Job Title: Customer Experience Assistant Manager Reports to: Customer Experience Manager Supervises: Customer Experience Specialists Compensation: $1,058 – $1,135 weekly, 10% increase for Spanish Speakers

Dates of Employment: April 15th, 2024 – September 13th, 2024 Housing Available: Based on Availability

Position Overview The Customer Experience Assistant Manager is a full-time seasonal position. This position, with the support of the customer experience team, is responsible for the overall customer experience with Keystone Science School. Keystone Science School (KSS) runs on-campus and camping-based Outdoor Education field trips for schools from August to May as well as overnight educational programs. For Summer, KSS runs a full suite of summer camp and adventure programming.

This position primarily focuses on the interactions between Keystone Science School and those who attend programming but could be occasionally called on to support programs as a substitute.

The job duties of this position are performed personally, in cooperation with your supervisor, and/or in coordination with other staff. Additional work functions and duties may be assigned.

Communication

  • Communicate with schools and families through phone, in-person, and written mediums, which includes answering programmatic and logistics questions;
  • Ongoing correspondence to ensure that all items have been submitted prior to attending
  • Streamline communications to families to ensure clarity of communication
  • Assist in the execution of strategic, customer-centric communications through email, phone, and mail.
  • Distribute and collect survey data to improve programming
  • Act as point of contact for customer service escalations and troubleshooting

Administrative

  • Draft and send agreements and invoicing for education programs;
  • Register participants;
  • Work with accounts receivable for fee-for-service programs, which includes reporting and collections of any current or late balances;
  • Collect participant paperwork and disseminate necessary information to various departments within KSS;
  • Facilitate program Check-in and Check-Out;
  • Manage customer-facing systems such as lost & found, Attendance, and drafting administrative policies (cancellation, refund, etc);
  • Oversee the purchasing, inventory, and shipping of online orders for the KSS School Store;
  • Provide basic office support with the team of Customer Experience Specialists, which includes responsibilities such as mail collection and distribution and office/programmatic supply ordering.
  • Develop and Streamline systems with the Customer and staff as a focus.

Outreach & Sales

  • Facilitate and attend various marketing and outreach events such as First Fridays, Farmers Markets, and other events;
  • Design outreach for programs as well as organizational efforts;
  • Creating relationships with organizations to help assist within our community;
  • Assist with brainstorming avenues for outreach and new revenue streams;

Supervision

  • Effectively supervise and manage direct reports and provide, by example and leadership, motivation and direction to employees of the organization.
  • Carry out supervisory responsibilities in accordance with the organization’s policies and applicable state and federal employment laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; recognizing and rewarding employees; corrective disciplinary procedures and practices under the direction of the HR Director and CEO, addressing complaints and resolving problems.
  • Conduct annual employee performance reviews in a timely and effective manner. Evaluate the performance of employees for compliance with established policies and objectives of the organization and contributions in attaining objectives.
  • Set the tone of the department to ensure morale and teamwork, and that the positive employment culture of the organization is maintained.
  • Regularly schedule leadership/management, department, and staff 1:1 meetings to provide leadership, development, and a forum for communication to ensure coordination and collaboration in meeting organization and individual goals.
