic” or “I am a pillar of the community”), but do mention positive traits in a straightforward and honest way. Support your statements with examples and evidence. For example, “I am community-minded and volunteer at my local school.”

Step 6 Save the best for last.

  • A closing paragraph might also imagine the future you and your family will enjoy in the home. You might write, “I would be so excited to raise my family here, and would enjoy many years creating memories in this home.”
  • Express your sincere appreciation for the owner's time. Include a warm thank you at the end of the letter, such as, “Your consideration is greatly appreciated,” or similar wording.

Step 7 Keep the letter short.

Writing a Formal Letter of Intent

Step 1 Learn how a letter of intent (LOI) can benefit you.

  • One of the most important aspects of an LOI is that it isn’t binding, meaning either party can walk away at any point in the process. [7] X Research source
  • Like letters of interests, letters of intent aren’t common when REALTORS are involved in the process. REALTORS usually hash out the details on behalf of their clients with the implicit knowledge that nothing is binding until a final contract is agreed to and signed.
  • If you aren’t experienced in this sort of writing, it may be best to work from a template or have a real estate professional draft an LOI for you.

Step 2 Differentiate an LOI from a contingent offer.

  • You can include contingent items in your letter of intent, but the scope of an LOI is larger and less official than an actual contingent offer. You shouldn’t make any offer on the home—contingent or otherwise—until both parties have agreed upon all of the specifics of an LOI.

Step 3 Address your letter to the seller.

  • Formal language is most common. You can write, “This letter describes the intent of (your name) to purchase the real estate located at (location) owned by (seller's name).” [10] X Research source Ensure that the name and address of each party, as well as that of the property, are included.   • You may choose to begin this sentence in a semi-formal manner, such as, “I, (your name), am writing this letter to declare my interest to buy.”

Step 5 List the price you would be willing to offer in the second sentence.

  • If you are proposing to rent or lease, indicate whether you are proposing a weekly, monthly, yearly, or multi-year rent, and in what installments the rent will be made (e.g., every month, every year, etc.). Also include any pro-rated portions of rent if the home is to be inhabited in the middle of a month.

Step 6 Propose a deposit, if applicable.

  • This type of deposit is typically called “earnest money.” Earnest money usually goes to escrow once you sign the purchase and sale agreement, but this agreement will stipulate when exactly it should be deposited into an escrow account.
  • Earnest money is not usually deposited into escrow until the contract is executed, but in some cases it may be contingent on other factors, such as a successful inspection of the property.
  • This amount may be approximately 1-3% of the purchase price. When a final agreement is signed, the money typically goes toward the down payment. [17] X Research source
  • Higher deposits are riskier for you, and may make your offer more attractive to the seller. A typical deposit is around 1% of the purchase price, which minimizes your risk as a buyer.

Step 7 Outline the finance period.

  • You can include other dates in this section, such as a date on which the negotiations automatically expire. Placing an expiration date in the LOI can help push a seller into making a decision more quickly.
  • An expiration date can also put pressure on you, as the buyer, to respond to any counter-offers by the seller.

Step 8 Suggest a “due diligence” period.

  • Be specific about the nature of your inspection: an independent tour, for example, or investigation of tax or other records.
  • You may also specify what types of information or disclosures you will require during an inspection.

Step 9 Close by stating that the letter of interest is not legally binding.

  • Make sure there is a clause that states explicitly that “this letter does not bind the buyer or seller to any offer, financial or otherwise,” or use similar wording that clearly communicates that neither the buyer nor seller is legally bound to the letter of intent and may walk away at any time.
  • A seller who is both a novice to the selling process and working without a REALTOR can interpret such a clause as a lack of seriousness about the property, but you don’t want to risk leaving the letter of intent worded in such a way that a court could find it a legal, enforceable document.

Envelope and postcard

Step 1: Choose Envelope or Postcard

Envelopes are for sending flat, flexible things, like letters, cards, checks, forms, and other paper goods. For just 1 $0.68 First-Class Mail ® Forever ® stamp , you can send 1 oz (about 4 sheets of regular, 8-1/2" x 11" paper in a rectangular envelope) to anywhere in the U.S.!

No. 10 envelope compared to the minimum and maximum envelope sizes

Envelopes must be rectangular and made of paper to qualify for letter prices. Your envelope can be a maximum of 11-1/2" long x 6-1/8" high. (A standard No. 10 envelope is 9-1/2" long x 4-1/8" high.) You can fold what you put in your envelope, but it needs to stay flat—no more than 1/4" thick.

If you want to send letter-sized papers without folding them, you can use a large envelope (called a "flat"); the postage for flats starts at $1.39 . If your large envelope is nonrectangular, rigid (can't bend), or lumpy (not uniformly thick), you'll have to pay the package price.

TIP: If your envelope can't fit through USPS mail processing machines, or is rigid, lumpy or has clasps, string, or buttons, it's "nonmachinable" and you'll have to pay $0.44 more to send it. ( See additional postage in Step 3 .) You'll also have to pay more if your envelopes are square or vertical (taller than they are wide).

Postcards are for short messages that you don't need to put in an envelope. Save money using a $0.53 postcard stamp to send a standard-sized postcard anywhere in the U.S. Standard postcards are usually made of paper, are between 5" to 6" long and 3-1/2" to 4-1/4" high, and are between 0.007" and 0.016" thick.

