Do you want to have your data in a slide show? If you have Microsoft 365, you can use PowerPoint! PowerPoint is a program that's part of the Microsoft Office suite (which you have to pay for) and is available for both Windows and Mac computers. This wikiHow teaches you how to create your own Microsoft PowerPoint presentation on a computer.
How to Make a PowerPoint Presentation
- Open the PowerPoint app, select a template and theme, then like “Create.”
- Click the text box to add your title and subtitle to create your title slide.

Ready to start learning how to make a PowerPoint presentation?
Take your PPT skills to the next level
Start with a blank presentation.
Note: Before you open PowerPoint and start creating your presentation, make sure you’ve collected your thoughts. If you’re going to make your slides compelling, you need to spend some time brainstorming.
For help with this, see our article with tips for nailing your business presentation here .
The first thing you’ll need to do is to open PowerPoint. When you do, you are shown the Start Menu , with the Home tab open.
This is where you can choose either a blank theme (1) or a pre-built theme (2). You can also choose to open an existing presentation (3).
For now, go ahead and click on the Blank Presentation (1) thumbnail.
![what do you need to do a powerpoint presentation In the backstage view of PowerPoint you can create a new blank presentation, use a template, or open a recent file](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-1.jpg.webp)
Doing so launches a brand new and blank presentation for you to work with. Before you start adding content to your presentation, let’s first familiarize ourselves with the PowerPoint interface.
The PowerPoint interface
![what do you need to do a powerpoint presentation Picture of the different parts of the PowerPoint layout, including the Ribbon, thumbnail view, quick access toolbar, notes pane, etc.](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-2.jpg.webp)
Here is how the program is laid out:
- The Application Header
- The Ribbon (including the Ribbon tabs)
- The Quick Access Toolbar (either above or below the Ribbon)
- The Slides Pane (slide thumbnails)
The Slide Area
The notes pane.
- The Status Bar (including the View Buttons)
Each one of these areas has options for viewing certain parts of the PowerPoint environment and formatting your presentation.
Below are the important things to know about certain elements of the PowerPoint interface.
The PowerPoint Ribbon
![what do you need to do a powerpoint presentation The PowerPoint Ribbon in the Microsoft Office Suite](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-3.1.jpg.webp)
The Ribbon is contextual. That means that it will adapt to what you’re doing in the program.
For example, the Font, Paragraph and Drawing options are greyed out until you select something that has text in it, as in the example below (A).
![what do you need to do a powerpoint presentation Example of the Shape Format tab in PowerPoint and all of the subsequent commands assoicated with that tab](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-4.jpg.webp)
Furthermore, if you start manipulating certain objects, the Ribbon will display additional tabs, as seen above (B), with more commands and features to help you work with those objects. The following objects have their own additional tabs in the Ribbon which are hidden until you select them:
- Online Pictures
- Screenshots
- Screen Recording
The Slides Pane
![what do you need to do a powerpoint presentation The slides pane in PowerPoint is on the left side of your workspace](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-5.jpg.webp)
This is where you can preview and rearrange all the slides in your presentation.
Right-clicking on a slide in the pane gives you additional options on the slide level that you won’t find on the Ribbon, such as Duplicate Slide , Delete Slide , and Hide Slide .
![what do you need to do a powerpoint presentation Right clicking a PowerPoint slide in the thumbnail view gives you a variety of options like adding new slides, adding sections, changing the layout, etc.](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-6.jpg.webp)
In addition, you can add sections to your presentation by right-clicking anywhere in this Pane and selecting Add Section . Sections are extremely helpful in large presentations, as they allow you to organize your slides into chunks that you can then rearrange, print or display differently from other slides.
![what do you need to do a powerpoint presentation Content added to your PowerPoint slides will only display if it's on the slide area, marked here by the letter A](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-7.jpg.webp)
The Slide Area (A) is where you will build out your slides. Anything within the bounds of this area will be visible when you present or print your presentation.
Anything outside of this area (B) will be hidden from view. This means that you can place things here, such as instructions for each slide, without worrying about them being shown to your audience.
![what do you need to do a powerpoint presentation The notes pane in PowerPoint is located at the bottom of your screen and is where you can type your speaker notes](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-8.jpg.webp)
The Notes Pane is the space beneath the Slide Area where you can type in the speaker notes for each slide. It’s designed as a fast way to add and edit your slides’ talking points.
To expand your knowledge and learn more about adding, printing, and exporting your PowerPoint speaker notes, read our guide here .
Your speaker notes are visible when you print your slides using the Notes Pages option and when you use the Presenter View . To expand your knowledge and learn the ins and outs of using the Presenter View , read our guide here .
![what do you need to do a powerpoint presentation You can click and drag to resize the notes pane at the bottom of your PowerPoint screen](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-9.jpg.webp)
You can resize the Notes Pane by clicking on its edge and dragging it up or down (A). You can also minimize or reopen it by clicking on the Notes button in the Status Bar (B).
Note: Not all text formatting displays in the Notes Pane, even though it will show up when printing your speaker notes. To learn more about printing PowerPoint with notes, read our guide here .
Now that you have a basic grasp of the PowerPoint interface at your disposal, it’s time to make your presentation.
Adding Content to Your PowerPoint Presentation
Notice that in the Slide Area , there are two rectangles with dotted outlines. These are called Placeholders and they’re set on the template in the Slide Master View .
To expand your knowledge and learn how to create a PowerPoint template of your own (which is no small task), read our guide here .
![what do you need to do a powerpoint presentation Click into your content placeholders and start typing text, just as the prompt suggests](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-10.jpg.webp)
As the prompt text suggests, you can click into each placeholder and start typing text. These types of placeholder prompts are customizable too. That means that if you are using a company template, it might say something different, but the functionality is the same.
![what do you need to do a powerpoint presentation Example of typing text into a content placeholder in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-11.jpg.webp)
Note: For the purposes of this example, I will create a presentation based on the content in the Starbucks 2018 Global Social Impact Report, which is available to the public on their website.
If you type in more text than there is room for, PowerPoint will automatically reduce its font size. You can stop this behavior by clicking on the Autofit Options icon to the left of the placeholder and selecting Stop Fitting Text to this Placeholder .
Next, you can make formatting adjustments to your text by selecting the commands in the Font area and the Paragraph area of the Home tab of the Ribbon.
![what do you need to do a powerpoint presentation Use the formatting options on the Home tab to choose the formatting of your text](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-12.1.jpg.webp)
The Reset Command: If you make any changes to your title and decide you want to go back to how it was originally, you can use the Reset button up in the Home tab .
![what do you need to do a powerpoint presentation Hitting the reset command on the home tab resets your slide formatting to match your template](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-13.jpg.webp)
Insert More Slides into Your Presentation
Now that you have your title slide filled in, it’s time to add more slides. To do that, simply go up to the Home tab and click on New Slide . This inserts a new slide in your presentation right after the one you were on.
![what do you need to do a powerpoint presentation To insert a new slide in PowerPoint, on the home tab click the New Slide command](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-14.jpg.webp)
You can alternatively hit Ctrl+M on your keyboard to insert a new blank slide in PowerPoint. To learn more about this shortcut, see my guide on using Ctrl+M in PowerPoint .
Instead of clicking the New Slide command, you can also open the New Slide dropdown to see all the slide layouts in your PowerPoint template. Depending on who created your template, your layouts in this dropdown can be radically different.
![what do you need to do a powerpoint presentation Opening the new slide dropdown you can see all the slide layouts in your PowerPoint template](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-15.jpg.webp)
If you insert a layout and later want to change it to a different layout, you can use the Layout dropdown instead of the New Slide dropdown.
After inserting a few different slide layouts, your presentation might look like the following picture. Don’t worry that it looks blank, next we will start adding content to your presentation.
![what do you need to do a powerpoint presentation Example of a number of different blank slide layouts inserting in a PowerPoint presentation](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-16.jpg.webp)
If you want to follow along exactly with me, your five slides should be as follows:
- Title Slide
- Title and Content
- Section Header
- Two Content
- Picture with Caption
Adding Content to Your Slides
Now let’s go into each slide and start adding our content. You’ll notice some new types of placeholders.
![what do you need to do a powerpoint presentation Use the icons within a content placeholder to insert things like tables, charts, SmartArt, Pictures, etc.](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-17.jpg.webp)
On slide 2 we have a Content Placeholder , which allows you to add any kind of content. That includes:
- A SmartArt graphic,
- A 3D object,
- A picture from the web,
- Or an icon.
To insert text, simply type it in or hit Ctrl+C to Copy and Ctrl+V to Paste from elsewhere. To insert any of the other objects, click on the appropriate icon and follow the steps to insert it.
For my example, I’ll simply type in some text as you can see in the picture below.
![what do you need to do a powerpoint presentation Example typing bulleted text in a content placeholder in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-18.jpg.webp)
Slides 3 and 4 only have text placeholders, so I’ll go ahead and add in my text into each one.
![what do you need to do a powerpoint presentation Examples of text typed into a divider slide and a title and content slide in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-19.jpg.webp)
On slide 5 we have a Picture Placeholder . That means that the only elements that can go into it are:
- A picture from the web
![what do you need to do a powerpoint presentation A picture placeholder in PowerPoint can only take an image or an icon](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-20.jpg.webp)
To insert a picture into the picture placeholder, simply:
- Click on the Picture icon
- Find a picture on your computer and select it
- Click on Insert
Alternatively, if you already have a picture open somewhere else, you can select the placeholder and paste in (shortcut: Ctrl+V ) the picture. You can also drag the picture in from a file explorer window.
![what do you need to do a powerpoint presentation To insert a picture into a picture placeholder, click the picture icon, find your picture on your computer and click insert](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-21.jpg.webp)
If you do not like the background of the picture you inserted onto your slide, you can remove the background here in PowerPoint. To see how to do this, read my guide here .
Placeholders aren’t the only way to add content to your slides. At any point, you can use the Insert tab to add elements to your slides.
You can use either the Title Only or the Blank slide layout to create slides for content that’s different. For example, a three-layout content slide, or a single picture divider slide, as shown below.
![what do you need to do a powerpoint presentation Example slides using PowerPoint icons and background pictures](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-22.jpg.webp)
In the first example above, I’ve inserted 6 text boxes, 3 icons, and 3 circles to create this layout. In the second example, I’ve inserted a full-sized picture and then 2 shapes and 2 text boxes.
The Reset Command: Because these slides are built with shapes and text boxes (and not placeholders), hitting the Reset button up in the Home tab won’t do anything.
That is a good thing if you don’t want your layouts to adjust. However, it does mean that it falls on you to make sure everything is aligned and positioned correctly.

