We all hope to find ways to stand out during our job search, and how best to convey “ I’m perfect for this job !” to prospective employers. We also know that taking the time to write something meaningful can result in hours of procrastination and getting lost down internet rabbit holes.
So how can you make the best use of your precious time? A little preparation and intention can go a long way. Here are ten tips for how to write a cover letter that will get you noticed.
Before you start writing
Our first steps will help you organize your thoughts before you put them on paper.
1. Read the job description thoroughly
What is the purpose of the position? What are the main responsibilities of the role and key experiences they’re looking for? Be sure to note words that appear multiple times.
2. Summarize the job responsibilities
Pretend you’re chatting with a good friend and telling them about the job you just saw on Idealist . Write down three bullet points or sentences that would sum up the job responsibilities if you were describing them to your friend. Try to communicate the job description as plainly as you can.
3. Summarize the required experiences and skills
Write down the top three skills or past experiences you think would be important to be successful in this job. What skills, experiences, or talents are they looking for based on what’s written in the description? Which stand out as the most important?
4. Connect all of the above to your career history
Reflect on your answers to the above questions. Think about the examples from your career that tie most directly to those responsibilities, skills, and experiences. Can you list three to five examples of times that you’ve performed those duties or responsibilities in your career?
Now that you have completed the first four steps in the process, you should have:
- Clarity on the most important elements of the job so that you can tailor your letter more effectively.
- Collateral for highlighting your most important skills and experiences in your cover letter.
Armed with your responses to these questions, you’re now ready to start writing.
How to write a cover letter
5. set up your simple formatting.
Think about which member of the team this position would report to, and address it to them. Not sure who the hiring manager might be? Check out the organization's website to see if you can figure out the organizational structure. If that’s not available, try using LinkedIn. Even if the person you address your materials to isn’t the person reading it, they’ll know you took the time to familiarize yourself with the team.
If you still can’t find the right person, you can always address it “To the Programs Team” or “Dear [ORGANIZATION NAME] Team.”
As for formatting, the top of your cover letter should look like this:

6. Clearly express your intentions
The opening of your cover letter is where you want to whet their appetite.
State the job you’re applying for and convey that you have top-level experience that translates to the position and organization. You also want to communicate your excitement about the organization:
I'm writing to express interest in the [JOB TITLE] position with [ORGANIZATION]. Given my previous experience in/with [EXAMPLES: managing operations for nonprofits, analyzing complex data and systems for improvement, or communicating vision and purpose for educational institutions], I believe I would be a great addition to your team. [A SENTENCE ABOUT WHY YOU CARE ABOUT WHAT THE ORGANIZATION DOES].
7. Highlight examples of past work
And now for the main course!
Go back to Step 4 above. This is where you want to showcase the examples from your career that directly tie to the responsibilities, experiences, and skills they are looking for. This will likely take four to six short sentences. The goal is to hit the top three things they’re looking for so they want to read your resume and learn more about you. You don’t want to tell them everything. There’s no exact prescription for this part of the cover letter, and there are many ways to convey you’d be a good fit .
Your sentences might start like this:
From reading the job description, it seems you are looking for someone who can [NAME THE THREE KEY RESPONSIBILITIES]. I have previous experience in all of these areas.
Currently, I serve as the [YOUR CURRENT JOB TITLE] for [CURRENT ORGANIZATION NAME] where I … I also have experience doing [EXPERIENCE] at [ORGANIZATION]. Additionally, from my time at [ORGANIZATION] I was able to …
8. Tell them why you want the job
The sweet dessert! The last paragraph of your cover letter to really show you’re going to care about this work day after day. It should answer the following questions:
- Why do you want this job?
- What do you think you can uniquely bring?
- What about the organization inspires you?
Just saying “ the mission so clearly matches my own” isn’t especially compelling. Tell them why it's a good fit! You might have one sentence about why this role is truly exciting to you, why this role makes sense for you now, or why you care about their mission. This is particularly critical if you’re applying for an organization that is fairly different from the one that you're currently working for.
I am really excited about the opportunity to utilize my [X and Y] skills to contribute to [ORGANIZATION OR TEAM’S SPECIFIC WORK.] [ONE TO TWO SENTENCES ON WHY YOU ARE EXCITED ABOUT THIS ROLE AND THE WORK.] Thank you for your consideration.
9. Proofread it all, please!
This is a critical step you must make sure not to skip!
- Take a few hours away from your computer, and then come back with a fresh set of eyes.
- Read it out loud so you can make sure it’s easy to read by someone other than you.
- Ask a friend to look it over for typos you might have missed.
- Keep an eye out for common grammar and punctuation mistakes .
- Also look out for cover letter cliches .
10. Send your application before the deadline
You’re almost done!
Remember, the goal is to make it as easy as possible for the people receiving your application to open your materials and read them. Because there are so many versions of Word, it could mean that sending your materials in Word files could result in some less-than-ideal formatting. By making your document a PDF, you ensure that what you are seeing on your screen is exactly what a hiring manager will see when they open it.
Copy the text of your letter into the body of the email you’re sending and attach your PDF (along with your resume) so that the reader is able to see your beautifully formatted cover letter without even having to open the PDF.