Step 2: Address Your Mail

Envelopes: Write your address (the "return" or "sender" address) in the top left corner. Write the delivery address (the "recipient" address) in the bottom center.

Postcards: Postcards come in different formats, so write the delivery address in the space it gives you (on the same side you write your message and put the stamp).

Print your return address and the delivery address clearly, in the correct spots, to make sure your mail is delivered on time.

Address Format Tips

  • Use a pen or permanent marker.
  • Do not use commas or periods.
  • Include the ZIP+4 ® Code whenever possible.

Write Sender Address

Write your address (the "return address") in the top-left corner. Include the following on separate lines:

  • Your full name or company name
  • Apartment or suite number
  • Full street address
  • City, State, and ZIP+4 Code

Write Delivery Address

Write the delivery address (the "recipient" address) in the bottom center of the envelope. Include the following on separate lines:

  • Recipient's full name or company name

If the apartment or suite number cannot fit on the delivery address line above the city, state, and ZIP+4 Code, place it on a separate line immediately above the delivery address line.

Write the sender's address in the top-left corner. Include the following on separate lines:

A First-Class Mail ® Forever stamp costs $0.68 and goes in the upper right corner of the envelope. (You can also use any combination of stamps that adds up to $0.68.)

  • Stay flexible : Don't send rigid (hard) objects in paper envelopes.
  • Sending embellished invitations (for weddings, graduations, etc.)? Get them hand-canceled or put them inside another envelope.

Stay Flexible

Postcards, letter envelopes, and large envelopes (flats) all need to bend to fit through USPS ® high-speed sorting machines.

If you’re applying for a government-backed loan, the agency that insures the loan may also require a letter of explanation in certain situations. 

Even if it’s not required, it can’t hurt to include a letter of explanation with your mortgage application. “The default for some processors and underwriters is to assume the worst or to err on the side of caution when something is unclear or complicated,” Shayowitz said. “Being proactive with explanation letters can go a long way in helping a loan processor and mortgage underwriter understand something that might be confusing.”

In particular, the following situations merit the inclusion of a letter of explanation. 

Erratic Income or Gaps in Employment

Most lenders look for a consistent and reliable income that ensures you can keep up with your mortgage payments. If you were unemployed or did not receive income for more than a month over the last two years, you should include a letter of explanation that details the reason you weren’t working, such as:

  • Childbirth or caring for another family member
  • Pursuing further education
  • Being laid off
  • Being self-employed or working in a seasonal industry
  • Going out of business or downsizing

If you were able to make regular payments on your debts and support yourself with savings during that time, be sure to mention that in the letter.

Issues on Your Credit Report

If your credit report shows red flags, like missed payments or defaults, bankruptcies , or foreclosures , it’s essential to include a letter of explanation noting what happened and why it’s not likely to reoccur. You’ll also want to include the date of the event, the name of your creditor, and the account number associated with the delinquent debt.

No Rental or Mortgage Payment History

If you have been living with a friend or family member rather than making monthly housing payments for your own place, the homeowner you live with will need to write a letter of explanation. The homeowner should explain that they haven’t charged you rent and include the dates you lived on their property before signing the letter. 

Profits or Losses From Farming

If you filed Schedule F with your tax return because you earned or lost income from a farm property, you’re required to include a letter of explanation. Include the address of the farm and clearly state that it is not located on the property you’re buying with the mortgage. 

Large Deposits or Withdrawals

If you received a large deposit to your bank account, the lender might think you accepted a gift or a loan from a family member and wonder if your income is sufficient without additional help. A large withdrawal may also indicate to the lender that you’re having financial troubles. There are other reasons for large bank transactions, however. For example, you may have received a bonus from your employer, liquidated investments at an opportune time, or withdrawn funds for a home renovation. Include a letter of explanation that shows why the atypical transaction occurred. 

Possible Occupancy Questions

Lenders underwrite vacation homes and investment properties differently from primary residences. It’s illegal to misrepresent your occupancy intentions. If you’re applying for a primary residence mortgage for a property located far from your employer, or if you’re applying for a second home mortgage for a property in close proximity to your primary residence, the lender may think you intend to use it as a rental property. 

If you think the lender may have questions about how you intend to use the property, include a letter of explanation. 

Address Discrepancies

If any of your documents show a different address, you should include a letter of explanation with a reason for the discrepancy to assure the lender you’re not a victim of identity theft. 

How to Write a Letter of Explanation

“Your explanation letter should be specific, precise, and well-communicated,” said Shayowitz. Avoid general statements about your ability to manage your finances and speak to a specific issue. 

For example, if you missed a payment, explain why it happened, point to your otherwise positive payment history, and state when you brought your account back up to date. A statement like “I make every effort to stay on top of my payments” is too vague because it won’t provide the lender with the details they need to make an approval decision. 

You may need to attach supporting documentation as well. For example, if you’re buying a home far away from work, you might want to include a letter from your employer that shows your remote work arrangement. If you took out a large withdrawal to pay for landscaping in order to prep your home for sale, include a receipt from the landscaping company. If you missed a payment due to being hospitalized, include medical records. 

You’ll also want to include the following elements:

  • Your name, address, and phone number
  • The lender’s name, address, and phone number
  • The mortgage application number
  • Your explanation, which should refer to the attached documents that support it
  • Your signature and the date
