Great cover letters are key to getting your job application to the top of the candidate pile. Here's how to make yours shine.

How to write an impressive cover letter

Your curriculum vitae might showcase your incredible accomplishments, but it won't help you land your dream job if no one reads it. It takes an enticing cover letter to make you stand out as the best applicant.

"Cover letters tend to be the first thing people read. It may be the only thing they read carefully," says Elizabeth Morgan, PhD, assistant professor of psychology at Springfield College in Massachusetts. "Job ads don't always ask for a cover letter, but applicants should always send one, even if it is not required."

"The cover letter is a great opportunity to make a first impression," says R. Eric Landrum, PhD, professor of psychology at Boise State University. Landrum and Morgan co-authored the book, "You've Earned Your Doctorate in Psychology … Now What?" (2012) a guide for graduate students seeking jobs in academic and professional settings. They devote an entire chapter to creating the perfect cover letter.

While students are usually ready to leave graduate school with a professional and polished CV, they might be unclear about how to write a cover letter, says Landrum.

A few simple guidelines can help students get their applications to the top of the applicant pile instead of tossed in the trash:

Show you are a good fit.

"A good cover letter is one that clearly addresses the job ad and shows the applicant's qualifications," says Morgan. Another good quality of cover letters, she says, is conveying genuine interest and enthusiasm in the institution and the work.

"Don't just say ‘I'm interested in your position, attached is my CV,'" says Landrum. "That's a wasted opportunity." Instead, take the time to research the position and the university or organization and create a cover letter that makes it clear you are qualified for the requirements listed in the job ad.

"If a school is looking for a social psychologist experienced in cultural issues, but you are a cognitive psychologist who specializes in memory processes, you probably won't get far," says Morgan. "But, if you specialize in memory and also have experience with cultural research, put that in the cover letter."

Also, mention every job ad requirement that matches your experience, even if it is also mentioned in your CV, says Nabil El-Ghoroury, PhD, associate executive director of APAGS. "If you don't have a particular skill, don't mention it. But, don't wait for a 100 percent match to apply. Employers know that most people won't meet all the requirements."

Get past the gatekeepers.

Your cover letter may be read first by a human resources professional or a department staff member who is looking for key words from the job ad. "Literally, take the words right from the ad," says El-Ghoroury, and weave them into your cover letter. Without the key words, your application may not get passed along to the hiring decision-makers.

Because staff members without psychology backgrounds might be the first to look at your cover letter, it is important to write it for nonacademic audiences, says El-Ghoroury. "Have a friend who works outside the field of psychology read it, to see if it is understandable."

It's also important to tailor your cover letter to your specific audience. "One size does not fit all," says Landrum. Cover letters differ based on the type of job opening, so it's important to customize it to fit academic, clinical, government or other professional positions. "Have a professional in the field to which you are applying review the letter and tell you the conventions for that field," advises Morgan.

Professionals can also provide advice about acceptable cover letter page lengths for their particular field. "Cover letters can range from a quick introduction to four or five pages," says Morgan. "It's the one item with the most variability."

For instance, industry cover letters generally should not exceed one page, while academic cover letters can range from two to five pages; however, many websites advise not going over two pages.

Even when applying to universities, the focus of the cover letter depends on whether the university has a research or teaching focus, says Mitch Prinstein, PhD, distinguished professor and director of clinical psychology at the University of North Carolina at Chapel Hill.

For research institutions, applicants should include a paragraph that explains their research programs.

"The research should have clear follow-up research questions that could last for decades," says Prinstein, who regularly gives talks and has written extensively about professional skills development for graduate students. "Universities don't want to hire an applicant for one or two years, but for decades. Research programs need to have legs."

Almost every job in academia also wants teaching experience, says Prinstein. "Saying you've taught courses isn't good enough." Instead, he says, "Describe what kind of teacher you will be, what your teaching philosophy is, how your teaching will benefit the students."

Mind the details.