Cover letter
The cover letter should outline your reasons for applying and demonstrate broadly how you meet the requirements of the position.
It is normally the first thing the selection panel will read. It is important that the cover letter looks good, sounds positive and enthusiastic, and attracts the reader's attention. It is also one way of demonstrating your written communication skills.
If possible, keep your covering letter to a single page. Too much information, especially if it is not relevant to the job, may detract from the letter.
Your statement addressing the selection criteria is the place to give more detailed information about yourself and your ability to do the job.
What to include
It is recommended that you include the following information in your covering letter:
- Your address.
- Date of your application.
- Title and reference number of the position for which you're applying.
- Indication of what is included in your application; for example, resume, statement addressing the selection criteria (optional), written references (optional), and the like.
- Statement of why you are interested in the position and what particularly attracts you about the job, the work area.
- One or more paragraphs outlining broadly how you meet the requirements of the position and selection criteria. This may include highlighting the most relevant skills or abilities you can bring to the position, your familiarity with the workplace/job requirements, any relevant personal qualities or attributes, and the benefits of employing you.
- Optional - examples of how you meet one or more of the selection criteria.
- How and when you can be contacted if required to attend an interview.

Pioneering stuntwoman, 70, receives job letter 48 years after applying: ‘it means so much to me’.

A former stuntwoman in the UK has received a returned job application letter 48 years after she sent it — though it didn’t stop her from pursuing a remarkable career that took her all over the world.
“I always wondered why I never heard back about the job. Now I know why,” Tizi Hodson, 70, told the BBC .
“How they found me when I’ve moved house 50-odd times, and even moved countries four or five times, is a mystery,” she added. “It means so much to me to get it back all this time later.”
The daredevil from Lincolnshire, England was told her handwritten cover letter, sent in January of 1976, had been held up at the post office all this time, reportedly found stuck behind a drawer.
“Every day I looked for my post but there was nothing there and I was so disappointed because I really, really, wanted to be a stunt rider on a motorcycle.”
The ill-fated job application as a stunt motorcyclist was returned with an unsigned, handwritten note back to Hodson, which read, “Late delivery by Staines Post Office. Found behind a draw [sic]. Only about 50 years late.”
Nevertheless, Hodson went on to live, work and pursue other remarkable interests in Africa, as a snake handler, trick pilot and horse whisperer, per the BBC.
“I remember very clearly sitting in my flat in London typing the letter,” said Hodson, who was “very careful” not to reveal her gender identity to employers of the time. “I thought I would have had no chance of even getting an interview.”
“I even stupidly told them I didn’t mind how many bones I might break as I was used to it,” she added.
Nevertheless, her promise to endure injury for the sake of the job was apt.
“I’ve had such a wonderful time in life, even if I have broken a few bones.”

