Insert PDF file content into a PowerPoint presentation

Content from a PDF file might be what you need for your presentation, but it’s not as easy to get content out of a PDF file as it is from many other document types. There are two options, which depend on how you want to use the PDF content:

To show content from a PDF on a slide     Take a picture of the part of a PDF that you want, and paste it on your slide.

To keep a PDF file as a support document for your presentation     Insert the entire PDF into the presentation as an object that you can open and view during your presentation.

Note:  Inserting PDF content is not possible when editing a presentation in PowerPoint for the web. You need a newer version of PowerPoint to follow these steps.

Insert PDF file content as a picture

Open the PDF that you want to insert a picture of, and then switch to PowerPoint.

Do not minimize your PDF window, and make sure it's the last window you have open before moving to the next step.

Make sure everything that you want to capture as a picture is visible in your PDF window. You may need to decrease the zoom level in your PDF to see everything you want to capture.

In PowerPoint, select the slide that you want to add the content to, and then, go to  Insert  >  Screenshot .

Note:  Depending on your window size, the Screenshot button may appear different.

Your PDF file should be the first thumbnail image in the Available Windows list.

Below the thumbnail images, select Screen Clipping . PowerPoint minimizes and shows the window with the PDF file.

When you stop dragging, the selected area appears on the PowerPoint slide as a picture. You can move it, resize it, crop it, and format it as you like by selecting it and using the Picture Tools Format tab.

Insert a PDF file as an object

Make sure the PDF file that you want to insert is not currently open on your computer.

In PowerPoint, select the slide that you want to add the file to, and then select Insert > Object .

In the Insert Object box, select Create from file , and then enter the PDF file location; or select  Browse , find the PDF file, and then select OK .

This makes the PDF file part of the presentation file. The quality of the PDF file is reduced with this method, but you can open the full PDF file by double-clicking the image when viewing or editing in Normal view.

Note:  If you receive an error when trying to insert your PDF file as an object, make sure you do not have the PDF file open.

Open the PDF from a Slide Show

To open the inserted PDF file during a Slide Show, attach an action to it.

In Normal view, on the slide with the PDF file, select the PDF file’s icon or image, and then on the Insert > Links > Action .

In the Action Settings box, select the Mouse Click tab if you want to open the PDF with a click, or the Mouse Over tab if you want it to open when you move the pointer over the PDF file icon.

Select Object action , and select Open in the list.

After you’re done creating a presentation, you might want to open it in other computers, but perhaps your presentation is not compatible with the software included in them. For this reason, having a PDF version is useful. In this tutorial, you’ll learn how to export your presentation as a PDF file in a few steps. 

Exporting without Speaker Notes, One Slide per Page

Exporting with speaker notes or with multiple slides per page.

• Click File → Save As. Select the PDF option from the drop-down menu. Then enter a name for the file and click Save.

If you have Adobe Acrobat PDF, there are two more options available for you:

• Click File → Save as Adobe PDF.
• On the Home tab, click Create and Share Adobe PDF.
• Click File → Save As. Choose the PDF option from the drop-down menu.
• Now you can optimize the size of the document for online publication, and add data such as tags, the author or a short title. Depending on your PowerPoint version, you may need to click More Options… to access these settings.
• To choose what will appear in the PDF document, click Options…

• Now you can choose the slides range, the publish options, the non-printing information and other settings. To change the number of slides per page or the orientation, choose Notes pages from the Publish what drop-down menu.

If you’re using a Mac and you can’t find these options, follow these steps:

• Click File → Print… or press Cmd + P.
• Now you can choose the slides range, the format and the orientation, the number of pages, whether you want to print it in color or in black & white, and whether to include a frame, headers, footers and speaker notes. If you decide to include speaker notes, you’ll only be able to choose one slide per page.
• To save, click the PDF button in the lower-right corner and select Save as PDF.

1. Open the PowerPoint to be converted, then click "File."

2. Select "Export" from the dropdown menu.

3. Then choose the file name, destination, and change the file format to PDF. Then click "Export."

On a Mac, you can also choose to "Save As…" and then set the File Format as a PDF to get the same result.