Using Designer to generate more layouts ideas
If you have Office 365, your version of PowerPoint comes with a new feature called Designer (or Design Ideas). This is a feature that generates slide layout ideas for you. The coolest thing about this feature is that it uses the content you already have.
To use Designer , simply navigate to the Design tab in your Ribbon, and click on Design Ideas .
![what do you need to do a powerpoint presentation To use Designer on your slides, click the](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-23.jpg.webp)
NOTE: If the PowerPoint Designer is not working for you (it is grey out), see my troubleshooting guide for Designer .
Change the Overall Design (optional)
When you make a PowerPoint presentation, you’ll want to think about the overall design. Now that you have some content in your presentation, you can use the Design tab to change the look and feel of your slides.
For additional help thinking through the design of your presentation, read my guide here .
A. Picking your PowerPoint slide size
If you have PowerPoint 2013 or later, when you create a blank document in PowerPoint, you automatically start with a widescreen layout with a 16:9 ratio. These dimensions are suitable for most presentations as they match the screens of most computers and projectors.
However, you do have the option to change the dimensions.
For example, your presentation might not be presented, but instead converted into a PDF or printed and distributed. In that case, you can easily switch to the standard dimensions with a 4:3 ratio by selecting from the dropdown (A).
You can also choose a custom slide size or change the slide orientation from landscape to portrait in the Custom Slide Size dialog box (B).
![what do you need to do a powerpoint presentation To change your slide size, click the Design tab, open the slide size dropdown and choose a size or custom slide size](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-24.jpg.webp)
To learn all about the different PowerPoint slide sizes, and some of the issues you will face when changing the slide size of a non-blank presentation, read my guide here .
B. Selecting a PowerPoint theme
The next thing you can do is change the theme of your presentation to a pre-built one. For a detailed explanation of what a PowerPoint theme is, and how to best use it, read my article here .
In the beginning of this tutorial, we started with a blank presentation, which uses the default Office theme as you can see in the picture below.
![what do you need to do a powerpoint presentation All PowerPoint presentations start with the default Microsoft Office theme](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-25.jpg.webp)
That gives you the most flexibility because it has a blank background and quite simple layouts that work for most presentations. However, it also means that it’s your responsibility to enhance the design.
If you’re comfortable with this, you can stay with the default theme or create your own custom theme ( read my guide here ). But if you would rather not have to think about design, then you can choose a pre-designed theme.
Microsoft provides 46 other pre-built themes, which include slide layouts, color variants and palettes, and fonts. Each one varies quite significantly, so make sure you look through them carefully.
To select a different theme, go to the Design tab in the Ribbon, and click on the dropdown arrow in the Themes section .
![what do you need to do a powerpoint presentation On the Design tab you will find all of the default PowerPoint templates that come with the Microsoft Office Suite](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-26.jpg.webp)
For this tutorial, let’s select the Frame theme and then choose the third Variant in the theme. Doing so changes the layout, colors, and fonts of your presentation.
![what do you need to do a powerpoint presentation Example choosing the Frame PowerPoint theme and the third variant of this powerpoint presentation](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-27.jpg.webp)
Note: The theme dropdown area is also where you can import or save custom themes. To see my favorite places to find professional PowerPoint templates and themes (and recommendations for why I like them), read my guide here .
C. How to change a slide background in PowerPoint
The next thing to decide is how you want your background to look for the entire presentation. In the Variants area, you can see four background options.
![what do you need to do a powerpoint presentation To change the background style of your presentation, on the Design tab, find the Background Styles options and choose a style](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-28.jpg.webp)
For this example, we want our presentation to have a dark background, so let’s select Style 3. When you do so, you’ll notice that:
- The background color automatically changes across all slides
- The color of the text on most of the slides automatically changes to white so that it’s visible on the dark background
- The colors of the objects on slides #6 and #7 also adjust, in a way we may not want (we’ll likely have to make some manual adjustments to these slides)
![what do you need to do a powerpoint presentation What our PowerPoint presentation looks like now that we have selected a theme, a variant, and a background style](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-29.jpg.webp)
Note: If you want to change the slide background for just that one slide, don’t left-click the style. Instead, right-click it and select Apply to Selected Slides .
After you change the background for your entire presentation, you can easily adjust the background for an individual slide.
![what do you need to do a powerpoint presentation You can either right-click a PowerPoint slide and select format background or navigate to the design tab and click the format background command](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-30.jpg.webp)
Inside the Format Background pane, you can see you have the following options:
- Gradient fill
- Picture or texture fill
- Pattern fill
- Hide background
You can explore these options to find the PowerPoint background that best fits your presentation.
D. How to change your color palette in PowerPoint
Another thing you may want to adjust in your presentation, is the color scheme. In the picture below you can see the Theme Colors we are currently using for this presentation.
![what do you need to do a powerpoint presentation Example of the theme colors we are currently using with this presentation](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-32.1.jpg.webp)
Each PowerPoint theme comes with its own color palette. By default, the Office theme includes the Office color palette. This affects the colors you are presented with when you format any element within your presentation (text, shapes, SmartArt, etc.).
![what do you need to do a powerpoint presentation To change the theme color for your presentation, select the Design tab, open the Colors options and choose the colors you want to use](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-33.jpg.webp)
The good news is that the colors here are easy to change. To switch color palettes, simply:
- Go to the Design tab in the Ribbon
- In the Variants area, click on the dropdown arrow and select Colors
- Select the color palette (or theme colors) you want
You can choose among the pre-built color palettes from Office, or you can customize them to create your own.
As you build your presentation, make sure you use the colors from your theme to format objects. That way, changing the color palette adjusts all the colors in your presentation automatically.
E. How to change your fonts in PowerPoint
Just as we changed the color palette, you can do the same for the fonts.
![what do you need to do a powerpoint presentation Example of custom theme fonts that might come with a powerpoint template](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-34.jpg.webp)
Each PowerPoint theme comes with its own font combination. By default, the Office theme includes the Office font pairing. This affects the fonts that are automatically assigned to all text in your presentation.
![what do you need to do a powerpoint presentation To change the default fonts for your presentation, from the design tab, find the fonts dropdown and select the pair of fonts you want to use](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-35.jpg.webp)
The good news is that the font pairings are easy to change. To switch your Theme Fonts, simply:
- Go to the Design tab in the Ribbon
- Click on the dropdown arrow in the Variants area
- Select Fonts
- Select the font pairing you want
You can choose among the pre-built fonts from Office, or you can customize them to create your own.
If you are working with PowerPoint presentations on both Mac and PC computers, make sure you choose a safe PowerPoint font. To see a list of the safest PowerPoint fonts, read our guide here .
If you receive a PowerPoint presentation and the wrong fonts were used, you can use the Replace Fonts dialog box to change the fonts across your entire presentation. For details, read our guide here .
Adding Animations & Transitions (optional)
The final step to make a PowerPoint presentation compelling, is to consider using animations and transitions. These are by no means necessary to a good presentation, but they may be helpful in your situation.
A. Adding PowerPoint animations
PowerPoint has an incredibly robust animations engine designed to power your creativity. That being said, it’s also easy to get started with basic animations.
Animations are movements that you can apply to individual objects on your slide.
![what do you need to do a powerpoint presentation To add an animation to an object in PowerPoint, first select the object and then use the Animations tab to select an animation type](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-36.jpg.webp)
To add a PowerPoint animation to an element of your slide, simply:
- Select the element
- Go to the Animations tab in the Ribbon
- Click on the dropdown arrow to view your options
- Select the animation you want
You can add animations to multiple objects at one time by selecting them all first and then applying the animation.
B. How to preview a PowerPoint animation
![what do you need to do a powerpoint presentation There are three ways to preview a PowerPoint animation](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-37.jpg.webp)
There are three ways to preview a PowerPoint animation:
- Click on the Preview button in the Animations tab
- Click on the little star next to the slide
- Play the slide in Slide Show Mode
To learn other ways to run your slide show, see our guide on presenting a PowerPoint slide show with shortcuts .
To adjust the settings of your animations, explore the options in the Effect Options , Advanced Animation and the Timing areas of the Animation tab .
![what do you need to do a powerpoint presentation The Animations tab allows you to adjust the effects and timings of your animations in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-38.jpg.webp)
Note: To see how to make objects appear and disappear in your slides by clicking a button, read our guide here .
C. How to manage your animations in PowerPoint
![what do you need to do a powerpoint presentation You can see the animations applied to your objects by the little numbers in the upper right-hand corner of the objects](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-40.jpg.webp)
The best way to manage lots of animations on your slide is with the Animation Pane . To open it, simply:
- Navigate to the Animations tab
- Select the Animation Pane
Inside the Animation Pane, you’ll see all of the different animations that have been applied to objects on your slide, with their numbers marked as pictured above.
Note: To see examples of PowerPoint animations that can use in PowerPoint, see our list of PowerPoint animation tutorials here .
D. How to add transitions to your PowerPoint presentation
PowerPoint has an incredibly robust transition engine so that you can dictate how your slides change from one to the other. It is also extremely easy to add transitions to your slides.
In PowerPoint, transitions are the movements (or effects) you see as you move between two slides.
![what do you need to do a powerpoint presentation To add a transition to a slide, select the slide, navigate to the transitions tab in PowerPoint and select your transition](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-41.jpg.webp)
To add a transition to a PowerPoint slide, simply:
- Select the slide
- Go to the Transitions tab in the Ribbon
- In the Transitions to This Slide area, click on the dropdown arrow to view your options
- Select the transition you want
To adjust the settings of the transition, explore the options in the Timing area of the Transitions tab.
You can also add the same transition to multiple slides. To do that, select them in the Slides Pane and apply the transition.
E. How to preview a transition in PowerPoint
![what do you need to do a powerpoint presentation There are three ways to preview a transition in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-42.jpg.webp)
There are three ways to preview your PowerPoint transitions (just like your animations):
- Click on the Preview button in the Transitions tab
- Click on the little star beneath the slide number in the thumbnail view
Note: In 2016, PowerPoint added a cool new transition, called Morph. It operates a bit differently from other transitions. For a detailed tutorial on how to use the cool Morph transition, see our step-by-step article here .
Save Your PowerPoint Presentation
After you’ve built your presentation and made all the adjustments to your slides, you’ll want to save your presentation. YOu can do this several different ways.
![what do you need to do a powerpoint presentation Click the file tab, select Save As, choose where you want to save your presentation and then click save](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-43.jpg.webp)
To save a PowerPoint presentation using your Ribbon, simply:
- Navigate to the File tab
- Select Save As on the left
- Choose where you want to save your presentation
- Name your presentation and/or adjust your file type settings
- Click Save
You can alternatively use the Ctrl+S keyboard shortcut to save your presentation. I recommend using this shortcut frequently as you build your presentation to make sure you don’t lose any of your work.
![what do you need to do a powerpoint presentation The save shortcut is control plus s in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-44.jpg.webp)
This is the standard way to save a presentation. However, there may be a situation where you want to save your presentation as a different file type.
To learn how to save your presentation as a PDF, see our guide on converting PowerPoint to a PDF .
How to save your PowerPoint presentation as a template
Once you’ve created a presentation that you like, you may want to turn it into a template. The easiest – but not technically correct – way, is to simply create a copy of your current presentation and then change the content.
But be careful! A PowerPoint template is a special type of document and it has its own parameters and behaviors.
If you’re interested in learning about how to create your own PowerPoint template from scratch, see our guide on how to create a PowerPoint template .
Printing Your PowerPoint Presentation
After finishing your PowerPoint presentation, you may want to print it out on paper. Printing your slides is relatively easy.
![what do you need to do a powerpoint presentation The print shortcut is control plus P in PowerPoint](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-46.jpg.webp)
To open the Print dialog box, you can either:
- Hit Ctrl+P on your keyboard
- Or go to the Ribbon and click on File and then Print
![what do you need to do a powerpoint presentation In the Print dialog box, make your selections for how you want to print your PowerPoint presentation, then click print](https://nutsandboltsspeedtraining.com/wp-content/webp-express/webp-images/uploads/2020/03/how-to-make-a-powerpoint-presentation-47.jpg.webp)
Inside the Print dialog box, you can choose from the various printing settings:
- Printer: Select a printer to use (or print to PDF or OneNote)
- Slides: Choose which slides you want to print
- Layout: Determine how many slides you want per page (this is where you can print the notes, outline, and handouts)
- Collated or uncollated (learn what collated printing means here )
- Color: Choose to print in color, grayscale or black & white
There are many more options for printing your PowerPoint presentations. Here are links to more in-depth articles:

So that’s how to create a PowerPoint presentation if you are brand new to it. We’ve also included a ton of links to helpful resources to boost your PowerPoint skills further.
When you are creating your presentation, it is critical to first focus on the content (what you are trying to say) before getting lost inserting and playing with elements. The clearer you are on what you want to present, the easier it will be to build it out in PowerPoint.

13 Things to Include in Your Next PowerPoint Presentation
Your visual presentation can be improved with these 13 tips and tricks.
![what do you need to do a powerpoint presentation author image](https://www.business.com/_next/image/?url=https%3A%2F%2Fimages.business.com%2Fapp%2Fuploads%2F2021%2F12%2F02095632%2Fsean-peek.png&w=128&q=75)
Table of Contents
When putting together a presentation or deck for a big meeting, including a visual component is key. Creating and sharing a PowerPoint presentation can help you drive home key concepts with the support of text, images, graphs and tables and other multimedia elements. Having a tangible and concrete slide deck can also anchor you while also keeping your audience engaged, which can help increase your confidence as a presenter, especially if you aren’t the most extroverted person in the room.
Of course, developing an effective PowerPoint requires plenty of consideration, from determining the structure and design to navigating the technical aspects. To help, here are 13 things to include in your next PowerPoint as well as key dos and don’ts to ensure your presentation goes off without a hitch.

What to include in your PowerPoint presentation
A strong PowerPoint presentation should include the following components.
1. Who you are
When presenting to an unfamiliar audience — for example, if you’re speaking at an academic conference or giving a pitch to investors — it’s crucial to introduce yourself. Establish credibility and trust by briefly discussing your line of work, past accomplishments or related projects you have worked on.
2. Your logo
![what do you need to do a powerpoint presentation businesswoman in front of a presentation screen of bar graphs](https://www.business.com/_next/image/?url=https%3A%2F%2Fimages.business.com%2Fapp%2Fuploads%2F2014%2F11%2F16140627%2FYour-logo.png&w=1200&q=75)
While you may have included your logo in your introduction, you can also put it on each slide of the presentation. This helps your brand “stick” and can be particularly effective when speaking about or on behalf of your company. [Read more about creating a small business marketing plan .]
3. An agenda
Next, write an agenda slide. Not only does this set expectations for your audience and maintain the flow of the presentation, but it can also keep you on track in both drafting and presenting your information.
4. A clear roadmap
![what do you need to do a powerpoint presentation graphic of a computer screen with graphs on it](https://www.business.com/_next/image/?url=https%3A%2F%2Fimages.business.com%2Fapp%2Fuploads%2F2014%2F11%2F16140719%2FA-clear-roadmap.png&w=1200&q=75)
In addition to establishing an agenda early on, you can also break down that agenda further with a clear roadmap for your presentation, which is especially helpful for longer PowerPoints with multiple sections. Don’t be afraid to return to the roadmap as needed to allow your audience to follow along better.
5. Information not on your slides
Your PowerPoint slide deck is designed to supplement and enhance your oral presentation, not replace it. Ensure your verbally-presented information adds value by including information that is not on your slides. Keep written text to a minimum, focusing on key words and main ideas. You can expand on these concepts in greater detail as you present.
![what do you need to do a powerpoint presentation graphic of a businesswoman in front of a slide presentation](https://www.business.com/_next/image/?url=https%3A%2F%2Fimages.business.com%2Fapp%2Fuploads%2F2014%2F11%2F16140404%2FInformation-not-on-your-slides.png&w=1200&q=75)
6. Engaging visuals
The primary benefit of a PowerPoint is the ability to add visuals. In addition to any text on-slide and your verbal presentation content, enhance your message with engaging visual elements, such as graphs and infographics. Relying less on text helps ensure the focus remains on you, the presenter, while also illustrating your key takeaways effectively.
7. Updated data
There’s nothing wrong with reusing or repurposing a slide deck you’ve already created — as long as you keep everything current. If your PowerPoint includes statistics, industry trends , information on your business or other data, check every number and update as necessary before presenting.
8. The answer to ‘so what?’
Even if you include the most compelling and clear information in your presentation, it won’t make an impact if your audience doesn’t understand the bigger picture. Aim to answer the unspoken question of “so what?” by clarifying why the message is important and why it is relevant to your listeners.
9. Key takeaways
Your key takeaways are arguably the most important part of your presentation. Highlight these main points at the end of your PowerPoint ― or, for longer presentations, at the end of each section ― to help your audience remember them. Generating your key takeaways in the outlining stage can also help you structure your slide content.
10. Backup slides
Because a presentation is designed to be clear and concise, you may not always have the time or opportunity to go in-depth on certain topics or audience questions. Having backup slides with additional information can encourage further audience understanding — without letting the presentation veer off-track or run over time.
11. An objection slide
Depending on your presentation topic, your audience may have objections. Get ahead of these objections by dedicating a section to it in your PowerPoint. Give people the opportunity to raise any concerns and address known or anticipated issues directly.
12. A call-to-action slide

Consider what you want your audience to do after listening to your presentation. Are there specific actions to take, ideas to consider or a person to contact? Lay this out for your audience in a call-to-action slide.
13. Contact information
Display your contact information on the last slide to encourage your audience to reach out to you. They will likely appreciate the opportunity to reach out to you should they wish to discuss further and you may also make a valuable connection in the process. Dos and don’ts of PowerPoint presentations
If you’re planning to use PowerPoint as a business tool, here are some key dos and don’ts to keep in mind:
- Do use speaker notes to your advantage: While your slides should be relatively clutter-free and light on text, you can include speaker notes at the bottom of the page that are only visible to you, the presenter. Use this section to include any facts, examples or questions you want to highlight in the presentation.
- Do keep your slide backgrounds subtle and consistent: Selecting a background or color scheme that’s too bold or busy can make your presentation hard on the eyes. Ensures sufficient visual contrast between the background and text colors so you and your audience can see it clearly. Microsoft has developed several built-in themes with this visual contrast in mind, though you can also create your own template if you have an eye for design.
- Do have a backup plan: Technology can fail us at the most inopportune times. Should the PowerPoint or your computer have issues, you’ll want to have a backup of your presentation on a memory stick, a CD or on the cloud. In the worst-case scenario, the tech won’t work and you won’t have any visuals to present. If that happens, take a deep breath, then deliver your presentation with a focus on the message. [Related article: Top 10 Cloud Storage Services for Business ]
- Don’t read your PowerPoint word for word: When presenting, your goal is to engage your audience and maintain their attention throughout. Reciting information verbatim from your slides can limit your connection with your audience and hurt your ability to “read the room.” Use the PowerPoint to guide and illustrate as needed but let you and your verbal presentation be the focus.
- Don’t go overboard on transitions and effects: It can be tempting to add slide transitions and sound effects for some visual excitement. However, these special effects rarely enhance your message and can be distracting or even come off as “gimmicky.” Additionally, PowerPoints with effects tend to run more slowly than those without, particularly if you’re presenting on a different computer than the one used to create the slide deck.
- Don’t include too many slides or too much information: People should not spend the entirety of your presentation reading, nor should there be so much information that they become overwhelmed and tune out altogether. Limit the number of slides in your presentation, as well as the amount of text on any given slide. Use your oral presentation to expand on key points and engage with your audience.

How to Make a PowerPoint Presentation
Powerpoint presentation tips.
Microsoft PowerPoint is like a test of basic professional skills, and each PowerPoint is basically a presentation made of multiple slides.
Successful PowerPoints depend on three main factors: your command of PowerPoint's design tools, your attention to presentation processes, and being consistent with your style.
Keep those in mind as we jump into PowerPoint's capabilities.
Getting Started
1. open powerpoint and click ‘new.’.
A page with templates will usually open automatically, but if not, go to the top left pane of your screen and click New . If you’ve already created a presentation, select Open and then double-click the icon to open the existing file.