US hospitals prep for supply chain constraints in wake of Baxter International plant closure
U.S. hospitals are taking steps to conserve their supplies of intravenous (IV) fluids after Hurricane Helene took down a major manufacturing plant in North Carolina and the supplier said it will reduce product shipments as part of its mitigation strategy.
Baxter International—the U.S.’ top supplier of hospital IV fluids and peritoneal dialysis solutions—said a week ago that it would temporarily shut down production at its North Cove, North Carolina-based facility as a result of the fallout of Hurricane Helene. The company said Thursday that the plant was "significantly impacted by the rain and storm surge from Hurricane Helene."
While progress is already being made after the storm, which resulted in water “permeating” Baxter’s plant, the company cautioned Thursday that it does not yet have a timeline for when operations at the North Cove site will be back online, Fierce Pharma reported .
In addition to the flooding at the site, which is the largest in Baxter’s global manufacturing network, bridges leading to the site were damaged in the hurricane, hampering transportation of remediation equipment going into the facility and some finished products unaffected by the storm that Baxter is seeking to get out to customers and patients, according to Fierce Pharma.
The plant in question primarily manufactures intravenous (IV) and peritoneal dialysis (PD) solutions and is the largest producer of those critical drugs in the U.S. The North Cove facility, which employs about 2,500 workers, manufactures 60% of the country's supply of IV solutions and produces 1.5 million bags per day. Baxter has seven manufacturing sites within North America and 13 plants globally.