Be sure to proofread your cover letter. Read it aloud and have an advisor review it. This can help prevent such errors as missing punctuation or naming the wrong school or organization when sending out multiple cover letters.

Some selection committee members may stop reading a cover letter if the applicant botches the name or location of the school, Landrum says. "If you can't get the place I work correct, how can I trust you with other details?"

"Also, double check other facts about the school," he adds. "For instance don't say you are looking forward to teaching in a university's undergraduate and graduate programs if they only have undergraduates."

Take care to use the correct title when addressing the letter's recipient. "Don't address the administrative assistant as doctor," says Morgan. "Look up the person online and find their title."

Don't get too personal.

While it is important to tell your story in your cover letter, be careful not to share too much information, says Morgan. For example, don't say, "My wife and I just divorced and I want to move as far away from her as possible." But some personal information can help you. If an applicant says, "We have family in Massachusetts, so we are excited to move there," this would explain why an applicant wants to move from Hawai'i to the Massachusetts area, and shows their interest in the location as well as the job, she says.

Overall, a key goal in cover letters is to show you can meet the employers' needs and bring something new and exciting to their university or organization, says Prinstein. "A good cover letter connects your past to your future and tells the story of how your past will influence your future."

Cover letters are your chance to "tell the story of your CV," says El-Ghoroury. "If your research has evolved over time, you can tell that story in your cover letter. Make it easy for employers to see that you are a good fit for the job."

But you still might be thinking, does anyone really read cover letters? Why do they even exist?

First: Yes, we can assure you that cover letters do, in fact, get read. To some hiring managers, they’re the most important part of your job application. And regardless, you don’t want to miss the opportunity to tell prospective employers who you are, showcase why they should hire you, and stand out above all the other candidates.

What is a cover letter and why is it important?

A cover letter is a brief (one page or less) note that you write to a hiring manager or recruiter to go along with your resume and other application materials.

Done well, a cover letter gives you the chance to speak directly to how your skills and experience line up with the specific job you’re pursuing. It also affords you an opportunity to hint to the reviewer that you’re likable, original, and likely to be a great addition to the team.

Instead of using cover letters to their strategic advantage, most job applicants blabber on and on about what they want, toss out bland, cliché-filled paragraphs that essentially just regurgitate their resume, or go off on some strange tangent in an effort to be unique. Given this reality, imagine the leg up you’ll have once you learn how to do cover letters right.

How long should a cover letter be?

An ideal cover letter typically ranges from a half page to one full page. Aim to structure it into four paragraphs, totaling around 250 to 400 words, unless the job posting states otherwise. Some employers may have specific guidelines like word or character limits, writing prompt, or questions to address. In such cases, be sure to follow these instructions from the job posting.

How to write a cover letter hiring managers will love

Now that you’re sold on how important cover letters are, here are eight steps to writing one that screams, “I’m a great hire!”

Step 1: Write a fresh cover letter for each job (but yes, you can use a template)

Sure, it’s way faster and easier to take the cover letter you wrote for your last application, change the name of the company, and send it off. But most employers want to see that you’re truly excited about the specific position and organization—which means creating a custom letter for each position.

While it’s OK to recycle a few strong sentences and phrases from one cover letter to the next, don’t even think about sending out a 100% generic letter. “Dear Hiring Manager, I am excited to apply to the open position at your company” is an immediate signal to recruiters and hiring managers that you’re mass-applying to every job listing that pops up on LinkedIn.

Step 2: Add your contact info

At the top of your cover letter, you should list out your basic info. You can even copy the same heading from your resume if you’d like. Some contact info you might include (and the order to include it in):

  • Your pronouns (optional)
  • Your location (optional)
  • Your email address
  • Your phone number (optional)
  • Your Linkedin, portfolio, or personal website URL (optional)

Note that only name and email are mandatory, and you don’t need to put a full address on a cover letter or resume anymore. A city and state (or metro area) are more than enough. So your header might look like this:

If the job posting tells you to submit your cover letter in the body of an email, you can add your contact info at the end, after your name (and if you’d like to forgo the email address here, you can—they have it already). So your sign off could look like this:

Step 3: Address your cover letter to the hiring manager—preferably by name

The most traditional way to address a cover letter is to use the person’s first and last name, including “Mr.” or “Ms.” (for example, “Dear Ms. Jane Smith” or just “Dear Ms. Smith”). But to avoid accidentally using the wrong title—or worse, inadvertently misgendering someone—first and last name also work just fine.