Insert a new slide by clicking on the Home tab and then the New Slide button. Consider what content you want to put on the slide, including heading, text, and imagery.
- Finally, PowerPoint Live is a new tool that enables you to do more seamless presentations during video calls and may be a better overall match for doing presentations remotely. Check out this video:

15. Embed multimedia.
PowerPoint allows you to either link to video/audio files externally or to embed the media directly in your presentation. For PCs, two great reasons for embedding are:
- Embedding allows you to play media directly in your presentation. It will look much more professional than switching between windows.
- Embedding also means that the file stays within the PowerPoint presentation, so it should play normally without extra work (except on a Mac).
If you use PowerPoint for Mac it gets a bit complicated, but it can be done:
- Always bring the video and/or audio file with you in the same folder as the PowerPoint presentation.
- Only insert video or audio files once the presentation and the containing folder have been saved on a portable drive in their permanent folder.
- If the presentation will be played on a Windows computer, then Mac users need to make sure their multimedia files are in WMV format.
- Consider using the same operating system for designing and presenting, no matter what.
16. Bring your own hardware.
Between operating systems, PowerPoint is still a bit jumpy. Even between differing PPT versions, things can change. The easiest fix? Just bring along your own laptop when you're presenting.
The next easiest fix is to upload your PowerPoint presentation into Google Slides as a backup option — just make sure there is a good internet connection and a browser available where you plan to present.
Google Slides is a cloud-based presentation software that will show up the same way on all operating systems.
To import your PowerPoint presentation into Google Slides:
- Navigate to slides.google.com . Make sure you’re signed in to a Google account (preferably your own).
- Under Start a new presentation , click the empty box with a plus sign. This will open up a blank presentation.
- Go to File , then Import slides .
- A dialog box will come up. Tap Upload.
- Click Select a file from your device .
- Select your presentation and click Open .
- Select the slides you’d like to import. If you want to import all of them, click All in the upper right-hand corner of the dialog box.
- Click Import slides.
When I tested this out, Google Slides imported everything perfectly, including a shape whose points I had manipulated. This is a good backup option to have if you’ll be presenting across different operating systems.
17. Use Presenter View.
In most presentation situations, there will be both a presenter’s screen and the main projected display for your presentation.
PowerPoint has a great tool called Presenter View, which can be found in the Slide Show tab of PowerPoint. Included in the Presenter View is an area for notes, a timer/clock, and a presentation display.
For many presenters, this tool can help unify their spoken presentation and their visual aid. You never want to make the PowerPoint seem like a stack of notes that you’re reading off of.
Use the Presenter View option to help create a more natural presentation.
Pro Tip: At the start of the presentation, you should also hit CTRL + H to make the cursor disappear. Hitting the “A” key will bring it back if you need it.
Your Next Great PowerPoint Presentation Starts Here
Now that you have these style, design, and presentation tips under your belt, you should feel confident to create your PowerPoint presentation.
But if you can explore other resources to make sure your content hits the mark. After all, you need a strong presentation to land your point and make an impression.
With several templates to choose from — both in PowerPoint and available for free download — you can swiftly be on your way to creating presentations that wow your audiences.

What Makes a PowerPoint Presentation Effective?
Knowing how to use PowerPoint and work within it quickly is helpful. But more important is making a good presentation that hits all your goals. A great PowerPoint presentation is:
- Prepared to Win . Research, plan, and prepare your presentation professionally. It helps you deliver an effective message to your target audience.
- Designed Correctly . Your visual points should stand out without overwhelming your audience. A good PowerPoint visual shouldn’t complicate your message.
- Practiced to Perfection . Rehearse your timing and delivery so that your points land as practiced with a live audience.
- Delivered With Poise . Present with a relaxed inner calm and confident outward projection. Give your audience warmth, excitement, and energy.
- Free From Mistakes . Avoid typos, cheesy clip art, and mistakes like reading directly from your slides.
Consider this your all-inclusive guide to how to make a good presentation. We’ll look at preparing your presentation and explore how to design it in PowerPoint. Plus, we’ll cover how to practice and nail your delivery successfully come presentation time.
We’ll also address what not to do in these tips for PowerPoint presentations—so you can sidestep any big mistakes. Now let’s dig into these tips for effective PowerPoint presentations.
Killer Presentation Preparation Tips to Get Started Right
Before even opening PowerPoint, start by addressing these things. These Microsoft PowerPoint tips and tricks will ensure that you’re prepared for your presentation:
1. Know Your Stuff
Your presentation isn’t about your slides alone. It’s about the message you want to get across. Before filling in stats, facts and figures, think about the narrative that’ll be discussed, why, and in what order.
2. Write It Out
Start in a Word or Google doc, and storyboard or script the entire presentation. This will give you an idea of how the information presented will flow and how viewers will see it in sequence. Learn the complete writing process .
3. Highlight What’s Most Important
A presentation covers the most crucial pieces only. Whatever you’ve been working on that led to this—a paper, a work project, a new product design—doesn’t need to be shared in its entirety. Pick key points and put the rest in an “Appendix” to refer to during the Q&A session at the end.
4. Know Your Audience
How you talk to a room full of medical professionals should be different from the way you address a room full of young entrepreneurs. Everything, in fact, is different: your topic selection, the language you use, the examples you give to illustrate points. The little bits of humor you include should be tailored specifically with your target audience in mind.
Understand your audience’s needs to create a successful PowerPoint presentation. Customize your content to meet their specific requirements.
5. Rehearse! (Yes, Already)
It’s never too early to get used to the rhythm of your presentation and take note of points you want to emphasize. While saying it out loud, you’ll start to develop a “feel” for the material. You’ll notice that some things work well, while others don’t and might need to be worked around.
6. Rewrite After You Rehearse
As you’re rehearsing your presentation, you’re bound to stumble over sections that don’t quite flow naturally. Instead of reworking your delivery, it might be time to consider the content and rewrite the areas that served as stumbling blocks.
“Editing is hard. ‘It’s good enough,’ is a phrase wannabes use. Leaders take editing seriously.” – Anthony Trendl
The most important part of creating a great presentation is the writing stage. The second most important stage is rewriting.
7. Share With a Friend
If the stakes are high for your presentation, it’s never too early to get feedback from those that you trust. Here’s an article that helps you collaborate as a team on a PowerPoint presentation. Get PowerPoint design tips from those that you trust when you collaborate.
Simple Tips to Design Your PowerPoint Presentation Better
Second only to you (the information you bring and how you present it) is your PowerPoint slides. If not designed well, a PowerPoint can be disengaging or distracting (regardless of the content quality). Here are some presentation design tips to make sure this doesn’t happen to you:
8. Keep Your Slides Simple
This is one of the most important PowerPoint presentation tips to follow when designing your slides. Keep in mind that less is more (effective.) A cluttered slide is distracting. It causes confusion for an audience: Which part of the slide should I focus on? Should I read the slide or pay attention to the presenter?
A simple, visually appealing slide will engage your audience, keeping them on track with your main points. Here’s an example of a simple slide that serves its purpose perfectly:
Minimalist slide templates like Nook can help you resist the urge to clutter your slides.
9. Limit Words on Your Slides
Piggybacking on the last point, less is more effective. If possible, avoid bullets altogether. Otherwise cut them to just a few simple words. The audience should be listening, not reading.
10. Use High-Quality Photos and Graphics
One of the most important tips for quality PowerPoint presentations is to use high-quality photos and graphics.
Earlier in this tutorial, you saw Envato Elements, an all-you-can-download service with PPT tips inside of templates. Those pre-built designs are a beginner’s best friend. They’re even better when paired with Elements’ unlimited library of stock photos .
People are more likely to take you seriously if your presentation is visually appealing. Users view attractive design as more usable. Similarly, they’ll view a more attractive PowerPoint as more effective.
11. Use Accurate and Relevant Charts and Graphs
Charts and graphs can also be distracting if they’re not used right. Make sure your information design is simple and clean so that the audience doesn’t spend the entire time trying to decipher what your X axis says. Learn more about PPT data presentation .
12. Use High-Quality, Fresh Templates
Have you seen the old PowerPoint template that looks like worn paper and uses ink splashes? Yeah, so has your audience. Templates can be distracting if they’re too basic or if the design feels dated. You need one with great design options.
Costs are always a concern. But when you use Envato Elements, you’ve got everything you need to create a great PowerPoint presentation . That’s thanks to the incredible all-you-can-download subscription package.
The best PowerPoint tips and tricks can hardly compare to the value of using a template while building your presentation.
On Envato Elements, there are thousands of PowerPoint design templates that are ready to use. Instead of designing a presentation from scratch, start with a template! Just add your specifics to the placeholders.
Templates like Galaxi are impressively designed and waiting for your slide specifics.
The best PowerPoint design tips save you time. And there’s no tip more powerful than this one: use a pre-built template . It helps you master how to present a PowerPoint without spending all your time in the app.
13. Choose Appropriate Fonts
Fonts are an important part of engaging your audience. Fonts and typography choices have a subconscious effect on viewers. They can characterize your company’s presentation and brand either positively or negatively. Make sure that you’re choosing fonts that are professional and modern.
14. Choose Color Well
Like font choice, colors cause specific subconscious reactions from viewers. Choosing an outdated color combination for your presentation will render it ineffective.
Below is an example of the Popsicle PowerPoint template , which has a modern presentation color choice:
The Popsicle PowerPoint template highlights how harmonized color palettes can create beautiful slides.
15. Clean + Simple Formatting Makes All the Difference!
We’ve got a full tutorial on how to make a good presentation slide . Give it a read through and review the accompanying video. Just remember, less is more. The focus is you and your message , not your slides.
16. Make Sure All Objects Are Aligned
A simple way to create a well-designed presentation is to make sure all items on a slide are intentionally aligned. To do this, hold down Shift and select all the objects you want to include. Then choose Arrange in the options bar and apply Alignment Type .
17. Limit Punctuation
This isn’t the place for exclamation points. Emphasize your points (while speaking). Don’t enlist punctuation to do this for you. (Leave these at home!!!)
18. Avoid Over-Formatting Your Points
This PowerPoint presentation tip is simple. There’s no need to have every word of every bullet point capitalized, or to have all your bullet points in title case. If possible, drop bullets altogether. Again, the simpler, the better!
Limit your text formatting, including reducing the use of bullets, underline, and other effects. Compare the before example on the left to the revised version on the right.
![what do you need to do a powerpoint presentation over-formatted vs simple text](https://blog-frontend.envato.com/cdn-cgi/image/width=1024,quality=75,format=auto/uploads/sites/2/2024/06/overformatting-presentation-tips.jpg)
19. Combine Information With Graphics in PowerPoint
One of the most powerful presentation skills for PPT is using infographics. With the right type of visuals, slides come to life and reduce the text in favor of graphics.
Infographics help combine information with graphics. It’s easier to explain complex ideas when you use visual formats that are intuitive.
Practice Presentation Tips: Rehearse, Rehearse, Rehearse!
Delivery is probably more important than the actual content. Here’s how to become more aware of your own unique ticks, and how to present like a polished pro:
20. I’ll Say It Again, Rehearse!
Just do it. Again and again. Experiment with pauses, gestures, and body language. Practice around one hour for every minute of your speech.
21. Practice With a Timer
Consistency is key to an effective PowerPoint presentation. The timing should be similar (ideally the same) each time you rehearse. This one will especially pay off when it’s time to present in front of your audience.
22. Slow It Down
Many of the best speakers today intentionally speak slowly. You’ll have the chance to emphasize, appear more thoughtful, and make your information easier to digest.
23. Pause More Often
Like the prior tip, pausing more often allows your main points to be emphasized and gives time for information to sink in. You need to let key points breathe a little before rushing into the next section.
24. Record Yourself
Use your phone’s voice recorder. Assess and critique yourself. Consider:
- Are your pauses too short or too long?
- Are you speaking slowly enough? Too slow?
- When you’re nervous, does your voice get high like the mice in Cinderella?
![what do you need to do a powerpoint presentation record yourself presenting](https://blog-frontend.envato.com/cdn-cgi/image/width=1024,quality=75,format=auto/uploads/sites/2/2024/06/recording-self-powerpoint-tips.jpg)
It’s always weird to hear your own voice recorded; don’t stress it. Use this as a time to adjust.
25. Choose Three Focal Points in the Room
If you stare at the same spot (or even creepier, the same person) the entire time, your presentation will be ineffective (and awkward.) People will be distracted by you, wondering what you’re staring at.
Try this: pick three points in the room (typically: left, center, right). Take time to direct your delivery toward each physical focal point in the room. Also, focus on the center when making your primary points.
26. Vary Your Sentence Length
This makes you sound more interesting, and it’s easier for your audience to follow. Think short and punchy. Or go long and complex for dramatic effect.
27. Modulate!
Don’t speak in monotone for your whole presentation. Be conscious of raising and lowering your voice tone. Otherwise, people will tune you out, and you’ll come across like the teacher in Charlie Brown.
28. Practice in Front of a Mirror
What you look like is as important as how you sound. Pretend you’re having a normal conversation, and allow your hands to move with your speech to emphasize your points. Just don’t get carried away! (I’m thinking Brene Brown or President Obama , not your Aunt Jamie after a few gin and tonics.)
29. Use “Present Mode” When Rehearsing
When you finally are ready to hit the Present button in PowerPoint, make sure you use the Present Mode option. This allows you (and only you) to view extra notes about each slide—just in case you forget something!
30. Practice With New Audiences
If possible, try doing a few real live test runs as a webinar or even at a local Toastmasters organization to get some feedback from a live audience.
31. Engage the Audience by Asking Questions
There’s no reason that a presentation should be one-sided. Why not invert the format and ask your audience a question?
To learn how to create a slide that kicks off a Q&A, use this article . These PowerPoint design tips help you create an engaging and exciting discussion.
Helpful Tips to Step Up and Deliver Come Presentation Time
When the actual day arrives, there are only a few last PowerPoint presentation tips and guidelines to keep in mind:
32. Take a Deep Breath
Deep breathing is proven to relieve stress. It’s simple, and it’ll help you remain calm and in the moment, even up to the last minute before starting.
33. Lighten Up Your Mood
Tell yourself a joke or watch a funny video clip. Do this before the presentation, of course. Research concludes that happy people are more productive. More productive is more focused and able to perform better.
34. Remind Yourself to Take It Slow
When we’re stressed or nervous (or both), we tend to speak faster. Consciously, take yet another deep breath and remind yourself to take it slow!
35. Read the Room
Every presentation room has a temperature. It’s your job as a speaker to gauge it and tailor your presentation to it.
Here’s a great example. Layoffs are coming at a company, and you’re asked to speak to an audience. Even if the audience isn’t personally affected by the actions, you’ve got to consider the morale of the workforce.
![what do you need to do a powerpoint presentation read the room](https://blog-frontend.envato.com/cdn-cgi/image/width=1024,quality=75,format=auto/uploads/sites/2/2024/06/presentation-room-energy.jpg)
Skilled speakers have a knack for reading the energy of the room and adjusting their presentation on the fly.
The last thing that group will want to hear is how strong the economy is and why the company is the best place to work. That doesn’t mean that you’ve got to align to their uncertainty, but don’t go too far against the grain while presenting.
Robert Kennedy III is a master of bringing energy and aligning a speech to the audience. Here’s his advice for adjusting:
“It can be hard to wake up a “dead” crowd but go for it. Most of all, don’t take their energy personally. Focus on serving them with every bit of your fiber then leave empty.”
36. Fake It ‘Til You Make It!
Go forward with confidence. If you act confident, you’ll start to feel more confident. Move slowly with grace, speak clearly, smile, wear something nice. You’ll appear confident to all attendees (no matter how you feel internally).
PowerPoint Presentation Tips and Tricks to Help Avoid Mistakes (What Not to Do)
Most importantly, focus on what you can do to make your presentation better. There are a few important things not to do that we’ve got to address. Here are a handful of PowerPoint presentation tips and tricks to help you avoid missteps.
37. Stop With the Sound Effects
Sound effects are distracting and outdated. In most cases, avoid them. Add audio or music to your presentation to inject interest or highlight an important point, but it’s something to take extra care with. If you insert audio, then make sure your use really connects with your audience and has a fresh approach. Otherwise, it’s best to leave it out.
38. Don’t Use Flashy Slide Transitions
Again, this is distracting and outdated. Use transitions and subtle animations in your PowerPoint presentation. But you need to take care and do it right .
39. Beware of Clip Art
This PowerPoint presentation tip shouldn’t even have to be said. But please, please don’t use clip art. Use professional graphics instead.
40. Don’t Be Afraid to Be Afraid
The fear of public speaking is a real one. Many beginners think that if they’re feeling nervous that a presentation won’t go well or succeed. That might lead them to cancel the presentation.
Here’s a tip from expert Sandra Zimmer, who leads The Self-Expression Center on conquering your fears before you take the stage:
“Get out of your head and into your body. I do this through a grounding exercise that really works to calm nerves and bring you present in the moment.”
If you think that public speaking fears aren’t normal, you might never give your award-winning presentation. So don’t be afraid to be afraid, and acknowledge it’s part of the process!
41. Don’t Read Directly During Your PowerPoint Presentation
If you spend your entire presentation looking at the screen or your note cards, you’re sure to lose your audience’s attention. They’ll disengage from what you’re saying, and your presentation will fall flat.
Reading from your paper or screen also makes it look like you’re not prepared. Many people do it, but no one should. As a general rule, only present something you know well and have, at least mostly, memorized the main points of.
42. Don’t Miss Out on PowerPoint Customizations
Many new PowerPoint users often make significant mistakes when using Envato Elements designs.
The best way to see how to make a good presentation PPT is to start with designs from others. That means using a template, but that doesn’t mean you can’t customize them!
Don’t forget that PowerPoint templates are infinitely customizable. Think of them as guides with built-in presentation design tips.