The Food and Drug Administration (FDA) said it is actively working with Baxter and HHS to confirm how much product was recently released for distribution or may be available at wholesalers, and provide any resources and assistance. "This could include reviewing potential temporary imports or expediting reviews of the cleaned and restored manufacturing lines," the FDA said in a statement posted to its site.
"While Baxter is taking new steps to manage inventory of their North Cove presentations to assure equitable access, FDA is also working with Baxter’s additional facilities to increase supply and reduce the risk of new shortages until Baxter can resume manufacturing the impacted products. FDA will also be working with alternative suppliers, as needed, to manage gaps/shortages in supply of critical products," the FDA said.
"Supporting our employees in the impacted communities, bringing the North Cove facility back online and helping to ensure ongoing supply to patients are our top priorities," Baxter said in a statement posted online.
The company is now reducing shipments to hospitals to "help limit stockpiling and increase the likelihood of equitable access to available products," the company announced Thursday.
"We have implemented allocations to help ensure we are appropriately managing our inventory and minimizing disruption to patient care. That means that after review and consideration of available inventory and the medical necessity of the impacted products, a specific limit on what a customer can order has been implemented," the company said in statement on its website.
The current allocation includes saline, dextrose and PD solution products manufactured in all sizes, the company said. The company said in a letter to customers that additional information on peritoneal dialysis products will be coming soon.
As of October 1, the FDA has not declared any shortages related to the products produces at the North Cove plant.
Working with the FDA, Baxter is leveraging its global manufacturing network to help mitigate potential supply impact as it continue efforts to restore North Cove’s manufacturing operations.
Another major manufacturer, B. Braun Medical is taking "immediate steps to increase production" at its pharmaceutical manufacturing sites in Irvine, CA and Daytona Beach, FL, focusing on critical IV fluids," the company said in a statement to Fierce Healthcare on Sunday.
"We are anticipating that there will be major constraints on the U.S. supply of I.V. fluids as a result of the production outage at Baxter’s North Cove plant," the B. Braun spokesperson said.
The company also has placed products on a "protective allocation" and encourages providers to "practice conservation, including alternative hydration methods."
"These products are the building blocks of healthcare and are relied upon by patients across the country. We are working with industry partners, government officials and other stakeholder organizations to take steps that are available to us to help mitigate this anticipated shortage," B. Braun said.
The American Hospital Association said in a statement that it is "coordinating with Baxter and proactively engaging with federal agencies with regard to the disruption and to convey our concerns about the impact on patient care."
"We will continue to actively monitor the situation and provide hospitals and health systems with updated information. To continue to meet their mission of caring, hospitals are exploring alternative sources and considering conservation efforts," an AHA spokesperson said in a statement to Fierce Healthcare.
Hospitals take steps to conserve supplies
Hospitals across the country are taking steps to maximize supplies.
Baxter sent letters to hospitals telling them that future shipments of IV fluids would be about 40% of what they normally receive due to the North Carolina plant closure, according to Dr. Paul Biddinger, chief preparedness and continuity officer at Mass General Brigham in Boston, The Wall Street Journal reported .
During a conference call with reporters Thursday, Biddinger said hospital operations continue as normal and patient care has not been affected, according to media reports. The hospital system is conserving its fluid supplies, including switching to oral hydration—Gatorade or water—for patients who are healthy enough for it, and not discarding partially used IV fluid bags when patients are moved to a different part of the hospital, Biddinger said, as the WSJ reported.
“I would characterize this as one of the bigger shortages that we’ve been through in the last decade or so,” Biddinger said, as reported by the Washington Post . “We acted early to make sure we’re conserving as quickly as we possibly can.”
Hospitals also experienced IV fluid shortages in 2017, when Hurricane Maria disrupted manufacturing.
"Having experienced similar challenges in the wake of Hurricane Maria in 2017, we continue to be mindful of how we manage the supply of these medications to ensure minimal impact on our patients. Hospital operations continue as normal and patient care remains unaffected," Biddinger said in a statement, as reported by CBSNews .
RWJBarnabas Health, based in New Jersey, is taking “appropriate conservation measures” across its health system as it assesses the supply affected by Baxter, NBC News reported .
Oregon Health & Science University Hospital, which was also affected by the Baxter closure, is using oral hydration options when possible, as well as evaluating each patient for the discontinuation of continuous IV fluids, the organization told NBC News.
ECRI, a healthcare quality and safety group, released a report designed to provide guidance to healthcare providers to help navigate shortages caused by the Baxter facility shutdown. Medical facilities may experience shortages of normal saline, dialysis solutions, and additional IV products that are critical for patient care, the organization said.
“Our hearts are with those who experienced tragedy and loss from the devastating storm and flooding caused by Hurricane Helene,” said Tim Browne, Vice President of ECRI’s Global Supply Chain Solutions. “We extend our gratitude to the healthcare staff and frontline workers tirelessly providing support and care in medical facilities in the hardest-hit communities along the southeast.”