If “Dear” feels a bit too stiff, try “Hello.” But never use generic salutations like “ To Whom it May Concern ” or “Dear Sir or Madam.”

Step 4: Craft an opening paragraph that’ll hook your reader

Your opening sets the stage for the whole cover letter. So you want it to be memorable, friendly, conversational, and hyper-relevant to the job you’re pursuing.

No need to lead with your name—the hiring manager can see it already. But it’s good to mention the job you’re applying for (they may be combing through candidates for half a dozen different jobs).

You could go with something simple like, “I am excited to apply for [job] with [Company].” But consider introducing yourself with a snappy first paragraph that highlights your excitement about the company you’re applying to, your passion for the work you do, and/or your past accomplishments.

This is a prime spot to include the “why” for your application. Make it very clear why you want this job at this company. Are you a longtime user of their products? Do you have experience solving a problem they’re working on? Do you love their brand voice or approach to product development? Do your research on the company (and check out their Muse profile if they have one) to find out.

Step 5: Convey why you’d be a great hire for this job

A common cover letter mistake is only talking about how great the position would be for you. Frankly, hiring managers are aware of that—what they really want to know is what you’re going to bring to the position and company.

So once you’ve got the opening under wraps, you should pull out a few key ideas that will make up the backbone of your cover letter. They should show that you understand what the organization is looking for and spell out how your background lines up with the position.

Study the job description for hints . What problems is the company looking to solve with this hire? What skills or experiences are mentioned high up, or more than once? These will likely be the most important qualifications.

If you tend to have a hard time singing your own praises and can’t nail down your strengths , here’s a quick trick: What would your favorite boss, your best friend, or your mentor say about you? How would they sing your praises? Use the answers to inform how you write about yourself. You can even weave in feedback you’ve received to strengthen your case (occasionally, don’t overuse this!). For example:

“When I oversaw our last office move, my color-coded spreadsheets covering every minute detail of the logistics were legendary; my manager said I was so organized, she’d trust me to plan an expedition to Mars.”

Step 6: Back up your qualifications with examples and numbers

Look at your list of qualifications from the previous step, and think of examples from your past that prove you have them. Go beyond your resume. Don’t just regurgitate what the hiring manager can read elsewhere.

Simply put, you want to paint a fuller picture of what experiences and accomplishments make you a great hire and show off what you can sashay through their doors with and deliver once you land the job.

For example, what tells a hiring manager more about your ability to win back former clients? This: “I was in charge of identifying and re-engaging former clients.” Or this: “By analyzing past client surveys, NPS scores, and KPIs, as well as simply picking up the phone, I was able to bring both a data-driven approach and a human touch to the task of re-engaging former clients.”

If you're having trouble figuring out how to do this, try asking yourself these questions and finding answers that line up with the qualifications you’ve chosen to focus on:

  • What approach did you take to tackling one of the responsibilities you’ve mentioned on your resume?
  • What details would you include if you were telling someone a (very short!) story about how you accomplished one of your resume bullet points?
  • What about your personality, passion, or work ethic made you especially good at getting the job done?

Come up with your examples, then throw in a few numbers. Hiring managers love to see stats—they show you’ve had a measurable impact on an organization you’ve worked for. Step 7: Finish with a strong conclusion

It’s tempting to treat the final lines of your cover letter as a throwaway: “I look forward to hearing from you.” But your closing paragraph is your last chance to emphasize your enthusiasm for the company or how you’d be a great fit for the position. You can also use the end of your letter to add important details—like, say, the fact that you’re willing to relocate for the job.