Work in PowerPoint More Effectively (Tips & Tricks to Level Up Your PPT Skills)
These PowerPoint tips will help you get the most out of the application to level up your next presentation. Let’s dive in.
43. Use the Visual Guides
When you’re designing your next PowerPoint presentation, it helps to create a sense of visual rhythm. Slides that have objects aligned and centered are more likely to resonate with an audience.
44. Use a Few Animations (Tastefully)
Animations in effective PowerPoint presentations are a slippery slope. We’ve all sat through presentations where there were so many objects in motion that it was easy to lose focus on the key ideas in the presentation.
But that’s why animations get an unfairly bad reputation. Use animations to create motion and hold an audience’s attention. Use them sparingly and on key elements on your slide, and you’ll capture that attention properly.
45. Stage Key Content With Animations
You just learned that animations should avoid being distracting. But there’s an important principle to using animations properly. It’s called staging content.
Staging content means that the content appears step by step. There’s nothing worse than overwhelming an audience with all your content at once. But when you stage content, bring it on step by step.
Take it from presentation pro Suzannah Baum :
“If you’re sharing a slide with lots of different points on it, using the animation to reveal those points one at a time is a way to keep the presenter’s content flowing smoothly.”
For more animation presentation tips and tricks, follow our guide .
46. Add a Video to Your PowerPoint
When you’re sharing a big idea in your presentation, it helps to share your perspective from a few different angles. Adding a video to supplement your content can do just that. Luckily, it’s easy to add and embed a YouTube video in your next PowerPoint presentation.
47. Add Charts & Graphs
Charts and graphs can help you tell stories with data. It’s easy for an audience to zone out when you throw a big data table or set of statistics at them.
instead, convert those to charts and graphs. Try out our tutorial to learn how to edit those graphs.
48. Build Your Own Infographics With SmartArt
Earlier in this tutorial, we gave you one of my favorite PowerPoint design tips: use infographic templates.
Here’s another. One of my favorite PowerPoint features is SmartArt, which allows you to build infographics right inside the app.
You don’t have to use another graphic design app like Photoshop or Illustrator to add visuals. Instead, try out SmartArt to help you build graphics that are easy to update.
49. Use Presenter View
Remember that when you use the PowerPoint, you’ re the presentation. The slides are just there to reinforce what you’ve got to say and support your speaking points.
That’s why I always recommend using Presenter view. More often than not, you’re going to have several displays. Presenter view shows your content on your screen, while your presentation is displayed on another screen.
50. Track Your PowerPoint Changes
One of my favorite PowerPoint design tips is to collaborate. Those who know you best will suggest compelling changes that are sure to help you succeed.
As you start collaborating on your presentation, it helps to keep track of proposed and included PowerPoint changes. Use this article to track changes made by others.

30 Tips: How to Make Good PowerPoint Presentation Designs Fast in 2024
A few tried and true tips can help you speed up your PowerPoint presentation design. Check out 30 of my favorite PowerPoint tips to do just that. Each of these give you PowerPoint slideshow help to create good PowerPoint slides:
1. How Do You Give a Memorable PPT Presentation?
If you're learning the top PowerPoint presentation tips and tricks, you're probably asking yourself: how do I give a presentation that won't be forgotten?
We all want to be remembered. The best PowerPoint slideshow help to make a mark on the audience. There are tried-and-true ways to do just that, and expert Neil Tomlinson shares expertise on being remembered:
Get your main point into the presentation as early as possible (this avoids any risk of audience fatigue or attention span waning), then substantiate your point with facts, figures etc and then reiterate your point at the end in a ‘Summary’.
2. Practice Makes Perfect
Also, don’t forget to practice your presentation. Go through your slide deck a few times to make sure you know it like the back of your hand when the big day arrives. Doing so helps you feel more confident. It'll reduce any anxiety and nervousness you might feel as the presentation day approaches.
What's the best way to rehears for a good PowerPoint? Here's one of the top PowerPoint presentation tips from expert presenter Sandra Zimmer :
Once slides are ready, practice one slide at a time aloud until you feel like you know it and like the flow of speech. Be willing to change anything that does not feel in flow. At the end of learning all your slides, practice the whole talk.

3. Adapt Your Presentation to the Audience
Let's say that you're a seasoned presenter with a pretty standard set of presentation topics. Maybe you're an expert in your field, and you're asked to give a PPT presentation frequently on similar topics.
That's the value of being an expert. You might have a standard spiel that you give your audiences, and your content won't totally change from one presentation to another. That's why it helps to make only slight tweaks to adapt your presentation to each audience.
Leading presentation expert Suzannah Baum offered up this advice:
Different audiences will have different needs and different challenges, which requires me to re-sequence the slides, or create new ones. I tend to do a lot of research on my audiences – via surveys, interviews, and conversations with the hiring manager – to help me better understand what information would be most relevant to them.
How do you adapt to your audience? Here are a few more tips:
- Learn about them. If you're asked to speak, talk to the curator of the presentation to learn more about the audience and their background.
- Ask about them! With contact details, send out a survey or a response link to ask for feedback and preparation info. Ask leading questions like "what do you want to learn?"
- Consider the environment. If you're presenting via Zoom, your style will differ from presenting in person. The key is to acknowledge the difference and adapt to your environment.
![what do you need to do a powerpoint presentation Presentation audience Elements](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/36224/image-upload/presentation-audience-elements.jpg)
Learn everything you can about your audience. Learning how to make a presentable PowerPoint is all about thinking of the recipient, not the presenter!
4. Use a Custom Font
A PowerPoint presentation tip that'll make your slideshow more interesting and more engaging is to use a custom font.
Fonts set the tone for your presentation. So, when you use a premium font, you’re opting for a high-quality font while also adding a personal or creative touch.
When choosing a font, remember that you want everyone to read your text easily.
5. Use Contrast
![what do you need to do a powerpoint presentation The white text contrasts with the dark grey background.](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/2533/posts/107971/image-upload/Contrast.jpg)
One PowerPoint trick is to use contrast to make some of your text stand out or make it easier to read.
If you’re putting text over an image on our PowerPoint slide, you may need to use a white box with black text in it to make your text easier to read. You can also use contrasting colors to highlight important text.
6. Avoid Too Many Animations
Another PowerPoint tip is to avoid having too many animations or transitions.
When you've got too many animations, it can be distracting to the audience. It’s not only distracting, but it's unprofessional.
It’s best to stick to one or two animations throughout your presentation. Also, if you've got any animations in your presentation, make sure to test them to see if they work before presenting.
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/988/posts/28035/preview_image/preview_good_PPT_animations.jpg)
7. Add Audio
Include audio on a slide on PowerPoint to increase audience engagement. Audio can be anything from fun sound effects to interview clips. You can even add an audio clip of your voice.
Audio gives you a break from speaking while also engaging the audience. Envato Elements has hundreds of premium audio clips if you want to add some.
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/26/posts/20488/preview_image/powerpoint-sound.png)
8. Use the Rule of Three
One PowerPoint tip and trick is to follow the rules of PowerPoint.
One of those rules is the rule of three. It's where you start by dividing your presentation into thirds. Everything should come in thirds, so if you use bullet points, you should only have three. If you use icons, you should only have three.
When things come in threes, it's easier to remember them. For more information, read this informative article:
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/988/posts/107805/preview_image/preview_rule_of_three_5_.jpg)
9. Use a Custom PPT Theme Design
Above all, consistently use custom PowerPoint themes. Microsoft has built-in themes that you can use for free, sure. But the premium themes that are on Envato Elements are a major step-up from PowerPoint's built-in themes.
![what do you need to do a powerpoint presentation Envato Elements is an all-you-can-download creative subscription](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/1223/posts/33302/image/envato-elements-powerpoint-search.png)
When you subscribe to Envato Elements, you'll have access to unlimited downloads of all the PowerPoint themes. Right now, Envato Elements has almost 4,000 PowerPoint themes and that number is always growing. You'll learn tips for a good PowerPoint presentation by using the best templates.
![what do you need to do a powerpoint presentation The Socran PPTX template is a great example of using a PowerPoint template to jump ahead in the design process.](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/2533/posts/107971/image-upload/Socran.jpg)
10. Make Use of Charts and Graphs
Illustrate your data with the use of charts and graphs. Not only will you be able to make your presentation more visually appealing, but you'll also help your audience remember the information better.
![what do you need to do a powerpoint presentation Use charts and graphs like the ones found in Blendu PowerPoint template](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/1223/posts/33302/image/Blendu%20PowerPoint%20Template.jpg)
Many PowerPoint templates already include chart and graph elements. Easily customize them to make your data and stats more interesting and easier to understand.
Want to learn more about how to use data? Turn to expert Adrienne J ohnston , a presentation professional:
When it comes to visualizing data in presentations, we have to remember that our audience does not need all the fine details of the data - they need the main takeaway and we need to make sure that's evident to them when looking at the slide.
11. Use the Built-in Slide Layouts
Inside of PowerPoint themes, you'll find layouts , which are custom slide designs.
Most themes include a selection of content layouts that you can use as a starting point for your own slide designs. You can leverage slide master PowerPoint 2024 designs with the help of layouts.
![what do you need to do a powerpoint presentation Slide Layouts Screenshot](https://cms-assets.tutsplus.com/cdn-cgi/image/width=734/uploads/users/151/posts/29886/image/slide-layouts-screenshot.jpg)
Layouts are like a starting point for your PowerPoint presentation slides. They contain combinations of placeholders for text boxes, images, and more.
Instead of clicking and drawing individual objects onto the slide, use one of these layouts to start your slide off. It's one of the top PowerPoint presentation tips and tricks to save time.
12. Align Text Consistently
When you're working with text on your slide, it helps to ensure that it aligns consistently. Keeping your text aligned in the same orientation really makes a slide look clean.
In the example below, I've basically got three text boxes:
- list of bulleted points
Notice that all this text is aligned left.
![what do you need to do a powerpoint presentation Alignment Example Image](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/29886/image/alignment-example.jpg)
Aligning text was the " aha " moment that I learned when I started studying slide design. It's one of those steps that makes a slide look much neater and professional, so keep it in mind when designing.
![](http://xconsult.online/777/templates/cheerup/res/banner1.gif)
13. Make Your Exports User-Friendly
No matter how great your PowerPoint presentation slides look, you need to think about how your user will use the presentation file.
Any of these are likely scenarios if you're regularly sending presentations to other users:
- The viewer may not have PowerPoint installed on their computer.
- The recipient may be using a version of PowerPoint that renders the presentation differently.
- Maybe you don't want the user to be able to make any edits or see your notes in the presentation file.
![what do you need to do a powerpoint presentation PDF version of the slide](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/29886/image/pdf-version.jpg)
In this case, my favorite tip is to export the presentation as a PDF. To do that, go to File > Export > Create PDF , and then save your presentation as a PDF.
This is sure to help most of your users see the presentation just the way you intended.
14. Try a Different Color Scheme
Many PowerPoint themes have more than one color scheme that you can apply to your presentation. On the Design tab, click on the drop-down next to Themes to try out a different color scheme.
![what do you need to do a powerpoint presentation Slide themes](https://cms-assets.tutsplus.com/cdn-cgi/image/width=491/uploads/users/151/posts/29886/image/slide-themes.jpg)
Typically, these will restyle your entire presentation. Premium themes that you might get from Envato Elements, for example, may have many versions inside the original presentation zip file.
15. Edit Slide Masters for Consistency
The slide master controls the design for your PowerPoint slide. Instead of making the same change to each slide, apply a change to a slide master. It'll affect all the PowerPoint presentation slides that use the same master.
![what do you need to do a powerpoint presentation Edit the Slide Master](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/29886/image/slide-master-edit.jpg)
It's ideal to apply a logo to the slide master itself, for example. This keeps the logo the same size and in the same position on each slide.
To do that, go to View > Slide Master. On the right side, you're likely to see a variety of slide masters that control designs for many slides. Drop the elements that you want to remain consistent onto one of the slide masters.
16. Use the Alignment Feature
PowerPoint presentation slides look better when the objects on them are in line with one another. There's a certain visual rhythm that occurs when objects line up in the center or along certain boundary lines.
![what do you need to do a powerpoint presentation Alignment feature](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/29886/image/alignment-lines.jpg)
When you start dragging objects on your slide, you'll see guiding lines that pop up. These are very intuitive, and you'll likely notice that they help you line up your objects. You might seem them pop up when you've got a box that's equidistant between two other objects on the slide, for example.
This is one of the best tricks for improving the look of your PowerPoint slide. Spend some time making sure that your key elements line up cohesively.
17. Use Stock Assets
Earlier, I mentioned using Envato Elements to grab PowerPoint themes. But there's more that comes with an Envato Elements subscription for presentations.
That includes a wide variety of stock photos, graphics, and custom designed fonts that you can use in your presentation. Instead of reusing the same stock photo or clip art, Envato Elements has everything you need to supplement a presentation.
Again, Envato Elements is the perfect subscription if you build presentations. It's a one-stop-shop that you can use to fill content.
18. Reduce Your Content
There's nothing that makes an audience tune out faster than being overloaded with slide content. Sometimes we try to make so many points that the audience misses all of them due to information overload.
Less is truly more. When you cut the weaker points of your presentation, the audience's attention will follow your key points accordingly.
It seems like cheating, but one of the best steps that you can take for your slide is to simply reduce the number of items that are on it. Convert some of your typed points to things you'll speak verbally.
19. Rethink Your Slide Order
Sometimes, I find that my presentations are out of order. I might spend too much time explaining my decision before I get to the conclusion.
In these cases, I like to use Slide Sorter View to re-sequence the slides in my presentation. To access this view, go to View > Slide Sorter on PowerPoint's ribbon.
![what do you need to do a powerpoint presentation Slide Sorter View Rearrange](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/29886/image/slide-sorter-view.jpg)
From Slide Sorter view, you've got a top-down view of all the slides in your presentation deck. It sometimes becomes obvious that the slides can be reordered into a better sequence from this view.
20. Use PowerPoint Animations
One of my favorite PowerPoint presentation tips is to complement your major points with a bit of animation. Using animation can bring a key point onto your slide with style!
Check out ten of the best PowerPoint tips for how to use animation from expert Sven Lenaerts below:

21. Invite Collaborators
Building a presentation often benefits from a second set of eyes. That's why it helps so much to invite a collaborator to work with you side-by-side in Microsoft PowerPoint.
Pushing your presentation up to OneDrive and inviting collaborators is easy. Thanks to the cloud-based approach, more than one user can edit a slide deck in real time. Learn how to do that in the tutorial below:
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/151/posts/29630/preview_image/collaborate-pptx.jpg)
22. Add Supporting Video Clips
Building impactful presentations is all about adding other perspectives and angles to the content. One of my favorite ways to do that is to add a video clip. Maybe that's a production that you built on your own or found on sites like YouTube.
Either way, learn how to add and auto play a video clip in the quick tip below:
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/988/posts/29999/preview_image/icon_How_to_Play_a_Video_Automatically_in_PowerPoint.jpg)
23. Use Infographic Templates
More presentations than ever will feature visuals that tell stories with data. But it's easy for an audience become overwhelmed with data.
That's where infographics come into play. Learn to use them in PowerPoint in the tutorial below:
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/151/posts/31342/preview_image/PowerPoint-Infographics-Template-icon.jpg)
24. Use Impactful Closing Techniques
I've sat through many presentations in my life. I can only remember a few that really stick out, thanks to techniques that highlighted key points. You need PowerPoint tips and tricks that help leave your audience with an impact.
To do just that, make sure you use some of the techniques highlighted in the article below:
![what do you need to do a powerpoint presentation](https://cms-assets.tutsplus.com/cdn-cgi/image/width=400/uploads/users/151/posts/29733/preview_image/pptx-end-close.jpg)
To do that, just drag and drop the thumbnails into the order you want. When you return to Normal view, the PowerPoint presentation slides will be in the resequenced order you set here.
25. Include Data in the Appendix
Many PowerPoint presentations include data in the form of charts and graphs. That means that you'll condense specifics into a few easy-to-follow charts.
But what if your audience wants more of the backing details? Maybe they want to validate and review the detail for themselves. In that case, a set of appendix slides with extra data is sure to help.
![what do you need to do a powerpoint presentation PowerPoint 2022 data appendix](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/151/posts/36224/image-upload/powerpoint-2021-data-appendix.jpg)
Appendix slides are included at the end of a presentation deck for backup purposes. You might not present them, but your audience is certain to appreciate that you included them. That helps your presentation continue to be useful even after you leave the room.
Here's a great tip from: pro presenter Graeme Thomas of Johnny F Designs:
If (my clients) are sending the deck straight to clients however, I would then put all the information on the slides but will often use more slides so that they aren't too cluttered. In cases where there is a lot of content, like financial statements, I would use appendix slides.
Including an appendix helps your audience understand data without overwhelming them with that data. Follow these tips so that you get the best of both worlds.
26. Alternate Between Solid Color and White Slides
Alternating between solid color and slides with a white background can produce an interesting visual effect and engage your audience. You can use the solid-colored slides to signify a new section in your presentation.
![what do you need to do a powerpoint presentation Lekro PowerPoint template has beautiful solid-color and white background slides](https://cms-assets.tutsplus.com/cdn-cgi/image/width=850/uploads/users/1223/posts/33302/image/Lekro%20PowerPoint%20Template.jpg)
Not to mention, solid-colored slides are the perfect way to re-enforce your brand colors and build your brand recognition.
27. Present Information With Maps
If you’re trying to make a case for a global expansion or need to report on how other branches are performing, consider using a map to help your audience visualize the data.
There's no shortage of quality PowerPoint templates with maps built in so be sure to take advantage of them.
28. Keep the Design Best Practices in Mind
The design of your presentation matters just as much as the content of your presentation. That’s why you need to devote an equal amount of time to making sure the design of your presentation is on point as you do to the actual content.
Familiarize yourself with best design practices and keep them in mind as you go about customizing your template.
29. Set a Time Limit
How many slides is the right number for you? Well, it all depends on the time limit you set for your presentation.
Believe it or not, setting a time limit is helpful to create good PowerPoint slides. If you want to learn how to make a presentable PowerPoint, it's a must to lock in the time limit and ensure that your slides support that timeframe.
Expert presenter Stephanie Ottavan offers one of our top tips for a good PowerPoint presentation based on time limits:
A presenter is usually limited to a specific time frame and you want to adhere to that as closely as you can. If you have animations and transitions in your deck, these take added time so make sure to rehearse in “show mode” of PowerPoint or Keynote and time yourself.
Believe it or not, setting a time frame is one of the most important part of creating a PPT presentation. It helps you influence how many good PowerPoint slides you should design.
30. Test Your Content Everywhere
PowerPoint in 2024 could take place anywhere. Maybe you present, online, in-person, or beam it to mobile devices. It's important to remember that the content will appear differently on each device.
PowerPoint Online is a different medium than many other apps. Make sure that your presentation design appears the same by testing it with the help of this tutorial. It shows you how your PPT presentation appears even in a browser:

Beats Pill Review: An Easy Bluetooth Speaker to Swallow
Retro consoles look bad on modern tvs, here's why and how to fix it, 4 free android keyboards that respect your privacy, quick links, table of contents, start with a goal, less is more, consider your typeface, make bullet points count, limit the use of transitions, skip text where possible, think in color, take a look from the top down, bonus: start with templates.
Slideshows are an intuitive way to share complex ideas with an audience, although they're dull and frustrating when poorly executed. Here are some tips to make your Microsoft PowerPoint presentations sing while avoiding common pitfalls.
![what do you need to do a powerpoint presentation define a goal](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/start.png)
It all starts with identifying what we're trying to achieve with the presentation. Is it informative, a showcase of data in an easy-to-understand medium? Or is it more of a pitch, something meant to persuade and convince an audience and lead them to a particular outcome?
It's here where the majority of these presentations go wrong with the inability to identify the talking points that best support our goal. Always start with a goal in mind: to entertain, to inform, or to share data in a way that's easy to understand. Use facts, figures, and images to support your conclusion while keeping structure in mind (Where are we now and where are we going?).
I've found that it's helpful to start with the ending. Once I know how to end a presentation, I know how best to get to that point. I start by identifying the takeaway---that one nugget that I want to implant before thanking everyone for their time---and I work in reverse to figure out how best to get there.
Your mileage, of course, may vary. But it's always going to be a good idea to put in the time in the beginning stages so that you aren't reworking large portions of the presentation later. And that starts with a defined goal.
![what do you need to do a powerpoint presentation avoid walls of text](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/less.png)
A slideshow isn't supposed to include everything. It's an introduction to a topic, one that we can elaborate on with speech. Anything unnecessary is a distraction. It makes the presentation less visually appealing and less interesting, and it makes you look bad as a presenter.
This goes for text as well as images. There's nothing worse, in fact, than a series of slides where the presenter just reads them as they appear. Your audience is capable of reading, and chances are they'll be done with the slide, and browsing Reddit, long before you finish. Avoid putting the literal text on the screen, and your audience will thank you.

![what do you need to do a powerpoint presentation use better fonts](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/fonts.png)
Right off the bat, we're just going to come out and say that Papyrus and Comic Sans should be banned from all PowerPoint presentations, permanently. Beyond that, it's worth considering the typeface you're using and what it's saying about you, the presenter, and the presentation itself.
Consider choosing readability over aesthetics, and avoid fancy fonts that could prove to be more of a distraction than anything else. A good presentation needs two fonts: a serif and sans-serif. Use one for the headlines and one for body text, lists, and the like. Keep it simple. Veranda, Helvetica, Arial, and even Times New Roman are safe choices. Stick with the classics and it's hard to botch this one too badly.
![what do you need to do a powerpoint presentation use fewer bullets](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/bullets.png)
There reaches a point where bullet points become less of a visual aid and more of a visual examination.
Bullet points should support the speaker, not overwhelm his audience. The best slides have little or no text at all, in fact. As a presenter, it's our job to talk through complex issues, but that doesn't mean that we need to highlight every talking point.
Instead, think about how you can break up large lists into three or four bullet points. Carefully consider whether you need to use more bullet points, or if you can combine multiple topics into a single point instead. And if you can't, remember that there's no one limiting the number of slides you can have in a presentation. It's always possible to break a list of 12 points down into three pages of four points each.
![what do you need to do a powerpoint presentation avoid transitions](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/transitions.png)
Animation, when used correctly, is a good idea. It breaks up slow-moving parts of a presentation and adds action to elements that require it. But it should be used judiciously.
Adding a transition that wipes left to right between every slide or that animates each bullet point in a list, for example, starts to grow taxing on those forced to endure the presentation. Viewers get bored quickly, and animations that are meant to highlight specific elements quickly become taxing.
That's not to say that you can't use animations and transitions, just that you need to pick your spots. Aim for no more than a handful of these transitions for each presentation. And use them in spots where they'll add to the demonstration, not detract from it.
![what do you need to do a powerpoint presentation use visuals](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/visuals.png)
Sometimes images tell a better story than text can. And as a presenter, your goal is to describe points in detail without making users do a lot of reading. In these cases, a well-designed visual, like a chart, might better convey the information you're trying to share.
The right image adds visual appeal and serves to break up longer, text-heavy sections of the presentation---but only if you're using the right images. A single high-quality image can make all the difference between a success and a dud when you're driving a specific point home.
When considering text, don't think solely in terms of bullet points and paragraphs. Tables, for example, are often unnecessary. Ask yourself whether you could present the same data in a bar or line chart instead.
![what do you need to do a powerpoint presentation find a color palette](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/palette.png)
Color is interesting. It evokes certain feelings and adds visual appeal to your presentation as a whole. Studies show that color also improves interest, comprehension, and retention. It should be a careful consideration, not an afterthought.
You don't have to be a graphic designer to use color well in a presentation. What I do is look for palettes I like, and then find ways to use them in the presentation. There are a number of tools for this, like Adobe Color , Coolors , and ColorHunt , just to name a few. After finding a palette you enjoy, consider how it works with the presentation you're about to give. Pastels, for example, evoke feelings of freedom and light, so they probably aren't the best choice when you're presenting quarterly earnings that missed the mark.
It's also worth mentioning that you don't need to use every color in the palette. Often, you can get by with just two or three, though you should really think through how they all work together and how readable they'll be when layered. A simple rule of thumb here is that contrast is your friend. Dark colors work well on light backgrounds, and light colors work best on dark backgrounds.
![what do you need to do a powerpoint presentation change views](https://static1.howtogeekimages.com/wordpress/wp-content/uploads/2021/02/view.png)
Spend some time in the Slide Sorter before you finish your presentation. By clicking the four squares at the bottom left of the presentation, you can take a look at multiple slides at once and consider how each works together. Alternatively, you can click "View" on the ribbon and select "Slide Sorter."
Are you presenting too much text at once? Move an image in. Could a series of slides benefit from a chart or summary before you move on to another point?
It's here that we have the opportunity to view the presentation from beyond the single-slide viewpoint and think in terms of how each slide fits, or if it fits at all. From this view, you can rearrange slides, add additional ones, or delete them entirely if you find that they don't advance the presentation.
The difference between a good presentation and a bad one is really all about preparation and execution. Those that respect the process and plan carefully---not only the presentation as a whole, but each slide within it---are the ones who will succeed.
This brings me to my last (half) point: When in doubt, just buy a template and use it. You can find these all over the web, though Creative Market and GraphicRiver are probably the two most popular marketplaces for this kind of thing. Not all of us are blessed with the skills needed to design and deliver an effective presentation. And while a pre-made PowerPoint template isn't going to make you a better presenter, it will ease the anxiety of creating a visually appealing slide deck.

Have to create a PowerPoint presentation and dread it? Your presentations don’t always have to be dry, boring and limited. With these PowerPoint presentation tips, you’ll be able to put together a dynamic and engaging presentation.
Let’s start from the very beginning before you even open up your presentation tool.
- Start by writing out your talking points.
- Get creative with your slide design.
- Keep your design consistent throughout.
- Make your presentation interactive.
- Add animation.
- Put together seamless transitions.
- Use text creatively.
- Align objects with the grid.

1. Start by writing out your talking points.
The first thing you need to do, before even considering your presentation design, is to write out your talking points and outline your speech.
Pay attention to popular and engaging presentation structures so you know the framework you want to follow throughout your talk. This will also make it easier to create an outline that focuses on each of your talking points.
Once you’ve put together an outline that represents your topic and touches on each important element you need to cover, you can start searching for a PowerPoint presentation template that will fit your topic.
Or, you can start browsing through Visme’s presentation templates below.

2. Get creative with your PowerPoint presentation slide design.
When it comes to putting your content onto your PowerPoint presentation slides, you want to be sure your slides are clean, easy to read and engaging.
This means you should try out a variety of different creative themes. And while we have a post with over 100 creative presentation ideas you should check out, here are a few ways to really make your slideshow stand out.
Use more design elements than photos.
![what do you need to do a powerpoint presentation powerpoint presentation - template with design elements](https://visme.co/blog/wp-content/uploads/2020/09/1.jpg)
While a photo collage or stock image background tends to be PowerPoint presentation go-to’s, we’re trying to empower you to do something different!
Take a page out of this template’s book by taking advantage of different design elements. Here, we see a solid colored background, shapes, icons and text decorating the slides of this presentation.
In this example PowerPoint slides, we do still see a photo added to emphasize the point on one of the slides, but it’s used as a design element rather than the foundation of the slide.
Use a bold color scheme.
![what do you need to do a powerpoint presentation powerpoint presentation - template with bold colors](https://visme.co/blog/wp-content/uploads/2020/09/2.jpg)
When customizing example PowerPoint slides , your color palette matters. Using a more bold and bright color scheme is a great way to grab audience attention and make yourself seem more serious about your topic.
A more powerful color scheme makes an impression on your viewers, helping them to further see you as an authority on the information you’re sharing.
This example PowerPoint slides uses a bold blue and orange color scheme to stand out. To get an idea for a color palette for your next presentation, take a look at these 50 combinations .

3. Keep your design consistent throughout.
We just shared a couple of different presentation templates available with our platform in the last point. What do you notice?
Here’s another example for you to take a look at.
![what do you need to do a powerpoint presentation powerpoint presentation - template with cohesive design](https://visme.co/blog/wp-content/uploads/2020/09/3.-3.jpg)
All of the example PowerPoint slides have a similar look and feel, creating a cohesive presentation deck that looks intentional and professionally designed.
Imagine if you were sitting in a presentation that looked something like this.
![what do you need to do a powerpoint presentation powerpoint presentation - cluttered design example](https://visme.co/blog/wp-content/uploads/2020/09/4.-3.jpg)
This looks messy and cluttered. It’s an amateur-looking design, and your audience will be confused about how these slides make any sense together.
Because keeping your design consistent is an essential part of creating an engaging presentation, we’ve also created a few different presentation themes with hundreds of example PowerPoint slides that all follow the same design theme.
Here’s an example of our Modern presentation theme below with over 900 different slides so that you can find a variety of slides perfect for your next slide deck.