If you have a PDF file that you would like to convert to a PowerPoint presentation, you can download a program to quickly do the work for you, or you can use one of the many available online converters.

Adobe Acrobat has a couple of different software options for handling PDF files to choose from--- Acrobat Standard DC and Acrobat Pro DC. The standard version is for Windows only, while the pro version works with both Windows and Mac.

These run for $12.99 and $14.99 per month, respectively, so unless you’re already using one of these, it’s probably not worth the money just to convert a PDF file to PowerPoint. However, Adobe Acrobat is the best program on the market for anything dealing with PDF files, so we’d recommend subscribing to one if you frequently do any sort of work with PDF files.

Best yet, Acrobat Pro DC has a free trial , so if you’re unfamiliar with Adobe Acrobat, it costs nothing to give it a try.

In this example, we’ll be using Adobe Acrobat Pro DC. Open the PDF file you’d like to convert. In the right-hand pane of the window, select “Export PDF”.

Now, you’ll be faced with a list of different export options. Choose “Microsoft PowerPoint” from the list and select “Export”.

In Windows Explorer (or Finder if you’re using Mac), select a location to save the file and select “Save”.

Open the newly saved PowerPoint and you’ll see the content of the PDF file (with each slide representing one page) in the preview pane.

There's certainly no shortage of online PDF converters---some free, some paid. We recommend Smallpdf because it’s quick, free, and keeps the format of the content pretty consistent. We’ll be using this online tool for this example, but the process isn’t too different between each converter, so feel free to play around and find one you like best.

How To Present a PDF Like a PowerPoint

Learn to present a PDF in full-screen mode like you would a PPT file or convert it to PPT for easy presenting.

You can present a PDF as if it were a PowerPoint presentation in two ways. You can either open a PDF and view the content in full screen or save the file as a PowerPoint. If you choose the latter, you can then open the file in Microsoft PowerPoint and present it as you usually would. Check out the full instructions for both methods below.

How To Present a PDF Like a PowerPoint Presentation

Open your pdf document with your pdf reader., click “view” and choose “enter full screen” or “slideshow.”, present as you usually would and navigate using the arrow keys., press the “esc” (escape) key to exit the slideshow when finished..

There are a few limitations to presenting PDF files like this: some media file types, such as animated GIF images, won’t work and will remain static in your presentation. You also can’t add speaker notes to PDF presentations. While we believe PDF is quite versatile, in this case, it might be better to convert the PDF to PPT format using our free converter.

How To Change a PDF to PPT To Present

• Go to the  PDF to PPT  converter.
• Drag and drop your PDF.

Create a PDF from PowerPoint with animations

I have PowerPoint slides with visual effects on them, so each line appears after clicking on the screen in the presentation. When I convert them to PDF the slides are mostly empty and only some titles are in them and the lines that had the visual effect don't appear.

They come out looking like this:

How can I convert them to PDF properly, without having to go through all of the slides (there are like 200 of them) and removing each effect?

You may want to have a look at the answer to this question instead of following the accepted one above:

Converting a PPT to a PDF while maintaining the animation steps is something I too have been looking into for a long while, without finding a satisfactory solution. That is why I have decided to write an add-in on my own which does exactly this: splits the slides at each animation step (being it mouse-triggered or not depends on the user's choice) while modifying (adding, deleting, altering) the shapes in the "fragmented slide" according to the animation effects. If you are interested, I have packaged the add-in in an easy-to-use installer, which adds a toolbar (or tab, if you are using Office 2007) to your PowerPoint. In case you are not satisfied, you can easily remove the add-in using the standard Control Panel "Add/Remove Applications" tool. You can get PPspliT here . Examples of usage are also provided.

PPspliT, mentioned above, appears to be only for Windows.

If you're on OS X, a (not always perfect) option I've used is to open the PPT/PPTX file in Keynote. From the menu bar, select "File > Export to > PDF..." . Then check the checkbox "Print each stage of builds", and click "Next...". Caveat: As it's not its native format, Keynote does not always read PowerPoint files exactly right. Check that any complex slides (not just animations, but also ones containing things like math formulae requiring precise formatting) have been reproduced faithfully. If not, adjust accordingly in Keynote to correct any aberration.