Try something like this:

“I believe my energy, desire to innovate, and experience as a sales leader will serve OrangePurple Co. very well. I would love to meet to discuss the value I could add as your next West Coast Sales Director. I appreciate your consideration and hope to meet with you soon.”

Step 8: Reread and revise

We shouldn’t have to tell you to run your cover letter through spell-check, but remember that having your computer scan for typos isn’t the same as editing . Set your letter aside for a day or even just a few hours, and then read through it again with fresh eyes—you’ll probably notice some changes you want to make.

You might even want to ask a friend or family member to give it a look. In addition to asking them if they spot any errors, you should ask them two questions:

  • Does this sell me as the best person for the job?
  • Does it get you excited?

If the answer to either is “no,” or even slight hesitation, go back for another pass.

  • Head to LinkedIn , search for the company and scan through the list of employees. Most professionals are on LinkedIn these days, so this is a good bet.

Identify the role you are applying for

Now that you have warmed the recruiter up with a friendly greeting, firstly you need to let them know which role you are applying for.

Sometimes a recruitment consultant will be juggling 10 or 10 vacancies, so it’s important to specify which one you are applying to.

Give us much detail as possible (team/department, role title etc.) and paste in the reference number if you have one.

Although the majority of graduate employers now use online application processes, ome jobs require that you apply with the traditional CV. However, CV’s need a compelling cover letter to accompany them. Think of it as an introduction to yourself and follow our helpful tips. Remember, you need to stand out from the crowd.

What to include in a cover letter

A CV cover letter should be no more than one page long – around four or five brief paragraphs.

Always include the name of the person, not 'Dear Sir/Madam'. This is particularly important when you're making speculative applications because you want your letter to reach someone who can act on it.

Specify why you are writing (eg in response to an advertisement or on a speculative basis). If it's about an advertised job, state the job title you are applying for (and reference number, if there is one) and where you saw it advertised.

State briefly why you want to work for this particular organisation and why they should employ you. Don’t repeat what is in the CV, but highlight your ‘unique selling points’. Be as specific as possible about how your experience matches the job. (If the letter is accompanying an application form rather than a CV, this is not always necessary as you will have used the form to make these points.) Also, make sure you have done your research and found some key facts about the organisation that you can refer to an emphasise your suitability in working for them.

Give details of your availability for interview. If relevant (eg if the employer has several different graduate schemes), state which other positions with the organisation you would also like to be considered for.

Finish with a keen but professional sign-off.

Your name and address

Put your contact details at the top of the letter – right-justified (i.e. lined up against the right-hand margin) or centred. Include your postal address, telephone number and email address.

The recipient's name and address

This is usually left-justified (i.e. lined up against the left-hand margin).

Leave one line space below the recipient’s address, then put the date you are writing the letter.

The greeting

Always start ‘Dear’ followed by the person’s title (Mr, Ms, Dr etc) and surname, eg ‘Dear Mr Smith’.

If you don’t know their name, start ‘Dear Sir or Madam’ (NOT ‘Madame’ – that means something different!). But it is always best to find out the name of the person who you want to read your letter, which in today's online world is easier than it's ever been, but don't be afraid to pick up the phone and ask someone in the organisation if needs be.

How to write a convincing cover letter

The subject

Leave one line space below the salutation, then put the subject of your letter, underlined. For example ‘Application for graduate trainee position’. Include the job reference number if there is one. This makes life easier for the HR person reading the letter. In an email, this will go in the subject line.

The body text

Write clearly and succinctly. It's vital that you don't go overboard on the thesaurus, clarity is key and don't write in words that you would never use verbally. There is no need for extra embellishments.

Normally, a formal letter should not be more than one side of A4. Structure your letter with a beginning, a middle and an end.

Use business-like language: this should be closer to the essays you write at college than the letters you send to your parents.

Signing off

Finish the letter ‘Yours sincerely’. Leave a space for your signature, then type your name. If you can create a digital signature or insert an image of your signature it can add a nice touch.