4. Make your presentation interactive.
One way to create a really dynamic presentation that will keep your audience engaged and create a memorable experience is to make your presentation interactive.
While we’ve covered 17 ways to create an interactive presentation before, let’s go over how you can do this using a tool like Visme.
PowerPoint is widely known as the go-to presentation software, but there are so many alternatives that can lead you to a better solution and a better end result.
In Visme’s presentation maker, you can easily add links to any object in your presentation that lead to web pages, other slides within your presentation or create popup or hover effects with other objects on your slide.
![what do you need to do a powerpoint presentation powerpoint presentation - add links in visme's dashboard](https://visme.co/blog/wp-content/uploads/2020/09/Screen-Shot-2020-09-16-at-4.13.18-PM.png)
Simply click on the element that you want to add a link to, head to the Actions menu, then select which type of interactive link you want to add.
You’re also able to create interactive maps and data visualizations that allow you or your viewers to hover over each element in your visual to see more information.
Here’s an example of an interactive map that you can easily create to showcase more information in a more digestible format.
Visme also allows you to embed external content like videos, polls, forms, surveys, quizzes and more. Plus, there are several third-party integrations you can use to embed and connect even more interactive content.
5. Add animation.
Another way to help your slides stand out is by adding in animated elements. Try to incorporate enter and exit effects for various objects on your slides to grab your audience’s attention as new slides fly onto the screen.
Here’s a great example of how this could look.
Or, if you put together your PowerPoint presentation slides with a different tool – like Visme, wink wink – you can gain access to even more animated elements.
Visme provides users with fully customizable animated illustrations, icons, shapes and more that can have their size, colors and animation speed updated to fit your needs.
![what do you need to do a powerpoint presentation powerpoint presentation - elements available in visme](https://visme.co/blog/wp-content/uploads/2020/09/7.-3.jpg)
These illustrations can be perfect for adding even more depth to your presentation slides, especially when it comes to your title slides and section headers to help break up your presentation.
6. Put together seamless transitions.
When customizing example PowerPoint slides, you want to put a creative spin on it. Instead of having one slide disappear for another to appear in full, why not try out some creative transitions?
It’s important for us to note that if you find a transition you like, you should stick with it throughout your presentation. This goes back to our point about cohesive design. You want everything to flow well.
This means that you don’t want to throw a ton of different slide designs, animation types and transitions into the mix, or you’ll end up with a cluttered and hard-to-follow presentation deck.
Visme’s unique transitions offer not just slide transitions, but a way to seamlessly transition all of your elements onto the screen as well.
Take a look at this presentation below to see how this looks. Click through the slides to see them transition.
To get this effect, simply choose one of the following transitions that also show the slide elements following suit after the background appears.

Ready to create your own presentation in minutes?
- Add your own text, images and more
- Customize colors, fonts and everything else
- Choose from hundreds of slide designs and templates
- Add interactive buttons and animations
7. Use text creatively.
There are hundreds of fonts to choose from, so how do you know the best ones to use and how to make them stand out on your slides?
First, you can check out our guide to font pairing to understand some basics for choosing the right fonts for your slides.
For example, make sure you’re using 3 fonts max, and that each has a specific role in your presentation, as you see below.
![what do you need to do a powerpoint presentation powerpoint presentation - font pairing guide](https://visme.co/blog/wp-content/uploads/2020/09/10.-2.jpg)
Once you’ve chosen your preferred fonts, whether you look through our selections of top fonts , modern fonts , pretty fonts or elsewhere, start considering how you can use them creatively in your presentation design.
Pro Tip: It’s important to remember that in a presentation, you won’t have many words on the screen. So you want to make sure the text that you do include focuses on your main point of each slide and grabs attention.
Let’s cover a few ways that you can use text creatively and really make your slides stand out to your viewers.
Surround your text with shapes.
![what do you need to do a powerpoint presentation powerpoint presentation - template with text and shapes](https://visme.co/blog/wp-content/uploads/2020/09/11.jpg)
If you really want to make certain words pop off the slide, add a shape behind them like you see in this presentation about dinosaurs above.
While this is more of an informational presentation, this tactic can also be used for business-related presentations as well.
Simply search through Visme’s library of shapes for something that matches your theme and set it behind your content.
Place your text on the white space of a photo.
![what do you need to do a powerpoint presentation powerpoint presentation - template with white space for text](https://visme.co/blog/wp-content/uploads/2020/09/12.jpg)
Try positioning your photos strategically and utilizing pictures with more white space than you normally would. This helps you find the perfect spot to place your text so that it’s easy for your audience to read while still being visual.
In the above example PowerPoint slides, these minimalistic nature photos are the perfect backdrop for the text, providing tons of white space while still offering texture and visual elements.
Use color overlays.
![what do you need to do a powerpoint presentation powerpoint presentation - template with color overlays](https://visme.co/blog/wp-content/uploads/2020/09/13.-2.jpg)
Another great way to really make your words pop is by adding a translucent color overlay on top of your background photo.
Incorporating a photo into your presentation slide helps create more depth and visualize the words you’re saying, but you still want to be able to have your text be legible throughout the slide deck.
8. Align objects with the grid.
When using a tool like Visme to create your presentation, you can turn on a grid that allows you to ensure your design elements are properly aligned and perfectly symmetrical.
To access the grid in Visme’s editor, click the hamburger menu, then go to View Options , then toggle the Show grid option to turn it on.
![what do you need to do a powerpoint presentation powerpoint presentation - grid options in visme](https://visme.co/blog/wp-content/uploads/2020/09/14.jpg)
You can set the size you want your grid to be to strategically align elements around your slide as well as set how opaque the grid lines are.
9. Create non-linear presentations.
You don’t have to go from slide to slide in your PowerPoint presentation. In fact, there are endless options for how you could navigate between slides when presenting.
Whether you let the audience decide the direction of your presentation by offering them different options to choose from, you create a navigation bar for your presentation or you allow yourself to determine the flow as you go by adding a progress bar, you have tons of options.
Here’s a great example of what your presentation could look like with a navigation menu within your slides.
10. Place shapes strategically.
Don’t underestimate the power of shapes in your presentation design. Or any design, really.
Using various geometric shapes or even shapes you may not have heard of before to draw attention to various elements on the screen is a great design practice.
Our Creative presentation theme – with over 300 different slide layouts – is a great example of using shapes strategically to add design elements and emphasize various parts of your content.
![what do you need to do a powerpoint presentation powerpoint presentation - creative theme](https://visme.co/blog/wp-content/uploads/2020/09/16.-1.jpg)
Visme presentation maker has a library full of different types of shapes that can be used in diagrams, as backgrounds to icons , to frame text and so much more.
Put together a set of guidelines for which shapes you plan to use in your presentation and stick to no more than two or three different shapes throughout. While you can resize them based on your needs, you don’t want to clutter your slides.
11. Crop images into shapes.
Back with the shapes! Another creative way to bring shapes into your designs is to crop photos into different geometric shapes.
The presentation template below is the perfect example for how you can visually incorporate these cropped images into your slide design.
![what do you need to do a powerpoint presentation powerpoint presentation - template with geometric shapes](https://visme.co/blog/wp-content/uploads/2020/09/17.jpg)
It’s easy to do this with a tool like Visme. Simply drag and drop your choice of photo from the photo library in the left sidebar onto your slide, click it, choose Frames in the navigation bar and choose the one that fits your design.
Take a look at a few of the frames available in our software.
![what do you need to do a powerpoint presentation powerpoint presentation - image frames available in visme](https://visme.co/blog/wp-content/uploads/2020/09/18.-1.jpg)
12. Utilize presenter notes.
Want to really give a good presentation ? It’s important not to read off the slide and actually speak directly to your audience throughout your PowerPoint presentation.
One great way to keep yourself on task and ensure you don’t skip over any important information is to take advantage of presenter notes available to you when up on stage or in front of your audience presenting.
Visme has dynamic and comprehensive presenter notes built in that help ease the pressure of presenting.
Take a look below at what you can expect to see on your screen when presenting – all while your audience only sees the slide you’re showcasing.
You get access to the time of your presentation, the current slide, the slide you can expect next to help with the flow of your slideshow and the notes you’ve prepared for your talking points.
13. Use a dynamic presentation software.
The last way to create an amazing and engaging PowerPoint presentation is to use a dynamic presentation software that isn’t PowerPoint.
I know what you’re thinking – how can you deliver a PowerPoint by using a different software?
With a tool like Visme, you’ll get tons of premade example PowerPoint slides to choose from. You’re able to both import existing PowerPoints to edit and spice them up and export editable PowerPoints to present offline and make any last minute changes.
When creating your presentation, you can use Dynamic Fields to automatically update key information throughout the slides. You can also personalize the fields and apply them to other projects.
Our analytics tool helps you track the performance of your presentation. You can track views, unique visits, average time, average completion and a host of other key metrics.

10 Tips to Make Your PowerPoint Presentation Effective
![what do you need to do a powerpoint presentation 24Slides](https://24slides.com/presentbetter/content/images/2021/03/Logo.jpeg)
You may have heard of the famous 10/20/30 rule , devised by Guy Kawasaki , for designing presentations. This rule states that using 10 slides in 20 minutes at a 30 point minimum font size is the most effective presentation strategy—but what does this really mean?
The most important thing to remember, particularly if you’re using PowerPoint to convey your message, is to keep your audience in mind when preparing your presentation. Your audience wants a relevant presentation, not just something that is visually appealing .
A common mistake speakers make when designing PowerPoint presentations is being too passionate about it that they put everything they know into it. In trying to get their point across, presenters tend to use complex jargon and impart too much information, leaving the audience confused about the actual purpose of the presentation.
So how can you simplify your information but still convey a powerful message to your audience?
Here are 10 suggestions:
1) Cut out the wordiness
Ironic as it may seem, an essential part of proving a point is to use a minimal amount of words per slide so that the audience is focused on you, not on the screen. It’s rather difficult for any kind of audience to read texts and listen to you at the same time. If you have longer statements, break them down into multiple slides and highlight the key words. This doesn’t mean you limit your content to dull, boring facts. Feel free to incorporate anecdotes or quotes as long as they’re relevant and support your message.
2) Add pictures
Instead of more words, supplement your ideas with vivid imagery. Again, the key is not overusing photos to the point that it makes your presentations look unprofessional. Photos should only be used if they promote or emphasize the main idea of your slide.
3) Use appropriate animation
Like pictures, use animation only when appropriate and only if you’ve completely rehearsed your presentation with the animation flow. Otherwise, they will be distracting and will make it appear that you’ve designed your presentation in poor taste.
4) Don’t overuse numbers
As with words, minimize the amount of numbers you present in each slide. If you have charts that summarize the total figures toward the end, then you no longer need to fill up your entire chart with the little numbers on the scale.
5) Use large fonts
Aside from the obvious reason that larger fonts are more readable, size dictates the impact of your message and a larger one makes it easier for your audience to clearly grasp what you’re saying or want to highlight. Aside from font size, pay attention to the spacing between paragraphs, rows, and columns; you don’t want your text to appear jumbled.
6) Maintain consistency
The whole objective of your presentation is to drive home a point, not to make your presentation look cheesy. Keep your font sizes and the size and format of a box on one page consistent throughout your slides.
7) Limit bullet points
Keep your bullet points to a maximum of 5-6 per slide. In addition, the words per bullet point should also be limited to 5-6 words. It’s also wise to vary what you present in each slide, such as alternating between bullet points, graphics, and graph slides, in order to sustain the interest and focus of your audience.
8) Choose colors and contrast effectively .
Use bold colors and high contrast. A color may look completely different on your monitor than it will when projected on a large screen.
9) Tell a story
Everyone loves a good story , especially if it’s something that they can easily relate to. A good story begins with a problem and the more irritating the problem is for the audience, the more effective your presentation will be once you’ve provided a possible solution for them.
10) Be flexible
In order to develop a strong connection with your audience, you need to be flexible with your slides. During your speech, you may feel that some slides have become unnecessary; therefore you want to prepare your presentation in such a way that you can easily interchange or eliminate them. Conversely, prepare some optional slides in anticipation of questions or ideas you expect from your audience. This will give your presentation the “wow” factor.
When using PowerPoint to deliver a PowerFUL point, your goal isn’t to design the best presentation but the most effective one. This means creating a presentation that your audience can connect with through interest, participation, memory recall, and ideally, learning something useful.

Become a PowerPoint pro: 7 must-know tips and tricks
![what do you need to do a powerpoint presentation Anders Lundberg](https://www.pcworld.com/wp-content/uploads/2024/06/author_photo_Anders-Lundberg_1682663302-3.jpg?quality=50&strip=all&w=150)
Microsoft’s PowerPoint is extremely popular in schools, universities, and the corporate world, but it has never been as popular with home users. Not surprising since it’s all about creating presentations, something a private person doesn’t have to do very often.
So, if you suddenly find yourself needing to make a PowerPoint presentation and have no idea how to make it good, rest assured that you aren’t alone and there’s hope for you.
Microsoft Office 365 Home