I haven't personally tested the following, but for a cross-OS solution: For LibreOffice (which also has PPT/PPTX import), there is this extension and this one . Note, however, that the latter rasterizes everything to bitmaps, which may be very undesirable, depending on your purpose.

PDF files don't handle any kind of animation, and you can show only one representation of a PowerPoint slide per PDF page. Keep in mind that PDFs are portable data format, which means they don't follow the rules of any particular software. In essence, a PDF is a screen representation of a paper print-out. You would not expect animation on a paper print-out, so don't expect them in a PDF either.

If you want your audience to see the animations, you will need to provide them with the PowerPoint deck or save the PPT as a video.

If you need a PDF version of a highly animated PowerPoint deck, you will need to create a copy of the PPT and let each slide display only (and all) the elements that you want to show on the PDF. Then save as PDF (or print to your PDF printer).

As an alternative, the action described by teylyn in the last paragraph:

create a copy of the PPT and let each slide display only (and all) the elements that you want to show on the PDF

can be automated by using the PPspliT PowerPoint add-in available at http://www.dia.uniroma3.it/~rimondin/downloads.php . If I have understood correctly, the add-in should do exactly what you want to achieve: render animation effects in separate slides, that can then be converted in PDF.

This article explains how to add a PDF to your PowerPoint slideshow to create a richer presentation experience. Insert a PDF as an Object on a PowerPoint Slide

When you want to view the entire PDF file during your PowerPoint presentation, insert the PDF as an object. During your presentation, select the PDF object on the slide and the PDF file opens in a PDF viewer.

Open the PowerPoint slide where you want to insert the PDF.

Make sure the PDF file is not open on your computer.

Select Insert > Object to open the Insert Object dialog box.

Select Create from File , then select Browse .

Open the folder that contains the PDF file you want, choose the PDF file, then select OK .

Select OK in the Insert Object dialog box.

An icon for the PDF displays on the slide and the PDF file becomes part of the presentation file. To open the PDF file, double-click the image while in Normal view.

Open the PDF During a Slideshow

To open the PDF file during a presentation, attach an action to the image.

Make sure PowerPoint is in Normal view. Display the slide with the PDF object.

Select the image or icon for the PDF file.

Select Insert > Action .

Select the  Mouse Click  tab if you want to open the PDF with a click. Select the  Mouse Over  tab if you want it to open when you point to the PDF.

Select  Object Action , then select  Open from the drop-down list. In PowerPoint 2019, select Activate Contents .

Select OK .

Insert a PDF into PowerPoint as a Picture

If you only want to view the content of one page of a PDF file, add it to a PowerPoint slide as an image.

Open the PDF file and display the page you want to insert into PowerPoint.

This wikiHow teaches you how to add PDFs to a PowerPoint either as a snipped image or an object.

Using Your PDF as an Image

• You can also go to the online version of PowerPoint at https://office.live.com/start/PowerPoint.aspx?omkt=en-GB .

• Within the online version, you are immediately, upon login, presented with options to load a previous presentation or create a new one.
• With the software, you’ll need to go to “File” and “New”.

• Your selection shows up in the PowerPoint presentation, and you can edit this from the “Picture Tools Format” tab in the ribbon.

Inserting Your PDF as an Object

• You will see and be able to interact with the PDF as an object. That means you can scroll through the pages of the PDF while in the PowerPoint presentation.
• Make sure you do not have the PDF open on your computer before continuing.

• With the online version, you are immediately, upon login, presented with options to load a previous presentation or create a new one.
• Within the software, you’ll need to go to “File” and “New”.

• You can either use the browse feature to look for your PDF or you can type in the file name along with its location.
• You can choose to use the file as a thumbnail instead of the actual PDF. In this case, you will not see any of the content from the PDF, but there will be a thumbnail that links to it instead. You’ll also need to set an action to this thumbnail since it doesn’t do anything when it’s added into the slide. You’ll find options to create actions by right-clicking the thumbnail, clicking “Presentation Object” and “Open”.

• If the quality of the PDF preview is too low, you can double-click the PDF to open it in full.