The report (Excel file) identifies up to the top three alternatives from other manufacturers to the IV and irrigation solutions affected by the plant closure.
The American Society of Health-System Pharmacists (ASHP) published suggestions for management and conservation of IV solutions.
Baxter International also offered steps healthcare providers can take to manage and conserve IV solutions and products:
- Evaluate inventory, look at current stock levels, expiration dates and the distribution of IV solutions
- Collaborate with clinical teams to identify which patients are in critical need of impacted IV solutions
- Identify alternative sources of solutions and medications such as oral rehydration for non-critically ill patients
- Implement evidence-based fluid management protocols to optimize IV fluid administration and minimize waste
- Assess pharmacy operational strategies
- Engage clinical teams on managing fluid restrictions, medication changes and potential risks
- Document and monitor fluid usage, patient needs and any shortages encountered
Lessons learned for supply chain resiliency from previous natural disasters
Healthcare leaders say the industry has learned some valuable lessons from responding to past natural disasters and supply chain disruptions.
"Having experienced similar challenges in the wake of Hurricane Maria in 2017, we continue to be mindful of how we manage the supply of these medications to ensure minimal impact on our patients. Hospital operations continue as normal and patient care remains unaffected," Mass General Brigham's Biddinger said in a statement.
Nicolette Louissaint, senior vice president of policy and strategic planning at the Healthcare Distribution Alliance (HDA), told Fierce Healthcare there are now more tools in place ready to be deployed to help mitigate supply shortages.
"I think in 2017 when there was an ongoing saline shortage that was then exacerbated by Hurricane Maria, we saw that there were a lot of concerns related to the availability of saline, and really testing what we could do regarding flexibilities to be able to respond to a saline shortage. I think that lesson from that hurricane a few years ago has both created a certain level of concern, because I think the healthcare community remembers that it's still something that feels fairly recent, and there's no desire to go back there again. I also think there are a lot of lessons that were learned from that particular incident, specifically existing shortages exacerbated by catastrophic hurricane, which is what we're seeing here. This need for a medical surge related to just a regular fall season and then the situation created by a hurricane," Louissaint said in an interview on Friday.
She added, "While there are things that could happen, like concerns regarding availability of supply, there are a lot of tools that are being explored and a lot of other strategies that are currently in place and have been in place since it was clear that the facility went down that are going to really mitigate against that."
There is ongoing communication between the FDA, the Administration for Strategic Preparedness and Response and Baxter to ensure the continuity of supply can continue, she noted.
"We aware that [Baxter] is ramping up production in other facilities. There are facilities that were originally at five lines, five-day operation consistent lines that are going to 24-hour operations. There are competitors that are also doing the same thing to ensure that there's availability of supply," Louissaint said. "I think where we are right now is looking at within the range of existing manufacturers that are able to move product into the market, how can they ensure that they're bumping up what they're able to do while Baxter is working diligently to get the resumption of this plant back online as soon as possible."
In 2017, the federal government and the industry learned the value of strategic partnerships. "The faster that our federal partners can be engaged directly with the company, the faster they're able to determine should they should think about releasing product that may be available in a stockpile. Should the FDA use regulatory flexibilities to be able to allow for temporary importation, for example. Should the FDA and ASPR begin conversations with other manufacturers of that product to see if they can bump up production sooner rather than later?" Louissaint said.
Those conversations are happening faster in the wake of Hurricane Helene, she noted.
"I think there's just a better understanding of what to do, so it's happening quicker, and there's a much more open line of communication, and I think that's something that Baxter should really be applauded for."
HDA is not hearing that hospitals or health systems are having issues with constraints or shortages. "We are hearing concern that there might be issues with constraints or shortages," she noted.
"There are facilities that are rightly looking at the type of time of year and saying, this is flu season, and the last few years we've seen this tripledemic that relies on saline and similar products to be able to treat acute respiratory illnesses. There are systems and public health departments that are starting to say, 'OK, if we're trying to order 3x the product that we normally order, and we're not getting 3x and what happens when we can't get that full amount?' The reality is that the product is not yet in shortage," Louissaint said.
"She added, "We are not seeing an indication that the product would be in shortage, but this is being tracked day by day, including from the lens of the fact that there's a response to a catastrophic hurricane going on, so there are going to be additional medical surgical needs associated with that. And we're aware that we're in this time of year where we may see surges related to flu and RSV and COVID."
HDA encouraged its members to maintain ordering product based on historical levels of their supply needs and what they believe they can utilize. "That ensures that we will continue to support the entire healthcare community, and that we don't run into these issues of potential spot shortages," she said.
Supply chain leaders also were keeping an eye on the port workers' strike announced last week, which could have significantly escalated the urgency and logistics of supply movements. On Thursday, the longshoremen’s union on the East and Gulf Coasts agreed to suspend its strike and major ports have rushed to reopen.