These days, PowerPoint is more than just a basic slideshow—it can be used to create video presentations with voice-over narration, and it even has an AI-based helper called Designer that gives suggestions on how to make your presentation better.
Here are several smart tips and tricks you can use to improve your PowerPoint presentations and come off as a pro.
1. Customize Quick Access
Have you noticed that PowerPoint—and the other apps in Microsoft 365 for that matter—have a small, narrow toolbar at the very top of the application window? By default, you’ll find shortcut buttons for toggling Auto Save and basic actions like Save, Undo, Repeat, etc.
This nifty toolbar also comes with some app-specific actions that you may or may not use frequently. In PowerPoint, for example, there’s a shortcut to start slideshows from the beginning.
This toolbar is called Quick Access and you can actually customize what actions show up here. You can add frequently used actions while removing the ones you never use.
This can make it easier to find important functions that you would otherwise have to rummage around the ribbon to find.
![what do you need to do a powerpoint presentation Anpassa Snabbåtkomst](https://b2c-contenthub.com/wp-content/uploads/2024/06/snabbatkomst.jpg?quality=50&strip=all&w=1200)
To customize Quick Ass, select File > Options and then Quick Access Toolbar . The box on the right shows the actions currently on it and their order. The box on the left has all the available actions you can add.
Select an action you want in Quick Access and click on Add . To change the order, highlight the action you want to move and use the the arrow buttons on the right side of the window.
2. Use custom themes and templates
PowerPoint comes with a bunch of ready-made templates for presentations, which have also been themed.
A theme is a collection of settings for typography, colors, and effects that make it easy to maintain a consistent style across presentations. A template is a theme plus ready-made content that makes it easier to make a particular type of presentation again in the future.
![what do you need to do a powerpoint presentation Teman och mallar](https://b2c-contenthub.com/wp-content/uploads/2024/06/teman-2.jpg?quality=50&strip=all&w=1200)
For example, a company may have a theme that defines the colors and fonts employees should use in presentations, plus a number of templates for product presentations and quarterly reports.
A template may have a number of ready-made slides with images, charts, and everything else already laid out. When you create a new presentation from a template, you will find these individual page templates in New slide in either Start or Insert .
Creating your own custom theme
New themes can be added at any time as long as you have a presentation open—even if it’s a blank presentation.
Select the Design tab and click on the small down arrow with a dash over it on the right side of the Variants section. This shows the four categories of settings you can designate for a theme.
![what do you need to do a powerpoint presentation Temafärger](https://b2c-contenthub.com/wp-content/uploads/2024/06/andra-temafarger.jpg?quality=50&strip=all)
Select Colors > Customize Colors… and the Create new theme colors dialog box will open. A complete set of theme colors includes two pairs of text and background colors (dark/light, to be used either for dark text on a light background or vice versa), six spot colors used for graphic elements, and two colors for hyperlinks. Enter a name at the bottom and click Save when you are done.
If you also want to change the font, select Fonts > Customize Fonts… and you’ll be able to designate a Heading font and a Body font . I recommend a neutral, easy-to-read font for both.
Under Effects , you can choose the style of effects but there’s no way to customize or create a completely new effect. Under Background Styles , you can select Format Background… to tweak backgrounds.
![what do you need to do a powerpoint presentation Spara nytt tema](https://b2c-contenthub.com/wp-content/uploads/2024/06/spara-tema.jpg?quality=50&strip=all&w=1200)
When you’re done, go to the Themes section of the Design tab and click the down arrow with a line above it, then select Save Current Theme… to save your new theme. Give it a name and save and your new theme will appear among the available themes in the Design tab of all presentations.
Create your own custom templates
To create a new PowerPoint template, you can start from either a blank presentation or an existing template. Don’t add any content of your own yet. Instead, go to the View tab and click on Slide Master .
Start by changing the theme of your new template, under the Themes button. If you created your own theme as described above, it will normally be at the top of the list of available themes.
![what do you need to do a powerpoint presentation Teman i mallar](https://b2c-contenthub.com/wp-content/uploads/2024/06/bygg-egen-mall-2.jpg?quality=50&strip=all&w=1200)
PowerPoint uses the term layouts for slide templates. Click on the Insert Layout button to create a new slide template.
New layouts are automatically given a header and a footer, but you can remove them if you wish (either by selecting and deleting the elements manually or via checkboxes in the Slide Background tab).
To delete an existing layout, right-click on it in the list and select Delete Layout or select it in the list and press Backspace.
![what do you need to do a powerpoint presentation Bygg en mall](https://b2c-contenthub.com/wp-content/uploads/2024/06/bygga-egen-mall.jpg?quality=50&strip=all&w=1200)
To add new design elements to a layout, click the Insert Placeholder button in the ribbon and select the element type you want. You can then position and resize it, and change the placeholder text for it.
If you want to make per-layout changes, make sure to select that layout in the list before tweaking. For example, you can change a layout’s color theme or switch between the four background formats.
When you’re happy, save the template by selecting File > Save As and changing the format to Powerpoint Template (*.potx) . Templates can be stored either locally on your computer or in OneDrive—and since the theme is included, you can freely share the template with others.
![what do you need to do a powerpoint presentation Länk till Excel](https://b2c-contenthub.com/wp-content/uploads/2024/06/excel-lank-1.jpg?quality=50&strip=all&w=1200)
3. Link to Excel data
If you’re making a presentation with figures in tables or charts, you can make your life easier by linking PowerPoint to Excel.
To do this, start by copying a chart in Excel, then switching over to PowerPoint and navigating to the Home tab in the ribbon. Select Paste > Paste Special… , then choose the Paste Link option, select Microsoft Excel Chart Object and finish by clicking OK .
![what do you need to do a powerpoint presentation Länk till Excel](https://b2c-contenthub.com/wp-content/uploads/2024/06/excel-lank.jpg?quality=50&strip=all&w=1200)
A linked chart, table, or other Excel object can be instantly updated with up-to-date information as the data in the Excel document changes, all without having to copy and paste all over again.
To update the Excel object, right-click on it in PowerPoint and select Update Link . PowerPoint will retrieve the latest data to be reflected in the Excel object. This makes it easy to build a data-heavy report in PowerPoint that can be kept up-to-date with zero hassle.
4. Edit and apply effects to images
Basic slide editing in PowerPoint isn’t difficult, but there are a few tricks you can learn to make your slides both behave the way you want them to and do new things you may not have realized were possible.
For example, did you know that PowerPoint has built-in editing features that can change brightness, contrast, and sharpness of images?
![what do you need to do a powerpoint presentation Redigera bild](https://b2c-contenthub.com/wp-content/uploads/2024/06/bildredigering.jpg?quality=50&strip=all&w=1200)
Select an image in a slide and the Picture Format tab will open. Here you’ll find several adjustments you can make:
- Corrections alters brightness, contrast, and sharpness
- Color applies color filters
- Artistic Effects stylizes the image (but apart from the useful Blur effect, most of these feel pretty old-fashioned)
- Transparency makes the image more or less transparent
- Picture Styles can format the image in various ways (e.g., frame, shadow, rounded corners, perspective, etc.)
One thing you’ll notice when you add an image is that PowerPoint automatically generates alternative text—that is, descriptive text that gets read aloud for users with visual impairments. You can set this text to whatever you want, and it’s nice that Microsoft has thought about accessibility in this way.
5. Fill a shape with an image
PowerPoint makes it easy to fill a vector graphic shape with an image instead of just a solid color or gradient.
Create the shape as you want it, then make sure it’s selected before navigating to either the Home or Figure Format tabs in the ribbon. Select Shape Fill > Picture… , then select From a File to pick an image that’s saved on your computer.
![what do you need to do a powerpoint presentation Bild i form](https://b2c-contenthub.com/wp-content/uploads/2024/06/bild-i-form.jpg?quality=50&strip=all&w=1176)
If you aren’t satisfied with the positioning of the image in the shape, you can open the Picture Format tab and select Crop > Crop to resize and move the image in relation to the shape, allowing you to center it at a different point and even zoom in or out.
6. Incorporate audio and video
These days, PowerPoint isn’t just for presentations on screen or with a projector—it’s increasingly common to export finished presentations as videos to be sent to recipients, uploaded to the web, embedded in mobile apps, and more.
![what do you need to do a powerpoint presentation Spela in berättarröst och video](https://b2c-contenthub.com/wp-content/uploads/2024/06/spela-in-ljud.jpg?quality=50&strip=all&w=1200)
To make such presentations more vivid and interesting, you can record voice-over audio and/or video from a connected webcam to be placed on top of slides. You can find these features in the Record tab, where PowerPoint has also placed the Export to Video function.
The export function allows you to set the video resolution as well as how long each slide will display in the video.

7. Get AI help with Designer
Designer is the new name for Design Ideas, a feature that has been around since PowerPoint 2016 and uses machine learning to analyze the content of presentations and suggest improvements.
You can find it as a button in the Home and Design tabs, with Designer itself appearing in a column on the right.
![what do you need to do a powerpoint presentation Designer](https://b2c-contenthub.com/wp-content/uploads/2024/06/designer.jpg?quality=50&strip=all&w=1200)
This feature continuously analyzes your presentation and displays a list of suggested changes for the current slide. If you don’t like any of the suggestions, you can click on See More Design Ideas at the bottom and it will generate additional suggestions.
How attractive and useful are the suggestions? Well, it varies. When I tested it myself, they’ve rarely been results that I could use straight away—but the suggestions were helpful in that they gave me several great ideas that I hadn’t thought of myself.
For example, in the image above, you can see a suggestion for a color filter on a photo that looks like it could work really well with bright text and maybe a little blur.

Remember: Less is more.
A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.
- Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
- Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
- Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
- Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.
As an intern or early career professional, chances are that you’ll be tasked with making or giving a presentation in the near future. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others.

Are you looking for an efficient way of creating modern, multi-slide PowerPoint presentations? If so, then Microsoft Copilot is a game-changer!
In this article, we are going to explore how to use Copilot and AI design tool Microsoft Designer in PowerPoint to quickly create and edit presentations.
Set yourself up for Success: Copilot pre-requisites
In PowerPoint, the Copilot icon can be found on the Home ribbon.
![what do you need to do a powerpoint presentation A screenshot of where you can find Copilot in PowerPoint](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-01.webp&w=1920&q=75)
If the Copilot button is greyed out (inaccessible), we need to make sure that we have completed the following steps:
- Save the presentation to the OneDrive account associated with your Copilot licence ( File > Save As > OneDrive ).
- Toggle on autosave.
![what do you need to do a powerpoint presentation A screenshot of the autosave toggle](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-02.webp&w=1920&q=75)
Create a presentation with Copilot
In this scenario, we are a tech startup called Infotech. We are looking to create a sales pitch presentation to dazzle potential investors.
Let’s use Copilot to help us with this.
Create a blank presentation
- Open PowerPoint.
- From the File tab, click New and select Blank Presentation .
![what do you need to do a powerpoint presentation A screenshot of what it looks when you select "Create a new presentation" in PowerPoint](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-03.webp&w=1920&q=75)
- From the Home tab, click Copilot to open the Copilot Preview pane.
The Copilot pane
The Copilot pane is split into halves. The top half shows three prompt suggestions, which are a good place to start when using Copilot.
![what do you need to do a powerpoint presentation A screenshot of the Copilot pane](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-04.webp&w=1920&q=75)
The lower half is where we type our prompts and ask questions. We can also specify if we want to work within this presentation or if we want to work with our organization’s data.
- Select Using this presentation.
![what do you need to do a powerpoint presentation A screenshot within PowerPoint where you select "Using this presentation"](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-05.webp&w=1920&q=75)
Note: The prompt area has dictation capabilities which can be useful for people with accessibility or mobility issues. Click the microphone icon to speak instead of type.
- In the prompt box, type the following: “Create a sales pitch presentation for a tech startup called Infotech to impress potential investors and secure investments. The tone should be professional.”
![what do you need to do a powerpoint presentation A screenshot of the prompt box within PowerPoint](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-06.webp&w=1920&q=75)
- Click Send .
Copilot will generate a multi-slide presentation with sample, placeholder text. This text is AI-generated based on the prompt you provided.
![what do you need to do a powerpoint presentation A screenshot of Copilot's presentation options](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-07.webp&w=1920&q=75)
Redesign slides with Microsoft Designer
Often, the AI-generated images used in the presentation won’t be exactly what you want. You may want to use your own company images instead.
- Click on an image in the presentation.
- From the Picture Format tab, in the Adjust group, click Change Picture .
- Choose a picture source from the drop-down list.
![what do you need to do a powerpoint presentation A screenshot of the PowerPoint panel where you can change the picture](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-08.webp&w=1920&q=75)
In this example, I’m going to use a Stock Image .
- Click Insert .
![what do you need to do a powerpoint presentation A screenshot of PowerPoint's built-in stock photos](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-09.webp&w=1920&q=75)
We can change the look and feel of each slide in our presentation by using an existing AI tool, Microsoft Designer. The Designer pane will open each time you insert an image into a slide unless you have disabled the setting.
If you don’t see the Designer pane open automatically, click the Home tab and then Designer .
- Choose a new design to apply to the slide.
![what do you need to do a powerpoint presentation A screenshot of the new slide design](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-10.webp&w=1920&q=75)
- Repeat this process for each slide in the deck.
Designer helps us quickly redesign slides and achieve a consistent look.
![what do you need to do a powerpoint presentation A screenshot of all PowerPoint slides in the presentation](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-11.webp&w=1920&q=75)
Edit the presentation with Copilot
We can use Copilot to make edits and structural change to our presentation.
Reword text on a slide.
- Select the text placeholder.
- In the prompt area type “Reword the text in this placeholder” .
![what do you need to do a powerpoint presentation A screenshot of the Copilot prompt box in PowerPoint](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-12.webp&w=1920&q=75)
Change fonts
We can change the fonts currently in use in the presentation. Let’s see if Copilot can help with this.
- In the prompt area type “Change the heading font on all slides to Lato Black” .
Copilot has returned a message that it can’t access this functionality directly.
However, it returns some instructions on doing this manually. We can even jump straight to the relevant command on the ribbon by clicking Show Me.
![what do you need to do a powerpoint presentation A screenshot of the "Show me" button](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-14.webp&w=1920&q=75)
Delete and organize slides
We can use Copilot to help us delete slides and organize the presentation into sections.
Delete slides
- Click in the prompt area.
- Type the prompt, “Delete the last slide in the presentation” .
Organize the presentation
We can use Copilot to organize our presentation by adding sections.
- In the prompt area, type, “Organize this presentation” .
Copilot will add sections to the presentation and any other slides it feels might be necessary. We can see a summary of the changes made to the presentation in the Copilot pane.
![what do you need to do a powerpoint presentation A screenshot of Copilot's organizational suggestions](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-15.webp&w=1920&q=75)
Summarize the presentation
Copilot can summarize large presentations and produce a concise overview. This is useful if you are looking to send an email that gives people a summary of the key points in the presentation.
- Type the prompt, “Summarize this presentation” .
Copilot will return a summary of the deck with references. The reference number tells us which slide in the desk the summary item relates to.
![what do you need to do a powerpoint presentation A screenshot of Copilot's summary of the slide deck](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-16.webp&w=1920&q=75)
- Click Copy to copy the summary to the clipboard.
![what do you need to do a powerpoint presentation A screenshot of the button that lets you copy Copilot's summary](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-17.webp&w=1920&q=75)
We can now paste this information into an Outlook email, a Teams channel, a Word document etc.
Speaker notes
A cool feature of Copilot is that it automatically creates speaker notes and adds them to the presentation.
- Click the View tab.
- In the Show group, click Notes .
![what do you need to do a powerpoint presentation A screenshot of where Notes lives on the PowerPoint ribbon](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-18.webp&w=1920&q=75)
The notes will show at the bottom of the slide. Notes can be edited and will be displayed when using Presenter view.
![what do you need to do a powerpoint presentation A screenshot of the speaker notes at the bottom of the presentation](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-19.webp&w=1920&q=75)
Create a presentation from a file
When we create a presentation from scratch using Copilot, the text and images are generated by Copilot’s AI. This means the text and images can be somewhat generic and may not be tailored to our organization.
We can create more customised presentations by starting with an existing document.
- From File , click New and choose Blank presentation .
- On the Home tab, click Copilot .
- Choose the prompt, “Create a presentation from file…” .
![what do you need to do a powerpoint presentation A screenshot of where in Copilot you can select "Create a presentation from a file"](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-20.webp&w=1920&q=75)
In this example we are going to use an existing Word document. To use an existing file, the file needs to be saved in OneDrive.
- Click the Files tab.
- Select the file from the list.
![what do you need to do a powerpoint presentation A screenshot of the file selection process in PowerPoint](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-21.webp&w=1920&q=75)
Alternatively, we can paste the link to the OneDrive file directly into the prompt area.
- Open the file.
- Click Share and Copy Link.
- Click Copy .
![what do you need to do a powerpoint presentation A screenshot of the PowerPoint link you can copy](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-22.webp&w=1920&q=75)
- Go back to PowerPoint and paste the link into the prompt area.
![what do you need to do a powerpoint presentation A screenshot of what it looks like when you select a file](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-23.webp&w=1920&q=75)
Copilot will use the information and images in the file to build a presentation. It will automatically add notes to each slide and show you the outline the presentation will be based on.
We can then use Designer to redesign our slides or manually make changes.
![what do you need to do a powerpoint presentation A screenshot of the presentation Copilot and Designer made from the selected file](https://create.microsoft.com/_next/image?url=https%3A%2F%2Fdsgrcdnblobprod5u3.azureedge.net%2Fcmsassets%2FCopilotPowerpoint-24.webp&w=1920&q=75)

Why are presentation introductions important?
Presentation delivery impacts your audience’s reception and listening skills. A dull delivery can deter listeners and potentially leave them disinterested. Conversely, an effective delivery can engage your audience, promote active listening, and stimulate substantive discussion.
Presentation introductions also help to establish the outline of your presentation and give the audience an idea of what is to come. Introductions play a crucial role in captivating listeners from the onset and building momentum. They address who you are, why the audience should be invested, state the topic, establish credibility, preview the main points, and establish the cadence and tone of your presentation. Before you dive into the content of your presentation, ensure you establish an effective introduction to captivate your audience.