‘Yours sincerely’ is traditionally used when you don’t know the name of the person you are writing to, but is becoming less common.

  • Have you included the job title, reference number and where you saw the advertisement?
  • Have you kept a copy?
  • Have you kept it to one page where possible?

Don’t go overboard on the thesaurus. Instead use simple, clear language. Give specific reasons why you want the job and why you are the right person for the job. Remind the employer at the end of the letter that you would very much like to hear from them for an interview.

So here are the three keys to writing cover letters that stand out.

1. Convey your personality, quirks and all.

Showcasing your uniqueness and allowing your personality to shine through in your cover letters can magnetize hiring managers, sending instant messages that you might be the candidate they're looking for. The secret to achieving this is to use specific details, rather than vague ones.

For example, the following was recently used by an applicant when applying for a Head of Marketing position (shortly after sending this, the candidate was interviewed and then hired):

“I have a passion for data and analytics. I enjoy spending (a little too much time) geeking out in Google analytics, advertising platforms, and BI tools (Tableau and Looker), digging deep into data to identify opportunities that can be leveraged to drive growth and inform testing strategies for campaigns, websites, and products.”

Now compare the above to the below (which has less personality and fewer details, and thus would likely not stand out):

“I am well versed in data analytics, and I am experienced with Google analytics, BI Tools, and other advertising platforms. I have a proven ability to inform testing strategies for campaigns for websites and products.”

My friends laugh at me for saying things like, ‘An organized space equals an organized mind,' but I don't like wasting time looking for things.” 

Now compare that to this less specific phrasing:

“I have a proven track record of being organized, and I have a passion for it. I have a proven knack for keeping files organized on an ongoing basis, and I have put organizational processes and procedures in place for my department. The bottom line is organization is always my highest priority.” 

2. Prove your level of dedication to your profession.

Another way to stand out is to illustrate specific things about your dedication to your field. In the following example, a candidate showcases her dedication to her profession, proves that she spends a lot of time thinking about driving results in her field, and shows that she takes concrete steps in order to be a high quality contributor in her field. All of which goes a long way when it comes time for hiring managers to decide which candidates to interview. 

“I believe that a good marketing strategy requires seeking out the latest trends and staying one step ahead of the competition. I've attended the Traction conference two years in a row and completed the 2018 Reforge Growth Series, a highly credible and exclusive course that only accepts 10 percent of applicants and is built by leaders from Hubspot, Uber, and other firms. Through these professional developments, I've opened my mind to uncommon marketing methods, and I pride myself on thinking outside the box to develop strategies that create sustainable, low-cost customer acquisition loops that lead to long-term positive ROI.” 

Now compare the above to the below, which is less detailed and includes less specific phrasing:

“I have the skills and requirements for this position, and I believe I would complete every task asked of me to the highest standard expected. My background and experience make me an excellent fit for this position for many reasons. I am very interested in marketing, and I think I would be a great asset to the team.”

3. Include concrete, quantitative results that show your value.

In any written application, you'll need to showcase some form of quantitative results to stand out. Note that even if you don't have a lot of shiny results in your career yet (or even any relevant experience—which is okay!), you can still use words to capture someone's attention with what you have done. And if you do have a record of achieving quantifiable results, then by all means include them, like in the below:

“I developed several Google ad campaigns that were worth more than $500,000 and that resulted in high-level customers. Also, through testing and optimization, I increased newsletter sign-ups by more than 200 percent.”

Now compare that to this bland sentence:

“I have experience in Google ad campaigns, as well as experience in testing and optimization.”

A final note

When trying to convey your personality, get across your dedication, or communicate your value, there's a big difference between saying you're a good fit for the job and actually showing it.

So, when writing your cover letters, try to hold these words in mind: I know you (the hiring managers) don't know me, so let me show you exactly why I'm completely invested, committed, and passionate about doing this specific type of work. And let me show you the specific reasons why hiring me, over all other candidates, would be beneficial to you.