While Booktopia has been making headlines for its collapse and white-knight rescue , Dymocks has, for the most part, been keeping a lower profile.
That’s not to say that there aren’t changes afoot at the 145-year-old bookstore chain: while less dramatic, a series of tweaks and improvements to the business – including the “theatre” of visual merchandising at the shopfront – is meant to turn heads.

“The luxury world knows this very, very well: if you present things in a premium way, you care about the products, it looks like you care about what you’re selling, then people are drawn to buying from you,” said Dymocks Retail managing director Mark Newman, who has spent most of his career heading luxury fashion retailers such as Ralph Lauren and Oroton.
“If you create a retail space that people feel comfortable in, they will spend more time – and they’ll spend more money.”

Newman began as chief executive in May 2020, a few months after the COVID pandemic struck. It was a crash course in learning about the industry, which benefited from book sales as people stuck at home searched for things to do, while navigating the supply-chain disruptions that came along with store closures and stay-at-home instructions.
“We weren’t necessarily at that … time set up for scale, so we had to move pretty quickly to make sure that we had a scalable model online,” said Newman. “But it also highlighted how important omnichannel was going to be for the future.”
Founded in 1879 by William Dymock, whose great-great-nephew John Forsyth now owns the business, Dymocks had 80-odd stores in the mid-2010s but has shut dozens in a period of consolidation that also claimed Borders and Angus & Robertson as victims.
The business is in the midst of upgrading its physical and digital to strengthen the retailer’s foundations for the future and, crucially, bring in more revenue.
A multimillion-dollar new website project, which has been years in the works, will be rolled out this week, delivering stronger search capabilities, a more streamlined check-out process, more delivery options and personalised recommendations, according to the customer’s preferences and location.
The lower ground floor of Sydney’s flagship George Street store – which has already been refurbished in the past 12 months – will be closed for renovations to create a “children’s wonderland” of toys and a reading space for children and parents, an area of respite in a bustling central business district. Premium service, products, prices
The changes are more than just cosmetic: there’s a clear commercial focus on opening up new revenue streams, such as through an expanded loyalty program that creates a paid tier at $39 a year. Dymocks also owns the popular stationery chain, Milligram, which is on its own growth trajectory . Sales from Dymocks’ private-label brands such as The Reader’s Range are also tracking strongly, part of a broader retail trend , while a tighter focus on inventory management has also improved margins.
The emphasis on revenue and margin is timely: book prices have not increased much over the years, and operating costs for just about every business in every sector have risen.

“From a consumer’s perspective, that large-format bookshop is very attractive … There’s so much choice to have a look at. But it’s very, very hard to make money in large-format bookshops because the cost of doing business is very hard,” said Newman.
“Retail rents are very high, staff costs very high. They’re obviously the two biggest costs of running bricks-and-mortar, and margins on books are not great. It’s a commodity product.”
Despite a sluggish economic environment where retailers are watching cost-conscious consumers trading down and shopping around for value, Dymocks has determined it is not playing in the same lane as the likes of Amazon.
“Our strategy is not to compete on price. We’re a premium bookseller and book and gift retailer, and we focus on our service. We focus on having staff who work in our stores, franchise owners who own their stores, who know about books, who read books, who are able to make recommendations to people when they come in.”

Dymocks has a 6.8 per cent share of the bookstore market, behind QBD Books with 9.8 per cent, according to an IBISWorld industry report. Newman declined to provide revenue figures for Dymocks Retail, but IBISWorld puts it at $107 million. Dymocks’ 2023 financial year report shows retail sales grew 12.8 per cent.
The book chain plans to increase the number of its stores, hovering at 50 to 60.
Newman says the Dymocks brand is well recognised and carries weight and insists each store has a local feel, due to the franchise model that lets each operator retain control of book selections while benefiting from purchasing power as a group and a national loyalty program.
“The Dymocks name is synonymous with heritage, but also we’re a very trusted brand,” he said.
“So if you’re thinking about starting your own bookshop, having that name above the store already gives you an advantage over just starting it yourself and seeing how you go.”