Be clear and concise
A succinct introduction makes it easier for your audience to follow. Keep your introduction simple, short, and include only necessary information. State your name and topic clearly so your audience knows you from the beginning. Avoid unnecessary details or lengthy anecdotes in your introduction to keep things focused and to the point.
Provide pertinent background information
In addition to your name and topic, highlight anything else that is relevant. You can include your education, work background, qualifications, and other information. Most importantly, ensure the information you disclose is directly relevant to yourself and presentation.
Create a hook or attention getter
Once you’ve established your name and topic, create an engaging hook or attention getter. Your introduction can be funny, clever, or it can captivate your audience. Have fun creating an introduction, but be sure to align your tone and delivery to your audience.
Outline your presentation
Let your audience know what your will be discussing. Establish a roadmap of your presentation: outline your contents, topics, and main points in an easily digestible format. This makes it easier for your audience to follow your presentation and prepare for its contents.
Practice and refine
Once you’ve created a solid introduction, rehearse your introduction until the delivery is organic and smooth. Confidence is key for an optimal delivery. Speak clearly, practice eye contact, and use storytelling to engage your audience.

How to create an effective PowerPoint presentation (2024 guide)
Jun 24, 2024
Posted by: Regine Fe Arat
Creating a compelling PowerPoint presentation is an essential skill in today's professional world.
Whether you're presenting to colleagues, clients or a large audience, a well-designed and engaging presentation can make a significant impact.
This guide will walk you through making a powerful, effective PowerPoint presentation. Let’s get straight into it with the most important part of all: Your audience.
Understanding your audience
Effective, tailored communication is the foundation of any successful presentation.
To connect with your audience and deliver your message effectively, you must understand:
- who they are,
- what they care about and
- what they hope to gain from your presentation.
Researching your target audience and adapting your content ensures you create a presentation that resonates with them on a deeper level. This connection means you’re more likely to keep them engaged and motivated throughout.
Let’s look at the key steps to understanding your audience and crafting a presentation that speaks directly to their needs and interests.
Analyzing your target audience
Before creating your presentation, it's crucial to understand your target audience. Consider factors such as their background, knowledge level, interests and expectations.
For example, if you're presenting to a technical audience, you may include more detailed information and jargon. If you’re presenting to children, you might want to add some fun slide transitions that you wouldn’t use in a corporate environment.
Tailoring the presentation to the audience
Once you understand your audience, tailor your presentation accordingly. Adjust the content, language and tone to resonate with your audience.
If you’re presenting to a client, can you align your presentation with their branding and messaging to create a sense of harmony? How can you create a compelling call to action if it's a business presentation ?
Use relevant examples, stories and case studies your audience can relate to, and always present the information in a way that’s easy to understand and engage with.
Planning and organizing content
A well-structured presentation is essential for effectively communicating your ideas and engaging your audience.
The key to success is carefully planning and organizing your content before creating your PowerPoint slides.
Take time to develop your key ideas, structure your presentation flow and create a clear outline to deliver a compelling and memorable presentation. Let’s look at how to do that.
Developing key ideas
Start by identifying the key ideas and messages you want to convey in your presentation. Focus on the most critical points and organize them logically.
Use mind maps, outlines or brainstorming techniques to organize your thoughts and ensure your presentation has a clear structure.
Structuring your presentation
Once you have your key ideas, craft your presentation to flow smoothly and engage your audience.
Begin with an attention-grabbing introduction, followed by the main content divided into clear sections or topics.
Use transitions to seamlessly move from one section to another, and end with a strong conclusion that reinforces your main points.
Designing visual elements
Your PowerPoint presentation’s visuals play a big role in capturing your audience's attention and reinforcing your key messages.
Carefully designing your slides can create an engaging and visually appealing presentation that effectively communicates your ideas.
Be mindful of your audience. They will appreciate it if you can include an element that represents them. It could be a color combination of a company’s logo or a symbol that represents a group.
Let’s explore the principles of effective slide design to ensure your visual elements enhance your presentation.
Choosing the right fonts
Select easy-to-read, visually appealing fonts. Stick to a maximum of two or three font styles throughout your presentation for consistency.
Use font sizes large enough for your audience to read, typically 24 points or larger for body text and 36 points or larger for titles.
Using engaging backgrounds and themes
Choose backgrounds and themes that complement your content and enhance the look of your presentation.
Skip the distracting backgrounds that take away from your message.
Incorporating high-quality images and videos
Incorporate visuals such as images, charts, graphs and videos to make a more memorable and engaging presentation.
Use high-quality images that are relevant to your topic and add visual interest to your slides. Avoid too many decorative elements that can clutter your slides.
Using PowerPoint effectively
PowerPoint is the perfect tool for creating dynamic, engaging presentations. However, to make the most of this software, it's essential to understand its features.
In this section, we'll explore everything from animations to best practices for supporting your key messages and keeping your audience engaged .
Utilizing slide layouts and templates
PowerPoint offers various slide layouts and templates to save time and ensure consistency. Choose a layout that suits your content and conveys your message effectively.
Customize the templates to fit your presentation style or branding, but avoid overloading your slides with too much text or information.
Adding animations and special effects
Use animations and special effects sparingly to emphasize key points or catch the audience’s attention. Too many animations can be distracting and take away from your content.
Stick to simple animations that enhance your message rather than overpowering it. Use animations consistently throughout your presentation to maintain a cohesive look and feel.
Applying color schemes and design themes
Choose a color scheme that aligns with your branding (or your client’s) and creates a visually appealing presentation. Contrasting colors for text and backgrounds ensure readability.
Applying design themes consistently throughout your presentation creates a polished and professional look.
Proper formatting and citations
Ensure that your presentation follows proper formatting guidelines and includes accurate citations for any external sources.
Bullet points or numbered lists break down information into easily digestible chunks, making it easier to keep your audience interested.
Including slide numbers and a clear agenda or table of contents helps your audience navigate your presentation.
Always proofread your slides for any typos before finalizing your presentation.
Delivering an engaging presentation
Delivering an engaging presentation is more than just creating great slides; it also requires strong communication skills and the ability to connect with your audience.
In this section, we'll focus on presentation delivery, providing you with techniques and strategies to captivate your audience and effectively convey your message.
Enhancing presentation skills
Work on your presentation skills to become a confident and compelling speaker. Regular practice is one of the best ways to become a great speaker.
Go beyond boring slides and speeches and use storytelling techniques to make your content more relatable and memorable.
Practice active listening and reply to your audience's reactions and questions. If they seem bored, jazz it up a little with humor.
Impromptu speaking is also ideal for engaging your audience. While it can be scary to move away from your script and slides, it can be very effective.
Using effective body language and eye contact
Good body language is vital in engaging your audience. Maintain a confident posture, use gestures to highlight key points and make eye contact with your audience.
Avoid reading from your slides — use them as visual aids to support your message.
Consider what side of the slides you want to stand on. Generally speaking, you want to be to the audience’s left of the screen. You want the audience to listen to you before looking at the slides.
Using voice and tone to engage the audience
Vary your voice and tone to keep your audience interested and engaged.
Use pauses for emphasis, adjust your speaking speed and modulate your volume to create a dynamic presentation. If you have an impactful slide, let the audience sit with it for a moment.
It’s also important to speak clearly. Properly pronouncing words and not mumbling ensures your audience understands your message.
Tips for a successful presentation
Creating and delivering a successful PowerPoint presentation requires careful planning and practice.
In this section, we'll provide you with valuable tips and best practices for elevating your presentation skills, from rehearsing to gathering feedback.
Preparing and practicing beforehand
Preparation and practice are key to delivering a successful presentation.
Work backward when planning your presentation: What date is the presentation? Plan weekly milestones to ensure you don’t feel overwhelmed with everything you need to do.
Give yourself time to research your topic, gather relevant information and organize your content.
Rehearse your presentation multiple times to grasp the flow and timing. Practice in front of a mirror, colleagues or friends for feedback to make necessary improvements.
Tips for dealing with technical issues
Technical issues can disrupt your presentation and cause unnecessary stress. Be prepared with backup copies of your presentation on different devices or online platforms.
Familiarize yourself with the presentation equipment and venue beforehand to minimize potential technical problems.
Have a plan in case of unexpected issues. Printing handouts and preparing to deliver your presentation without slides are great ways to get ahead of issues.
Engaging the audience with Q&A sessions
If you can, allocate time for a Q&A session at the end of your presentation to engage with your audience and address their questions.
Encourage participation by asking open-ended questions and actively listening to their responses.
Be prepared to handle challenging questions with grace and professionalism. Use the opportunity to clarify any unclear points or provide additional insights.
The last card
Creating a good PowerPoint presentation requires effective design, careful planning and engaging delivery.
Understanding your audience, organizing your content, effectively using visuals and enhancing your presentation skills can captivate your audience and leave a lasting impact.

Table of Contents
Every presentation is different, reflecting your unique business and the information you share. But, some common presentation types are used across various fields and teams. Before diving into specific slides or organization, consider the type that best suits your audience.
Here are some questions to get you started: Is your goal to inform or entertain? Who will you be speaking to: colleagues, investors, or potential customers? By thinking about these questions, you can choose the presentation format that best supports your message.
SlidesAI can help you simplify this process even further by providing descriptions of different presentation types.
Why Do We Need Different Types of Presentations?
Presentations are a great way to share ideas and information in different situations, depending on who you’re talking to. What you want to achieve with your presentation can change who it’s for and how you present it. For instance, if you’re trying to sell something, you might want a presentation that convinces people and is visually interesting. On the other hand, teaching something might require a more step-by-step approach with lots of details.
The best type of presentation depends on a few things, like what you’re trying to accomplish, the audience’s interests, and what you’re good at as a presenter. By choosing the right kind of presentation, you can get your message across clearly and achieve what you set out to do.
![what do you need to do a powerpoint presentation team members discussing on annual stats](https://cdn.slidesai.io/cdn-cgi/image/width=2048/https://cms-media.slidesai.io/wp-content/uploads/2024/06/24123346/business-colleagues-presentation.jpg)
What are Different Types of Presentations?
1. educational presentations.
Educational presentations are a great way to introduce a new topic to people who aren’t familiar with it. They can be especially helpful when you want to explain something complex, like a process, or share important facts in a clear way. Whether you’re a teacher in a classroom or a trainer at a company, educational presentations can be a powerful tool for learning.
These presentations often use visuals like pictures or diagrams to make things easier to understand. They might also include step-by-step instructions to guide the audience through a process. Companies use them a lot to teach new employees about how things work at the company. The length of the presentation can be short or long, depending on what you’re trying to teach.
![what do you need to do a powerpoint presentation class presentation](https://cdn.slidesai.io/cdn-cgi/image/width=2048/https://cms-media.slidesai.io/wp-content/uploads/2024/06/24125939/class-presentations.jpg)
2. Instructional Presentations
Instructional presentations help people learn more about a topic and sometimes even guide them on what to do next. They’re similar to presentations used for education, but they might include some extra details or specific steps for the audience to follow.
Think of webinars or training sessions – these are examples of instructional presentations. They give people new information and help them develop new skills. For instance, if you’re in HR, you might create one to explain how employees can sign up for the new insurance plan.

3. Persuasive Presentations
Many presentations aim to convince the audience of something, like a new idea, product, or way of doing things. They often address a specific issue and use facts and figures to explain why their solution is the best. Business proposals and sales talks are common examples.
For instance, a new company seeking funding might create a presentation to convince investors to support their idea. This presentation could explain a problem they see in the market, how their company solves it, and how they plan to make money. A similar presentation could also be used to secure additional funding for growth and future plans.
4. Motivational Presentation
Motivational presentations aim to lift up the audience’s spirits and help them deal with challenges. They spark interest in a subject and share a particular perspective or message. These presentations can be useful when you want to inspire a group of people. Sometimes, they might even use a personal story to connect with the topic.
Leaders in organizations often use motivational presentations to boost employee morale and encourage them to work harder. Recruiters might also use them to showcase employee success stories and get potential hires excited about joining the company.
![what do you need to do a powerpoint presentation stage presentation](https://cdn.slidesai.io/cdn-cgi/image/width=2048/https://cms-media.slidesai.io/wp-content/uploads/2024/06/24125921/stage-presentation-type.jpg)
5. Problem-solution Presentation
Have you ever needed to present an idea to help people make a decision? Problem-solution presentations are a great way to do that. They focus on explaining a challenge or issue and then offering potential solutions for the audience to consider. While similar to persuasive presentations, the main goal here is to discuss the problem clearly and share research so decision-makers can weigh the options and choose the best path forward. These presentations can include details about the problem and a few possible solutions. They’re a handy tool for many business meetings and discussions within organizations.
6. Project Presentations
Progress presentations are a way to share how a project, campaign, or initiative is moving along. They’re similar to progress reports, but in a presentation format.
These presentations typically cover a few key points:
- Important measurements : This could include numbers or data that show how the project is doing.
- Current status : An update on where things stand at the moment.
- Potential roadblocks : Any challenges that might come up down the line.
- Tasks still to do : What needs to be completed next.
Project teams often use progress presentations to share updates on their work. This allows clients, colleagues, or other interested parties to stay informed and ask questions if needed.
7. Storytelling Presentations
Presentations that use a story format can be a great way to connect with your audience and share information in a more engaging way. This approach can be useful in many settings, from classrooms to company meetings. It can be especially helpful when you want to grab the attention of a specific group of people and make them feel involved.
Storytelling presentations might include personal stories or examples that relate directly to the main topic. For instance, if you’re in marketing, you could use a story format to present a case study to your colleagues about a competitor’s product and its success.

8. Visual Presentations
Presentations come in many forms, but some rely mostly on pictures, charts, and other visuals instead of text. These are called visual presentations. They’re a good choice when you have limited time or your topic is easy to understand with pictures.
The goal of a visual presentation is to help people grasp the information quickly and keep them engaged. Businesses often use them to show what their products or services can do. For instance, a company selling shampoo might use before-and-after pictures to show the results.
Tips for Delivering an Effective Presentation
- Taking Notes: To help remember what to say during your presentation, jot down some brief notes. Keep them simple and focused on keywords or short directions. This will allow you to connect with your audience and avoid missing any important points.
- Knowing Your Audience: A little research about your audience before your presentation goes a long way. Understanding who they are and what they might be interested in helps you tailor your presentation to better address their needs and expectations.
- Planning for Interaction: Think about how much audience interaction you want based on the length, purpose, and type of information in your presentation. This may involve allocating more time for questions and discussion.
- Know yourself: Think about how comfortable you feel speaking in front of a group, especially if you don’t know everyone. Consider your strengths and weaknesses as a presenter and how you can play to your strengths and improve on your weaknesses.
- Practice Makes Perfect: Practicing your presentation beforehand, regardless of your experience level, can boost your confidence and help you identify areas for improvement. Go through each slide while talking to solidify the flow. Recording yourself can also be helpful.
- Be Prepared: Technical problems can happen, so having a plan can help you avoid delays. If it’s an in-person presentation, arriving early allows you to check the venue and ensure the equipment works properly.