If unsure, it is okay to go with a more general salutation, such as “Dear Editors”¹ .   

Presenting your Research  

Provide a clear and concise title for your submission and specify whether it is an article, communication, review, perspective, or a manuscript belonging to some other category. If the journal guideline recommends, consider including a list of all authors in the manuscript.

Including a Formal Declaration

  • Originality of work:  
  • Confirm that your work is original and has not been published elsewhere. This tells the editor your research is unique.  
  • Conflict of interest statement:  
  • Be clear about any potential conflicts of interest. This includes any personal, financial, or professional connections that might affect your research.  
  • Funding source (if applicable):  
  • Tell where your research funding came from, if any. This includes any support or grants from organizations.   

Including Personal Suggestions for Reviewers on a Separate Page (optional)  

If there is no part of the submission process that collects researcher suggestions for reviewers, and there are special requests from the researcher for reviewers (e.g., recommending the inclusion or suggesting the exclusion of a specific reviewer, etc.), you may also make a note about this in the cover letter.

Within both letters, you'd need to introduce yourself and answer why your experience would be an asset to the company.

Now, let's look at how a letter of interest differs from a cover letter.

The letter of interest expresses your broader interest and flexibility to adapt to a potential role.

The letter of interest is unsolicited – it is more general and may not be directed to a specific hiring manager or a particular job.

Your persuasion letter should be up to a page long (around 200 – 300 words). That is around three paragraphs that should be single-spaced.

When sitting down to write your letter of intent, there are two rules of thumb you need to follow.

Kick off your letter of interest with a brief introduction of your current job title or relevant experience to the company.

After this first sentence, note the specific job or department you'd like to be a part of and briefly summarize why.

Identify two or three specific issues within the company or department.

Describe how your current job equips you to address these challenges,  by focusing on your accomplishments, paired with tangible metrics  (e.g. numbers of products sold in a month, etc.).

Show how your achievements and skills align with the company's needs.

  • Emphasize hard skills (or the technologies  you can use) and soft skills (your people and communication talents ) that bring value to the company.
  • Select notable accomplishments that set you apart from other industry professionals. Use bullets to draw attention to them, and add numbers to show the results of your success.
  • Highlight your specific experience or qualifications in a niche, that the company values. If you are a recent graduate, with no experience, use your volunteer experience  or extracurricular activities to make your case.

The closing paragraph of your persuasion letter

Finish your letter of interest with a call to action, inviting the hiring manager to reach out to discuss potential opportunities.

Thank them for their time and consideration and suggest exploring ideas in a live meeting (e.g. an informational interview or a casual coffee chat).

Emphasize your flexibility to accommodate their schedule, and make it clear that you look forward to exploring the opportunities further.

Don't forget to add how they can get in touch (via email or telephone).

Notice how Mr Statham has focused solely on his experience and achievements? He hasn't pinpointed in any way the company he is applying to – its culture, unique problems, or goals.

The constant "I" comes across as a bit arrogant, creating an endless account of his success.

What happens when you send out a generic-sounding letter of interest?

The candidate doesn’t build his case as to how he could contribute to the company. Mr. Allias’s letter of interest sounds generic and robotic, at best.

Marcie Darcy’s letter is too informal and doesn’t highlight her skills or achievements. It sounds like a chat, you’ve lifted off of Meta.

Here’s a more formal version of Ms. Darcy’s letter of interest:

Ms. Darcie shows enthusiasm to join the company - by pinpointing the company’s relevant niche service - and at the same time stays professional.

She refers to her education for key technologies and projects, showcasing the value she could potentially bring about.

  • Send a letter of interest, when there are no open roles in the company you want to work for. Meanwhile, use the cover letter to answer a specific job advert.
  • The letter of interest is based on plenty of research on the company so that you can personalize it (especially the greeting) and catch the readers' attention (with how you'd bring about value).
  • Use your letter of intent's introduction to state why you're interested in the company.
